When collecting and analyzing data, quantitative research deals with numbers and statistics, while qualitative research deals with words and meanings. Both are important for gaining different kinds of knowledge.

Common quantitative methods include experiments, observations recorded as numbers, and surveys with closed-ended questions.

Quantitative and qualitative research use different research methods to collect and analyze data, and they allow you to answer different kinds of research questions.

Qualitative vs. quantitative research

Quantitative and qualitative data can be collected using various methods. It is important to use a data collection method that will help answer your research question(s).

Many data collection methods can be either qualitative or quantitative. For example, in surveys, observational studies or case studies , your data can be represented as numbers (e.g., using rating scales or counting frequencies) or as words (e.g., with open-ended questions or descriptions of what you observe).

However, some methods are more commonly used in one type or the other.

Quantitative data collection methods

  • Surveys :  List of closed or multiple choice questions that is distributed to a sample (online, in person, or over the phone).
  • Experiments : Situation in which different types of variables are controlled and manipulated to establish cause-and-effect relationships.
  • Observations : Observing subjects in a natural environment where variables can’t be controlled.

Qualitative data collection methods

  • Interviews : Asking open-ended questions verbally to respondents.
  • Focus groups : Discussion among a group of people about a topic to gather opinions that can be used for further research.
  • Ethnography : Participating in a community or organization for an extended period of time to closely observe culture and behavior.
  • Literature review : Survey of published works by other authors.

A rule of thumb for deciding whether to use qualitative or quantitative data is:

  • Use quantitative research if you want to confirm or test something (a theory or hypothesis )
  • Use qualitative research if you want to understand something (concepts, thoughts, experiences)

For most research topics you can choose a qualitative, quantitative or mixed methods approach . Which type you choose depends on, among other things, whether you’re taking an inductive vs. deductive research approach ; your research question(s) ; whether you’re doing experimental , correlational , or descriptive research ; and practical considerations such as time, money, availability of data, and access to respondents.

Quantitative research approach

You survey 300 students at your university and ask them questions such as: “on a scale from 1-5, how satisfied are your with your professors?”

You can perform statistical analysis on the data and draw conclusions such as: “on average students rated their professors 4.4”.

Qualitative research approach

You conduct in-depth interviews with 15 students and ask them open-ended questions such as: “How satisfied are you with your studies?”, “What is the most positive aspect of your study program?” and “What can be done to improve the study program?”

Based on the answers you get you can ask follow-up questions to clarify things. You transcribe all interviews using transcription software and try to find commonalities and patterns.

Mixed methods approach

You conduct interviews to find out how satisfied students are with their studies. Through open-ended questions you learn things you never thought about before and gain new insights. Later, you use a survey to test these insights on a larger scale.

It’s also possible to start with a survey to find out the overall trends, followed by interviews to better understand the reasons behind the trends.

Qualitative or quantitative data by itself can’t prove or demonstrate anything, but has to be analyzed to show its meaning in relation to the research questions. The method of analysis differs for each type of data.

Analyzing quantitative data

Quantitative data is based on numbers. Simple math or more advanced statistical analysis is used to discover commonalities or patterns in the data. The results are often reported in graphs and tables.

Applications such as Excel, SPSS, or R can be used to calculate things like:

  • Average scores ( means )
  • The number of times a particular answer was given
  • The correlation or causation between two or more variables
  • The reliability and validity of the results

Analyzing qualitative data

Qualitative data is more difficult to analyze than quantitative data. It consists of text, images or videos instead of numbers.

Some common approaches to analyzing qualitative data include:

  • Qualitative content analysis : Tracking the occurrence, position and meaning of words or phrases
  • Thematic analysis : Closely examining the data to identify the main themes and patterns
  • Discourse analysis : Studying how communication works in social contexts

Quantitative research is the process of collecting and analysing numerical data. It can be used to find patterns and averages, make predictions, test causal relationships, and generalise results to wider populations.

Quantitative research is the opposite of qualitative research , which involves collecting and analysing non-numerical data (e.g. text, video, or audio).

Quantitative research is widely used in the natural and social sciences: biology, chemistry, psychology, economics, sociology, marketing, etc.

You can use quantitative research methods for descriptive, correlational or experimental research.

  • In descriptive research , you simply seek an overall summary of your study variables.
  • In correlational research , you investigate relationships between your study variables.

Correlational and experimental research can both be used to formally test hypotheses , or predictions, using statistics. The results may be generalised to broader populations based on the sampling method used.

To collect quantitative data, you will often need to use operational definitions that translate abstract concepts (e.g., mood) into observable and quantifiable measures (e.g., self-ratings of feelings and energy levels).

Once data is collected, you may need to process it before it can be analysed. For example, survey and test data may need to be transformed from words to numbers. Then, you can use statistical analysis to answer your research questions .

Despite the benefits of quantitative research, it is sometimes inadequate in explaining complex research topics. Its limitations include:

  • Superficiality

Using precise and restrictive operational definitions may inadequately represent complex concepts. For example, the concept of mood may be represented with just a number in quantitative research, but explained with elaboration in qualitative research.

  • Narrow focus

Predetermined variables and measurement procedures can mean that you ignore other relevant observations.

  • Structural bias

Despite standardised procedures, structural biases can still affect quantitative research. Missing data , imprecise measurements or inappropriate sampling methods are biases that can lead to the wrong conclusions.

  • Lack of context

Quantitative research often uses unnatural settings like laboratories or fails to consider historical and cultural contexts that may affect data collection and results.

Quantitative research gets utilized across a wide range of fields, including market research, social sciences, psychology, economics, and healthcare. It follows a structured methodology that uses standardized instruments, such as surveys, experiments, or polls, to collect data. This data is then analyzed using statistical techniques to uncover patterns and relationships.

The purpose of quantitative research is to measure and quantify variables, assess the connections between variables, and draw objective and generalizable conclusions. Its benefits are numerous:

  • Rigorous and scientific approach : Quantitative research provides a comprehensive and scientific approach to studying phenomena. It enables researchers to gather empirical evidence and draw reliable conclusions based on solid data.
  • Evidence-based decision-making : By utilizing quantitative research, researchers can make evidence-based decisions. It helps in developing informed strategies and evaluating the effectiveness of interventions or policies by relying on data-driven insights.
  • Advancement of knowledge : Quantitative research contributes to the advancement of knowledge by building upon existing theories. It expands understanding in various fields and informs future research directions, allowing for continued growth and development.

Here are various quantitative research methods:

Survey research : This method involves collecting data from a sample of individuals through questionnaires, interviews, or online surveys. Surveys gather information about people’s attitudes, opinions, behaviors, and characteristics.

Experimentation: It is a research method that allows researchers to determine cause-and-effect relationships. In an experiment, participants randomly get assigned to different groups. While the other group does not receive treatment or intervention, one group does. The outcomes of the two groups then get measured to analyze the effects of the treatment or intervention.

Here are the steps involved in an experiment:

  • Define the research question. What do you want to learn about?
  • Develop a hypothesis. What do you think the answer to your research question is?
  • Design the experiment. How will you manipulate the variables and measure the outcomes?
  • Recruit participants. Who will you study?
  • Randomly assign participants to groups. This ensures that the groups are as similar as possible.
  • Apply the treatments or interventions. This is what the researcher is attempting to test the effects of.
  • Measure the outcomes. This is how the researcher will determine whether the treatments or interventions had any effect.
  • Analyze the data. This is how the researcher will determine whether the results support the hypothesis.
  • Draw conclusions. What do the results mean?
  • Content analysis : Content analysis is a systematic approach to analyzing written, verbal, or visual communication. Researchers identify and categorize specific content, themes, or patterns in various forms of media, such as books, articles, speeches, or social media posts.
  • Secondary data analysis : It is a research method that involves analyzing data already collected by someone else. This data can be from various sources, such as government reports, previous research studies, or large datasets like surveys or medical records. 

Researchers use secondary data analysis to answer new research questions or gain additional insights into a topic.

Data Collection and Analysis for Quantitative Research

Quantitative research is research that uses numbers and statistics to answer questions. It often measures things like attitudes, behaviors, and opinions.

There are three main methods for collecting quantitative data:

  • Surveys and questionnaires: These are structured instruments used to gather data from a sample of people.
  • Experiments and controlled observations: These are conducted in a controlled setting to measure variables and determine cause-and-effect relationships.
  • Existing data sources (secondary data): This data gets collected from databases, archives, or previous studies.

Data preprocessing and cleaning is the first step in data analysis. It involves identifying and correcting errors, removing outliers, and ensuring the data is consistent.

Descriptive statistics is a branch of statistics that deals with the description of the data. It summarizes and describes the data using central tendency, variability, and shape measures.

Inferential statistics again comes under statistics which deals with the inference of properties of a population from a sample. It tests hypotheses, estimates parameters, and makes predictions.

Here are some of the most common inferential statistical techniques:

  • Hypothesis testing : This assesses the significance of relationships or differences between variables.
  • Confidence intervals : This estimates the range within which population parameters likely fall.
  • Correlation and regression analysis : This examines relationships and predicts outcomes based on variables.
  • Analysis of variance (ANOVA) : This compare means across multiple groups or conditions.

Statistical software and tools for data analysis can perform complex statistical analyses efficiently. Some of the most popular statistical software packages include SPSS, SAS, and R.

Here are some of the main types of quantitative research methodology:

  • Descriptive research describes a particular population’s characteristics, trends, or behaviors. For example, a descriptive study might look at the average height of students in a school, the number of people who voted in an election, or the types of food people eat.
  • Correlational research checks the relationship between two or more variables. For example, a correlational study might examine the relationship between income and happiness or stress and weight gain. Correlational research can show that two variables are related but cannot show that one variable causes the other.
  • Experimental research is a type of research that investigates cause-and-effect relationships. In an experiment, researchers manipulate one variable (the independent variable) and measure the impact on another variable (the dependent variable). This allows researchers to make inferences about the relationship between the two variables.
  • Quasi-experimental research is similar to experimental research. However, it does not involve random assignment of participants to groups. This can be due to practical or ethical considerations, such as when assigning people to receive a new medication randomly is impossible. In quasi-experimental research, researchers try to control for other factors affecting the results, such as the participant’s age, gender, or health status.
  • Longitudinal research studies change patterns over an extended time. For example, a longitudinal study might examine how children’s reading skills develop over a few years or how people’s attitudes change as they age. But longitudinal research can be expensive and time-consuming. Still, it can offer valuable insights into how people and things change over time.

 Advantages and Disadvantages of Quantitative Research

  • Objectivity: Quantitative research aims to be objective and unbiased. This is because it relies on numbers and statistical methods, which reduce the potential for researcher bias and subjective interpretation.
  • Generalizability: Quantitative research often involves large sample sizes, which increases the likelihood of obtaining representative data. The study findings are more likely to apply to a wider population.
  • Replicability: Using standardized procedures and measurement instruments in quantitative research enhances replicability. This means that other researchers can repeat the study using the same methods to test the reliability of the findings.
  • Statistical analysis: Quantitative research employs various statistical techniques for data analysis. This allows researchers to identify data patterns, relationships, and associations. Additionally, statistical analysis can provide precision and help draw objective conclusions.
  • Numerical precision: Quantitative research produces numerical data that can be analyzed using mathematical calculations. This numeric precision allows for clear comparisons and quantitative interpretations.

Disadvantages of Quantitative Research :

  • Lack of Contextual Understanding : Quantitative research often focuses on measurable variables, which may limit the exploration of complex phenomena. It may overlook the social, cultural, and contextual factors that could influence the research findings.
  • Limited Insight : While quantitative research can identify correlations and associations, it may not uncover underlying causes or explanations of these relationships. It may provide answers to “what” and “how much,” but not necessarily “why.”
  • Potential for Simplification : The quantification of data can lead to oversimplification, as it may reduce complex phenomena into numerical values. This simplification may overlook nuances and intricacies important to understanding the research topic fully.
  • Cost and Time-Intensive : Quantitative research requires significant resources. It includes time, funding, and specialized expertise. Researchers must collect and analyze large amounts of numerical data, which can be lengthy and expensive.
  • Limited Flexibility : A systematic and planned strategy typically gets employed in quantitative research. It signifies the researcher’s use of a predetermined data collection and analysis approach. As a result, you may be more confident that your study gets conducted consistently and equitably. But it may also make it more difficult for the researcher to change the research plan or pose additional inquiries while gathering data. This could lead to missing valuable insights.

  • Market Research : Quantitative market research is a type of market research that uses numerical data to understand consumer preferences, buying behavior, and market trends. This data typically gets gathered through surveys and questionnaires, which are then analyzed to make informed business decisions.
  • Health Studies : Quantitative research, such as clinical trials and epidemiological research, is vital in health studies. Researchers collect numerical data on treatment effectiveness, disease prevalence, risk factors, and patient outcomes. This data is then analyzed statistically to draw conclusions and make evidence-based recommendations for healthcare practices.
  • Educational Research : Quantitative research is used extensively in educational studies to examine various aspects of learning, teaching methods, and academic achievement.   • Opinion Polls : Opinion polls and public opinion research rely heavily on quantitative research techniques. Polling organizations conduct surveys with representative samples of the population. The companies do this intending to gather numerical data on public opinions, political preferences, and social attitudes. The data then gets analyzed to gauge public sentiment and predict election outcomes or public opinion on specific issues.
  • Economic Research : Quantitative research is widely used in economic studies to analyze economic indicators, trends, and patterns. Quantitative methodology is the dominant research framework in the social sciences. It refers to a set of strategies, techniques and assumptions used to study psychological, social and economic processes through the exploration of numeric patterns . Quantitative research gathers a range of numeric data. Some of the numeric data is intrinsically quantitative (e.g. personal income), while in other cases the numeric structure is  imposed (e.g. ‘On a scale from 1 to 10, how depressed did you feel last week?’). The collection of quantitative information allows researchers to conduct simple to extremely sophisticated statistical analyses that aggregate the data (e.g. averages, percentages), show relationships among the data (e.g. ‘Students with lower grade point averages tend to score lower on a depression scale’) or compare across aggregated data (e.g. the USA has a higher gross domestic product than Spain). Quantitative research includes methodologies such as questionnaires, structured observations or experiments and stands in contrast to qualitative research. Qualitative research involves the collection and analysis of narratives and/or open-ended observations through methodologies such as interviews, focus groups or ethnographies.

What is the purpose of quantitative research?

The purpose of quantitative research is to generate knowledge and create understanding about the social world. Quantitative research is used by social scientists, including communication researchers, to observe phenomena or occurrences affecting individuals. Social scientists are concerned with the study of people. Quantitative research is a way to learn about a particular group of people, known as a sample population. Using scientific inquiry, quantitative research relies on data that are observed or measured to examine questions about the sample population.

What is business research?

Business research helps companies make better business decisions by gathering information. The scope of the term business research is quite broad – it acts as an umbrella that covers every aspect of business, from finances to advertising creative. It can include research methods which help a company better understand its target market. It could focus on customer experience and assess customer satisfaction levels. Or it could involve sizing up the competition through competitor research.

Often when carrying out business research, companies are looking at their own data, sourced from their employees, their customers and their business records. However, business researchers can go beyond their own company in order to collect relevant information and understand patterns that may help leaders make informed decisions. For example, a business may carry out ethnographic research where the participants are studied in the context of their everyday lives, rather than just in their role as consumer, or look at secondary data sources such as open access public records and empirical research carried out in academic studies.

There is also a body of knowledge about business in general that can be mined for business research purposes. For example organizational theory and general studies on consumer behavior.

Why is business research important?

We live in a time of high speed technological progress and hyper-connectedness. Customers have an entire market at their fingertips and can easily switch brands if a competitor is offering something better than you are. At the same time, the world of business has evolved to the point of near-saturation. It’s hard to think of a need that hasn’t been addressed by someone’s innovative product or service.

Types of business research

Business research methods vary widely, but they can be grouped into two broad categories – qualitative research and quantitative research .

Qualitative research methods

Qualitative business research deals with non-numerical data such as people’s thoughts, feelings and opinions. It relies heavily on the observations of researchers, who collect data from a relatively small number of participants – often through direct interactions.

Qualitative research interviews take place one-on-one between a researcher and participant. In a business context, the participant might be a customer, a supplier, an employee or other stakeholder. Using open-ended questions , the researcher conducts the interview in either a structured or unstructured format. Structured interviews stick closely to a question list and scripted phrases, while unstructured interviews are more conversational and exploratory. As well as listening to the participant’s responses, the interviewer will observe non-verbal information such as posture, tone of voice and facial expression.

Focus groups

Like the qualitative interview, a focus group is a form of business research that uses direct interaction between the researcher and participants to collect data. In focus groups , a small number of participants (usually around 10) take part in a group discussion led by a researcher who acts as moderator. The researcher asks questions and takes note of the responses, as in a qualitative research interview. Sampling for focus groups is usually purposive rather than random, so that the group members represent varied points of view.

Observational studies

In an observational study, the researcher may not directly interact with participants at all, but will pay attention to practical situations, such as a busy sales floor full of potential customers, or a conference for some relevant business activity. They will hear people speak and watch their interactions , then record relevant data such as behavior patterns that relate to the subject they are interested in. Observational studies can be classified as a type of ethnographic research. They can be used to gain insight about a company’s target audience in their everyday lives, or study employee behaviors in actual business situations.

Ethnographic Research

Ethnographic research is an immersive design of research where one observes peoples’ behavior in their natural environment. Ethnography was most commonly found in the anthropology field and is now practices across a wide range of social sciences.

Ehnography is used to support a designer’s deeper understanding of the design problem – including the relevant domain, audience(s), processes, goals and context(s) of use.

The ethnographic research process is a popular methodology used in the software development lifecycle. It helps create better UI/UX flow based on the real needs of the end-users.

Case study research

A case study is a detailed piece of research that provides in depth knowledge about a specific person, place or organization. In the context of business research, case study research might focus on organizational dynamics or company culture in an actual business setting, and case studies have been used to develop new theories about how businesses operate. Proponents of case study research feel that it adds significant value in making theoretical and empirical advances. However its detractors point out that it can be time consuming and expensive, requiring highly skilled researchers to carry it out.

Quantitative research methods

Quantitative research focuses on countable data that is objective in nature. It relies on finding the patterns and relationships that emerge from mass data – for example by analyzing the material posted on social media platforms, or via surveys of the target audience. Data collected through quantitative methods is empirical in nature and can be analyzed using statistical techniques. Unlike qualitative approaches, a quantitative research method is usually reliant on finding the right sample size, as this will determine whether the results are representative. These are just a few methods – there are many more.

Surveys are one of the most effective ways to conduct business research. They use a highly structured questionnaire which is distributed to participants, typically online (although in the past, face to face and telephone surveys were widely used). The questions are predominantly closed-ended, limiting the range of responses so that they can be grouped and analyzed at scale using statistical tools. However surveys can also be used to get a better understanding of the pain points customers face by providing open field responses where they can express themselves in their own words. Both types of data can be captured on the same questionnaire, which offers efficiency of time and cost to the researcher.

Correlational research

Correlational research looks at the relationship between two entities, neither of which are manipulated by the researcher. For example, this might be the in-store sales of a certain product line and the proportion of female customers subscribed to a mailing list. Using statistical analysis methods, researchers can determine the strength of the correlation and even discover intricate relationships between the two variables. Compared with simple observation and intuition, correlation may identify further information about business activity and its impact, pointing the way towards potential improvements and more revenue.

Experimental research

It may sound like something that is strictly for scientists, but experimental research is used by both businesses and scholars alike. When conducted as part of the business intelligence process, experimental research is used to test different tactics to see which ones are most successful – for example one marketing approach versus another. In the simplest form of experimental research, the researcher identifies a dependent variable and an independent variable. The hypothesis is that the independent variable has no effect on the dependent variable, and the researcher will change the independent one to test this assumption. In a business context, the hypothesis might be that price has no relationship to customer satisfaction. The researcher manipulates the price and observes the C-Sat scores to see if there’s an effect.

You can make the business research process much quicker and more efficient by selecting the right tools. Business research methods like surveys and interviews demand tools and technologies that can store vast quantities of data while making them easy to access and navigate. We can divide research into two basic categories:

  • Qualitative research focuses on quality in the sense of “what is it like?” or “how does it feel?”
  • Quantitative research focuses on quantity in the sense of “how many customers?” or “what percentage?”

Obtaining Feedback with Qualitative Research

Qualitative research involves investigative methods that cross subjects and academic disciplines to gain in-depth information. If quantitive research explores “what,” qualitative research explores “how” and “why.” From interviews to focus groups, many of the face-to-face strategies used to gather information are qualitative in nature.

You have five senses, and you may be able to distinguish between sweet and salty foods, but can you describe what you taste and smell? Let’s say you work for a vineyard, and have been tasked to write a paragraph describing a new wine. Could you? Capturing fine data points and representing them in words and symbols can be a significant challenge for researchers. When testing the wine with a focus group, you might want information on how it is perceived, and the responses may be varied and unusual. What do you do with the information you gather? You may be able to identify trends among the varied responses, and create groups that indicate a woody or earthy flavor, but numbers will fail to capture the nuances of flavor and body of the wines in the information.

Some information—like the way consumers characterize the taste of a wine—is a challenge to obtain, and qualitative research often serves well in this capacity. If quantitative research handles large audiences well, qualitative research allows for in-depth interpersonal interviews that produce rich and meaningful results. The information may not be as reliable, and your ability to produce the same results over time may be limited, but humans are emotional, irrational, and unpredictable. They are also, each in his or her own way, unique. As you increase the level of perspective in terms of abstraction, all humans may eventually come to look similar, even the same. We all possess some similar characteristics, such as the use of language, or the composition of our bodies. But when you look more closely, you see the diverse range of languages, and learn that not everyone has 206 bones in an adult body. Between these two views we find the range of information that quantitative and qualitative research attempt to address.

Suppose we want to determine who has greater lifetime risk of developing heart disease, a man or a woman? If we are talking about an individual man and an individual woman, our answer might be quite different from what it would be if we were talking about men in general versus women in general. A survey may work well to capture the data about men versus women, but a face-to-face interview with a man and a woman will allow for interaction, follow-up questions, and a much better picture of the question: between this individual woman and this individual man, who is more likely to be at risk? The risk and protective factors we learn from broad research projects involving thousands of subjects have value, but there are times when a broad brushstroke will fail to capture the fine data that is needed or desired.

Imagine that you are involved with a direct observation of buying behavior by reviewing video recordings of security cameras that clearly show your company’s product in relation to other products on the shelf. You may find, particularly after a review of the literature, that product placement makes a significant impact on purchase decisions. In addition, you may be involved with some level of participation in the setting. Serving as a participant observer means you are part of the process, involved in action, and not separated from the interaction. You look at the sales experience through the eyes of a participant, and view others through the eyes of an observer. You may find that interviews and focus groups serve to teach you more about your audience, but may also find that others have conducted similar interviews and learn from their findings.

As a business writer, you should be familiar with qualitative research and its relative strengths and weaknesses. You may use some of its techniques to gather information about your audience, may cite research that involves qualitative methods, and may utilize its strategies with an audience post document, product, or service.

Obtaining Feedback with Quantitative Research

Quantitative research involves investigation and analysis of data and relationships between data that can be represented by numbers. It is often used to test a hypothesis, and normally involves large volumes of data. Where a qualitative research project may involve a dozen interviews, a quantitative one would involve hundreds or thousands. Since each interview carries a cost—and a thousand or ten thousand interviews may exceed the research budget of your organization—a more cost-effective alternative must be found. By limiting the number of questions and limiting the ways in which participants can respond, the data can be gathered at a lower cost with often a higher level of statistical validity.

In qualitative research, you may ask an open-ended question like “What does the wine taste like?” In quantitative research, you may limit the response options: “Does the wine taste (a) woody, (b) fruity, or (c) both?” You may find that 90 percent of respondents indicate answer (c); you can represent it with numbers and a graph, but it may not serve your investigation the way you planned.

Research methodologies involve examining and evaluating the methods used in investigation or soliciting feedback. They are used to address and improve poorly worded questions, and to help the investigator match the research goal to the method. Quantitative research serves us well when we ask, does vitamin C, taken at a dosage of 500 mg daily for five years, lower the incidence of the common cold? We could track a thousand participants in the study who provide intake prescreening information, confirm daily compliance, and participate in periodic interviews. We also know that part of our group is taking a placebo (sugar pill) as part of the requirements of a double-blind study. At the end of the term, we have certain numbers that may be able to indicate the degree to which vitamin C affects the incidence rate of illness.

Advertisers often conduct research to learn more about preference and attitudes, two areas that are not easily captured. Sometimes preference studies use Likert scales, which give respondents a preset scale to rate their answers. An example of a Likert item might be, “Please indicate to what degree you agree or disagree with this statement: I enjoy drinking brand X wine. Do you (1) strongly agree, (2) agree, (3) neither agree nor disagree, (4) disagree, or (5) strongly disagree?”

There is a tendency for some attitudinal and preferential research that may be more accurately described as qualitative, to be described in numerical terms. For example, you have probably heard the claim that “four out of five dentists prefer brand X,” when in itself, the number or representation of preference is meaningless. As an astute business writer, you will be able to understand pre (before) and post (after) document, product, or service research investigations and distinguish between the two main approaches.

What Is Validity?

How do you know the results presented in a study or article have value? How do you know they are valid? Validity involves the strength of conclusions, inferences or assertions. Thomas Cook and Dan Campbell Cook, T. D., & Campbel, D. T. (1979). Quasi-experimentation: Design and analysis issues for field settings . Chicago, IL: Rand McNally. indicate that validity is often the best available approximation of the truth or falseness of an inference, proposition, or conclusion. Readers want to know that your information has value and that there is confidence in its points, supporting information, and conclusions. They want to know you are right and not making false statements.

One way you can address the value of validity is to cite all your sources clearly. As a writer, you may certainly include information from authorities in the field when the attribution is relevant and the citation is clear. Giving credit where credit is due is one way to make your information more valuable, and by referencing the sources clearly, you enable the reader to assess the validity of the information you have provided.

Does all feedback have validity? Just as there are many threats to validity in research applications, you cannot always be sure that the feedback you receive is accurate or truthful. Have students ever evaluated professors negatively because of the required work in the course? Of course. In the same way, some readers may have issues with the topic or your organization. Their feedback post may be less than supportive, and even openly hostile. Assess the validity of the feedback, respond with professionalism at all times, and learn how to let go of the negative messages that offer little opportunity to improve understanding.

What Is Reliability?

Reliability is the consistency of your measurements. The degree to which an instrument gives the same measurement each and every time with the same subjects, in the same context, is a measure of its reliability. For example, if you took your temperature three times within fifteen minutes, and your thermometer gave a different reading each time—say, 98.6, 96.6, and 100.2—you would conclude that your thermometer was unreliable.

How does this apply to feedback in business writing? Let’s say you have three sales agents who will complete follow-up interactions with three customers after you have sent a report to each customer on their purchases to date with suggestions for additional products and services. All three sales agents have the same information about the products and services, but will they perform the same? Of course not. Each one, even if they are trained to stay on script and follow specific protocols, will not be identical in their approach and delivery. Each customer is also different, so the context is different in each case. As business professionals, we need to learn about our environment and adapt to it. This requires feedback and attention to the information in many forms. We need to assess the degree of strength or weakness of the information, its reliability, or validity, and be prepared to act on that information. Successful businesses, and by extension successful business communicators, recognize that communication is a two-way process in which we need to listen, learn, and respond to feedback. We need to meet and exceed the expectations of our customers.

Inter-rater reliability involves the degree to which each evaluator evaluates the same in similar contexts. One can think of a college essay, for example, to better understand this concept. Let’s say you write an essay on customer relationship management and submit it to the instructor of your business communication class. At the same time, you submit the same essay to your English professor, and you submit a copy to your marketing professor. Will all three professors evaluate your essay the same? Of course not. They will each have their own set of expectations and respective disciplines that will influence what they value and how the evaluate. Still, if your essay is thoroughly researched, logically organized, and carefully written, each professor may give it a better than average grade. If this is the case, inter-rater reliability would indicate that you did a good job on the essay.

What Is Statistically Significant?

This is a research term that is often used and commonly misunderstood. Not every research finding is statistically significant, and many of those that are considered significant are only slightly more likely than pure chance. Statistically significant findings are those that have a high level of reliability, in that if the same test is applied in the same context to the same subjects, the results will come out the same time and time again. You may see a confidence level of +/– (plus or minus) three percentage points as a common statement of reliability and confidence in a poll. It means that if the poll were repeated, there is confidence that the results would be within three points above or below the percentages in the original results. When statements of statistical significance are made, you will know that it means a difference or a relationship was established with confidence by the study. That confidence gives the results credibility.

Characteristics of Quantitative Research

Your goal in conducting quantitative research study is to determine the relationship between one thing [an independent variable] and another [a dependent or outcome variable] within a population. Quantitative research designs are either descriptive [subjects usually measured once] or experimental [subjects measured before and after a treatment]. A descriptive study establishes only associations between variables; an experimental study establishes causality.

Quantitative research deals in numbers, logic, and an objective stance. Quantitative research focuses on numeric and unchanging data and detailed, convergent reasoning rather than divergent reasoning [i.e., the generation of a variety of ideas about a research problem in a spontaneous, free-flowing manner].

Its main characteristics are :

  • The data is usually gathered using structured research instruments.
  • The results are based on larger sample sizes that are representative of the population.
  • The research study can usually be replicated or repeated, given its high reliability.
  • Researcher has a clearly defined research question to which objective answers are sought.
  • All aspects of the study are carefully designed before data is collected.
  • Data are in the form of numbers and statistics, often arranged in tables, charts, figures, or other non-textual forms.
  • Project can be used to generalize concepts more widely, predict future results, or investigate causal relationships.
  • Researcher uses tools, such as questionnaires or computer software, to collect numerical data.

The overarching aim of a quantitative research study is to classify features, count them, and construct statistical models in an attempt to explain what is observed.

  Things to keep in mind when reporting the results of a study using quantitative methods :

  • Explain the data collected and their statistical treatment as well as all relevant results in relation to the research problem you are investigating. Interpretation of results is not appropriate in this section.
  • Report unanticipated events that occurred during your data collection. Explain how the actual analysis differs from the planned analysis. Explain your handling of missing data and why any missing data does not undermine the validity of your analysis.
  • Explain the techniques you used to "clean" your data set.
  • Choose a minimally sufficient statistical procedure ; provide a rationale for its use and a reference for it. Specify any computer programs used.
  • Describe the assumptions for each procedure and the steps you took to ensure that they were not violated.
  • When using inferential statistics , provide the descriptive statistics, confidence intervals, and sample sizes for each variable as well as the value of the test statistic, its direction, the degrees of freedom, and the significance level [report the actual p value].
  • Avoid inferring causality , particularly in nonrandomized designs or without further experimentation.
  • Use tables to provide exact values ; use figures to convey global effects. Keep figures small in size; include graphic representations of confidence intervals whenever possible.
  • Always tell the reader what to look for in tables and figures .

NOTE:   When using pre-existing statistical data gathered and made available by anyone other than yourself [e.g., government agency], you still must report on the methods that were used to gather the data and describe any missing data that exists and, if there is any, provide a clear explanation why the missing data does not undermine the validity of your final analysis.

Basic Research Design for Quantitative Studies

Before designing a quantitative research study, you must decide whether it will be descriptive or experimental because this will dictate how you gather, analyze, and interpret the results. A descriptive study is governed by the following rules: subjects are generally measured once; the intention is to only establish associations between variables; and, the study may include a sample population of hundreds or thousands of subjects to ensure that a valid estimate of a generalized relationship between variables has been obtained. An experimental design includes subjects measured before and after a particular treatment, the sample population may be very small and purposefully chosen, and it is intended to establish causality between variables. Introduction The introduction to a quantitative study is usually written in the present tense and from the third person point of view. It covers the following information:

  • Identifies the research problem -- as with any academic study, you must state clearly and concisely the research problem being investigated.
  • Reviews the literature -- review scholarship on the topic, synthesizing key themes and, if necessary, noting studies that have used similar methods of inquiry and analysis. Note where key gaps exist and how your study helps to fill these gaps or clarifies existing knowledge.
  • Describes the theoretical framework -- provide an outline of the theory or hypothesis underpinning your study. If necessary, define unfamiliar or complex terms, concepts, or ideas and provide the appropriate background information to place the research problem in proper context [e.g., historical, cultural, economic, etc.].

Methodology The methods section of a quantitative study should describe how each objective of your study will be achieved. Be sure to provide enough detail to enable the reader can make an informed assessment of the methods being used to obtain results associated with the research problem. The methods section should be presented in the past tense.

  • Study population and sampling -- where did the data come from; how robust is it; note where gaps exist or what was excluded. Note the procedures used for their selection;
  • Data collection – describe the tools and methods used to collect information and identify the variables being measured; describe the methods used to obtain the data; and, note if the data was pre-existing [i.e., government data] or you gathered it yourself. If you gathered it yourself, describe what type of instrument you used and why. Note that no data set is perfect--describe any limitations in methods of gathering data.
  • Data analysis -- describe the procedures for processing and analyzing the data. If appropriate, describe the specific instruments of analysis used to study each research objective, including mathematical techniques and the type of computer software used to manipulate the data.

Results The finding of your study should be written objectively and in a succinct and precise format. In quantitative studies, it is common to use graphs, tables, charts, and other non-textual elements to help the reader understand the data. Make sure that non-textual elements do not stand in isolation from the text but are being used to supplement the overall description of the results and to help clarify key points being made.   • Statistical analysis -- how did you analyze the data? What were the key findings from the data? The findings should be present in a logical, sequential order. Describe but do not interpret these trends or negative results; save that for the discussion section. The results should be presented in the past tense.

Discussion Discussions should be analytic, logical, and comprehensive. The discussion should meld together your findings in relation to those identified in the literature review, and placed within the context of the theoretical framework underpinning the study. The discussion should be presented in the present tense.

  • Interpretation of results -- reiterate the research problem being investigated and compare and contrast the findings with the research questions underlying the study. Did they affirm predicted outcomes or did the data refute it?
  • Description of trends, comparison of groups, or relationships among variables -- describe any trends that emerged from your analysis and explain all unanticipated and statistical insignificant findings.
  • Discussion of implications – what is the meaning of your results? Highlight key findings based on the overall results and note findings that you believe are important. How have the results helped fill gaps in understanding the research problem?
  • Limitations -- describe any limitations or unavoidable bias in your study and, if necessary, note why these limitations did not inhibit effective interpretation of the results.

Conclusion End your study by to summarizing the topic and provide a final comment and assessment of the study.

  • Summary of findings – synthesize the answers to your research questions. Do not report any statistical data here; just provide a narrative summary of the key findings and describe what was learned that you did not know before conducting the study.
  • Recommendations – if appropriate to the aim of the assignment, tie key findings with policy recommendations or actions to be taken in practice.
  • Future research – note the need for future research linked to your study’s limitations or to any remaining gaps in the literature that were not addressed in your study.

Strengths of Using Quantitative Methods

Quantitative researchers try to recognize and isolate specific variables contained within the study framework, seek correlation, relationships and causality, and attempt to control the environment in which the data is collected to avoid the risk of variables, other than the one being studied, accounting for the relationships identified.

Among the specific strengths of using quantitative methods to study social science research problems:

  • Allows for a broader study, involving a greater number of subjects, and enhancing the generalization of the results;
  • Allows for greater objectivity and accuracy of results. Generally, quantitative methods are designed to provide summaries of data that support generalizations about the phenomenon under study. In order to accomplish this, quantitative research usually involves few variables and many cases, and employs prescribed procedures to ensure validity and reliability;
  • Applying well established standards means that the research can be replicated, and then analyzed and compared with similar studies;
  • You can summarize vast sources of information and make comparisons across categories and over time; and,
  • Personal bias can be avoided by keeping a 'distance' from participating subjects and using accepted computational techniques .

Limitations of Using Quantitative Methods

Quantitative methods presume to have an objective approach to studying research problems, where data is controlled and measured, to address the accumulation of facts, and to determine the causes of behavior. As a consequence, the results of quantitative research may be statistically significant but are often humanly insignificant.

Some specific limitations associated with using quantitative methods to study research problems in the social sciences include:

  • Quantitative data is more efficient and able to test hypotheses, but may miss contextual detail;
  • Uses a static and rigid approach and so employs an inflexible process of discovery;
  • The development of standard questions by researchers can lead to "structural bias" and false representation, where the data actually reflects the view of the researcher instead of the participating subject;
  • Results provide less detail on behavior, attitudes, and motivation;
  • Researcher may collect a much narrower and sometimes superficial dataset;
  • Results are limited as they provide numerical descriptions rather than detailed narrative and generally provide less elaborate accounts of human perception;
  • The research is often carried out in an unnatural, artificial environment so that a level of control can be applied to the exercise. This level of control might not normally be in place in the real world thus yielding "laboratory results" as opposed to "real world results"; and,
  • Preset answers will not necessarily reflect how people really feel about a subject and, in some cases, might just be the closest match to the preconceived hypothesis.

In this article, the co-editors of the Leadership and Ethics: Quantitative Analysis section of the journal outline some of the key issues about conducting quantitative research at the intersection of business, ethics, and leadership. They offer guidance for authors by explaining the types of papers that are often rejected and how to avoid some common pitfalls that lead to rejection.
