The job search process can be stressful, whether you’re entering the workforce for the first time, pivoting careers, or simply looking for a change. Hiring is competitive, and your application needs to clearly demonstrate why you’re an ideal candidate and distinguish you from other applicants.

To provide a holistic view of what you bring to the table and improve your chances of hearing back from a hiring manager, you should submit a cover letter. Read this guide to learn the best tips and tricks for creating an effective cover letter.

A cover letter is a writing sample that accompanies your application. It serves as an introduction, allowing you to explain why you’re a good fit for the position, demonstrate your knowledge and experience, and share more personal details outside of your resume.

Even if a cover letter is optional, you can significantly increase the probability of scoring an interview by providing one. According to a recent survey of 200 hiring decision-makers, 83% of respondents said that a well-written cover letter would persuade them to schedule an interview — even if the applicant didn’t have a strong resume.

How long should a cover letter be?

The average cover letter length is three to four paragraphs. In general, it should be no more than one page.

Your goal should be to create a concise letter that captures the most important details about your previous experience and skills, your interest in the job, and how you can contribute to the company or organization.

Since a cover letter is a quick read, you’ll need to make each sentence count. Be creative about demonstrating your unique personality and qualifications by sharing short stories and relevant details about your work experience and approach.

First impressions are foundational to influencing your prospective employer’s expectations and perceptions of you. A cover letter is your chance to shape their idea of you and show off your accomplishments and distinct voice.

What is the format of a cover letter?

Sharing your letter in a compact, secure format — like a PDF — will help create a professional look and feel, ensuring your document functions and appears the same across devices. While you can be creative about the content of your cover letter, you should follow a standard structure of one page with three to four paragraphs.

Since hiring managers skim many applications and are often short on time, this framework is the most effective way to quickly summarize your relevant experience, express your enthusiasm, and persuade the reader to consider you for the position.

You should include specific contact information for yourself and the company and clearly express a few main ideas in each paragraph.

Before you begin writing the actual letter, choose a compelling design that matches your personality and the tone you’d like to set. Many free templates are available online, so get creative about which cover letter approach will let your individual experience and character shine.

Now that you’ve chosen your canvas, you’re ready to start crafting a standout letter. Ahead of delving into the actual body copy, you’ll need to research the company and gather relevant contact information for the header. Depending on the template you select, your header can include the following:

  • Your full name
  • Your contact information (optional if included in other areas of your application)
  • Name of the hiring manager or contact
  • Title of the hiring manager or contact
  • Name of the company or organization
  • Full address of the company or organization (optional if space is limited)

After creating the header, write a salutation addressing the letter recipient. Be as specific as possible, greeting the person reviewing your application by name if you can. This information is not always readily available in a job posting, so you may need to peruse the company’s website or explore social media pages and profiles.

If you can’t determine who will read your letter, you can reference the company or department name or simply use “Hiring Manager.” You might also include honorific titles, like Dr. or Prof., before someone’s name if relevant.

Here are a few greeting ideas to get you started:

  • Dear [Full Name],
  • Dear [Department] Team,
  • Dear [Dr., Prof., Mr., Ms., or Mrs. Full Name],
  • Dear Hiring Manager,

Including a specific name or more personalized greeting will show that you took the time to learn more about the company, naturally helping the reader feel more inclined to review your letter. Avoid using a general greeting such as “To whom it may concern.”

Opening paragraph.

In the opening paragraph, you should introduce yourself, express your interest in the position, and hook the hiring manager’s interest. These first few sentences set the stage for their impression of you and influence their decision to continue reading.

To create a strong opening, stay away from generic statements and prioritize highlighting concrete details and relevant experience. Remember to name the specific position for which you’re applying and outline how you will provide value to the company.

First body paragraph.

The next paragraph should describe your previous experience, accomplishments, and skills. This is your chance to fill in details that didn’t fit on your resume or application and spell out how your career history or goals connect to the position. Be sure to add numbers or measurable impact to strengthen your case.

Steer clear of simply recapping your resume. Your cover letter should supplement your resume, encouraging the hiring manager to refer to it for more information.

Now is not the time to be shy — but don’t go over the top, either. Focus on using a confident tone and displaying your competence without exaggerating or using overly bold claims.

Second body paragraph.

The following section of your cover letter should tie your career history and specialties to the company’s needs and position. A good practice is to include keywords from the job description. You can also study the organization’s website and posts to get a sense of their culture and writing style in order to match their tone.

Like a sales pitch, you want to show how you can solve the company’s “pain points” or contribute to their goals through your strengths and previous job experience. Even if you’re new to the workforce or pivoting careers, companies value candidates who demonstrate other traits that aren’t necessarily taught — like passion, reliability, and initiative.

Closing paragraph.

In your conclusion paragraph , you should reiterate why the hiring manager should consider you for the position and how you would bring value to their organization if chosen. Assert why you’re an ideal candidate and leave them with a positive impression.

It’s also a good idea to thank the hiring manager for their time. Inform them of the best way to reach you and indicate that you look forward to discussing your application and learning more about the opportunity.

Finally, select a professional closing to wrap up your cover letter. These are a few tried and tested options:

Write your full name after the closing, including a signature below if desired.

Are cover letters necessary? I'm not in HR, but I've been approached by applicants who wondered whether their cover letter would actually be read.

My answer isn't very popular: "Sometimes." Sometimes it will be read. Other times, you can get away with just sending in your resume — like when you network your way into applying for a position.

The truth is, you can't really predict on a case-by-case basis — and you're better safe than sorry. For the most part, having a cover letter will give you an upper hand in ways your resume doesn't.

It allows you to show off your writing skills, provide details that you couldn't fit on your resume, demonstrate your passion, and show your willingness to put in as much time and effort as possible.

General Cover Letter

An general cover letter, sometimes called an application letter, is a written document addressed to an employer by a job applicant, explaining why they're interested in and qualified for an open position. More commonly known as a cover letter, this document can come in the form of an email, MS Word document, or similar application template offered by the employer.

Seems fairly basic, right? Cover letters can hold different levels of importance to an employer depending on your industry and the job you're applying for.

49% of recruiters say sending a cover letter along with your resume boosts your chance of landing the role.

If you do plan to write a cover letter, keep in mind there are certain qualities it should have that are not included in the definition above.

How to Write a General Cover Letter

Job searching can be tedious and timely, so you may find yourself applying for dozens of jobs in the process.

To make this process simpler, I find that having a general cover letter that you can easily tweak to fit different job openings is a game changer. 

Here's how to write a general cover letter so that you don't to keep writing a new one from scratch with every application. 

1. Write Your Heading 

Your heading should always include your name and contact information. For years, it was also common to include your physical address and that of the recipient, but nowadays, it may not always be necessary. 

"I used to always include my physical address and that of my employer, but I stopped after realizing it takes up so much room and just feels archaic," says HubSpot blogger Erica Santiago.

She says, "I've never gotten any mail sent to my home from prospective jobs, and I've never had to mail my application. So, I just include my city and state in my heading, especially if the job posting explicitly states the company wants some based in a specific region." 

So, should you include the company's address in your cover letter?

"This is probably odd, but I always include the company's address because I like to think it shows I did my research," Santiago says. "I've sent probably over 100 cover letters in my life, and I eventually found myself at HubSpot, so I have to be doing something right (laughs)." 

If you think physical addresses are taking up too much space in your cover letter, then consider omitting them. I'll touch on contact information again later. 

2. Greet the recipient 

Avoid "To whom it may concern" if possible. I find that greeting the recipient that way gives the impression that you didn't take the time to research who you should be addressing. 

Instead, try to look up the name of the hiring manager or recruiter. Doing so shows attention to detail and care—qualities employers love to see. 

If you can't find a name, "Dear Hiring Manager" is fine. 

3. Introduce yourself and explain your intentions.

State early on who you are, what position you are applying for, and why. Often, businesses may be hiring for multiple roles, so you want to ensure whoever is reading your cover letter knows exactly why you're reaching out. 

4. Highlight your qualifications, skills, and passion for the job.

This is where things get a little tricky. Your attached resume will also include skills and qualifications, so you may think you just need to regurgitate what's in your resume, right? Wrong. 

Obviously, some information may overlap, but your cover letter is a chance to go into more detail than you could on your resume.

For example, Let's say a potential employer is looking for a self-starter and results-driven person.

This is a great opportunity to mention when you took it upon yourself to spearhead a project that generated more revenue for your previous or current company. 

Connect your skills and qualifications to your unique accomplishments. 

Finally, show that you are passionate about the opportunity. 

"I once had an interview with a pet insurance company," Santiago says. "I worked into the cover letter my love for my two cats, how pet insurance grants me peace of mind, and how I want to help give that same peace of mind to others via the job position."

She explains, "Cover letters are a chance to show your personality, your sense of humor, your motivations, and your passions. All these things can make you stand out from other other applicants."

5. Leave space for customization. 

Your general cover letter should be designed so that you can easily update it to appeal to whatever opportunity you're applying to.

So, leave a blank space for the hiring manager or company's name, and format it so you can add or remove skills and qualifications as needed.

6. End with a  "thank you" and mention how to contact you.

Santiago says she always includes a variation of the following sentence at the end of her cover letters:

"I would love to discuss this opportunity more via an interview. I can be reached via email, LinkedIn, and phone at XXX-XXX-XXXX."

She explains, "I always hyperlink my email and LinkedIn profiles, along with having them spelled out somewhere in the heading."

Notice the company's address is included but not the applicants and that there are blank spaces for the writer to change information such as the recipient, positions, and skills. 

My only critique of this example is that it could use more personality and a punchier hook (more on hooks later).

What to Include in a Cover Letter

So, what should you include? I covered a bit of this already, but I want to dive a little deeper.

Don't worry, I'll let the 11 templates below this list do most of the talking. No matter which one you download, pay attention to the following elements — all of which should shine through in the letter you send to your future manager.

1. contact information.

Cover letters shouldn't just carry your contact information but also that of the company to which you're applying. Contact info includes your phone number, email address, and any social media accounts you're willing to share and receive connections to.

As I said earlier, home addresses aren't always required, but they can be a helpful reassurance to the employer that you already live nearby and would have no trouble coming into the office.

Avoid offering phone numbers, email addresses, or actual addresses that belong to your current employer.

Using your personal Gmail address over your work email, for example, ensures your correspondence with recruiters remains separate from all of your current work communication.

2. A Personal Address Line

For as often as you see "to whom it may concern" at the top of cover letters today, do your best to avoid writing this exhausted line.

Address lines that specify a person or company grab your reader's attention much more quickly, and show the employer that you've taken the time to tailor your application letter to them.

Don't have the name of the hiring manager? "Employers at [company name]" will do just fine.

A "hook" is a clever introduction that "hooks" your reader into wanting to learn more. Think about yourself as a job candidate — what makes you unique?

What about your career might a recruiter be intrigued by that you can package into an interesting first sentence?

4. Why You're Qualified

Again, today's best applications describe why this experience qualifies the applicant for the job they're applying for.

For example, don't just state that you spent three years writing for a company blog. Explain that this type of work lends itself to managing your new potential employer's content calendar every week.

5. General Knowledge of the Business

Grammatical errors could mean your application is thrown in the trash, but that's not the only thing that could get your letter tossed aside.

Using a generic "one-size-fits-all" cover letter — especially if you forget to change the name of the company — will also hurt your chances of landing an interview.

So, if you take the time to write a cover letter, take the time to comment on the business itself. Why are you applying to this company? What about their business stuck out to you as a professional?

The example above illustrates how to write a marketing cover letter using the elements I listed.

Besides the contact information and the address line, the first few paragraphs explain why the candidate is qualified for the position. This example uses specific data to show why they would be a good fit.

Additionally, in the second to last paragraph, the candidate discusses why they're interested in the specific company, demonstrating general knowledge of the business.

By combining all the elements to a cover letter, this is a great example to use for inspiration.

14 Free Cover Letter Templates for Your Next Job Application

Template 1: basic.

Basic cover letter template with 7 qualities to learn from.

The example above is a basic (but great) cover letter. The numbered sections are explained in more detail below.

The level of formality your header has will depend on the company to which you apply. If you're applying to a formal business, it's important to use a formal header to open your cover letter, like in the sample above.

Put your address, the date, and the company's address. But if you're applying to a company that isn't as formal, you don't need to include yours and the company's addresses. You can still include the date, though.

2. Greeting

Using "To Whom It May Concern" is okay, but you may want to take the time to research the name of the recruiter or hiring manager online.

If you do your research and aren't confident you found the right name, then you should definitely use the generic greeting — but if you are sure, then it shows you put in the effort to find their name and it will catch the recruiter's eye.

If you have the recruiter's name, do you greet them by their full name, or by their courtesy title (i.e. Mr., Ms., or Mrs.)? Similar to the header, it depends on the company's level of formality.

If you're applying to a corporate business, you may want to consider using "Mr. Snaper" instead of "Jon Snaper." If you're applying to a start-up or a business with a more casual culture, you can use "Jon Snaper," as shown in the example.

3. Introduction

Your opening paragraph should, in 1-3 sentences, state why you're excited to apply and what makes you the perfect candidate. Get right to the point, and don't worry about explaining where you found the posting or who you know at the company.

This isn't a place to go into detail about why you're a great candidate — that's for the second paragraph. Here, simply list a few key reasons in one sentence to set up the rest of your letter.

Keep in mind that the recruiter may cross-reference your cover letter with your resume, so make sure the two sync up.

4. Paragraph 2: Why You're a Great Fit for the Job

Next, sell yourself and your experience by choosing one or two concrete examples that show why you're a great fit for the position. What did you do at a previous company that gave you relevant experience?

Which projects have you worked on that would benefit the new company? How will your prior experience help this company grow? Stay humble in your explanation of credentials while still showing that you would be an asset to the team.

Use this paragraph to show you're genuinely excited and interested in the position.

5. Third Paragraph: Why the Company Is a Great Fit for You

While it's certainly important you're a good fit for the job, it's also important that the company is a good fit for you.

"A cover letter typically describes why you're great for a company — but how will you benefit from getting hired?" asks former HubSpot Team Development Manager Emily MacIntyre . "We want to know why our company appeals to you, and how it will be a mutually beneficial working relationship."

In the third paragraph, show you're serious about growing and developing your career at this new company. What impresses and excites you about the company?

Is there something that you feel strongly about that aligns with the company's goals? For example, the candidate in the sample letter used this space to show his personal commitment to environmental causes aligns with the company's green initiatives.

6. Strong Closer and Signature

Don't get lazy in the final few sentences of your cover letter — it's important to finish strong.

Be straightforward about your interest and enthusiasm about the new position, and tell them you're available to talk about the opportunity at any time. Be sure to include your phone number and email address.

At this point, the ball is (rightly) in the recruiter's court to decide how to follow up.

Last but certainly not least, thank them for their time and consideration. Use a formal sign-off like "Best," "All the best," or "Sincerely," and finish by typing out your full name. You don't need to sign it with a pen.

When applying to a data-driven position, it might be tempting to inject your cover letter with, well, the data to describe what you've done for other employers.

But in an application letter — particularly for the marketing industry — how you convey this data is just as important as the data itself.

The cover letter template above, which we created here at HubSpot, can help you present the data that's most important to you as a candidate such that it'll matter to your future employer.

Notice the three bullet points near the center of the letter above, preceded by the statement: "... I've developed a strategy that has helped the company achieve ..."

This setup is important, because while you can add as many statistics as you want to this template, your data points should describe how your current/former business benefited from your work, rather than how you, yourself, benefited.

Template 3: Straight-to-the-Point Cover Letter

Harvard Business Review contributor David Silverman hailed the above cover letter example as "The Best Cover Letter I Ever Received."

For context, Silverman believes there are only a handful of times when writing a cover letter is actually necessary:

  • When you know the name of the hiring manager.
  • When you know something about what the job requires.
  • When you've been referred to the job personally.

Under those three circumstances, a straight-to-the-point cover letter like the one above could be your best bet. Because it's so concise, however, make a point to add your own letterhead above the message itself.

It might be easy for a recruiter to sift through a short and sweet cover letter like the one above, but it's just as easy for it to get lost in the shuffle of their application list without a unique design or format.

As you can see in the picture above, the first paragraph of the cover letter is dedicated entirely to acknowledging the circumstances of your applying: You know someone who works there — no harm in that.

But there might be harm in not mentioning it to the hiring manager. Telling the reader about your connection at the company shows you're aware and confident of the actions you take to get the opportunities you're interested in.

Ultimately, it's better than the recruiter hearing about your employee connection from somebody else.

As for the rest of the cover letter, treat your message the same way you would if you had applied with no connection from within. Your skills and successes are no less important because of your internal referral.

Instead, consider highlighting three (or four, or five) of your successes that you believe the hiring manager would resonate most with, in bulleted form.

LinkedIn, Glassdoor, Monster, and Indeed might take the lion's share of your job searches online, but still some employment opportunities come out of a trade show, job fair, or similar networking event.

Feel free to write to a length you think is representative of who you are and what the hiring manager wants to see.

No matter how long your final cover letter is, the above template is your opportunity to show your attention to detail — from your contact information in the top header, to the personalized address line where you can include the name of the hiring manager.

Like I said, "to whom it may concern" is pretty outdated, anyway.

Template 12: Entry-Level Cover Letter

When you only have a few years experience, it's important to display how you gained your skills and what you learned from your education or internships.

Additionally, it's important to mention why you want to work at the company you're applying to.

No matter your experience, the template above will help you decide what skills you want to highlight and flesh out in your cover letter.

Template 13: Healthcare Cover Letter

The cover letter, created by The Balance Careers, cuts down on repetition by following the "I have" statement with six bullet points that highlight the applicant's strengths, including "I have ... practical knowledge of creating and implementing care plans" and "I have ... a proven track record of compassionate, effective care".

Additionally, phrases like "I'd love to put my skills to work for your clinic" and "Please contact me at your convenience and let me know how I can help you" focus on what the business will gain as a result of hiring the applicant, rather than what the applicant is looking to gain.

Template 14: Freelance Cover Letter

If you're looking for freelance work, your biggest goal is to get your strengths across quickly, so busy clients won't pass by your cover letter entirely.

Additionally, if you're sending out multiple cover letters to different clients, you'll want to target each one to that client's unique goals.

For instance, if one client is looking for SEO-optimized content related to marketing, you'll want to highlight past experience writing marketing content; this will change if, for instance, the client is looking for fitness content.

For this reason, it's a good idea to structure your cover letter so you start with a) past credentials or references, and b) bullet-point information related to the client's goal, as shown in the cover letter above.

Template 15: Director Cover Letter

In the cover letter above, the candidate does a good job outlining how she succeeded in a leadership role previously:

"For the past five years, I have successfully developed and maintained all data systems, including schedules and records for a business employing more than 100 people."

You'll want to demonstrate how your skills align with a Director position — both through organization and leadership — and, when possible, where you received recognition for your hard work (i.e. "I earned an award for Most Valuable Administrative Staff Member").

If you want to create a master cover letter, one that you will use for multiple positions, then you should create a personalized document which can be easily altered to add new details which apply to the position.

The best cover letters are ones that showcase both the passion you have for the position, and the relevant skills that you bring to the table that make you the ideal candidate.

Here are some tips to keep in mind when crafting a master cover letter:

1. Minimize Work By Keeping Most of the Wording

The best thing about having a general cover letter is that you can keep almost 90% of the wording the same, and still create a personalized cover letter.

But how do you do this?

You can do this by creating spots within the document for personalization, like spaces where you can put in your hiring manager's name, the name of the company that you're applying for, as well as the position's name.

If you want to go one step further, skim over the company's vision and values, which you can easily find in a job description.

With an easy-to-follow, plug-and-play cover letter for multiple jobs, you can cut the work down from almost a half an hour to several minutes.

This way, you can crank out several cover letters for different job applications.

2. Show That You've Read the Job Description

Cover letters and resumes are completely different animals.

And please, whatever you do, try to find the name of the hiring manager. Try to avoid using the generic, "Dear hiring manager," salutation at the start of your cover letter.

3. Quantify Your Accomplishments

When creating a general cover letter, try to include accomplishments that you can quantify. This isn't always easy to do.

But if you look at your experience with the last company you worked for, what were the exceptional milestones throughout your time.

Did you help contribute to a major financial goal at your company?

For example, if you were on the sales team when you reached a profit increase of 7% for the first quarter of 2020, share about that. You played a role in that achievement, so mention your part.

You can also tie back into a specific skill that helped you lead to a key performance indicator.

Maybe you played an important role with updating the communications of your team by introducing them to a messaging program to help collaboration in the workplace.

You can point out the number of people who adopted using the platform, and show how productivity increased as a result of it.

4. It's Not Always about You

A cover letter is a place to brag about yourself, specifically about the skills and achievements that have led to your success.

However, mentioning your role within a team can show a hiring manager you are a team player, one that loves to collaborate and be involved in projects.

You can also mention your current manager, and the role that they have played in your life.

5.What To Do If A Cover Letter Is Optional

For some jobs that you apply to, cover letters will be optional.

One bit of advice: sending a generic, basic cover letter can hurt your chances of getting the job.

Instead, either send a more personalized cover letter, like a master cover letter, which is personalized to the business that you're applying for, or don't send one at all.

How to Write a Cover Letter (With Example)

Just when you think your resume is polished and you're ready to apply for a job, you realize you need a cover letter. Here's how to write one.

If you dread writing cover letters, know you're not the only one. You've put a lot of work into writing your resume , and now you need to sell yourself in a great cover letter.

The task can feel daunting, but it's an important one, so try to approach it one step at a time. Before you know it, you'll have the perfect cover letter to pair with your perfect resume, and you'll be ready to catch the attention of hiring managers.

Let's start with the basics, and then we'll walk you through each section of the cover letter — and even give you an example.

What's a cover letter, and why are they important?

A good cover letter is a brief introductory letter to hiring managers that you attach to your job application along with your resume. A well-written cover letter shouldn't be more than one page, and it's your opportunity to introduce yourself, highlight your most relevant skills and experiences, explain why you're a great fit for the job, and help a potential employer get to know you beyond your resume.

With the formatting, it'll likely end up somewhere between 250 and 400 words — not too long.

You might be wondering if cover letters are required: Will a hiring manager actually read it ? If the job application has a place to attach a cover letter, you'll want to write one. 

Even if the job listing says a cover letter is optional, job seekers should still write one. A cover letter shows you're serious about the job and that you're willing to put the work in to get it.

Cover letters are also a great opportunity to elaborate on aspects of your resume, like an employment gap, a budgetary layoff, or an upcoming relocation. You can also use a cover letter to show your personality outside your resume. 

A professional cover letter could also become a tie-breaker. If the job is between you and another candidate, the hiring team may review your cover letter and resume to help make their final decision.

So yes, effective cover letters are important — and if you have the opportunity to submit one with your job application, you should.

Writing a cover letter: A step-by-step guide

Although cover letters are fairly short, they can be quite daunting. That's why it's important to approach your cover letter by sections:

Step 1: Address your cover letter

Your cover letter and resume are a package, so you'll want them to match. Start your proper cover letter with your name (formatted like it is at the top of your resume) along with your contact information.

When you search for generic cover letter templates online, you might find ones where you'll fill in a company's contact information. That was relevant when cover letters were sent via snail mail, but these days, you can just leave it off. A hiring manager doesn't need to see the address of their office building.

Below your contact information, add the date you're applying and address your cover letter to its intended recipient. If the job description doesn't include the name of a hiring manager or team leader, here's how to find this information:

If the job listing has an email address, use it to search for a name on Google or through an online company directory.

If the job listing is on LinkedIn, see if you can track down the original poster.

If the job description mentions who the job reports to, search for that individual or position title in a company directory.

If you still can't find a name to address your cover letter to, avoid phrases like “To whom it may concern,” “Hey,” or “Dear Sir/Madam” — these are hated cover letter cliches . Instead, address it to the department that's hiring (e.g. Dear Editorial Team) or the team manager (e.g. Dear Customer Service Manager).

Step 2: Introduce yourself

You'll want to kick off your great cover letter by introducing yourself. This is the perfect opportunity to explain why you're interested in the role and the company and what you can bring to the team. 

This is also your chance to demonstrate you've done your homework, showing you know something about the company or industry. Additionally, if you found the job through a colleague already at the company or through a mutual connection, this is a great place to drop their name.

If you're confident in your writing skills and are feeling creative, you can swap out the standard introductory paragraph with an anecdote that relates to your work. This should grab the reader's attention and also illustrate the most important — and relevant — skills you possess for the job at hand. 

If you're curious to learn more about this idea, communications expert Danny Rubin explains “storytelling” cover letters with examples. This is definitely a great way to hook the reader into wanting to read your entire cover letter.

Step 3: Highlight your qualifications

After you've introduced yourself, use the second paragraph of your professional cover letter to highlight your relevant skills and qualifications . Instead of simply listing these (you already did that on your resume), use this as an opportunity to illustrate how you are qualified to do this job. Spell out how your professional experience, education , and abilities meet the position's core requirements.

This is arguably the most important section, as it clearly explains to the reader why your application is worth a read. 

Certified professional career coach and TopResume's resident career expert Amanda Augustine suggests identifying three or four core must-have requirements from the job description , listing each in its own bullet within the cover letter and explaining how you meet these requirements.

Don't forget to tie each requirement back to the job itself; you'll want the hiring manager to understand exactly what you can bring to the company.

Step 4: Close with a call-to-action

You're almost done! Now, it's time to wrap up your cover with a specific call to action. 

Rather than merely asking for the hiring manager or recruiter to review your resume, let them know when you will follow up with them about your application. This keeps the ball in your court and gives you a legitimate reason to follow up.

Your closer is also the perfect spot to show your enthusiasm and excitement. Don't go overboard, but don't be afraid to let them know you're excited about this opportunity.

Step 5: Sign off

Once you've thanked a hiring manager for their time and consideration, it's time to sign off.  Think about how the closing salutations you use for your professional emails. Keep it simple with “best regards,” “sincerely,” or “thank you.”

A note on cover letter keywords

As you write your unique cover letter, keep keywords in mind. Just like you added keywords to your resume , you'll want to do the same for your cover letter.

Remember, these aren't just catchy buzzwords. Keywords are the words you see repeated in the job listing. Including these keywords in your cover letter will help ensure it gets seen and prove to the hiring manager you understand the job listing.

You don't have to write a brand new cover letter for each job, however. Instead, create a cover letter template and make copies of it for each job application you submit. Simply leave blanks for the hiring manager's name, the specifics about the company, and your relevant professional skills, then customize them to each job description.

Once you've created a solid template, you've gotten the hardest part out of the way, and it should make applying to jobs a lot easier.

When you apply for a job, you may be required to submit a cover letter with your resume. Even if it isn't required, it's typically a  good idea to write one when you're applying for jobs . A well-written cover letter helps you stand out in a sea of candidates, making it more likely you'll be selected for an interview. 

Your cover letter should highlight the points on your resume that make you a superior candidate for the position you are seeking. It should not simply recap your resume, but rather point out details and expand on specific key assets that are essential for success in the job.

What Information to Include in the Letter

Think of your cover letter not just as an introduction or a  statement of intent to apply for a job , but as a golden  opportunity to market yourself , your skills, your qualifications, and your training to an employer.

As a powerful marketing document, its primary purpose is to persuade a hiring manager to give a closer review to your resume than the typical quick scan.

You're in charge here, so highlight the accomplishments and experience that will make you a compelling candidate. Be choosy! 

The Body of the Letter

Start off the  body of your letter  with pertinent information about how you were referred to the opportunity and your interest in the position. 

The bulk of the letter, however, should focus on your qualifications for the job, relevant training, and why you would make an excellent candidate. You can cover this ground in a few paragraphs or take advantage of bullet points. 

Ideally, your letter will be easy to read—use action-oriented language, and avoid very long paragraphs, which can be taxing on the eye. Remember, you don't want to duplicate your resume here. Instead, you want to connect the dots for the hiring manager between the posted job and your experience. 

And, aim to "show, not tell"—that is, instead of saying, "I'm very detail-oriented," you could say, "At Company X, I ran the marketing newsletter, sent to 50,000 customers, from start to finish, ensuring that it went out in a timely manner, included all the relevant promotions from 15 departments, and was free from any errors." 

Letter Closing

In closing, you can include your plans for following up with the hiring manager: “I will call next week to follow up on the status of my application.” You should also thank them politely for their time. Use a  business-like closing , such as “Sincerely,” “Best Regards,” or “Yours Truly,” followed by your name and signature (on a hard copy). 

If you're emailing the cover letter, you can include an email signature. 

Keep length in mind . Your cover letter should not be more than a page in length, and a half-page is likely preferable.  

Sometimes a job posting lists the name of the hiring manager, and in that case, you should address your letter to him or her. In cases where a name isn’t listed, you should make an effort to find out the right person to whom to address your letter.

It’s always better to address your application materials to the appropriate hiring manager.

So, what should your entry-level cover letter contain? Here are all the details.

  • Header with contact information. In addition to your name, your contact information should contain your email (a professional email, that is), your phone number, and (optionally) LinkedIn profile. Underneath your contact info comes the date and then the receiver’s information: manager’s name and title, company name, and the company’s street address.
  • Addressing the hiring manager. How you address the cover letter is important. Preferably, you want to include the hiring manager’s name/professional title or the name of the department head doing the hiring.
  • Opening statement. Your opening paragraph should be professional, but at the same time personal and attention-grabbing. The best way to achieve that is by tailoring your introduction to the job application.
  • The body. The body of your entry-level cover letter should consist of 2-3 paragraphs highlighting your skills, accomplishments, and education.
  • Closing paragraph. To end your cover letter, you need a professional closing paragraph. You can mention that you will be following up the cover letter, wrap up anything you couldn’t in the previous paragraphs, or just simply thank the recruiter for their time.
  • Formal salutation. Formal closings include salutations such as “best regards,” “kind regards,” “sincerely,” and “thank you.”

How to Write an Entry-Level Cover Letter With No Experience (Tips & Examples)

#1. Write a Strong (But Professional) Opening

The first thing you want to do is write an attention-grabbing opening paragraph. 

Recruiters receive hundreds of applications daily, so you can probably imagine how limited their time is. This leaves you with one goal—to make your cover letter worth reading, right from the get-go. 

One thing is for sure, you’ll never achieve this by writing a generic, one-fits-all kind of introduction, like the one below: 

My name is Samantha and I’d like to apply for the Sales Representative entry-level position at your company. I am a recent Marketing graduate, so I believe I would be a great fit for the role.

See, you could use this kind of introduction to apply for any entry-level position in sales. And though it’s not bad, per se, it’s not memorable either. 

Instead, you want your opening paragraph to be custom-made for the entry-level job you’re applying for. Bonus points if you can mention an achievement or two in the opening paragraph to show the recruiter how you stand out from the rest of the candidates.

Here’s what a well-written entry-level cover letter would look like:

My name is Samantha and I’d like to become part of XYZ Inc. by applying my newly acquired marketing knowledge to your Sales Representative position. I am confident that my excellent university results and the practical knowledge gained during my academic internship at Company X, where I was trained in sales, make me the right candidate for the job.

#2. Include Relevant Employee Skills

After you prepare the ground with an attention-grabbing introduction, you should use the body of your cover letter to show exactly how your skills, achievements , and education make you the right fit for the job. 

In light of your limited work experience, your skills are your second-best chance to prove your worth and showcase your strengths. 

Start by listing skills that are relevant to the job by doing the following:  

  • Scan the job description to find what the required skills are for the position. 
  • Explain how your skills can benefit the company. 
  • Optionally, you can mention that you are eager to learn required skills that you may not have to get better at the job. 

For example, an entry-level journalism position may require that you:

  • Know how to apply the AP Stylebook rules
  • Are up to date with media law and ethics
  • Are an effective communicator
  • Can meet deadlines. 

Here’s how you could highlight those skills:

As a recent Journalism and Mass Communication graduate from X University, I am up to date with the 55th Edition of the Associated Press Stylebook and all media law and ethical reporting standards. Being Editor-in-Chief of the university’s newspaper taught me how to be an effective communicator while being in charge of publishing the newspaper each week improved my attention to detail and ability to meet deadlines. 

#3. Do Some Research

Research is one of your best friends when it comes to cover letters, as it can give you valuable information on what the recruiters are looking for in a candidate. 

After thoroughly researching the company’s history, products/services, goals, and even challenges, you can mention exactly how:

  • You fit in the position
  • You stand out from your competition 
  • You can be of use to the company

Say, for example, that you’ve previously worked as a proofreader and you’re now going into magazine editing. After some research, you find out the magazine you’re applying to puts great attention to producing quality content. 

Here’s how you can work that to your advantage: 

I have read the content your magazine produces and I think it’s extremely well-researched, reader-friendly and grammatically correct.

During my 5-year experience as a proofreader, I have mastered editing and writing and I am confident that this experience can further improve your magazine quality. 

#4. Quantify Your Achievements (When Possible)

The best practice, whenever achievements are involved, is to quantify them and back them up with concrete examples. 

Imagine you’re a recruiter and you’re on the fence about two candidates for an entry-level customer service position. They have almost-identical resumes in terms of education and they claim to have customer support experience from past internships.

 So, you jump to their cover letter. This is how each candidate has described their achievements:

Candidate 1

As a Client Services intern, I was required to contact and ask clients for feedback daily, I supported the management team in improving customer services based on clients’ comments and I provided suggestions to teams from other departments to improve overall client satisfaction.

This is not horrible. However, compared with the second candidate’s much more detailed description, it lacks substance. Take a look for yourself. 

Candidate 2 As a Customer Services intern at Company X, I helped raise customer satisfaction by speaking to and collecting our clients’ feedback and working with teams from different departments to address their dissatisfaction and implement relevant suggestions. After one year, we ran a survey that showed customer experience had improved by 50%. This result was backed by a 30% increase in profit within that same year. 

Sure, the first candidate “improved customer services,” but this opens up a lot of questions:

  • How well did they improve the customer services?
  • Over what timeframe?
  • What kind of impact did this have on the company’s bottom line?

The 2nd candidate, though, mentions all this information, and as such, their cover letter is a lot more impactful. 

#5. Highlight Your Education

Your education can very well replace what you lack in work experience when it comes to entry-level jobs. It can convincingly back up your skills and achievements, as well as help you demonstrate some of your strengths. 

Now, when we tell you to highlight your education, we don’t mean mentioning the title of your diploma and calling it a day. 

Instead, what you need to do to reinforce your skills and strengths is to mention relevant group projects and classwork, extracurricular activities and school clubs, published work, or independent research. 

Highlighting your education can be just as effective if you’re changing career paths. 

Did you take classes on your newly-found passion when you were in college? Or maybe you got to practice it as part of a club. No matter the case, make sure to highlight it, as this is exactly the part of your education that will make a difference in your cover letter. 

Now, let’s say you’re a college senior thinking ahead and looking for a graphic design job for when you graduate. To improve your chances of getting that entry-level job, here’s how you can highlight your education: 

My passion for visually communicating a message began alongside my work at InFocus Magazine, our university’s photography and graphic design magazine, where I am Head of Design. I mainly work with Adobe InDesign and Illustrator, but I am now also learning to use Canva and Crello in my Design & Illustration class. 

#6. Don’t Forget a Call to Action 

Finally, it’s time to wrap up your entry-level cover letter with a conclusion. 

For your entry-level cover letter’s final paragraph, you want to do the following: 

  • Mention anything you couldn't during the previous paragraphs. If you think you left something important out (something that could help you get hired), this is your chance to say it. 
  • Thank the recruiter. You can use the closing paragraph to thank them for their time. This is a chance to be formal, but make sure you don’t sound like you’re trying to get to the recruiters’ good side. 
  • Include a call to action. As a call to action, you can mention to the recruiter that you will be following up (if they haven’t specified the interviewing procedure) to inquire about the application or ask them to take some action. 

And here’s what this would look like on a cover letter:

To conclude, let me first thank you for considering my application. I believe I can help your company improve its customer satisfaction by putting to use all the experience I’ve gained from my past jobs in customer service. I’d love to discuss in length how I can help you improve one-on-one customer service at your stores.

#7. Conclude with a Professional Closing

Once you’ve written your closing paragraph, all you have to do is sign off your cover letter.

Your “goodbye” should be formal and include only your name and signature. 

Any of the following is an acceptable way to sign off your cover letter:

  • Best Regards,
  • Kind Regards,
  • Sincerely, 
  • Thank you,

How to Write a Cover Letter

S omebody hiring you for a job will skim your resume, or may use an applicant tracking system to review it, but they will read your cover letter if considering you for a position .

Resumes are a vital tool for landing a job, and no job seeker should rush writing it, but the cover letter is worth lavishing time and attention on, too.

So if you’re looking for tips on how to write a cover letter, open up a document, and let’s get writing.

What Is a Cover Letter?

A cover letter is a letter that you’ll submit to an employer along with your resume and anything else, like a portfolio of your work, when you apply for a job. The cover letter makes a case for why you’re the person the company should hire.

If your resume is analogous to your brain – offering the facts and the logical reason why you should be hired – the cover letter is your heart – possibly striking an emotional chord with the employer and at least getting to the heart of the matter of why you, and no one else, is right for the job.

The resume should convince the employer that you have the background for the job; the cover letter should make it clear that you’re going to be an amazing employee and a pleasure to work with. After all, if all goes well, these people may be hanging out with you on their lunch break or working closely with you when you’re dealing with stressed out or difficult clients. That's arguably almost as important as you actually being capable of doing the work you're being hired for. And because of that, an employer would like to have a sense of your personality and who you are. A well-crafted cover letter can do that.

Choosing a Header

So how should you start the cover letter? Most resume experts will tell you to try and find the hiring manager's name, if at all possible. Assuming you have it, then you'd go with "Dear Mr. Smith" or "Dear Ms. Smith." You might want to address the person by their first name, according to Jennifer Fishberg, founder of Career Karma Resume Development & Career Services, which is based out of Highland Park, New Jersey.

That is, if you’ve already had contact with the person, or there has been a referral, going with a first name might be fine, Fishberg says.

“But if you’re unsure, err on the side of the formal,” Fishberg says.

And what if you’re applying blindly and have no idea who is going to read the cover letter? Perhaps the classic and tried-and-true “To Whom It May Concern”?

That would be a hard no, according to Fishberg.

“’To Whom It May Concern’ is a non-starter,” she says. “It just screams that this is one of a hundred mass-produced letters you've sent out and couldn't be bothered. Part of the job of the cover letter is to humanize you to the reader, so an impersonal greeting doesn't help your cause there,” Fishberg says.

So what should you go with? “If you really can't find a name, then ‘Dear Hiring Team’ can work,” Fishberg says.

The Opening

So once you’ve addressed whom you’re writing to, as you can imagine, you’d better seem pretty compelling quickly. You’re competing with a lot of job applicants.

“A strong cover letter grabs the reader's attention from the first line,” Fishberg says.

Easy to say, not always easy to pull off. But Fishberg suggests that you might want to highlight what you know of your employer’s “pain points” and your ability to offer solutions. Your employer has some sort of problem or wouldn’t need to hire somebody. The employer hopes that by hiring you, you will solve those problems.

“Start with an attention-grabbing sentence,” says Deb Harrison, a former high school English teacher and now growth and change consultant who has worked with companies in recruiting and with individuals searching for jobs. She is based out of Montgomery, New York.

Harrison says that attention-grabbing sentence might involve a relevant quote, statistic or anecdote. But don’t go overboard with your quotes, statistics or anecdote. “Make it clear in the first paragraph why you are applying for the specific job,” Harrison says.

Writing the Body

OK, you feel good about how you’ve addressed whoever is reading your letter. You’ve got the reader hooked. Now here’s where things can either soar or start to fall apart.

There’s so much to think about, including:

Length. Most job sites will encourage you to write a cover letter that’s half a page to a page long. Harrison says that “recruiters have a lot to look through, so too much information may not even get read, but it should provide enough to stand out to the recruiter.”

Tone. “Type like you are speaking in an interview ,” says Pete Milne, managing director of Robert Walters North America, a professional recruiting firm. “It is so easy to be overly formal in written form.”

That may sound like the opposite of what you want since formal would seem to equate being professional, but no, Milne asserts. Being overly formal can really backfire.

“The tendency to use bigger words or complex language is tempting in order to show your intelligence levels. However, long sentences, difficult to read paragraphs and convoluted language are all signs of poor communication,” he says. “No one should have to dissect what you are trying to say. Make it obvious and super easy to read.”

Milne adds: “Also, imagine the shock when you turn up to an interview and sound nothing like your highly formal, legal-sounding cover letter. Stay true to yourself and be confident with your real tone of voice and personality.”

Details. As in, they matter, but don't go overboard here either. “Stick to the important stuff – a cover letter isn’t a biography,” Milne says. “As much as I encourage professionals to spend a good amount of time on a cover letter, there also needs to be an understanding that this will likely be scanned over by your prospective employer – hence the need to keep the language simple. See a cover letter as your highlights reel."

And only, Milne adds, including the highlights that are relevant to landing the job.

But if you feel like your cover letter needs a little something else, even if it has nothing to do with the job, you can probably get away with it, within reason, according to Milne.

“There is no harm in including that you are an avid surfer, but don’t go on about it unless you like to compete on a professional level, and tie in how getting to the finish line is a core makeup of your personality," Milne says. "All roads lead back to whether you will be good at this particular job or not.”

You may start to feel like this cover letter is as hard to write as a novel or television script, but you don’t have to close with a powerful ending for the ages or a cliffhanger, fortunately. Harrison advises that in your final paragraph and sentences you encourage the reader to take action – that is, reply to you (and be sure to provide your contact information). She also suggests you reiterate your enthusiasm for the position and thank the reader for considering your application.

Kyle Elliott, a career coach who lives in Santa Barbara, California, had a suggestion for the ending, if you have room and think it needs more punch.

"Because social proof is powerful, a creative and powerful way to end your cover letter is with a testimonial from a supervisor, colleague or client. You don't need to ask for an entire letter of recommendation here either. You can repurpose a testimonial from your LinkedIn profile or take a snippet from a performance review you received at work," he says.

And there you go. You’re done. Almost.

Review Your Cover Letter

That was just a first draft. You need to look over your cover letter again, especially if you really want this job . There are a lot of pitfalls that you want to make sure you didn’t stumble into while writing your letter.

For instance, you shouldn't only worry about typos or misspelling names, but getting basic facts incorrect.

“Frustratingly, the No. 1 thing that professionals can often get wrong in a cover letter is the company name or role that they are applying for,” Milne says.

Think about how that looks to a recruiter or potential employer, misnaming the company or even the type of job you’re applying for.

“Often the reason this happens is because job hunters typically use the same cover letter for multiple applications – barring a few tweaks,” Milne says.

"A copy and paste job when it comes to cover letters is lazy and can be borderline offensive or off-putting to recruiters or organizations depending on how obvious it is that you are firing off the same cover letter to multiple organizations," Milne says.

Repetition can also be a problem. In other words, are you repeating everything in the cover letter that you put in the resume? Not a great idea, according to Elliott.

“You want to avoid the common mistake of summarizing your resume when writing your cover letter. Instead, use your cover letter as an opportunity to express your interest in the company and role, as well as what sets you apart from other candidates,” Elliott says.

Sure, you knew that already – but it’s still easy to fall into the repetitive trap.

“Specificity is your friend when writing your cover letter. Give specific examples as to why you're drawn to this company compared to its competitors,” Elliott says. “Additionally, explain what distinguishes you from other applicants. If you offer a specific type of experience, knowledge or skill, be sure to call this out in your cover letter.”

Final Tips on Writing a Cover Letter

Finally, the important thing is to take writing a cover letter seriously.

"Cover letters often get a bad rap these days, both from job seekers and from the hiring side," Fishberg says. "Treating the cover letter as an obligatory nuisance is a missed opportunity to differentiate yourself from other applicants."

And if you can differentiate yourself, you'll have really pulled something off. You may even get hired .

"The perfect cover letter is the one that shows you've done your homework and understand this particular job and this company's needs. It's not one-size-fits-all," Fishberg says.
