Obtain Academic Program Approval

Academic program approval of the thesis or dissertation consists of two parts:

  • Committee defense and advisor approval (content and format)
  • Thesis Reviewer in academic program (format)

1. Advisor and Committee Approval

Adviser/committee approval is indicated by the signed (A) Examination Report  and (B) Committee Recommendation Forms .  Signatures from the committee are usually obtained at the end of the defense.  If the committee requests revisions or if the committee indicates a conditional pass on the Examination Report , the revisions most likely will result in a change in pagination or format.  Only after all required content revisions are completed and approved by the advisors/chair should you submit your thesis to the academic program thesis reviewer (unless that person has indicated they also wish to pre-review your document before the final version).

2. Thesis Format Academic Program Reviewer

After all revisions have been approved by your advisor/committee, you will need to submit your thesis to your program’s thesis format reviewer, who will ensure that the format of your thesis meets any departmental requirements. All programs have an assigned thesis reviewer. If you are unsure who the thesis reviewer for your program is, contact your Director of Graduate Studies or program support staff.  Note:  Programs may have different processes for the format review. The student should consult with the program staff or DGS before the defense to understand the processes in that program.

Only after you have completed all revisions and corrections requested by your adviser/committee and your departmental thesis format reviewer are you ready to begin the ETD submission process.

For graduation consideration for each academic term there is a deadline by which the thesis must be deposited with the Graduate College Thesis Office.  Thesis deadlines for current and future terms are listed on the Graduate College Academic Calendar.  The ETD and all required deposit materials must be submitted to the Graduate College Thesis Office no later than 4:30 p.m. on the day of the deadline.

If a thesis needs to be temporarily withheld from public release because there is material in the thesis that is protected by or could potentially be protected by a patent, the student should submit a Thesis Withholding Request Form   to the Office of Technology Management before submitting the thesis for review to the Graduate College.

Update your address information in UIC Self-Service

Diplomas are mailed to graduates approximately 9 weeks after the end of the term.  To ensure delivery of the diploma to the correct location, students should enter a “Diploma Address” in your Self-Service account. If there is no “Diploma Address” recorded, the diploma will be sent to your “Mailing Address.”  The Diploma Address may be updated in Self-Service up to three weeks after the end of the term.  After that, contact the Records Office to change the Diploma Address.

UIC Email Account

Your UIC Net ID and email account (i.e. [email protected]) remains active for two terms after the term of graduation.  The account may expire earlier if you were not registered the term of official graduation, but will be reactivated post-graduation for two terms.

Submit an Intent to Graduate

Students must submit an online Intent to Graduate no later than the end of the third week (second week of the eight week summer session) of the term of intended graduation.  If, for any reason, you do not graduate that term and new Intent to Graduate must be submitted for the next term of intended graduation.

Participate in Commencement

Participation in the commencement ceremony is voluntary, but you are encouraged to attend.  Commencement ceremonies for Summer and Fall graduates occur in December, and for Spring graduates in May. For information about participation in the campus wide ceremonies and convocations sponsored by colleges and schools see the Commencement website.

Obtain Bound Copies of the Thesis for Personal Use

The copy or copies of the thesis that you deposit with the Thesis Office become the property of the University of Illinois. Theses and dissertations submitted electronically will be made available through UIC Indigo, according to the release option chosen at the time of submission.

The Thesis Office does not provide or distribute thesis copies to students, departments, or anyone else. If you want to have copies of your thesis bound for yourself, your family, or your adviser, you will need to procure them independently.  Options Include:

  • Book binderies. You can search for binderies on the Web.
  • Copy shops. Local copy shops (e.g., Kinko’s) can make softcover copies.

The ETD submission system you will use to submit your thesis is the result of a partnership between the Graduate College and the University’s digital repository for research and scholarship, UIC Indigo. After your thesis has been approved by the Graduate College Thesis Office, it will become available in UIC Indigo according to the release option you choose during submission.

To begin your ETD submission, your thesis should be formatted according to Graduate College thesis requirements and approved by your department.

  • The thesis must be submitted as a single Portable Document File (PDF)
  • The file should be named Lastname_Firstname.pdf (e.g., Smith_John.pdf)
  • Security settings should not be applied to the PDF file
  • The PDF file should not contain embedded multimedia
  • Do not include additional materials (see below) in the PDF file. (Note: For a few tips on getting started with the PDF conversion process, please see our ETD FAQs on PDF conversion. Please note that neither the Thesis Office nor the Library will assist with the conversion of thesis files to PDF, although other campus resources are listed in the FAQs.)In addition to the PDF file of your thesis, you will need:
  • Any supplemental appendix files. (An appendix page with a brief description of the content of the supplemental file must be included in the main PDF file of the thesis. See the Graduate College thesis requirements for further information.)
  • A familiarity with the UIC INDIGO deposit agreement
  • A knowledge of your options regarding the release of your ETD into UIC INDIGO
  • The names of faculty on the defense committee
  • Your defense chair’s email address
  • An active NetID or a temporary password. (If your NetID is no longer active, you will be able to create your own temporary password once you begin the submission process.)

After you have submitted your ETD online for review, you will receive a series of emails from the Graduate College Thesis Office that will notify you that we have received your ETD and alert you to any required corrections or other steps you will need to take to complete your thesis deposit. You may also check the status of our review of your ETD, including final approval, at any time by returning to your submission profile via the link provided below.

Your thesis deposit is not complete until you have made all corrections requested by the Graduate College Thesis Office and have submitted all additional materials required for the deposit.  Additional material (e.g. Survey of Earned Doctorates, etc.) that is required must be submitted by the submission deadline.  Any format corrections required by the Graduate College Thesis Office must be received by the date provided by the Graduate College reviewer.  (Note: The deadline given for any corrections to the ETD submitted to the Graduate College is not the same as the final submission deadline.)

Examination Results may only be appealed after the  complete Academic Year (Semesters I & II and Overall result) official results release online . Examination Transcripts are issued to students permanent home addresses for Award year course instances.  Late applications will not be accepted under any circumstance and students must use their NUI Galway student email for applications.

The official results release schedule is available  here . Completed application forms must be submitted to the Examinations Office by the relevant deadline (outlined below). 

Autumn Repeat Examinations If awaiting the results of an Appeal of a failing grade, a student should always be prepared to sit the repeat as there is no guarantee that the result of an appeal will be favourable. In the instance where a student's first sitting appeal application is upheld after sitting Autumn exams, the upheld first mark takes precedence over second sitting.

Students cannot submit an appeal unless they have already either gained informal feedback on their performance from their lecturer or discipline or received the results of a formal recheck.              Please refer to the below FAQ section if unable to avail of feedback prior to submitting an Examination Appeal.  Consultation Days are an opportunity for both academic staff and students to meet and discuss results. Please contact the School/Academic Discipline in advance to arrange an appointment. 

Appeals submission Checklist:

  • Ensure you have completed the appeals form completely e.g. students must use their University of Galway email accounts. 
  • Ensure you have obtained informal feedback on your performance from the relevant lecturer or discipline OR attach evidence of efforts undertaken to obtain this e.g. email correspondence.
  • Ensure you have ticked the appropriate "Ground for Appeal" (A and / or B) section.
  • Ensure you have included all supporting documentation such as your appeal letter and any supporting documentation e.g. medical evidence.
  • Copy of your exam transcript OR a screenshot of your official exam results from your Examination Results Inquiry which is available online. For online results please visit here
  • Appeal fee (60.00 EUR per module - maximum fee of 300.00 EUR).  
  • Examination Appeal applications will not be processed if the required documents 1 to 5 above are not included in your application.

How can I appeal an exam result?

Complete the online application form and submit it along with supporting documentation and appeal fee. Important: Incomplete or invalid appeals will not be processed.

What are the grounds to Appeal?

Grounds for Appeal An appeal of an examination result shall be considered either under Ground A or Ground B as set out below:

Ground A: if there is evidence of substantive irregularity in the conduct of the examination and/or the assessment process, or where a student presents evidence to support an assertion that the mark awarded was incorrect.

Ground B: If there are extenuating circumstances that impacted on the student’s exam or assessment performance of which the Examinations Board were not aware when making its decision, or, the Examination Board were aware of the circumstances, however, were not aware of the impact of those circumstances on the student’s exam or assessment performance. If the extenuating circumstances had not been made known previously to the Dean of the College as required, the appeal must include a supported explanation for the non-disclosure. Where medical evidence is being relied upon, appropriate certification by an independent Medical Practitioner (excluding any Medical Practitioner who is a family relation of the student) should be attached.

Extenuating circumstances must be pertinent to the time of an assessment, and comprise (including but not limited to below):

  • Involvement in an accident or serious incident
  • An acute illness, injury, or trauma
  • Deterioration in an ongoing medical or health condition, or adverse change in a fluctuating condition
  • Life-threatening illness or death of a person with whom you have a close relationship
  • Significant adverse personal or family circumstances
  • Serious or abrupt upheaval, such as a house fire, burglary, or eviction; or upheaval with respect to geopolitical change related to period(s) of study abroad or international study trip(s)
  • A victim of crime or threatening behaviour 8. Other significant and relevant exceptional factors for which there is evidence that academic performance has been impaired.

How long does it take to get a decision?

Typically, an appeal decision can take up to three months but some appeals can take much longer depending on their complexity. The Examination Appeals Committee makes every effort to complete appeal decisions in a timely manner, however, it is not possible to give specific timelines about when a decision will be made.  

I am a final year student; can I still appeal?

Yes, you can still appeal, however please refer to the Conferring webpage here for any queries on conferring schedules

If I submit an appeal for a non passing modules, should I sit the Autumn exams?

 While we endeavor to resolve all appeals before the repeats, it is possible the results of an appeal will not be available before the repeat exam of the module in question. A student should always be prepared to sit the repeat as there is no guarantee that the result of an appeal is favourable. 

In the instance where a student's first sitting appeal application is upheld after sitting Autumn exams, the upheld first mark takes precedence over second sitting. 

What is the difference between a recheck and an appeal?

A recheck is simply a re-calculation of all parts of the exam and there is NO review of the exam content.

An appeal application is considered based on one or more grounds:

A - If there is evidence of substantive irregularity in the conduct of the examination and/or the assessment process, or where a student presents evidence to support an assertion that the mark awarded was incorrect.

B - If there are extenuating circumstances that impacted on the student’s exam or assessment performance of which the Examinations Board were not aware when making its decision; or, the Examination Board were aware of the circumstances, however, were not aware of the impact of those circumstances on the student’s exam or assessment performance.

The Examination Appeals Committee considers the appeal based on the grounds and consults, as appropriate, with the examiner(s). Exam appeal workflow is available online.

Do you have to get an exam re-checked before you can apply for an appeal?

No. It is not necessary to apply for a formal recheck of an exam result before making an appeal application. It is important to note that a formal recheck application may not be processed and complete in advance of the examination appeal deadline. As part of an appeal application, it is necessary to provide documentary evidence that you have already received EITHER informal feedback on your performance from your lecturer or discipline OR the results of a formal recheck.

What if I can’t get feedback from my lecturer?

Students are advised to make every effort to get feedback from their lecturer and to avail of opportunities such as consultation day. If you are unable to get feedback from your lecturer, include documentation with your exam appeal application outlining your attempts to get feedback e.g. email correspondence.

I have missed the deadline. Can I still appeal?

No. Late applications will not be accepted under any circumstance.

My overall result is close to the next grade e.g. close to a H2.1. Can I appeal the overall result for the year/award?

No. An exam appeal application is accepted for module result(s) only. You can appeal one or more modules following the official results release.

For how many modules can I apply for an appeal?

You can apply for all modules for which an official result has been released (in line with the appeal application deadlines).

Can I make an appeal application for results released previously e.g. last year?

The timeframe to make an exam appeal application is strictly defined (application deadlines available above). You can only appeal results for modules which have been officially released in the defined timeframe. Example: If you have received official results for 3rd Year (1st Sitting), you cannot appeal results received for 2nd Year (1st Sitting).

For Autumn (2nd Sitting) exam appeal applications, what is the advice with regard to registration and lecture attendance?

For students who have an overall result of Fail (or Incomplete) for the Autumn (2nd Sitting) and have submitted an exam appeal application, please be advised that you should not make any assumptions about the outcome of the exam appeal. Students are advised to register for the year of programme that is appropriate to their current student record e.g. a student who has an overall result of Fail (or Incomplete) for 1st Year, must register to repeat 1st Year. Please email [email protected] if you require assistance with registration. With regard to attendance at lectures, students must contact their College or School Office directly for academic advice .

Can I submit other documents after making an exam appeal application?

All documents for an exam appeal must be submitted at the time of application. Students are advised that additional documents cannot be accepted.

What if I’m waiting on one (or more) items of documentation for my exam appeal?

If you do not have one (or more) items of supporting documentation at the time you are making your exam appeal application, it is recommended that you state the details in your appeal statement. It is not be possible to submit additional documents at a later stage.

What if I need more space for my appeal statement?

If there is not enough space in the online form field for your appeal statement, write your statement and include it as part of your attached file.

Should I include my essay/coursework/thesis as part of my appeal?

The Examination Appeals Committee recommends that applicants do not include original essays or theses with their appeal documentation. Applicants are advised that the committee can request additional documentation at a later stage, if the committee consider it relevant.

What medical statements should I submit as part of my appeal?

Applicants are advised to submit documentation that they believe is relevant to their exam appeal. The Examinations Appeals Committee recommends that any medical statements submitted as part of an appeal application should contain a statement about the impact on the student’s performance in the relevant module.
