How to Give a Great Online Presentation: 11 Pro Tips

Giving a presentation online is much more difficult than presenting in front of a live audience.

People get distracted easily. You can’t read the room. Often, you can’t even see your audience.

Because of this, it’s hard to engage and captivate your participants.

Hard, indeed. But not impossible.

I put together these 11 tips that will help you turn your online presentation from good to great.

And don’t just take my word for it.

Among these tips, you’ll also find the wisdom of  Nathan Gold , high-stakes presentation coach, and seasoned keynote speaker, and Gibson Biddle , former VP of Product at Netflix, now a teacher, speaker, and workshop host.

Ready to take your online presentation to the next level?

#1. Cut the number of your slides and simplify them

Don’t overwhelm your online audience with too many slides or they may easily zone out. In case you have more material, consider splitting the presentation into two sessions.

Also, make your slides minimalistic. One idea, one quote, or one number per slide is ideal. This will make the information more digestible and draw attention to what you’re saying instead of forcing people to read.

#2. Use the rule of three

A good structure helps people follow your story and understand your presented content better. Gibson Biddle recommends following the rule of three because:

  • 3 items are easy to remember
  • They help you minimize your text
  • 3 chapters provide guideposts for the content of your presentation

The rule of three will help you hold the message of your talk together nicely.

Apply it in the design of your slides (3 bullet points a slide), or use it to structure your whole presentation (three main takeaways).

#3. Fail to rehearse at your own peril

Improvisation has a certain appeal, for sure. But don’t leave your online presentation to a chance. Take your time and rehearse your talk well. Otherwise, your online gig might come across as unprofessional and messy.

I usually give as much as one hour of rehearsal time for every minute of my talk before any large presentation that I give.

Nathan Gold goes even beyond that. In this webinar, he says that whenever he trains TED and TEDx speakers, he asks them to commit to around two hours of out-loud practice for every minute of their talk.

Of course, the length and intensity of your preparation is entirely up to you. What’s important is that you’re confident about how you’re prepared. At least, though, run through your slides and content about an hour before your talk and rehearse your opening well so that you start strong.

#4. Start with a strong hook

Speaking of starting strong. Captivate your audience right from the start of your presentation. Open your talk with a powerful statement, story, thought-provoking question, or an eye-opening number.

Another great practice is to actively involve your audience in your talk right from the beginning. Let the tech aid you there.

In his webinar on how to captivate an online audience, Nathan Gold kicked things off with an interactive word cloud : Using one word, describe how you feel about presenting online.

This way, he learned something more about his audience and was able to address their concerns throughout his presentation.

To make it more impactful, he repeated the same word cloud at the end of his webinar to see how his participants’ feelings changed after his presentation. The result was remarkable. Watch it here at 31:30 .

#5. Quiz your audience

A quiz is another brilliant way to start (or finish) your online presentation. Running a quiz is fun for your participants and allows you to connect and “talk” with your audience even if you can’t see them.

Prepare a short, four to six-question quiz on the topic of your presentation and let your participants guess away. You can even motivate your audience to participate by giving away some small treats for the winners.

Tools such as Slido allow you to create your online quiz in a couple of minutes and run it during your online speech, webinar, or workshop.

#6. Use a backdrop or a virtual background

Even if the situation forces you to give your presentation from your home, avoid letting your audience peek into your kitchen or living room. You will appear much more professional against a plain wall or a special backdrop that you can install easily in your room.

If your video conferencing tool allows you to set up a virtual background (such as Zoom ), choose one that’s pleasing but not disturbing for your audience to look at.

#7. Position your web camera at eye-level

Even if you can’t always see your audience, that doesn’t mean you can’t be looking them in the eyes.

Nathan Gold advises moving your laptop/phone camera up so it’s approximately your eye level. This way, it will appear as if you’re looking right at your audience which feels much more natural.

You can also play around with tripods and stands to achieve the most comfortable position for you. For example, Nathan has his web camera mounted on a tripod in front of his computer screen which allows him to look at his slides while still being glued to the camera.

#8. Prepare secret notes

Here’s another great hack from Nathan Gold that will help you keep an eye-contact with your online audience.

If you want to keep notes to remind you about some important things you want to mention during your presentation, write them down on sticky notes and stick them behind your camera, close enough for you to read through them comfortably.

This way, your audience won’t even notice that you’re glancing at your notes (as opposed to looking down when reading from your notebook).

#9. Keep engaging with your participants

Throughout your presentation, space out several interaction points that will bring your attendees back in case they tuned out. Take inspiration from Gibson Biddle who likes to break the dynamic of his webinars and workshops by asking his audience questions through live polls .

Live polls offer you a great chance to open a conversation with your audience, get their instant feedback on your presented material, and collect their opinions.

Since people tend to lose attention when attending a presentation online, re-engaging them throughout your talk is even more important. When I present online, I space out live polls every about 5-7 minutes, as opposed to every 7-10 minutes in the live setting.

Another great way to interact with your audience is to let them ask you questions. Collect your participants’ questions using Slido Q&A and then answer their questions at the end of your online presentation.

#10. Have a wrap-up slide to summarize your points

By the end of your presentation, conclude your talk by summing up all the important messages and key lessons on a separate slide. You’ll draw the full circle and your audience will get a nice overview of what they learned.

Or, end your presentation with a call to action or a tangible next step for your audience to do. Encourage your participants to try practices that you shared, provide actionable steps they should follow, and share ways for them to keep in touch with you.

#11. Ask for feedback

Feedback is the best gift your attendees can give you in return for the learnings that you shared throughout your talk. Without it, you don’t know what your audience liked or disliked. In other words, you can’t improve.

Create a simple feedback survey and ask your participants to fill it out at the end of your talk.

Make it easy for your audience to participate in the survey. For example, during his webinar, Gibson had a QR code displayed on the screen and described in detail how the participants should scan the code and take the survey.

The feedback form can be really simple – three questions will do.

Try something like:

  • On a scale of 1-10, how did you like this presentation? (Rating)
  • What is the one thing that you liked about today’s talk? (Open text)
  • What’s the one thing that could have been better? (Open text)

How to Make Your Online Presentation More Engaging

Keeping your audience’s attention over a long period of time is undoubtedly one of the most challenging aspects of an online presentation. Not only does the audience have a shorter attention span but since they are participating online from the comfort of their own home, they are often subjected to additional distractions.   

What does it take to give a remarkable online presentation? In this post, we will discuss tools and tips you can rely on to engage and retain your audience’s attention and give you some useful templates to start creating an effective online presentation right away. 

Online Presentation Tips 

These tips are to help you ensure that your audience stays engaged till the end of your online presentation. 

Select the right tool

With the rise of collaborative software over the last decade, the choice of tools you have for creating and delivering an online presentation are many. You can switch between them or use a combination of them based on the purpose of your presentation. 

Here are a few options you can explore;

  • MS PowerPoint : the go-to presentation software for any professional is PowerPoint. Everyone’s familiar with it, you can use pre-made templates if you are in a hurry, and all you have to do is share your screen with the rest of the participants. However in terms of interactivity, it has limitations, plus you have to rely on a third-party video conferencing app like Zoom, MS Teams, Google Meet, or Slack to see your audience while presenting. 
  • Prezi : This tool gives you the option to create moving and zooming presentations where you can also appear alongside your content on the screen. Instead of separate slides, Prezi lets you use one large canvas that allows you to pan and zoom to different parts of the presentation, which makes it more engaging to the viewers.  
  • Creately : This is an online canvas with in-app video conferencing and real-time collaboration , meaning all participants have access to the document containing the presentation. While you can pan and zoom to different slides or sections of your presentation on the canvas, you can also get the participants to join in adding comments, answers, or collaborate with you, etc. in real-time.

Simplify your presentation slides 

Placing too much information on a single slide can overwhelm and confuse your audience. Instead you need to make sure that your content is well-structured, minimalistic, and compelling at the same time. 

The easiest way to avoid complicating things is to stick to a single point or topic throughout the entire presentation, and making sure that the rest of the arguments, questions, metaphors, facts, and stats you will present will reinforce that point. 

In addition, you can also consider taking the following steps,

  • Got too much important information to share? If the information you have is essential but too long, you can consider delivering them during separate sessions. Keeping your online presentation time short will help retain the attention of your audience.
  • Minimize the content on a slide by keeping only 1-3 ideas, facts, or statistics on them. This will help the audience to comprehend your point easily. Also having new slides appearing frequently can keep the minds of your audience from wandering off.

Use visuals to simplify the facts

Not only can people process visuals faster, but visuals are also very effective in helping them remember things better. You can portray a group of statistics with a histogram or a pie chart , or explain a process with a flowchart more easily than you can do with words. 

When using visuals in your online presentation,

  • Use them here and there throughout the presentation to keep your audience engaged 
  • Keep your illustrations and visuals simple and clean so it’s clear even when viewed on a smaller screen
  • Incorporate videos to reinforce your argument. Videos are also a great way to start up a discussion and stimulate the interest of your audience

Presentation Templates

Interact with the audience  

Actively engaging with the audience is the easiest way to make sure that their attention doesn’t waver. 

You can do this effectively by, 

  • Use the first few minutes of your presentation to build rapport. A great way to do this is by asking some ice breaker questions or engaging in casual talk with the audience before the presentation starts.
  • Start your presentation with a strong hook, which can be an intriguing question, a bold statement, a shocking statistic, or even a story. 
  • Regularly ask questions (at least every 10 minutes) from the audience or encourage them to pose their own.  
  • Ask questions through live polls which allow you to get their instant feedback.  
  • Incorporate an online whiteboard to explain your idea or concept by sketching or diagramming them out. The benefit of using an online whiteboard here is that you can also invite the participants to collaborate with you on the canvas in real-time.

Clarify the ground rules 

How everyone conducts themselves during the length of a presentation has a significant impact on its effectiveness, especially when it is done online. In order to make sure that the participants know what to expect and how to interact and conduct themselves, set clear ground rules at the very beginning.

  • Keep everyone, except for the one who is presenting, muted to tune out all the distracting noises that otherwise would make it difficult to carry out the presentation. 
  • If anyone has a question or wants to share an opinion, encourage that person to make a hand gesture before they unmute their mic and make a comment.   
  • Encourage everyone to have their cameras turned on. This is important for making a connection with the audience, picking up on visual cues, and avoiding missing out on what someone is trying to say during the presentation, especially since everyone is joining remotely. 

Be prepared 

Fumbling around with your tech or slides at the start or during the presentation is simply unacceptable and unprofessional. A few things you need to check on are;

The bridge has been a critical transportation passageway along the East Coast for decades. Video captured the collapse , after Singapore-flagged container ship, the Dali, collided with one of the bridge's pillars.

The bridge crosses over the Patapsco River on I-695 and is the final link on the Baltimore Beltway, according to the Maryland Transportation Authority .

It is the outermost of the three tollways that cross Baltimore's Harbor.

The Long Case for Machine Shorthand

Court reporters and online communities are keeping stenography in style.

Vanessa Stanton’s “aha!” moment while learning stenography happened when she stopped questioning why typing an H and an R together made an L.

“It all just kind of clicked,” Ms. Stanton, a live captioner based in Vancouver, Wash., said. “And I learned it and I was like, ‘Oh my gosh, whoever developed this is a genius.’”

Ms. Stanton has worked in stenography for 17 years and now entertains fans on social media by taking requests for word translations and live-captioning pop songs at 225 words per minute. In one of her TikTok videos, she reads back a transcript of her own typing to show viewers how to decipher the strings of stenography letters. The user @slickflair commented, “and that’s on FPLT!!!!” On a steno keyboard, “FPLT” translates to “period.”

Stenography’s cultural footprint outside the courtroom may be difficult to quantify, but its linguistic merits are hard to ignore: Stenographers can type at the dizzying rate of human speech, which hovers between 150 and 300 words per minute. They do this by capturing words phonetically instead of by their characters or meanings. If texting slang can be said to convey the essence of language at the expense of accuracy, steno does the opposite: It documents language exactly as it is spoken, giving it the accuracy of a photograph and the stoicism of scripture. Armed with this knowledge, Ms. Stanton and her contemporaries in the field are hoping to make a compelling case for steno as a form of shorthand that can exist beyond the courtroom — provided that the rest of us can wrap our minds around it.

A stenotype, the machine that replaces written shorthand, has no letters on its keyboard; none that are visible, anyway. The machine’s inventor, Ward Stone Ireland, made an analysis of which English phonemes — units of sound within words, like the long “A” sound — were more likely to appear at the beginnings, middles or ends of words, and mapped his machine’s keys according to it. Steno theory, typing speed and “briefs” — abbreviations for specific words — are learned by rote, such that the keys’ letter mappings become far less important than the hand positions made while striking them, sometimes several keys at a time. Typing on a stenotype is thus often referred to as “chording,” because the act of pressing multiple keys simultaneously to create words mimics that of playing a chord on a musical instrument. The New World Encyclopedia compares the stenotype to a compact piano.

It makes sense to describe steno in analogies like this one, if only because it resists being made plain by explanation. For example: While some letters can be typed with a single stroke and correspond directly from input to output — S, for example, is typed using the letter S — others must be chorded using an entire set of letters, wholly unrelated to the one that appears on the page. N is typed by chording the letters TPH — but only when it begins a word. If it ends the word, N is typed by chording P and B.

Denée Vadell, a court reporter at New York County Supreme Court, spent a minute or so telling me how to write “state your name,” a commonly used phrase.

“So it would be S-T-U-R-P-B,” Ms. Vadell said, after explaining that each key could also represent entire words. “And that will come up as ‘state your name’ in English.”

Steno briefs aren’t just baffling to the eye; they also seem, on a conceptual level, impractical. But Gabe Henry, the author of the forthcoming Harper Collins book “Enough Is Enuf: A (Brief) History of the Simplified Spelling Movement,” said that abbreviations of every kind in the English language tended to be met with ridicule at the outset. Mr. Henry gave the example of Noah Webster — the “biggest linguistic authority to this day, in English at least,” he said — who was laughed out of rooms when he and his reformist contemporaries suggested spelling “though” T-H-O.

“It looks like the way a teenager texts,” Mr. Henry said. “There’s just an inherently mockable thing about it.”

Then again, if machine shorthand — that is, the output of a stenotype — feels hard to take seriously, it may simply be because of how difficult it is to define. Is steno just an abbreviated form of English? Its use of the Roman alphabet seems to suggest so. Or is it a language of its own, since it can’t be understood without translation? Mirabai Knight, a real-time captioner and the creator of an open-source steno software called Plover, suggested that, since there was no universal standard for briefs, it might be helpful to think of steno not as a language but as a “phonetic mnemonic encoding system.”

“Part of it is really just understanding the mental pathways of each stenographer’s mind and what is memorable,” Ms. Knight said, “and how to encode things in a memorable way, so that they can be recalled whenever they’re needed.”

Ms. Knight’s individual mental pathway was what led her to select the name for her company. “Plover” represents a second possible translation of the brief for the legalese word “moreover,” and she created the software with the express purpose of bypassing the “very narrow and very limited” legacy of steno as a court reporting instrument. For Ms. Knight — and, she suggested, for most users outside the courtroom — the notion that a human should be the ultimate “guardian of the record” between steno input and English output was all too passé.

“I don’t have any interest in that,” Ms. Knight said. “And I find that it keeps steno in its historical context and ignores all of the modern information, like all the modern usefulness of what steno could be used for when used as a human-computer interface.”

Mr. Henry, for his part, is eager to see steno hobbyists’ approach to language adopted by others in positions of linguistic authority. “There should be fewer grammar police and more grammar philosophers,” Mr. Henry said. “Like, people who can take a step back from the language, look at it and say, ‘Hey, I think there are better ways we could do this.’”

With the advent of artificial intelligence language models and a court reporter shortage that has been felt by those in the field, one wonders whether steno will go the way of the dodo. In her decade as a court reporter, Ms. Vadell has heard the death knell for steno again and again. “Me coming into this field, that was the chatter: ‘Oh yeah, you’ll be replaced in two years.’ ‘Why would you even do this?’” she said, imitating her critics. “But here I am almost ten years later.” She said veteran court reporters had told her that they heard the same thing 30 years ago, too: “That’s just the thing to say.”

Ms. Vadell is keeping up with the times: She now refers to herself as a “stenofluencer” and has accounts under that name on Instagram and TikTok, where she posts highly specific jokes about her life as a court reporter. She’s also been petitioning Mattel to create a steno Barbie . “Just having a stenographer Barbie, that would reach the youth,” Ms. Vadell said. “Like, that’s, you know, that’s the generation right there.”

Ms. Stanton hopes, more than anything else, to help steno slough off its outdated associations. “Court reporting is no longer this boring job in a courtroom,” Ms. Stanton said, adding, “You can have fun. You can do really cool things with it.”

The most compelling case for steno may not be in its professional applications whatsoever. On Plover’s Discord server, which has over 7,000 active members, stenographers of every skill level commiserate over the common challenges of shorthand and share new ways to abbreviate words. While only a handful may go on to pursue careers that require stenography, hobbyists can seek out a sense of community that functions almost like a fandom , exchanging notes about how they’re spinning up shorthand to suit their needs.

Ms. Knight herself has written two novels using her steno keyboard. She said they were “really easy and fun” — in contrast to one she’d written on her qwerty keys — “and they just sort of flowed out of me.”
