4 Steps for a Good-looking PowerPoint Table in a Presentation

Tables are used everywhere in business – price lists, KPI comparisons, project meetings, quarter review meet-ups, and accounting audits… Sounds familiar? Table infographics are one of the most common ways to present data. Making a table in PowerPoint or Excel is simple and quick. However, usually, those tables look pretty basic and boring. It’s time to change that!

Read on to find out four easy steps you can follow to quickly change default data tables into more attractive and professional-looking table graphics.

All the presented table makeovers you’re about to see are done using only standard MS Office PowerPoint tools.  You don’t need any special software, only your computer and a bit of imagination. Let’s have a quick view of how tables can be redesigned.

Before and After PowerPoint Table Redesign

Below you can see a standard table comparing three product features created in PowerPoint. If you use the standard table style it will look like this – a grid with black lines and plain white cells filling:

Here’s an example of how such a table can be facelifted in a few steps to look consistent, and easier to read and remember.

The best part is that it took me 5-10 minutes, using just colors, basic shapes, and a few simple symbols. So don’t worry, you don’t need to have profound design skills to achieve similar results.

Below you can see four steps that are easy to follow. Even if you don’t feel like a graphic designer, you can do it :).

1. Replace the grid of your standard presentation table

The table cell borders separate the content of your table cells. They are far less important than the content itself. Therefore it is a mistake to make them strong black as in the example. Make them look less important by replacing the high-contrast black grid with light gray (or any other color, which will suit your style, gray is one of the most neutral colors). You can also remove the borders completely if you have wide table margins. Here are two examples of such change:

Believe me, your tables will look more elegant and professional without the default black borders.

Eventually, you can get rid only of the outside grid and it will also look better.

To edit the table border click on the table itself and then select in the PowerPoint top menu: Design Table Tab: Borders .

2. Add shapes to table columns and rows headers

The next step is to enhance the headers. Adding a simple arrow shape behind the table will do the trick.

Then adjust the colors of added shapes. Depending on what the goal of the presentation slide is, select the colors:

  • Use vivid colors like I did if you want people to focus on that part – in this case, the three products in my example.
  • Use calmer colors for less important parts (e.g. shades of gray or blue)

Don’t forget to check if the text on the header is still readable after you add colors. Ensure the contrast – change the header font color to white from black if needed.

3. Illustrate your PowerPoint table with icons

If you have a few more minutes and want to move your tables to the next level, enrich them further with illustrative symbols. Using icons related to the concepts and ideas creates a strong visual association. That will help your audience focus on the information you want to present to them.

In the product table example below, the three features are replaced with simple flat icons – a shield for security, a gauge for efficiency, and cogs representing production.

For increasing visual power I also replaced the third column with discrete Yes / No values but Check / Uncheck icons.

If you need to represent a specific concept with a symbol, check the list of common business concept visualization ideas . We put together various concept visuals on how to illustrate ideas like strategy, competence, deadlines, taxes… Let us know if we missed anything.

By adding small pictures you can focus people’s attention on the points you want: whether you want to emphasize the functionality of a product, the status of a project, or numeric values.

4. Highlight the key table cell content

Most probably there’s one key piece of information in the table you want to show in the context of other table data. Make this key value stand out. The easiest thing is to make the text or number bold or use a different color. However, to make it visually more attractive, I’d suggest other ways of highlighting it:

  • make the table cell dark and the text white. This way the whole cell will stand out.
  • add an extra shape e.g. a circle with an outline and transparent filling over the table. Or even better, add a hand-drawn swoosh shape . Using such a style will add a personal touch to the table – like you marked it with a pen on paper.

That’s all. Four tricks you can use to make your presentation tables fancier:

  • Replace the default black table grid
  • Add shapes under the table headers
  • Illustrate items with icons to create a mnemonic association
  • Highlight the key information in the table.

Most importantly, these simple do-it-yourself instructions will help you save time and create engaging infographic table designs using only PowerPoint shapes, markers, and icons. You can choose your favorite trick from above and try using it in every presentation (e.g. contrast colors, or icons), and see how it changes your slides.

If using shapes and table from PowerPoint how do I reference them

Hi, what do you mean by referencing them? Their objects (e.g. inside a VBA macro) or you mean something else? You can try to open the Selection pane window to see all objects on the slide, including shapes and tables if they are present there. Let me know if that helps.

  • Effectively organize information in a grid
  • Avoid the textual content that makes the presentation boring and dull
  • Display numerical data in a presentation
  • Make your Information remarkable so that the audience remembers it

Can You Make A Scrollable Table In PowerPoint?

To Make a Scrolling Table in PowerPoint Presentation, Follow these steps:

  • From the navigation bar in PowerPoint, click the “Developer” tab. If you don’t see the Developer tab, click the “File” tab, then click “Options,” choose the “Customize Ribbon” option and then click “Developer” in the Main Tabs section. Click “OK.”
  • Click the “TextBox” ActiveX control icon from the Controls section in the Developer tab.
  • Click hold and drag the text box on the slide.
  • Right-click on the ActiveX text box in your slide and select “Properties”.
  • Make the following changes: Change the value for ScrollBars to “3 – fmScrollBarsBoth.” Set the value for MultiLine to “True.” Type the text you want in the value box for Text. Then close this window from the upper right when you’re done.
  • Launch the slide show at that slide. The scrolling effect in the table will only occur if the slide show is active and if there is enough text to go beyond the text box.

How Do I Split A Table Into Two Tables In PowerPoint?

We can’t split the whole PowerPoint table, the individual cells of the table can be split into multiple cells.

How Do You Create A Comparison Table In PowerPoint?

You can create a  comparison table in PowerPoint  by inserting a single-column table or two double-column tables in your slide. To insert a comparison table:

  • Select the  slide deck  in which you want to add a table
  • On the Insert tab, select the Table.
  • Point the cursor to select how many rows and columns that you want, or
  • Select the Insert Table option, and then enter the numbers in the Number of columns and Number of rows lists.
  • Resize the single-column table so that you can add another table parallelly.
  • Use   PowerPoint Icons ,  PowerPoint Shapes , and Colors to create visually appealing tables.

How Do You Animate One Cell In The Table PowerPoint Template?

Animated PowerPoint templates can  make a presentation  more engaging and visually interesting, which can help to hold the audience’s attention. Here is the process to animate a cell in the PowerPoint table template:

  • Point the cursor to the border of the table and click to select the entire table.
  • Under the Home tab, go to the Clipboard group, and click Copy.
  • Again in the Clipboard group, click the arrow under the Paste option, then click Paste Special.
  • Click Picture, and then click OK.
  • Under the Picture Tools, on the Format tab, in the Arrange group, click Group, and then click Ungroup. Click Yes when a new window opens.
  • Repeat the Ungroup command for the second time. All the cells will be selected, click outside the table to remove these selections.
  • Press and hold the Ctrl key from the keyboard while you select the cells of the table that you want to animate.
  • Under the Animations tab, in the Advanced Animations group, click on Add Animation to open the animation options.
  • On the Timing tab, click on any options that you want to use, such as Delay.
  • Repeat steps 7 to 9 for any other sections of the table that you want to animate separately.

Add a table to a slide

You can add a table to a slide by creating it right in PowerPoint. You can also copy and paste a table from Word or Excel.

It's not possible to convert existing slide text into a table. Insert an empty table, then add text to it.

Create and format a table in PowerPoint

Select the slide that you want to add a table to.

On the Insert tab, select Table .

In the Insert Table dialog box, do one of the following:

Use the mouse to select the number of rows and columns that you want.

Select Insert Table , and then enter a number in the Number of columns and Number of rows lists.

To add text to the table cells, click a cell, and then enter your text. After you enter your text, click outside the table.

To quickly insert a new row at the end of a table, click inside the last cell of the last row, and then press TAB.

To add rows or columns, right-click a cell, click Insert on the mini toolbar, and choose where you’d like to insert the row or column.

To delete rows or columns, right-click a cell, click Delete on the mini toolbar, and choose what you'd like to delete.

Copy and paste a table from Word

In Word, click the table that you want to copy, and then go to Layout > Select > Select Table .

On the Home tab, in the Clipboard group, select Copy .

In your PowerPoint presentation, select the slide that you want to copy the table to, and then on the Home tab, in the Clipboard group, click Paste .

Tip:  You can also copy and paste a table from your PowerPoint presentation onto an Excel worksheet or into a Word document.

To copy a group of cells from an Excel worksheet, click the upper-left cell of the grouping that you want to copy, and then drag to select the rows and columns that you want.

In your PowerPoint presentation, select the slide that you want to copy the group of cells to, and then on the Home tab, in the Clipboard group, click Paste .

Insert an Excel spreadsheet within PowerPoint

When you insert an Excel spreadsheet into your presentation, it becomes an OLE embedded object. If you change the theme (colors, fonts, and effects) of your presentation, the theme does not update the spreadsheet you inserted from Excel. You also won't be able to edit the table by using options in PowerPoint.

Select the slide that you want to insert an Excel spreadsheet into.

Go to Insert > Table , and then choose Excel Spreadsheet .

To add text to a table cell, click the cell, and then enter your text.

After you enter your text, click outside the table.

Tip:  To edit the Excel spreadsheet after you have deselected it, double-click the table.

After you add a table to your presentation, you can use the table tools in PowerPoint to make formatting, style, or other types of changes to the table. To learn how to edit what you added to your PowerPoint presentation, see Change the look of a table .

Add or delete table rows and columns

Insert a table

Select the slide where you want to add a table.

On the Insert tab, click Table .

On the Insert Table menu, do one of the following:

Move the cursor over the grid until you highlight the number of columns and rows you want, and then click to insert your table.

Click Insert Table , and then enter a number in the Number of columns and Number of rows boxes.

To add text to table cells, click a cell, and then enter your text. After you enter your text, click outside the table.

To add columns or rows, Ctrl+click or right-click a cell, point to Insert , and then choose an option.

To delete rows or columns, Ctrl+click or right-click a cell, point to Delete , and then choose an option.

You can add a table to a slide by creating it right in PowerPoint for the web. You can also copy and paste from Word for the web, Outlook on the web, or the Office desktop apps (Word, Excel, PowerPoint).

In the drop-down grid, use the mouse to select the number of rows and columns that you want.

On the Insert tab, select Table.

In Word for the web, click the table that you want to copy, and then go to Layout > Select > Select Table .

In your PowerPoint for the web presentation, select the slide that you want to copy the table to, and then on the Home tab, in the Clipboard group, click Paste .

Tip:  You can also copy and paste a table from your PowerPoint for the web presentation into a Word for the web document.

You can copy a group of cells or an entire worksheet from Excel for the web into PowerPoint for the web.

Tables in PowerPoint are most common in investment banking and finance-related presentations when:

1) You are laying out the assumptions for a valuation, forecast, or other financial analysis, and you want something more interesting than bullets or paragraphs of text.

2) You want to summarize deal or investment terms with a bit of visual flair to avoid the “long boring blobs of text” syndrome.

3) You are creating “timelines” for product launches, deal processes, or other future events, and you want to display calendars or use a mix of shapes and tables to create better visuals.

Here’s a quick example of a table in PowerPoint based on real bank presentations and our own materials:

To understand the value of tables in PowerPoint, think about the image above, but imagine it as a collection of shapes instead:

Let’s say that you edit it and accidentally change the positions of these shapes, which creates many alignment issues:

With a shape-based layout like this, you need to manually fix and tweak everything because there’s no quick, simple way to make all the shapes line up perfectly.

Various PowerPoint macro packages – including our own – can save time and fix some of these problems, but nothing’s perfect.

By contrast, if you had set up this slide as a table, you wouldn’t have had any issues with the edits because tables are automatically aligned properly.

And if the rows and columns in the table are not evenly distributed, you can fix that with a single click in the “Layout” tab after selecting the table:

That said, there are some downsides to tables in PowerPoint.

First, they may contain only text , so there’s no way to “insert” an image or Excel object and make it follow the table everywhere.

Second, copying text to and from tables can be cumbersome because you may have to go cell-by-cell, depending on your source and destination content.

Third, it’s difficult to align tables to other objects in PowerPoint, so it can be tricky to create complex layouts using images and shapes.

Finally, formatting tables can be annoying – unless you’re using macros in PowerPoint – because you cannot copy and paste formatting from an entire table to another entire table .

The “Insert Table” command is within the “Insert” (Alt, N) tab in PowerPoint:

The “Table Design” tab appears once you have selected a table or inserted a new table, and it lets you change various formatting elements of the table:

The “Layout” tab, which also appears once you have selected a table, has the commands for adding and deleting rows and columns, splitting and merging cells, and distributing rows and columns:

Alt, N, T: Insert Table (no Mac Equivalent)

Alt, JT: Table Design Tab (no Mac Equivalent)

Tab: Move to Next Cell / Insert Row at End of Table (also works on Mac)

Shift + Tab: Move to Previous Cell (also works on Mac)

MAC NOTE:   If you’re on the Mac, we recommend using a tool like Accelerator Keys to replicate these Alt-key shortcuts or a program such as Parallels to run the PC/Windows version of PowerPoint.

If you open a new PowerPoint file and insert a table with Alt, N, T, you can select the number of rows and columns:

Once you’ve inserted the table and picked the size you want, you can enter text in the individual cells:

You can then use the “Design” and “Layout” tabs to change anything from the color scheme to the horizontal/vertical alignment, text direction, and margins in individual cells:

You can apply most of these changes to each cell individually or the entire table , depending on what you’ve selected:

In most cases, you do not want to format cells individually because it makes tables look very inconsistent.

One exception to this ability to change individual cell properties is that if you change the “cell size” within the “Layout” menu, every cell in the same row or column also changes.

In other words, it’s impossible to change the height and width of just one individual cell – the only options are:

1) Change the height of an entire row or multiple rows in the table.

2) Change the width of an entire column or multiple columns in the table.

You can see an example of what happens here when we try to change the height of just one cell:

Tables in PowerPoint are collections of shapes that are automatically aligned and distributed into perfect rows and columns.

This is why they work well for “regular” layouts in grid structures but not so well for corporate hierarchy charts, maps, and anything else with irregular spacing.

Navigating Tables in PowerPoint

Typically, the fastest way to navigate cells is to use the mouse and click the cell you want to edit or click and drag to select the row(s) or column(s) you want.

However, the Tab shortcut (for both PC and Mac) will advance you to the next cell, and the Shift + Tab shortcut will take you to the previous cell.

Tab is more useful because if you’re in the last cell of the table and you press it, PowerPoint will add another row to your table:

Practice Exercise for Tables in PowerPoint: The “Management Assumptions” Slide

In the practice exercise in this lesson, you have to insert a table with the correct number of rows and columns and then format it to match the “Management Assumptions” slide in the reference slides .

Do not worry about copying and pasting in the text, as that does not require any special knowledge of PowerPoint.

Step 1 is to insert a table with 9 columns and 8 rows:

Step 2 is to enable drawing guides (Alt, W, S) and then resize the table so it fits the width and height of the slide:

Step 3 is to fix the formatting, such as the fill colors, the font colors, the font sizes, and the borders:

We can access most of these shortcuts from the “Home” menu or the Quick Access Toolbar (QAT) that we recommend installing in the PowerPoint course.

The table looks better after changing the colors and fonts everywhere, but we still need to fix the borders:

To do this, we can start by selecting the entire bottom area of the table, going to Table Design (Alt, JT), and selecting “No Borders”:

Then, we can keep these rows selected, return to “Table Design,” change the border formatting (color and style), and set the borders for just this region to “Inside Horizontal”:

This gets us close to the finished product in the “After” file .

The key points are that you can format individual cells, rows, and columns differently , but you cannot change the heights and widths of individual cells – only rows and columns.

And when you resize an entire table, the heights of all the rows and the widths of all the columns also change.

Tables are flexible yet clean tools for displaying data. So if you need a bit of structure to show numbers, figures, or text in your Microsoft PowerPoint slideshow, consider using a table.

If you already have the data you need, you can certainly embed an Excel sheet in a PowerPoint slide . But if you don't have a spreadsheet of data or simply want to structure new items just for the presentation, you can easily insert and then format your table with an array of features.

There are two simple ways to insert a table into a slide in PowerPoint. So depending on if you're starting with a slide that has a content box or a blank slide, use one of these methods.

Insert a Table Using a Content Box

Within a slide content box, you can add all sorts of media and items with a simple click. Move your cursor over the table icon in the content box and click.

When the tiny Insert Table window opens, select the number of columns and rows you want for your table and click "OK."

If you're using a blank slide, head to the Insert tab and click the "Table" drop-down box. You can either move your cursor to cover the number of columns and rows you want to insert, or click "Insert Table" and use the tiny window shown above.

The nice thing about using the grid in the Table drop-down box is that as you drag across the columns and rows, you'll see a preview of the table on your slide.

Once you insert your table in PowerPoint, you may see some upfront formatting. This can include a shaded table with alternating colors and a header row. You can keep this formatting or choose your own along with many other features.

Select your table, and then click the Table Design tab to start sprucing it up.

Table Style Options

Starting on the left side of the ribbon, you'll see Table Style Options. If you saw the mentioned formatting when you inserted the table, this is where it all began. So you might see the Header Row and Banded Rows options checked.

Along with these two, you can use a Total Row, First Column, Last Column, and Banded Columns. Each option will highlight the corresponding part of the table.

The Banded Rows and Banded Columns refer to alternating colors.

Table Styles

Depending on the theme or color scheme you're using in your slideshow, you may want to choose a matching table style. Use the up and down arrows to see a quick view of the styles.

Or click the lined arrow at the bottom to display all available styles. If you see one you want to use, simply select it, and your table will update immediately.

To the right of the Table Styles, you have options for Shading, Borders, and Effects.

Shading lets you apply a gradient, texture, picture, or table background. This can give your table a unique look or one tailored to your presentation.

Borders give you basic options for top, bottom, left, right, outside, or all borders. These can help you distinguish the data into the cells or call out specific portions of the table.

And if you want to get super detailed with your table or cell borders, incorporate the Draw Borders section all the way to the right in the ribbon. You can select a line style, size, and color and then draw borders exactly where you want them.

Effects let you add a bevel, reflection, or shadow to your table. One of these can give your table that little extra pizzazz that adds to its appearance.

WordArt Styles

Maybe you're taking a subtle approach to the formatting for the table. Or perhaps you've copied the table from somewhere like Word. You can give your content a boost for the presentation with the WordArt Styles section.

Like the shading, border, and effects for the table itself, you can liven up the table content by choosing one of the Quick Styles, fill and line colors, or a special effect.

Whether you want to make a table the star of the show or make the content within it shine bright in your PowerPoint slideshow, you have a great number of flexible features. And remember, you can insert other things to make your presentations pop, like a useful calendar or helpful organizational chart .

How to Format a Table in PowerPoint? [The ULTIMATE Guide!]

While reading, presenting, or working with tables it is always more pleasing to see when everything is in place, is formatted, and follows a set style. This is why it is important to know how to format a table.

To format a table in PowerPoint, first, select the table by clicking on it. Then, under the Table Design tab, go to the Table Styles group, and choose your preferred table format option in this gallery.

While this step seems easy, there are many other methods in which you can further customize your tables in PowerPoint to suit your requirements. Let’s dive further into the article to learn more about Formatting Tables in PowerPoint.

1. Using Table Style in PowerPoint

The table style in Microsoft PowerPoint is an automatically generated gallery of table designs. You can apply the designs to a table in the presentation. However, before you apply the table styles, you first need to add a table in PowerPoint . So, make sure you do that first.

Also, make sure you check out my other article on table styles in PowerPoint to get an in-depth understanding. However, here are the brief steps that you need to follow in order to add table styles to a table.

To use the table style, follow these 2 steps.

Step-1: Click on the “Table Design” tab

The first step is to select the table where you want to apply the table style. Then click on the “Table Design” tab in the menu ribbon located at the top of the screen.

Step-2: Click on the “Table Styles” gallery

In the “Table Design” tab, click on the downward arrow in the “Table Styles” group. This will expand the “Table Styles” gallery. Now click on your preferred table style from the gallery to apply it to the selected table.

2. How to Add Border to a Table in PowerPoint?

In Microsoft PowerPoint, you can add or remove borders of a table using the “Borders” feature. I’ve covered this topic in further detail in another article. Make sure you check out my other article on table borders in PowerPoint and read more about it.

Meanwhile, here are the brief steps that you need to take to add a border to a table.

In the open slide, click on the table to select it first. Then click on the “Table Design” contextual tab to access options for customizing the table.

Step-2: Click on the “Borders” option

The next step is to click on the “Borders” option in the “Table Styles” group of the “Table Design” tab. In the dropdown menu under the “Borders” option, you can select any combination of border options for the selected table (shown above).

3. Change Border Color of Table in PowerPoint

The “Table Design” tab in Microsoft PowerPoint allows you to customize the appearance of the presentation table. You can read my article here to learn more about using the “Table Design” tab to change the border color of the table.

To change the color of the table border, follow these 3 steps.

The first step is to click on the table or selected columns where you want to change the border color. Then click on the “Table Design” tab in the menu ribbon.

Step-2: Click on the “Pen Color” option

In the “Draw Borders” group of the “Table Design” tab, click on the “Pen Color” option. You can now select a border color from the dropdown list under the “Pen Color” option. For more colors, click on the “More Border Colors” option at the bottom of the dropdown menu.

Step-3: Click on the “Borders” option

The final step is to apply the new border color. To do so, click on the “Borders” option in the “Table Styles” group (shown above).

4. How to Format Text in a Table in PowerPoint?

Microsoft PowerPoint allows you to format text within a shape or a table using the “Format Shape” sidebar. To format text in a PowerPoint table, follow these steps.

Step-1: Click on the “Format Shape” option

The first step is to “Right Click” on the table. In the right-click menu, click on the “Format Shape” option at the bottom. This will open the “Format Shape” sidebar on the right side of the screen.

Step-2: Click on the “Text Options” tab

In the “Format Shape ” sidebar, click on the “Text Options” tab located at the top. There are three groups under the tab: “Text Fill & Outline” , “Text Effects” , and “Textbox” . You can use the options available under each group to format the text inside the table.

5. How to Add Color Shading to a Table in PowerPoint?

In Microsoft PowerPoint, you can use the “Shading” option to add background color, gradient, texture, or picture to a table. To add color shading to a table, follow these 3 steps.

The first step is to access the table contextual tab. To do so, click anywhere on the table inside the slide. Then click on the “Table Design” contextual tab from the menu ribbon.

Step-2: Click on the “Shading” option

In the “Table Styles” group of the “Table Design” tab, click on the “Shading” option. You can now select a shading color from the “Theme Colors” or the “Standard Colors” section of the dropdown list under the “Shading” option. You can also click on the “More Fill Colors” option.

Step-3: Click on the “OK” button

In the “Colors” dialog box, click on the “Custom” tab for more color options. Now you can select a custom color. Click on the “OK” button to apply the selected color as table shading (shown above).

5.1 Adding a Color Shading to the Complete Table in PowerPoint

To add color to the complete table in PowerPoint, you have to first select the entire table. Then all you have to do is follow the steps mentioned in the previous section to add your preferred shading color to the selected table in the slide.

5.2 Adding a Color Shading to a Specific Cell of a Table in PowerPoint

To add color shading to a specific cell in a PowerPoint table, you have to first select only that cell in the table. Then follow the 3-step process detailed in this section previously to add color shading to the selected table cell.

5.3 Adding a Banded Color Row or Column in PowerPoint

In PowerPoint, you can also add a banded color row or column to a table.

To do so, you have to first select the table and click on the “Table Design” tab in the menu ribbon. In the “Table Style Options” group of the “Table Design” tab, you can now click on the “Banded Rows” option or the “Banded Columns” option or even both.

6. How to Add a Gradient Color to a Table in PowerPoint?

In Microsoft PowerPoint, you can add solid or gradient color to any object using the “Format Shape” option. To add a gradient color to a table, follow the 3 quick steps.

The first step is to “Right Click” on the table where you want to add the gradient color. In the right-click menu, click on the “Format Shape” option to open the “Format Shape” sidebar.

Step-2: Click on the “Gradient Fill” option

In the “Format Shape” sidebar on the right side of the screen, click on the “Gradient fill” option. This will expand the options to customize the gradient background of the table.

Step-3: Select the gradient color

Click on the “Color” option in the “Format Shape” sidebar to select the gradient color. You can also customize the type, direction, angle, transparency, etc. of the gradient fill.

7. How to Add a Texture Fill to a Table in PowerPoint?

Microsoft PowerPoint offers predesigned textures that you can use as a background for a slide or an object inside a slide. To add a texture fill to a table in PowerPoint, follow the 3 steps below.

The first step is to open the “Format Shape” sidebar. To do so, “Right Click” on the table and click on the “Format Shape” option from the right-click menu.

Step-2: Click on the “Picture or texture fill” option

In the “Format Shape” sidebar on the right side of the screen, click on the “Pattern or texture fill” option. This will expand the options to customize the table background.

Step-3: Click on the “Texture” box

Finally, all you have to do is click on the “Texture” box in the “Format Shape” sidebar. In the pop-up menu over the “Texture” option, you can now click on your preferred texture to apply as a background fill to the selected table.

8. How to Add a Table Background in PowerPoint?

Using the “Shading” option in Microsoft PowerPoint, you can add backgrounds to a selected table. You can add color, gradient, texture, pattern, or picture as a table background. To add the table background, follow the 3 steps mentioned below.

The first step is to select the table where you want to add a background. Then click on the “Table Design” tab in the menu ribbon located at the top of the screen.

Step-2: Click on the “Table Background” option

In the “Table Styles” group of the “Table Design” tab, click on the “Shading” option. Then click on the “Table Background” option in the dropdown menu under the “Shading” option (shown above).

Step-3: Select your preferred color or picture

In the dropdown menu under the “Table Background” option, you can now select a preferred color or add a picture for the table background (shown above).

9. How to Add Reflection to a Table in PowerPoint?

The “Reflection” option in Microsoft PowerPoint allows you to add the visual effect on any object inside a slide. To add reflection to a table, follow the 3 simple steps.

Step-1: Click on the “Effects” option

The first step is to click on the “Table Design” tab in the menu ribbon located at the top of the screen. Then click on the “Effects” option which is the last option in the right column of the “Table Styles” group of the “Table Design” tab.

Step-2: Click on the “Reflection Options”

In the dropdown menu under the “Effects” option, click on the “Reflection” option to open another dropdown menu. Click on your preferred reflection style from the dropdown menu. To customize the reflection, click on “Reflection Options” (shown above).

Clicking on “Reflection Options” will open the “Format Shape” sidebar on the right side of the screen. You can now customize the transparency, size, distance, etc. of the reflection for the selected table.

10. How to Add Shadow to Table in PowerPoint?

In Microsoft PowerPoint, you can add shadows to tables to give them visual emphasis. To add a shadow, follow the 2 steps.

The first step is to click on the “Table Design” tab in the menu ribbon located at the top of the screen. In the “Table Styles” group of the “Table Design” tab, click on the “Effects” option.

Step-2: Click on the “Shadow” option

In the dropdown menu under the “Effects” option, click on the “Shadow” option. This will open another secondary menu where you can select your preferred shadow style for the selected table. You can also click on “Shadow Options” to customize the shadow (shown above).

11. How to Draw a Table in PowerPoint?

The “Draw Table” option in PowerPoint allows you to draw or erase cells within a table inside a slide. To draw a table in PowerPoint, follow these 2 steps.

The first step is to click on a table to access the contextual tabs. Then click on the “Table Design” contextual tab in the menu ribbon .

Step-2: Click on the “Draw Table” option

In the “Draw Borders” group of the “Table Design” tab, click on the “Draw Table” option. Now all you have to do is draw borders inside the table to add extra cells anywhere in the table (shown above).

12. How to Merge Cells of a Table in PowerPoint?

Using the “Merge Cells” option in PowerPoint, you can merge selected table cells into a single cell. All you have to do is follow the 2 quick steps.

Step-1: Click on the “Layout” tab

The first step is to select the cells that you want to merge together into one cell. Then click on the “Layout” tab in the menu ribbon located at the top of the screen.

Step-2: Click on the “Merge Cells” option

Now all you have to do is click on the “Merge Cells” option in the “Merge” group of the “Layout” tab to merge the selected cells (shown above).

13. How to Split a Table in PowerPoint?

In Microsoft PowerPoint, you can split a selected cell into multiple cells in a table. To do so, follow the 3 easy steps.

You have to first select the cell that you want to split. Then click on the “Layout” tab in the menu ribbon located at the top of the screen.

Step-2: Click on the “Split Cells” option

In the “Merge” group of the “Layout” tab, click on the “Split Cells” option. This will prompt the “Split Cells” dialog box.

Step-3: Enter the number of  rows and columns

In the “Split Cells” dialog box, click on the “Number of columns” box to enter the number of columns you want to split the cell into. Similarly, type in the preferred number of rows in the “Number of rows” box. Finally, you have to click on the “OK” button at the bottom of the dialog box to split the selected cell.

14. How to Clear Formatting of Table in PowerPoint?

Microsoft PowerPoint allows you to clear all formatting applied to a table at once to return to the default look. All you have to do is follow the 2 simple steps.

The first step is to select the table for which you want to clear the formatting. Then click on the “Table Design” tab in the menu ribbon.

Bad presentations. We’ve all had to sit through them.  Heck, we’ve probably all given one or two. I know I have.

You know the type: twice as long as they need to be, slides chock-full of text, no visuals in sight. 

How can you ensure you don’t fall victim to these presentation faux-pas when designing your next presentation for your team, class, or clients?

In this blog, I’ll walk you through tips on how to design an impactful presentation along with presentation templates that can help you deliver it with style to leave a lasting impression.

Tips for designing and delivering an impactful presentation

What makes a presentation memorable?

It usually comes down to three things:

  • The main idea.
  • The presenter.
  • The visuals.

All three elements work together to create a successful presentation. Just like how different presentation styles serve different purposes, having a good presentation idea will give the audience a purpose for listening.

Here are some top tips to consider to help you design and deliver an impactful presentation:

  • Include less text and more visuals in your presentation design
  • Identify one core message to center your presentation design around
  • Eliminate any information that doesn’t immediately support the core message
  • Create a strong presentation outline to keep you focused
  • Use text to reinforce, not repeat, what you’re saying

1. Include less text and more visuals in your presentation design

According to David Paradi’s annual presentation survey , the 3 things that annoy audiences most about presentations are:

  • Speakers reading their slides
  • Slides that include full sentences of text
  • Text that is too small to read

The common thread that ties all of these presentation annoyances is text. Audiences are very picky about the text found in presentation slide decks .

In my experiences speaking at conferences and in webinars over the past few years, audiences respond much more positively to presentations that use visuals in place of text.

Audiences are more engaged, ask more questions, and find my talks more memorable when I include lots of visual examples in my slide decks. 

I’m not the only one who has found this. We recently surveyed nearly 400 conference speakers about their presentation designs and found that 84.3% create presentations that are highly visual.

A great example of a high visual presentation is the iconic AirBnB pitch deck design , which includes no more than 40 words per slide. Instead of repeating the speaker’s script on the slides, it makes an impact with keywords, large numbers, and icons:

2. Identify one core message to center your presentation design around

We know from David Paradi’s survey that audiences are easily overwhelmed with lots of text and data, especially when presentations are long.

So unlike in a white paper , report , or essay , you can’t expect to tackle many complex ideas within a single presentation.

That would be a recipe for disaster.

Instead, identify a single central message that you would like to communicate to your audience. Then build your presentation around that core message.

By identifying that core message, you can ensure that everything you include in your presentation supports the goal of the presentation .

As seen below, a great presentation tells you exactly what you’re going to learn (the core message), then gets right to the facts (the supporting information).

To ensure you create an asset that’s clear, concise, impactful, and easy to follow, design your presentation around a single core message.

3. Create a strong presentation outline to keep you focused

Think of your outline as a roadmap for your presentation. Creating a strong presentation outline straight away helps make sure that you’re hitting all of the key points you need to cover to convey a persuasive presentation .

Take this presentation outline example:

  • Introduction and hellos
  • Vision and value proposition
  • Financial profit
  • Your investment
  • Thanks and questions

These are all things that we know we need to talk about within the presentation.

Creating a presentation outline makes it much easier to know what to say when it comes to creating the actual presentation slides.

You could even include your presentation outline as a separate slide so that your audience knows what to expect:

The opening moments of your presentation hold immense power – check out these 15 ways to start a presentation to set the stage and captivate your audience.

4. Eliminate any information that doesn’t support the core message

Next, use that core message to identify everything that doesn’t belong in the presentation.

Aim to eliminate everything that isn’t immediately relevant to the topic at hand, and anything remotely redundant. Cut any information that isn’t absolutely essential to understanding the core message.

By cutting these extra details, you can transform forgettable text-heavy slides:

Here’s a quick checklist to help you cut out any extra detail:

Get rid of:

  • Detailed descriptions
  • Background information
  • Redundant statements
  • Explanations of common knowledge
  • Persuasive facts and figures
  • Illustrative examples

This step may seem obvious, but when you’re presenting on a topic that you’re passionate about, it’s easy to get carried away with extraneous detail. Use the recommendations above to keep your text in check.

Clarity is key, especially if you’re presenting virtually rather than in-person. However, Lisa Schneider (Chief Growth Officer at Merriam-Webster) has had plenty of experience making that adjustment. 5. Use text to reinforce, not repeat, what you’re saying

According to presentation guru  Nancy Duarte , your audience should be able to discern the meaning of your slides in 6 seconds or less.

Since your audience will tend to read every word you place on each slide, you must keep your text to an absolute minimum. The text on your slides should provide support for what you’re saying without being distracting.

Never write out, word for word, what you’re going to be saying out loud. If you’re relying on text to remember certain points, resist the urge to cram them into your slides. Instead, use a tool like Venngage’s speaker notes to highlight particular talking points. These can be imported into PowerPoint — along with the rest of your presentation — and will only be viewable to you, not your audience.

For the actual slides, text should only be used to reinforce what you’re saying. Like in the presentation design below, paraphrase long paragraphs into short bulleted lists or statements by eliminating adjectives and articles (like “the” and “a”).

Pull out quotes and important numbers, and make them a focus of each slide.

6. Design your presentation with one major takeaway per slide

As I mentioned above, audiences struggle when too much information is presented on a single slide.

To make sure you don’t overwhelm your audiences with too much information, spread out your content to cover one major takeaway per slide.

By limiting each slide to a single simple statement, you focus your audience’s attention on the topic at hand.

My favorite way to do this is to pick out the core message of whatever I’m talking about and express it in a few keywords, as seen in this presentation slide below.

This helps ensure that the visuals remain the focus of the slide.

Using the text in this way, to simply state a single fact per slide, is a sure-fire way to make an impact in your presentation.

Alternatively, pull out a significant statistic that you want to stick in your audience’s minds and make it a visual focus of the slide, as seen in this popular presentation by Officevibe .

This might mean you end up with a slide deck with a ton of slides. But that’s totally ok!

I’ve talked to many professionals who are pressured by their management teams to create presentations with a specific number of slides (usually as few as 10 or 15 slides for a 30-minute presentation).

If you ask me, this approach is completely flawed. In my mind, the longer I spend sitting on a single slide, the more likely I am to lose the interest of my audience.

How many slides should I use for a 10 minute presentation?

A good rule of thumb is to have at least as many slides as minutes in your presentation. So for a 10 minute presentation you should have at least 10 slides .

Use as many slides as you need, as long as you are presenting a single message on each slide, (as seen in the lengthy presentation template below). This is especially important if you’re presenting your business, or delivering a product presentation. You want to wow your audience, not bore them.

7. Use visuals to highlight the key message on each slide

As important as having one major takeaway per slide is having visuals that highlight the major takeaway on each slide.

Unique visuals will help make your message memorable.

Visuals are a great way to eliminate extra text, too.

You can add visuals by creating a timeline infographic to group and integrate information into visual frameworks like this:

Or create a flowchart  and funnels:

Or by representing simple concepts with icons, as seen in the modern presentation design below. Using the same color for every icon helps create a polished look.

Using visuals in this way is perfect for when you have to convey messages quickly to audiences that you aren’t familiar with – such as at conferences. This would also make the ideal interview presentation template.

You can alternatively use icons in different colors, like in the presentation templates below. Just make sure the colors are complimentary, and style is consistent throughout the presentation (i.e. don’t use sleek, modern icons on one slide and whimsically illustrated icons on another). In this example, presentation clipart style icons have been used.

Any time you have important stats or trends you want your audience to remember, consider using a chart or data visualization to drive your point home. Confident public speaking combined with strong visualizations can really make an impact, encouraging your audience to act upon your message.

One of my personal favorite presentations (created by a professional designer) takes this “key message plus a visual” concept to the extreme, resulting in a slide deck that’s downright irresistible.

When applying this concept, don’t fall into the trap of using bad stock photos . Irrelevant or poorly chosen visuals can hurt you as much as they help you.

Below is an example of how to use stock photos effectively. They are more thematic than literal and are customized with fun, bright icons that set a playful tone.

The content and visual design of a presentation should be seamless.

It should never seem like your text and visuals are plopped onto a template. The format and design of the slides should contribute to and support the audience’s understanding of the content.

8. Use scaffolding slides to orient your audience and keep them engaged

It’s easy for audiences to get lost during long presentations, especially if you have lots of slides. And audiences zone out when they get lost.

To help reorient your audience every once in a while, you can use something I like to call scaffolding slides. Scaffolding slides appear throughout a presentation to denote the start and end of major sections.

The core scaffolding slide is the agenda slide, which should appear right after the introduction or title slide. It outlines the major sections of the presentation.

At the beginning of each section, you should show that agenda again but highlight the relevant section title, as seen below.

This gives audiences the sense that you’re making progress through the presentation and helps keep them anchored and engaged.

Alternatively, you can achieve a similar effect by numbering your sections and showing that number on every slide. Or use a progress bar at the bottom of each slide to indicate how far along you are in your presentation. Just make sure it doesn’t distract from the main content of the slides.

You can imagine using this “progress bar” idea for a research presentation, or any presentation where you have a lot of information to get through.

Leila Janah, founder of Sama Group, is great at this. Her  Innovation and Inspire  talk about Sama Group is an example of a presentation that is well organized and very easy to follow.

Her presentation follows a logical, steady stream of ideas. She seems comfortable talking in front of a crowd but doesn’t make any attempts to engage directly with them.

9. Use text size, weight and color for emphasis

Every slide should have a visual focal point. Something that immediately draws the eye at first glance.

That focal point should be whatever is most important on that slide, be it an important number, a keyword, or simply the slide title.

We can create visual focal points by varying the size, weight, and color of each element on the slide. Larger, brighter, bolder elements will command our audience’s attention, while smaller, lighter elements will tend to fade into the background.

As seen in the presentation template above, this technique can be especially useful for drawing attention to important words within a long passage of text. Consider using this technique whenever you have more than 5 words on a slide.

And if you really want your audience to pay attention, pick a high-contrast color scheme like the one below.

When picking fonts for your presentation, keep this technique in mind. Pick a font that has a noticeable difference between the “bold” font face and the “regular” font face. Source Sans Pro, Times New Roman, Montserrat, Arvo, Roboto, and Open Sans are all good options.

The last thing to remember when using size, weight, and color to create emphasis on a slide: don’t try to emphasize too many things on one slide.

If everything is highlighted, nothing is highlighted.

10. Apply design choices consistently to avoid distraction

Audiences are quick to pick out, and focus on, any inconsistencies in your presentation design. As a result, messy, inconsistent slide decks lead to distracted, disengaged audiences.

Design choices (fonts and colors, especially), must be applied consistently across a slide deck. The last thing you want is for your audience to pay attention to your design choices before your content.

To keep your design in check, it can be helpful to create a color palette and type hierarchy before you start creating your deck, and outline it in a basic style guide like this one:

I know it can sometimes be tempting to fiddle around with text sizes to fit longer bits of text on a slide, but don’t do it! If the text is too long to fit on a slide, it should be split up onto multiple slides anyway.

And remember, a consistent design isn’t necessarily a boring one. This social media marketing presentation applies a bright color scheme to a variety of 3-column and 2-column layouts, remaining consistent but still using creative presentation ideas.

11. Split a group presentation by topic

When giving a group presentation it’s always difficult to find the right balance of who should present which part.

Splitting a group presentation by topic is the most natural way to give everybody the chance to attempt without it seeming disjointed.

When presenting this slide deck to investors or potential clients, the team can easily take one topic each. One person can discuss the business model slide, and somebody else can talk about the marketing strategy.

Top tips for group presentations:

  • Split your group presentation by topic
  • Introduce the next speaker at the end of your slide
  • Become an ‘expert’ in the slide that you are presenting
  • Rehearse your presentation in advance so that everybody knows their cue to start speaking

12. Use a variety of page layouts to maintain your audience’s interest

Page after page of the same layout can become repetitive and boring. Mix up the layout of your slides to keep your audience interested.

In this example, the designer has used a variety of combinations of images, text, and icons to create an interesting and varied style.

There are hundreds of different combinations of presentation layers and presentation styles that you can use to help create an engaging presentation . This style is great for when you need to present a variety of information and statistics, like if you were presenting to financial investors, or you were giving a research presentation.

Using a variety of layouts to keep an audience engaged is something that Elon Musk is an expert in. An engaged audience is a hyped audience. Check out this Elon Musk presentation revealing a new model Tesla for a masterclass on how to vary your slides in an interesting way:

13. Use presentation templates to help you get started

While you might be tempted to fill your slides with decorative visuals and splashes of color, consider that sometimes simplicity is more effective than complexity. The simpler your slide is, the more you can focus on one thought-provoking idea.

16. Find quotes that will inspire your audience

A really good quote can stick in a person’s mind for weeks after your presentation. Ending your presentation with a quote can be a nice way to either begin or finish your presentation.

17. Emphasize key points with text and images

When you pair concise text with an image, you’re presenting the information to your audience in two simultaneous ways. This can make the information easier to remember, and more memorable.

Use your images and text on slides to reinforce what you’re saying out loud.

Doing this achieves two things:

  • When the audience hears a point and simultaneously read it on the screen, it’s easier to retain.
  • Audience members can photograph/ screencap the slide and share it with their networks.

18. Label your slides to prompt your memory

Often, presenters will write out an entire script for their presentation and read it off a teleprompter. The problem is, that can often make your presentation seem  too  rehearsed and wooden.

But even if you don’t write a complete script, you can still put key phrases on your slides to prompt jog your memory. The one thing you have to be wary of is looking back at your slides too much.
