Nonprofit presentations: Tips, tricks, and other things to consider

Giving effective presentations can contribute greatly to a nonprofit’s success. In fact, presentations serve as an important avenue for organizations to share their stories, build partnerships, garner community support, and acquire new donors or volunteers.

Although most nonprofits recognize the need to take advantage of such opportunities, their presentations can sometimes fall flat.

“I think that in general we end up talking about the wrong things,” explains Sheena Greer , a nonprofit communications consultant and founder of Colludo . “We share too many stats or too much internal jargon and don’t work enough on having basic conversations about the work we do.”

Nonprofit professionals tend to be passionate about their work, and they often have an inspiring message to tell their audience. But they also have some unique communication challenges to overcome and, without the proper preparation, their messages can easily get lost.

One main challenge nonprofits face is that they need to prove their value in a way other industries don’t.

“Unlike businesses who can make a strong financial argument around profit, nonprofits have to prove how their work effectively achieves their mission,” says international public relations consultant Todd Hauptman . “It’s essential that they clearly articulate their stories and why they exist.”

Sharing stories of impact can help nonprofits provide this justification, while at the same time motivating their audiences on an emotional level. As Greer argues, “We don’t share enough stories about the work we do, which is much more compelling than a PowerPoint deck full of pie charts and statistics.”

But the kind of stories you share and the way you tie them in will depend on the purpose and intention of your presentation.

Ditch the cookie-cutter approach

A frequent mistake nonprofits make is using the same presentation again and again for different purposes. After all, there are many reasons they may need to present about their organization: they could be fundraising, promoting their programs, pitching their work to a big corporate sponsor, trying to influence a new governmental policy, or working to raise their profile in a particular community.

Although it can be tempting to recycle a great presentation, each reason for getting up in front of an audience warrants a unique approach and preparation. Naturally, some of the content will overlap from one presentation to the next. But to maximize the time you have with your audience, you should know what your intention is and target your presentation to accomplish that goal.

“The first piece I always have clients work on is identifying what they want their audience members to know, think, or do,” says public speaking coach Janice Tomich , adding that this intention is the thread that should run through your entire presentation.

To know what you want your audience to take away from your presentation, you must first understand just who your audience is.

Dive into the hearts and minds of your audience

Ask anyone involved in public speaking and they will likely tell you the same thing: knowing your audience is key. Your audience will influence the type information you share, the stories you tell, and the kind of energy you bring to your presentation.

“The entire presentation will be different depending upon the audience,” says Hauptman. “For instance, with an audience of potential donors or corporate funders, I would focus on how well the organization manages its resources to impact who they are serving.”

This may sound easy enough, but effectively connecting with different audiences can be challenging for nonprofits. Just as they have many reasons for presenting, they often have a wide range of audiences to present to. A common pitfall is that they focus more on what they want to say rather than what the audience needs to hear.

“I see it in my clients all the time,” says Tomich. “They’re really passionate about their message but they’re not at all considering who their audience is and how they need to hear that message. So audience is paramount to everything.”

A lot of nonprofit audiences are made up of donors, but they can just as easily be volunteers, employees, government or corporate funders, policy makers, board members, or other stakeholders.

No matter who they are, you can’t connect with your audience if you know nothing about them. Do your homework, take your time, and find out as much as you can about the group you’ll be speaking to. Importantly, try to find out what they already know.

“As with any form of communication, it’s important to start exactly where your audience is, not where you’d like them to be,” says Greer. “If you’re speaking to a group that knows nothing about your cause, you will start at a different place than you would with, say, a long-time corporate sponsor.”

One trick that can help you get into the minds of your audience is to use a persona – a fictional person you come up with to represent your target audience. Developing a mock profile of that person can help you better understand your audience and create personalized content.

In a Top Nonprofits article , Dan Quirk introduces three personas he says nonprofit content marketers should target: Corporate Cathy, Donor Dave, and Volunteer Victor. Take Corporate Cathy for example: she’s in her early 40s and married, has an MBA, is constantly in meetings, and values faith, education, and empowering women. She’s passionate about giving her kids a balanced upbringing and wants to grow her company’s community relations department.

With this kind of information, you get a better sense of how to best present and communicate your story to Cathy. Keeping her persona in mind can help you put together a more relevant presentation and connect with your audience on an emotional level.

This is another common challenge charities face when presenting, since so much rides on getting the crowd invested emotionally in their cause. Knowing your audience members and what they care about can go a long way in helping presenters make that connection.

“For me this piece is really crucial,” says Tomich. “They need to understand what the emotional trigger is and get into the hearts and minds of those they want to tap into.”

To this end, investing in finding out your donor profiles is a smart and responsible use of funds, according to Hauptman. “Data is a vital part of effective fundraising campaigns,” he says, “because it allows organizations to understand exactly who they are targeting.”

Avoid death by PowerPoint

Another pitfall in nonprofit presentations is overcomplicated content and distracting visuals.

Too often, nonprofit professionals cram bullet point after bullet point onto slides in order to guide their presentations. But when you put a lot of words in front of your audience, they’re going to read. And when they read, they’re no longer listening.

The most obvious way to avoid this is not to use slides at all. “If you don’t need a slide deck, don’t use one,” says Tomich. “It can be a distraction where the presenter would be much better served by having all eyes and ears on them.”

When slides are necessary, limit the number of words and make sure your slides are predominantly visual. This will help your audience stay focused on you rather than the words on the screen. “Your message will come across more powerfully visually and in-person if the presentation isn’t packed with words,” says Hauptman.

While visual aids can be very helpful, it’s important to keep them simple. “Often when we’re creating a slide deck, we feel a lot of pressure to “jazz it up” and can get carried away with using images and aids that don’t make a lot of sense,” says Greer.

Keep in mind there are other ways to deliver interactive and media-rich presentations aside from PowerPoint. Some people prefer to use Prezi – an online presentation platform that allows you to make engaging and flexible presentations without strictly ordered slides. By letting you adapt your delivery as you go, Prezi helps you turn your presentation into more of a dialogue.

This piece – keeping your presentation conversational – is crucial, according to Greer. It not only helps keep your audience engaged, but also helps with nerves. “We tend not to be nervous about having a deep conversation with a group of friends around something we’re really interested in,” she explains.

Get those nerves under control

Managing nerves is a major challenge for presenters across all sectors, including nonprofits. In fact, the fear of public speaking, or Glossophobia, is one of the most commonly cited fears. So if you hate getting up in front of others, you’re not alone.

Fortunately, there are many things you can try in order to limit the jitters.

For starters, one of the best ways to overcome nerves is to make sure you really prepare. “Preparation is absolutely essential to ensuring that you are confident when you speak to your audience,” says Hauptman. Take the time to create and practice your presentation. Get feedback from others. And don’t try to memorize a script.

You should also pay attention to your breathing. “As adults, we tend to do a lot of chest breathing,” Tomich explains. “We’re not doing really deep belly breaths, as we should. It’s interesting what just a few deep belly breaths can do to really calm down your nerves.”

Another way to boost your confidence is by “power-posing.” As researcher Amy Cuddy discusses in her famous TED Talk , holding a pose where you’re taking up a lot of space can actually make you feel more confident. Try standing with your feet apart for two minutes with your arms reaching up like you just won a race – preferably somewhere private!

If all else fails and you’re still feeling the pre-presentation jitters, try to convince yourself you’re excited rather than nervous. Recent research by Harvard Business School psychologist Alison Wood Brooks found that reframing nervous feelings as excitement can improve public speaking performance.

In the end, just try to trust yourself and what you know about your charity’s work. As Hauptman suggests, “Let your passion and knowledge of the issues and your organization shine through your speaking.”

10 Tips for Great Nonprofit PowerPoint Presentations

Sitting through a bad PowerPoint presentation can be brutal.

We've all been guilty of these kinds of presentations, but your next presentation can be your best so far. Using the following tips will make sure that's the case.

GET MICROSOFT OFFICE

1. Start with Sticky Notes

Writing a long document starts with an outline; PowerPoint slide decks should start with something similar. Square sticky notes are a great way to jot down a basic idea or a brief sketch and sort them before you get started. Bonus: Their small size keeps you from overloading them with unnecessary information.

2. Don't Overload Slides

Only include one or two concepts per slide. Eyes will glaze over if they have to stare at the same slide for too long.

Also, avoid full sentences in your slide copy. If you're writing several sentences (or worse, paragraphs), no one will read them. It also means you might just be reciting your copy to your audience, and no one wants that. You want to engage people by developing the ideas outlined in each slide more fully.

It's okay to split complex slides into two, three, or more slides. It's far better to have many minimal slides than a few cramped ones.

3. Question Each Slide

Determine your desired outcome when you use your sticky notes at the start. By the end, ask yourself whether each slide supports that outcome. Although certain aspects of your presentation might be interesting or fun, or look cool, they might not be necessary. You want your audience to take some kind of action or to learn something at the end of your presentation. Consider whether each slide drives that action or imparts that knowledge in some way.

4. Keep the Format Consistent

It's tempting to move elements in your slide template around in order to fit others in. But you should always follow this simple rule: If you change one template, change them all. If your headers jump around from slide to slide or every piece of copy in your slide deck is a different size, the overall presentation will suffer. Rely on the master styles to get everything just right.

5. Appeal to Emotion

Your presentation likely isn't a debate; it's a persuasive medium. Slides work best with photos that tell a story, simple language, and engaging colors. Your images should be high quality whenever possible, sourced either from your organization or from a stock photo resource. (If you don't have a stock photo account, check out Unsplash , Pexels , and Pixabay .) The copy on your slides should be minimal (see tip number two) and should highlight the key points that you'll address personally.

6. Keep Data Visualizations Simple

Although complex infographics are an active medium, PowerPoint presentations are passive. You can always share your data later, but keep messaging simple during your presentation: donations are increasing; this constituent group is larger than that one; this month is the exception to the overall trend. Your bar charts shouldn't have too many bars, your line graphs should be obvious, and your pie charts should only have a few slices.

7. Consider Your Transitions

Stick to a single transition style among your slides. Personally, I like using the Fade transition and keeping it to less than half a second between slides because it's not obvious and helps guide the viewer.

If you use transitions other than Cut (the default) or Fade, consider the context of your slides. If your presentation is on a serious topic, avoid cute transitions. If it's a fun or uplifting topic, keep the action light and avoid distracting transitions. The focus should be on your content.

8. Limit Your Animations

Animated items on your slides can easily break a presentation's cadence. If you're not clicking to advance them at the right times or miss your own timed animations, your audience can lose interest or you can come across as unprepared.

Use animations only when you want to keep slide elements hidden. Like any good piece of suspense or comedy, you may want to hold something back from your audience until the time is right. If you use animations in a slide, include a note for yourself in the Presenter View (more on this later), so you don't miss your cue.

9. Break for Questions Before the End

If your presentation is more than five minutes long, your audience will likely have questions along the way. Be sure to include section breaks or a halfway mark in long presentations to take questions on what's been covered so far. It will help keep your audience engaged and spur further thinking on the subject.

10. Rely on the Notes

Keep text out of your slides as much as possible. That way, you can use Presenter View when it comes time to present and rely on personal notes only you can see. This frees your audience to appreciate the visuals and your delivery and allows you to reference all your information. After all, the presentation is designed to support you, not the other way around.

Bonus Tip: How to Add Animated GIFs

If it's appropriate for your presentation, you might want to add an animated GIF to lighten things up. Like any image, you can click Insert > Pictures and choose your GIF. However, this method won't give you playback options, like when motion should begin or how many times the animation should repeat.

For playback options, insert your GIF as a video by clicking Video from the Insert tab. PowerPoint doesn't recognize GIFs as a video format, so enter *.gif for the file name, find your GIF, and click Insert . PowerPoint will likely give you a brief warning before dismissing itself. Once the GIF is inserted, you'll have Format and Playback tabs, just as for any other video.

Matt Huffman downplayed ties to dark money group. New records show it paid thousands to his political team

C OLUMBUS, Ohio – A FirstEnergy lobbyist said it was his. The group spent hundreds of thousands of dollars paying his political team. But Ohio Senate President Matt Huffman has downplayed his ties to a dark-money nonprofit detailed in recently released records .

New internal records obtained by cleveland.com and The Plain Dealer show that Liberty Ohio, a dark-money group that raised nearly $1.4 million from FirstEnergy and other companies and spent nearly as much in 2019 and 2020.

Of that sum, $136,000 was paid to High Bridge Consulting, a Republican political firm in Columbus, and $500,000 went to two out-of-state firms, Ring Limited and Right Point.

All three firms went to work for Huffman when he became Ohio Senate president. They were hired by the Republican Senate Campaign Committee, the Ohio Senate GOP campaign arm, as vendors in 2021. High Bridge has done work for other Republican political candidates as well, but its most recent notable work was when Huffman tapped them to run last summer’s failed campaign to subvert an abortion rights amendment to the Ohio Constitution.

Huffman has downplayed his association with Liberty Ohio, which a FirstEnergy lobbyist described in a recently released email from 2019 as “Huffman’s C4.” FirstEnergy gave $300,000 to Liberty Ohio, documents show, as company officials described trying to gain favor with Huffman, who at the time was in line to become the next Ohio Senate president and as the company attempted to approve House Bill 6, a sweeping energy law that bailed out two nuclear plants owned by a former FirstEnergy subsidiary while guaranteeing hundreds of millions of dollars in revenue for FirstEnergy itself.

Liberty Ohio entered the news after it was referenced in records contained in a trove of tens of thousands of documents that was released in March, produced as discovery as part of a shareholders lawsuit stemming from the federal corruption probe into HB6′s passage and obtained by cleveland.com and The Plain Dealer via a public records request.

Separately, cleveland.com and The Plain Dealer obtained internal records documenting Liberty Ohio’s finances, including its spending and its other, non-FirstEnergy funders.

The records pertaining to Liberty Ohio do not suggest any wrongdoing on Huffman’s behalf. Political nonprofits are common and legal, although prosecutors in the House Bill 6 case say they facilitated FirstEnergy’s scheme to bribe ex-House Speaker Larry Householder to help secure legislation worth more than $1 billion to the company.

But like many of the records released because of the House Bill 6 scandal, they help shed light on anonymous political spending that’s pervasive in Ohio, and the secretive ways special interest groups seek favor with policymakers and their aides. Political nonprofits’ financial activities typically are secretive, since unlike other candidate committees and other types of political groups, they don’t have to disclose their donors — earning them the “dark money” moniker.

Asked about Liberty Ohio last month, Huffman told reporters that he thinks dark money groups are ineffective and a way for consultants to make money and downplayed his ties to the group.

“Random conversations from five or six years ago, I don’t know why people are saying that,” Huffman said. “Most C4s, I don’t really think, are very effective. Folks are making money off it, trying to get donors to give them money, telling donors they’re doing things they want them to do.”

In an email this week, John Fortney, a Huffman spokesperson, reiterated that Huffman was not in control of Liberty Ohio. Political nonprofits are barred from coordinating with candidate campaigns under federal law.

“We’ve been on record and consistently maintained that Matt Huffman neither created, controlled or coordinated any 501c4. Who or what Liberty Ohio was, is or contributed to, is not based on any decision making from him,” Fortney said, referencing the section of federal law that spells out political nonprofits.

What did Liberty Ohio do?

Huffman says that he didn’t direct Liberty Ohio. But the group worked on his behalf, including helping a political ally win his primary election in 2020.

Liberty Ohio’s internal spending records offer further detail on a campaign that media outlets reported on several years ago – political ads the group ran in 2020 benefitting state Sen. George Lang, a Butler County Republican and Huffman ally.

At least $69,000 of the money Liberty Ohio spent went to Medium Buying, a Republican political ad firm, to buy TV ads that year attacking Lang’s political opponent, state Rep. Candice Keller.

It also paid around $500,000 jointly to Ring Limited and Right Point LLC – companies that provide digital services and campaign printing, respectively, according to state campaign finance records.

Liberty Ohio in turn published a website, www.candicekeller.com , referring to her as a “no-show legislator” and calling her “Crazy Candice Keller,” according to the Cincinnati Enquirer . She did not respond to a message from cleveland.com and The Plain Dealer.

Lang ended up winning the 2020 race, getting nearly 50% of the vote. He defeated Keller in a rematch in the March 2024 Republican primary election with 60% of the vote.

Liberty Ohio’s contributors, meanwhile, include a who’s-who of state business interests.

Its largest funder was 55 Green Meadows, the political nonprofit arm of a trade group that represents the state’s for-profit nursing home industry, which gave $415,000, contributions that previously have been reported publicly through the group’s annual tax filings.

In an interview, Pete Van Runkle, the group’s executive director, said it gave to Liberty Ohio under the understanding that it existed to support Huffman. He said he had no specific idea of how the money would be spent.

“In this case, we were aware that Liberty Ohio was supportive of President Huffman,” said Van Runkle, who also is the executive director of the Ohio Health Care Association, which lobbies for nursing homes, for which reimbursement rates are set in state law. “… And that was our reason for giving to that organization. They were supportive of him, and we wanted to be as well.”

Van Runkle, whose group has given to many other C4s, said it can be hard to remember which ones he’s helped fund, since their names all sound the same.

“We laugh about that: ‘OK which one is this.’ They’re all ‘apple pie and motherhood,” he said.

Liberty Ohio’s other six-figure contributors included Charter Communications, the cable company ($150,000) and Empower Ohio Inc., a nonprofit tied to American Electric Power ($100,000).

Giving smaller amounts were Nationwide Insurance, Giant Eagle, MillerCoors, Juul Labs, Pharma, a trade group representing the pharmaceutical industry; and the U.S. Justice Action Network, an advocacy group that backs criminal-justice reform.

Messages have been left with all of Liberty Ohio’s contributors seeking comment for this story. A spokeswoman for FirstEnergy declined comment, while a spokesperson for AEP referred comment to Empower Ohio, Inc.

A spokesperson for Pharma said the group engages with groups and organizations that “do not want the government to interfere with patients’ access to medicines.” A spokesperson for Nationwide Insurance said all the company’s political contributions “comply with the law.”

Besides running ads in Lang’s race and paying consultants, the ledgers show Liberty Ohio also served as a passthrough for a different dark money group set up for another High Bridge client – former state treasurer Josh Mandel.

The group sent about $626,000 to Invest in Ohio, which itself funded a Super PAC called Ohio Freedom Fund that funded another dark money group in 2022 that ran ads benefitting Mandel’s unsuccessful Senate campaign that year .

Invest in Ohio also paid another $53,000 to High Bridge for fundraising consulting in 2019 and 2020, the same time that Liberty Ohio was active, internal records obtained by cleveland.com and The Plain Dealer show.

A message has been left with High Bridge seeking comment for this story.

“Huffman’s C4′”

As previously reported by cleveland.com and The Plain Dealer, Ray Yonkura, a High Bridge partner, helped raise money for Liberty Ohio, records released via the FirstEnergy litigation show.

Yonkura in a May 2019 email to Ty Pine, a FirstEnergy lobbyist, shared a PowerPoint presentation describing Liberty Ohio. The presentation summarizes the group’s activities in generic terms, saying its purpose was to “educate policymakers and the public on issues of personal liberty, government transparency, fiscal responsibility, taxpayer empowerment and traditional American values,” the presentation says.

The presentation says twice that any contributions to the group are not disclosed to the public.

Pine forwarded the email to FirstEnergy lobbyist Joel Bailey, who sent it on to Michael Van Buren, a Northeast Ohio attorney who served as treasurer for Partners for Progress.

“Is this what you need on the Huffman C4?” Pine wrote .

Around the same time, Mike Dowling, an executive who has been criminally accused of orchestrating FirstEnergy’s bribery campaign, told the company’s then-CEO Chuck Jones in a text message that they’re going to “need some (C)(4) infusion” saying they were being advised to give to Huffman “noting that Huffman is “transactional and can get shot [sic] done.”
