With the gracious permission of successful investigators, some NIH institutes have provided samples of funded applications, summary statements, and more. When referencing these examples, it is important to remember:

  • The applications below used the form version and instructions that were in effect at the time of their submission. Forms and instructions change regularly. Read and carefully follow the instructions in your chosen funding opportunity and the Application Guide .
  • The best way to present your science may differ substantially from the approaches used in these examples. Seek feedback on your draft application from mentors and others.
  • Talk to an NIH program officer in your area of science for advice about which grant program would be a good fit for you and the Institute or Center that might be interested in your idea.
  • Samples are not available for all grant programs. Because many programs have common elements, the available samples can still provide helpful information and demonstrate effective ways to present information.

How to write a research proposal for a PhD application

What is a research proposal.

A research proposal gives details of the direction of your future research, usually based on a research question and a chapter-by-chapter approach to answering it.

For PhD applications, this proposal will be assessed to see:

  • whether the project is likely to be completed within three years of full-time research
  • whether it can be effectively supervised at the university
  • whether you are competent and keen enough to complete it.

There may be other factors affecting whether you get a place at the University of Brighton:

  • whether the project fits a growing or established research priority of the university
  • how the proposal fits with a current cohort and the research environment

A successful proposal will leave the panel in no doubt on these, and you should prepare to show the strength of your idea and demonstrate your suitability.

Within the proposal, you should take the opportunity to clearly outline your research idea; your research methodology and critical approaches; your experience in this field of research where you can; and how your work will be offering an original contribution to knowledge, theories and/or practice.

How to get a prospective supervisor's help with your proposal

The strongest proposals are often ones that have been written jointly between a prospective student and prospective supervisor.

As Professor Pollen states in our film, supervisors have an understanding of the language used in proposals and the skillsets that asessors will want to see -- whether for a university position or a funding application.

To develop a strong proposal, we recommend you  work with a possible supervisor  at the University of Brighton who can help shape your project for feasibility and suitability within our institution. This person may then become your lead supervisor.

Finding a PhD theme and understanding the university research environment

You may be responding to an advertised call for a particular project that has already achieved funding. Alternatively, you may want to propose a personally developed project. 

If you are responding to a call then the advertisement will have clear guidance as to what research experience and interest a candidate will need. This should help you structure your PhD research proposal.

If you are proposing a personally developed project then it should be carefully written to show the viability within the university's current research environment and a specific supervisory possibility at the university.

Our research database has useful leads to potential supervisory staff and a strong idea of the university's current research priorities online:

  • Visit our research database of staff, projects and organisational units.

Once you have identified a potential lead researcher of a research project most aligned to yours, do not hesitate to email them.

Explain who you are, your motivation to do a PhD in their field of study and with them. They will let you know if they are interested in your project and would be interested in potentially supervising your PhD. If they cannot commit, they may be able to help you identify another researcher who could be available and interested.

By liaising with a suitable supervisor, your proposal will benefit from expert help and be channelled towards the appropriate disciplinary environment.

What should a research proposal contain?

A research proposal should include the following:

1. Indicative title of the topic area

This should accurately reflect what it is that you want to study and the central issues that you are going to address.

It may be useful to present this in the format of a statement (perhaps a quote) and a question, separated by a colon. For example: '"The tantalising future of research": how are research proposals developed and assessed?'

2. Context / rationale / why is this study important? (300 – 500 words)

Introduce your specific area of study. You should identify the theoretical context within which your research will be developed by discussing the discipline(s) and or field/s of study relevant to your research.

This means outlining the key theoretical area(s) you will draw upon to enable you to find out what it is that you want to know (for example, how it is underpinned from methods in the social sciences; arts and humanities; life, health and physical sciences).

What we are looking for here is an indication that you understand and have done some research into the wider theoretical context.

Developing the context is just one part of this section; you are building a case / rationale for the study area. Why is this study important, which theoretical areas support this? Can you identify any gaps in current understanding that help you build the case for this research study?

For example, this section might take the form of: a series of statements on the current landmark areas of thought; a recognition of what has not yet been done thoroughly enough or where there is territory for research between these landmark studies; and where your study will fill the gaps you have identified.

3. Literature review (approximately 700 – 900 words)

Here you are demonstrating that you are aware of what has been and what is currently being written about your topic.

It will certainly include the up-to-date and relevant past landmark academic literature. It may also include other evidence of current thought and attitude, for example, government documents or media coverage. Practice-led PhD studies may make reference to innovation and trends in industry or professional practice.

We are looking for you to make links between this body of literature and your proposed area of study. This will support the ways you have identified gaps in the current global knowledge-base. A PhD thesis arises from original research leading to new knowledge or a significant contribution to existing knowledge. If, at this stage, you have some thoughts on how your research is likely to contribute to knowledge then include details in your proposal.

This section should include citations which are compiled into a reference list at the end of the document (see point 7).

4. The research questions or hypotheses (approximately 200 words)

Having told us what you want to study and why, and then illustrated these ideas with reference to a body of literature, the next task is to distil your ideas into a tentative set of research questions, hypotheses, aims and objectives (as per the underpinning discipline requires) that are manageable and achievable within a normal PhD timeframe (see 6 below). There are typically between three and ten questions/aims of this kind.

5. Research approach/ methodologies / methods (approximately 400 words)

There will be many research approaches open to you. In your proposal, suggest the methodological approach that you might take and make a reasoned case as to why the research questions you have posed are best addressed by this approach.

You might also suggest what methods you would use to generate data that can help you address your research questions.

6. Timescale/research planning (approximately 200 words)

A full-time PhD should take three years to complete, although you may require more time to acquire the relevant skills prior to commencing your research. Part-time study will take longer (up to five - six years). Within this timeframe, you will need to demonstrate your awareness of time management and planning, for example the length of time for primary research/ fieldwork.

7. Reference list 

You should include a reference list of all the sources that you referred to in the text using a recognised referencing style appropriate to your discipline (for example Harvard or Vancouver for Sciences).

Evidence of thorough background reading might include between ten and twenty citations at this point. They should demonstrate to an expert that you are knowledgeable of the landmark work in your field.

Research proposals in practice-led and professionally-based disciplines

The University of Brighton prides itself on the quality of its research in areas that intersect with professional practices and direct impact through in-the-field relationships with co-producers.

We are very supportive of doctoral projects that bring positive results from these methodolgies and practices.

Some of the subject areas that have supported personal practice as research include: design, art, architecture, media production and creative writing, with successful approaches including autoethnographic methods and public participation or site-specific interventions. 

Some of the areas that have benefited from significant professional practice and industry relationship-focused research have included: engineering, nursing, business administration and teaching. 

The research proposal will still need to demonstrate your capability as a researcher with a project that is workable and fits with the university's interests and capacities. 

You should, however, adapt your proposal to demonstrate the value that your practice can bring to the research. This should be in tandem with a clear understanding of the relationship between practice and research.

A clear competence in practice should be evidenced, but do be aware that your proposal will be judged on its research and the new knowledge that is developed and shared, rather than the quality of practice in and of itself.

Personal practices, experiences and data gained through professional relationships may form part of a standard PhD thesis and proposal as description of work and resulting data. You will only be appyling for a practice-led component to be taken into account if this will form a significant part of the representation and examination of the knowledge-base. In such cases, the thesis is signficantly shorter.

Some pitfalls in the applications for practice-led or practice-focused research include:

  • An imbalance between the practical and theoretical elements
  • Too arbitrary a divide between the practice and theory
  • Using practice to simply provide personal illustrations of established theories or concepts
  • Insufficient sense of how the research knowledge will be held and disseminated
  • Insufficiently contained scope for a three-year project – for example, where the practice is described as a life-long investigation – with no clarity on an end-point
  • A project that could be better or similarly tackled through a standard PhD in terms of efficient response to the research questions. For example where the practice element might be represented as data or results instead of examined practice.

How to write a good application - ESRC

The content and quality of the application you submit to us will determine whether you are successful. Therefore, it is vital that you have a full understanding of what is required, as well as knowing the various stages of the application process, so that you maximise your chances of being funded.

These notes are intended to assist you in the preparation of applications to the ESRC responsive mode: research grants funding opportunity  and should be read in conjunction with the ESRC research funding guide .

They provide informal guidance on points for applicants to remember when drafting applications.

You may also find this information helpful if you’re applying to another funding opportunity although you should take care to follow any funding opportunity-specific guidance provided.

Careful attention will help you to avoid some of the basic pitfalls and improve the funding chances of your research idea.

Our guidance for writing a good research grant application

Allow yourself time.

Preparing a draft application and consulting on it, preparing the project costings and getting advice on these, as well as reading the regulations of the funding opportunity to learn what is and what is not permissible, are all time-consuming parts of the process of application.

  • ESRC guidance for applicants

Study your funding source

All funding agencies will have their own criteria for deciding on allocation of their resources. It is worthwhile taking time to familiarise yourself with these and ensuring that your application clearly addresses your targeted source of support.

We are an agency funded by the government and its mission is “to promote and support by any means, high quality, basic, strategic and applied research and related postgraduate training in the social sciences; to advance knowledge and provide trained social scientists which meets the needs of users and beneficiaries, thereby contributing to the economic competitiveness of the UK, the effectiveness of public services and policy, and the quality of life; and, to provide advice on, and disseminate knowledge and promote public understanding of, the social sciences”.

All successful ESRC research grants demonstrate four characteristics. They must:

  • promise excellent research
  • be of value to potential users outside or within the research community
  • convince of the ability to deliver research
  • demonstrate value for money (not necessarily the same as cheapness).

Further information relating to how applications are peer reviewed and the standards against which you will be judged are provided within ESRC’s guidance for reviewers and ESRC’s peer reviewer training tool – this is an online course which takes around an hour to complete, although it is possible to dip in and out as well.

Read the guidance documents

You should read the funding opportunity guidance which is designed to help you through the process. This cannot be overstressed; familiarising yourself with the content of the research funding guide may seem tedious but will help you to avoid basic mistakes which at best will require clarification with office staff and at worst may prejudice chances of success. Please abide by the rules, since they are there to ensure a level playing field for all applicants, and applications which break the rules will be rejected. Make sure you are using the current versions of guidance as rules and regulations are subject to change. If in doubt, check with the named ESRC contact for the funding opportunity.

Discuss your application

You should discuss your application with peer groups, colleagues and, if you are a relatively new researcher, with senior and more experienced researchers. Experienced collaboration or mentoring rarely goes amiss. If you have never sent in an application to us before, try to get the advice of someone who has already been successful.

Talk to your research office and draw on the support that they can give you in putting together your application and calculating your costings.

Justify your costings

When you justify your costings, they should be considered with care and close reference to our research funding guide.

Be realistic – lavish costings are unlikely to find favour with panel members and an application which promises the earth at remarkably low expense will be regarded with caution.

Panels take a very dim view of applications where the costings have been padded to reach the lower financial threshold for the funding opportunity, and if potential cuts would take the overall cost of the application below the threshold the application will not be funded.

You need to provide clear and convincing justification of your costings and should think carefully about the time and resources needed to complete the research successfully within the specified period.

Grants will be based on the eligible costings included in applications and will be subject to standard indexation and be cash limited at the time of announcement, so it is important to get costings right when applying.

A well thought out financial plan helps to create confidence in the application generally. Give as detailed a breakdown of costs as possible so that the panel can properly assess the application.

Do make sure that what you are asking for is allowed within the regulations. Bear in mind that ESRC is looking for value for money, and that applications which offer poor value for money will be scored down by panels, even when the science may be excellent.

Content and presentation

The research application is the means by which you will be trying to convince the panel that your application is worth funding so think carefully about what information you are going to give and how it is presented.

Make sure you think your project plan through and cover all stages of the research lifecycle. The project lifecycle includes the planning and research design stage, the period of funding for the project, and all activities that relate to the project up to and including the time when funding has ended.

The research lifecycle therefore also includes knowledge exchange and impact realisation activities, the dissemination process including reporting and publication and the archiving, future use, sharing, and linking of data.

Many applications are unsuccessful not because they lack interesting or important research ideas, but because they fail to communicate adequately how these research ideas will be explored and translated into an achievable plan of action.

It is vital that you have a full understanding of what is required, as well as knowing the various stages of the application process, so that you maximise your chances of gaining an award.

Convey to the panel your genuine interest, understanding and enthusiasm for the work.

The vision and approach section is the core of your application. It is also important to make sure that you devote enough space in the application to describing the research you intend to conduct and the research design and methods – the panels find it very frustrating when applicants devote pages to explaining why their proposed research is exciting but then provide only a short and inadequate explanation of how they propose to explore this in practice.

Write in plain English. Your application is likely to be seen by many people, including some who will not be familiar with your particular specialism. Detail and specification may necessitate the use of disciplinary or technical terminology and this will be clear to peer reviewers, but the ideas you wish to convey and your reasons for doing so should be apparent to a wide audience.

Peer reviewers and panel members do not welcome dense blocks of text which have not been broken down into paragraphs and sub sections. By the same token, do take the trouble to check spelling, grammar and punctuation. These are all part of the quality of presentation and presentation matters.

Knowledge exchange and impact

Our mission places emphasis on ensuring that researchers engage as fully as possible with the users of research outcomes. These may be:

  • other academics
  • government departments
  • public bodies
  • voluntary organisations
  • other interested parties

Try to consult with and involve people who could make a valuable contribution to the research and who could provide support and interest. Involving stakeholders and users in the planning stages can be highly beneficial.

In line with the common position on excellence with Impact adopted by research councils, we expect that the researchers we fund will have considered the potential scientific, societal and economic impacts of their research.

You should actively consider how these can be maximised and developed throughout your application. Consideration of the potential economic and social impact of your proposed research will form part of the peer review and assessment process of your application. You are expected to take impact seriously. If you believe that your research project is purely theoretical or methodological and will only have impacts within academia you should consider your impact strategy to justify your belief.

Opportunities for making an impact may arise, and should be taken, at any stage during the lifecourse of the research. It is important that researchers have in place a robust strategy for maximising the likelihood of such opportunities arising and their own capacity for taking advantage of these.

Check the details

Once you have completed the application make sure that all the required information is provided. Some of the most common issues are:

  • an unrealistic start date
  • vision and approach section exceeding the specified length
  • no additional details provided of revisions made to an application in the case of invited resubmissions

What happens next?

For the esrc responsive mode: research grants funding opportunity.

Applications receiving sufficiently supportive comments from external academic reviewers are forwarded to the panel members (introducers) for a funding recommendation. This is primarily informed by the average expert reviewer score. The minimum threshold score for progressing to the panel is determined on an individual funding opportunity basis.

Applications receiving an average expert reviewer score below the minimum threshold are rejected as not meeting the requisite scientific standard.

At the full panel meetings a proportion of applications will be recommended for funding. Unsuccessful applications fall into two categories – those which are unsuccessful due to lack of funds, and those which do not meet the requisite scientific standard.

A ranked list of recommendations is then considered by the grants delivery group for a final funding decision.

We accept only invited resubmissions. We do not allow the resubmission of any previously unsuccessful applications (including applications previously submitted to another research council), unless applicants have been specifically invited to do so.

In the majority of cases funding decisions are made around six months from the submission of your application, so please bear this in mind when applying.

If your research is time-critical you will need to allow enough time from submission for the application to go through the full application process, and the post-award checks/contracting process which takes an additional two months, on average.

Congratulations, and we hope your project goes well.

However, if difficulties arise such as delays in recruitment, staff illness, replacements, or changes to the work plan then please let us know immediately via your research office.

Under our research funding guide rules you will not need to notify us of virements of funds between headings and no supplementation will be allowed.

Navigating your financial prospects can present a challenge, but scholarships and grants are there as available resources. In this blog, we will explain the opportunities to fund your PhD. We’ll also provide practical advice to help you find the right funding options for your PhD. Our guidance aims to give you a strong foundation for success.

Finding Doctoral Scholarships and Grants

Finding funding for graduate studies can be stressful, but scholarships and grants are available if you know where to look. 

  • University Funding: Universities often offer scholarships and research grants to PhD students. For instance, the SMU provides various funding options for doctoral students through the Moody School for Graduate and Advanced Studies.
  • Professional Associations: Depending on your field of study, grants are often available from professional associations. Have a look at your specific discipline’s association website or reach out to them directly.

  • Start Early: Keep in mind that securing funding takes time, so don’t wait to start your search. The application deadline is often way before the program application deadline.
  • Be Thorough and Organized: Keeping track of deadlines, application components and other details can be overwhelming. Create a system that helps you keep everything organized and in one place.
  • Tailor Your Applications: Tailor each application to the specific sponsor to maximize its appeal. Remember to show why you’re a perfect fit for their funding.
  • Leverage Your Network: Don't hesitate to use your academic network. Professors, colleagues, and alumni can be valuable resources for scholarship and grant opportunities.

Grants and Scholarships for PhD Students vs. Other Forms of Aid

Initially, most students think of scholarships as a lifeline for PhD funding , but it's surprisingly uncommon for students to fund their PhD with scholarships alone. Can you get a scholarship for a PhD? Absolutely. But scholarships for doctoral students can be quite competitive.

In reality, most PhD students utilize a variety of funding sources. PhD programs commonly offer doctoral assistantships and fellowships, which are typically more widely available. Some students even explore additional routes like postgraduate loans, employer support, crowdfunding, and research council grants.

Knowing the ins and outs of each type of funding can help you make a decision that best suits your academic and financial needs. 

Scholarships

Scholarships, financial awards you don't need to repay, often reward merit or specific factors like demographics or career aspirations.

  • Doesn't require repayment
  • No obligation to perform services

Potential drawbacks:

  • High competition
  • May need exceptional qualifications

Grants operate much like scholarships in that they do not need to be repaid. They are frequently awarded based on need, although some may also take into consideration academic merit or field of study.

Benefits: 

  • Doesn’t require repayment
  • Can offset a significant amount of educational expenses

Potential drawbacks: 

  • Competition can be fierce
  • May have to meet eligibility criteria or conditions

Assistantships & Fellowships

Assistantships and fellowships are also common ways to pay for a PhD.  Assistantships involve providing services to the university by undertaking teaching or research roles, usually in exchange for a stipend and tuition waiver. Fellowships, like scholarships, are merit-based and don't require repayment or work in return. Fellowships usually offer generous resources and are specific to the student's field of study.

  • Provide hands-on experience in teaching or research (assistantship)
  • Accompanied by generous funding and resources (fellowship)
  • Fellowships often provide greater freedom for research compared to assistantships
  • Time commitment can impact personal studies (mainly assistantships)
  • High competition may require exceptional qualifications or research proposals

While fellowships, assistantships, grants and scholarships for PhD programs aim to reduce the financial burden, they’re understandably different in their commitments, benefits, and application process.

Cover Letter for PhD Application: Guide for Writing One & Example From a Real PhD Student

When applying for a PhD research position, you usually need to submit certain documents, including an academic CV and a cover letter for PhD application .

A PhD cover letter, also referred to as an academic cover letter, should be carefully crafted, well-formatted, and contain specific sections.

We'll show you how to do exactly that, along with a sample of an academic cover letter from a real person admitted to a PhD program at Lyon University in France.

What is an academic cover letter?

An academic cover letter is a document that PhD candidates submit alongside their academic CV when applying for a PhD. 

Essentially, it's a cover letter for a PhD application.

It's not exactly the same as your regular business cover letter. Nor is it the same as a personal statement or a motivation letter .

The purpose of a cover letter for PhD application is to explain to the reader, who's likely a researcher or a professor, what you can contribute to their institution and/or field.

Moreover, in a PhD application cover letter, you should explain why you're a good match for the research position on the program.

Differences between academic cover letter and business cover letter

Both these documents serve different purposes and people use them in different settings:

  • Academic cover letter is used when applying for positions in academia — most often for a PhD. More emphasis should be on education, research background and scholarly accomplishments. Moreover, it should explain what your contribution to the institution or field could be. It should also point the reader to your academic CV.
  • Regular (business) cover letter is normally used when applying for any kind of job . Hence, more emphasis should be on skills and past experience while being tailored to a specific job position. You should also explain why you're a good fit for the position at the given company. It should point the reader to your resume.

There are also other documents people often mistake for an academic cover letter. These include:

  • Motivation letter is especially relevant for fresh graduates when applying to a university, a non-profit organization, or voluntary work. A motivation letter focuses more on your interests and motives for applying.
  • Personal statement. Also used in an academic setting. It's always written by an applicant, often a prospective student, applying to college, university, or graduate school. You explain why you've chosen a particular course and why you'd be good at it. Other names include a statement of purpose or a letter of intent .

Like every cover letter, an academic one also needs to include specific elements and content sections. These are:

  • Header. Here, provide your contact information, such as your name, address, phone number, and email in the header of the document.
  • Formal salutation. In an official letter like this one, you should address the reader in a professional and formal way. If you know who'll be reading your cover letter, go with Dear Dr. [Surname] or Dear Professor [Surname] . If you don't, go with Dear Sir/Madam .
  • The specific PhD program or position. Clearly state in your letter which research position you're applying for or the name of the PhD program. A cover letter is usually read before a CV, so you need to make sure everything is clear.
  • Your motivation. Explain why you're interested in the specific PhD position — it's one of the key elements you should include.
  • Your academic background. Now, we don't mean you should list in detail every single university course you ever took. Instead, focus on the most relevant course for the PhD and describe in detail what you learned, any projects you worked on, why it was interesting (and optionally, what knowledge gap you identified). In this way, you also show a certain level of understanding of the field.
  • Your ambition. Briefly mention what your ambitions, intentions, and plans are regarding your contribution to the field when securing your PhD position. How is your research going to enrich the field? How will the institution benefit from it?
  • Conclusion. Keep the conclusion short. Contrary to a regular cover letter ending , there's no place for reiterating everything here. Simply thank the reader for your consideration and prompt them to read your academic CV.
  • Formal sign-off. Just pick from the usual: Sincerely, Respectfully, Regards... Then throw in your full name in the following line.

And that's all you need to include!

Now, let's take a look at how to write your cover letter step-by-step.

Applying for a PhD will be a lot less stressful if you follow these tips on how to write a cover letter for a research position:

Consider researching the background of the organization, department, ongoing research projects, and their past and current projects. All that before you start writing your cover letter. Knowing these things will help you tailor your letter to the specific PhD opening.

Before you actually start writing, try to sit down and take a moment to think first. Assess how your past experiences helped you prepare for the PhD position and scribble down those that are most relevant and significant for the specific program. These include any research experiences, research projects, courses, or internships.

In the first few sentences of your letter, you need to convey some basic information about yourself and what specific position you're applying for. The opening should also state firmly why you're a strong candidate for the position/program, by using a persuasive and convincing wording. Here's an example: "As an MChem Chemistry graduate with a narrow focus on the sustainable synthesis of biologically active molecules from the University of Dundee, I am excited to apply to a "Synthesis Of Small Molecule Inhibitors Using Enzymes" PhD programme at an institution with such a strong foundation and numerous research groups in this field."

This is the place where you may explore more extensively on the educational journey that brought you here. Set the foundation for demonstrating how your Master's degree and research experience seamlessly translate into the next phase — the PhD program. Emphasize how your thesis contributes to the field's body of knowledge. Mention any other publications that support your thesis. And, if you can, identify any knowledge gaps or topics that can be explored further.

This paragraph provides the opportunity to neatly tie in together everything the reader has learned about you so far. You can show how your previous experience, coupled with what you'll learn during the PhD program, will come together to produce something novel to enrich the field. First, identify the courses or topics within the PhD program that interest you the most and how they relate to you developing your research further. Second, introduce your future research aspirations and goals. Third, point out how this future work will enrich the field and what will the intellectual merit be.

When ending your PhD cover letter, briefly refer your reader to your academic CV and encourage them to examine all of the remaining projects, courses, publications, or references . Finally, thank the reader for their time and consideration and let them know you look forward to hearing from them. Sign off.

Put the letter in a drawer and don't think about it for a day or two. Then, when you read it again, you'll have a fresh pair of eyes to see the cover letter in a new light. Maybe you decide some things are redundant, or you think of something that's more relevant. Or you know, find a typo here and there.

Just like an academic cover letter needs to contain certain content components, the formatting should also align with the structural expectations for this type of document.

How long should a cover letter be? How to finish a cover letter? And what about the cover letter font and spacing?

Here's a recommended academic cover letter format:

  • Length. While STEM PhD candidates should aim for half a page to one page, humanities candidates can do 1–2 pages.
  • Font. Use one of the classics: Times New Roman, Calibri, or Arial. Just no Comic Sans, we beg you. Keep the size between 10–12 points. Also remember to keep the text clean — no underlining, no bolding, and no color. However, you can use italics if appropriate.
  • Spacing. Cover letter spacing isn't complicated. Just single-space your text, make sure there's a space between each paragraph, and leave a space between the concluding paragraph and your formal sign-off.
  • Margins. The only rule here is that the margins on your cover letter should match those on your CV.
  • Consistence with your CV. Your academic cover letter should match your academic CV in all formatting aspects — including the cover letter font and spacing. For example, Kickresume lets you choose a matching template for your CV and your cover letter, so no need to worry about this.

If the institution provided any instructions for formatting your academic cover letter, don’t get creative and follow their guidelines.

Finally, to help you tie everything we talked about together, here's a cover letter sample from a real person admitted to a PhD program at Lyon University in France.

These things ensured Herrera's cover letter was successful:

  • She clearly states her motivation in the opening. In the first two paragraphs, Herrera introduces herself and her motivation to apply for the given PhD program.
  • She describes educational and research background thoroughly. The main body of the letter is dedicated to describing Herrera's educational background, research projects, internships, and skills acquired throughout the way.
  • She presents research aspirations in the letter. Herrera writes: "I have a history of proven results and profound findings. Given opportunity, I’m confident in my abilities to earn similar ground-breaking results while being part of your team."

Even though this example lacks some of the key elements, such as mentioning the specific PhD program or identifying the topics within the PhD program that interest her the most, this PhD cover letter still managed to impress the University of Lyon.

NSF 101: Graduate and postdoctoral researcher funding opportunities

The U.S. National Science Foundation supports research opportunities and provides stipends for graduate students and postdoctoral fellows and scholars.

There are multiple ways to find these programs, including the funding search on NSF’s website and the NSF Education & Training Application , which is growing its list of opportunities for graduate students and postdoctoral scholars.

To help begin your search, opportunities for graduate students and postdoctoral researchers are listed below. The principal investigator, or PI (a researcher who oversees a project), is often listed on these grants, along with their graduate students or postdoctoral researchers.

Graduate Student 

While funding for graduate students is often included in a PI’s research proposal, the following opportunities are also available for early career researchers. 

  • Doctoral Dissertation Research Improvement Awards/Grants (DDRI/DDRIG) These programs help fund doctoral research in a variety of fields to help provide for items not already available at the academic institution. The funding provided cannot be used for items such as, but not limited to, tuition, stipends, textbooks or journals. The monetary amount listed in each DDRI/ DDRIG section does not include indirect cost associated with the project. The doctoral student should be listed as a co-PI on the grants with their advisor listed as the primary PI.

Archaeology Program- DDRIG : This program supports doctoral laboratory and field research on archaeologically relevant topics, with the goal of increasing anthropologically focused understanding of the past. Awards provide funding up to $25,000 per awardee.  

Arctic Science Section DDRIG : The Arctic Sciences Section offers opportunities for DDRI proposals in the following programs: Arctic Social Sciences supports research in any field of social science. Arctic System Science supports projects that address the relationships among physical, chemical, biological, geological, ecological, social, cultural and/or economic processes to advance our understanding of the Arctic system. Arctic Observing Network supports projects focused on scientific and community-based- observations; development of in situ or remote sensors and automated systems; design and optimization of coordinated and scalable observation networks; and management of Arctic Observation Network data, data accessibility and data discovery. Awards provide funding up to $40,000 for a maximum of 3 years. 

Biological Anthropology Program- DDRIG : This program supports research on human and non-human primate adaptation, variation and evolution. Awards provide funding up to $25,000 for up to two years.  

Cultural Anthropology Program- DDRIG : This program supports research that is focused on cultural anthropology research, including topics such as: Sociocultural drivers of anthropogenic processes (i.e., deforestation, urbanization); resilience and robustness of sociocultural systems; scientific principles underlying altruism, conflict, cooperation, and variations in culture and behaviors; economy, culture migration and globalization; kinship and family norms. Awards provide funding for up to $25,000 for up to two years.  

Decision, Risk and Management Science DDRIG : This program supports research on decision, risk and management sciences. This includes research in the areas of judgement and decision making; decision analysis and decision aids, risk analysis; perception and communication; societal and public-policy decision making; and management science and organizational design. Awards are for a maximum of 12 months. 

Economics DDRIG :This program provides funding for research focused on improving the understanding of the U.S. and global economy from macroscale to microscale, including all field of economics such as macroeconomics, microeconomics, econometrics, economic theory, behavioral economics and empirical economics.  

Human-Environment and Geographical Sciences Program- DDRI : This program supports basic scientific research about the nature, causes and/or consequences of the spatial distribution of human activity and/or environmental processes across a range of scales. The program welcomes proposals for empirically grounded, theoretically engaged, and methodologically sophisticated, generalizable research in all sub-fields of geographical and spatial sciences. Awards may not exceed $20,000 in direct costs. 

Linguistics Program- DDRI : This program supports research on human language, including syntax, linguistic semantics and pragmatics, morphology, phonetics, and phonology of individual languages or in general. Awards provide up to $12,000 for a maximum of two years. 

Dynamic Language Infrastructure- DDRI : This program supports research on building dynamic language infrastructure, which includes describing languages; digitizing and preserving languages; and developing standards and databases for analyzing languages. Provides funding up to $15,000 for up to two years. 

Graduate Research Fellowship Program This fellowship supports full-time master's or doctoral students earning their degree in a research-based program focused on STEM or STEM education. Students are the primary submitter for the fellowship. Fellows will be awarded a $37,000 stipend and $12,000 cost-of-education allowance for three years of the five-year fellowship. Non-Academic Research Internships for Graduate Students (INTERN) Supplemental Funding Opportunity   This supplemental funding opportunity is for graduate students funded by active NSF grants. PIs may submit for up to an additional six months of funding to allow students to participate in research internship activities and training opportunities in non-academic settings, such as the following: for-profit industry research; start-up businesses; government agencies and national laboratories; museums, science centers, and other informal learning settings; policy think tanks; and non-profit institutions. Students must have completed at least one academic year of their program. This funding request may not exceed $55,000 per student for each six-month period. A student may only receive this opportunity twice. In addition to the general INTERN opportunity, there are two topic-specific INTERN opportunities: 

Non-Academic Research Internships for Graduate Students in Geothermal Energy Supplemental Funding Opportunity : This opportunity is provided by NSF in partnership with the U.S. Department of Energy's Office of Energy Efficiency and Renewable Energy. It maintains the same funding levels and requirements as the general INTERN program; however, funding may only be used for gaining knowledge, skills, training and experience in geothermal energy and technology.  

  • Research Internships for Graduate Students at Air Force Research Laboratory Supplemental Funding Opportunity : This funding opportunity is for students supported on an active NSF grant to intern at a Air Force Research Laboratory facility. AFRL has several potential technology directorates available for students at locations across the U.S.: Aerospace Systems (Wright-Patterson Air Force Base, Ohio), Information (Rome, New York), Materials and Manufacturing (Wright-Patterson Air Force Base, Ohio), Directed Energy (Kirtland Air Force Base, New Mexico), Munitions (Eglin Air Force Base, Florida), Sensors (Wright-Patterson Air Force Base, Ohio), Space Vehicles (Kirtland Air Force Base, New Mexico), 711th Human Performance Wing Training (Wright-Patterson Air Force Base, Ohio). 

Mathematical Sciences Graduate Internship This summer internship is for doctoral students in mathematical sciences through a partnership between NSF and Oak Ridge Institute for Science and E ducation. It provides students who are interested in academic and non-academic careers with the opportunity to learn how advanced mathematics and statistical techniques can be applied to real-world problems. Participants in the internship will receive a stipend of $1,200 per week during the 10-week internship. In addition, there is travel reimbursement for up to $2,000 for those who live more than 50 miles away from their hosting site. 

NSF Research Traineeship Program Graduate students can apply for this traineeship through their institutions, if available. These topics can range across the scientific spectrum. Current projects can be found by state . 

Research Experiences for Graduate Students Supplemental Funding These awards provide additional funding for graduate students with mentors who have an active NSF grant. Currently funding is available through the following programs:  

Cultural Anthropology provides up to $6,000 per student for research activities. 

Human Environment and Geographical Sciences at Minority Serving Institutions and Community Colleges provides up to $7,000 per student for research activities. 

Postdoctoral Scholars 

Astronomy and Astrophysics Postdoctoral Fellowship This fellowship supports research investigating a field within astronomy or astrophysics for up to three years. The stipend is $75,000, with a fellowship allowance (i.e., expenses for conducting and publishing research, fringe benefits) of $35,000. 

Atmospheric and Geospace Sciences Postdoctoral Fellowship This fellowship supports postdoctoral fellows in atmospheric or geospace sciences. Atmospheric science includes topics such as atmospheric chemistry; climate and large-scale dynamics; paleoclimate climate; and physical and dynamic meteorology. Geospace science focuses on aeronomy, magnetospheric physics and solar terrestrial research. This fellowship provides up to 24 months of support. The stipend is $70,000 per year, with a fellowship allowance of $30,000.  

Earth Science Postdoctoral Fellowship This program supports the study of structure, composition and evolution, the life it supports and the processes that govern the formation and behavior of Earth’s materials. Researchers are supported for up to two years at the institution of their choice, including institutions abroad. The stipend is $65,000 per year, with a fellowship allowance of $25,000 per year.  

Mathematical and Physical Sciences Ascending Postdoctoral Research Fellowships

This program supports postdoctoral fellows performing impactful research while broadening the participation of members of groups that are historically excluded and currently underrepresented in mathematical and physical sciences. This fellowship can last between one and three years. The stipend is up to $70,000 per year, with a fellowship allowance of $30,000 per year. 

Mathematical Sciences Postdoctoral Research Fellowships This fellowship has two options:  

  • The Research Fellowship provides full-time support for any 18 months within a three-year academic period.  
  • The Research Instructorship provides a combination of full-time and half-time support over a period of three academic years, which allows the fellow to gain teaching experience. Both options receive up to $190,000 over the fellowship period. The full-time stipend is $5,833 per month and the part-time stipend is $2,917 per month. In addition, the fellow will receive $50,000 in two lump sums ($30,000 in the first year and $20,000 in the second year) for fellowship expenses.  

Ocean Sciences Postdoctoral Research Fellowships This fellowship supports research in topic areas such as: biological oceanography, chemical oceanography, physical oceanography, marine geology and geophysics, ocean science and technology. This two-year fellowship with a stipend of $67,800 for the first year and $70,000 for the second year, with a fellowship allowance of $15,000 per year.  

Office of Polar Programs Postdoctoral Research Fellowships This fellowship supports postdoctoral research in any field of Arctic or Antarctic science. This two-years fellowship, with a stipend of $67,800 for the first year and $70,000 for the second year, with fellowship expenses of $15,000 per year.  

Postdoctoral Research Fellowship in Biology The Directorate of Biology offers a fellowship for postdoctoral researchers in one of three areas: 

  • Broadening Participation of Groups Underrepresented in Biology. This area requires a research and training plan that is within the scope of the Directorate for Biology and that enhances diversity within the field.  
  • Integrative Research Investigating the Rules of Life Governing Interaction between Genomes, Environment and Phenotypes. This area aims to understand higher-order structures and functions of biological systems. Research should use a combination of computational, observational, experimental or conceptual approaches. 
  • Plant Genome Postdoctoral Research Fellowships. This area has a broad scope and supports postdoctoral training and research at the frontier of plant biology and of broad societal impact. Highly competitive proposals will describe interdisciplinary training and research on a genome wide scale. The fellowships are for 36 months and have a stipend of $60,000 per year, with a research and training allowance of $20,000 per year. 

SBE Postdoctoral Research Fellowships This fellowship supports postdoctoral research in the social, behavioral and economic sciences and/or activities that broaden the participation of underrepresented groups in these fields. Funding is up to two years and has two tracks available:  

  • Fundamental Research in the SBE Sciences. This track supports research focused on human behavior, interaction, social and economic systems. 
  • Broadening Participation in SBE Sciences. This track aims to increase the diversity of post-doctoral researchers in the social, behavioral and economic sciences. In addition to the research proposal, these applications should also answer the question: “How will this fellowship help broaden or inform efforts to broaden the participation of underrepresented groups in the United States?” The stipend for this program is $65,000 per year (paid in quarterly installments) and the research and training allowance is $15,000 per year. 

SBIR Innovative Postdoctoral Entrepreneurial Research Fellowship This fellowship supports postdoctoral researchers at start-up companies through the Small Business Innovation Research program. By recruiting, training, mentoring, matching and funding these early-career scientists, this fellowship addresses the need of doctoral-level expertise at small, high-tech businesses. The base stipend is $78,000 per year with optional individual health and life insurance, relocation assistance (company dependent), professional conference travel allowance, and professional development funds.  

Science, Technology, Engineering and Mathematics Education Individual Postdoctoral Research Fellowship This fellowship is for postdoctoral researchers to enhance their research knowledge, skills, and practices of STEM education research. If the fellowship is granted, the fellow is expected to remain affiliated with the host organization and PI sponsoring them. The fellowship can last up to two years with an annual stipend of $70,000, with fellowship expenses of $15,000.  

Multilevel 

CyberCorps® Scholarship for Service This program is for students earning their associates, bachelor's, master's or doctoral degree in cybersecurity. A stipulation of the program is that the recipients must work after graduation in a cybersecurity mission of the federal, state, local or tribal government for an equal amount of time as the scholarship's duration. It will provide full tuition and fees plus a stipend of $27,000 per academic year for undergraduates and a stipend of $37,000 per academic year for graduate students, in addition to a professional allowance of $6,000 for all levels. 

NSF-NIST Interaction in Basic and Applied Scientific Research This supplemental funding request is for NSF-supported researchers to collaborate with researchers at a National Institute of Standards and Technology facility. It can be used for travel expenses and per diem associated with on-site work at NIST. It is available for NSF-supported PIs, co-PIs, postdoctoral scholars, graduate and undergraduate students and other personnel associated with the research. PIs should contact their NSF program director for their award before applying.

So, if you are looking for financial support for the coming year or next, remember to routinely look at funding postings so you get an idea of what topics or issues are getting funded. Spring and summer are also great times to prepare your fellowship application materials - personal statement, research statement, and academic CV.

Below is a sample list of upcoming deadlines. Regularly inform your faculty adviser about your current research ideas and progress as this is very important when requesting letters of recommendation. Eligibility and suitability

Who can apply.

You can apply for a Doctoral Studentship if you want to complete a 3 year PhD in any humanities or social science area on a topic related to health.

At the point of applying, you should hold, or expect to hold, a relevant Master's degree, or have equivalent research experience. 

You must have been accepted onto a PhD programme with an eligible host organisation in the UK, Republic of Ireland or a low- or middle-income country (apart from mainland China). You should have a written statement to confirm this from someone at the relevant level of authority. 

You must not have started your PhD.

You can be of any nationality.

Fees for nationals of high-income countries

Nationals of the UK and Republic of Ireland are eligible to pay home fees.

Nationals of all other high-income countries will need to pay international fees.

From 1 January 2021, this also includes EU and EEA nationals. We recommend that you check with your host organisation to see what fees you’ll need to pay.

If you need to pay an international fee (we cover the home fee), you should either:

  • Ask your intended host organisation to confirm that they will charge a home fee rather than a higher international fee. In your application you should include written confirmation of this, signed by someone at the relevant level of authority. 
  • Get additional funding to cover the difference between the home fee and the international fee from an external source, although the project must remain a Wellcome PhD (we do not part-fund). Please state the source of your funding in your application.

Who can't apply

You can't apply if:

  • you've received support for your doctoral studies from another funding body 
  • you’ve already started your doctoral studies.

If you've previously been unsuccessful with a full application for this scheme, you can't apply again with the same proposal unless we've invited you to do so. However, you're welcome to apply with a new project.

You can't apply to carry out activities that involve the transfer of grant funds into mainland China.

What we're looking for

We will assess:

  • the significance and originality of your proposed research
  • the suitability and relevance of your approach to your research topic
  • the suitability of the host organisation and department for your research and for developing your career
  • your track record, for example assessed work during your Master’s course.

  • your intended supervisor(s)
  • researchers in relevant health-related fields
  • the research office at your host organisation.

Your supervisor and other researchers

Your supervisor and other researchers will give you advice about the intellectual quality, methodology and importance of your project. They will also help you to decide whether it’s the right time for you to apply.

Research office

The research office at your host organisation should be able to advise you on:

how much time the authorised organisational approver needs to approve your application after you submit it – this may need to be done well in advance of the Wellcome deadline 

how to structure your application, including the budget 

what information is needed to support your proposal.

Contact the research office and your supervisors for advice as early as possible in the application process.

What's expected of your host organisation

You must have an eligible host organisation that will administer your fellowship for the full duration of the award.

You should give careful thought to your choice of supervisor(s); they should have strong track records in research, training and mentorship.

If you have a multi-site or multi-method project, you may need more than one supervisor. You should make it clear on your application form how you will all work together.

Your sponsor can also be your supervisor.

Your sponsor should be in a position to guarantee you space and facilities for the full period of your PhD. Sponsors are usually the head of department or head of school/faculty. The sponsor must:

  • be based at an eligible sponsoring organisation that will administer your fellowship for the full duration of the award
  • hold an established post.

Your supervisor should:

  • provide support and advice during the application process and the period of the award
  • be committed to helping you achieve your career aspirations.  

Your supervisor(s) and sponsor will write letters of support. These should discuss your suitability for doctoral research, the quality of your project, and the support that the host organisation and relevant department will offer you.

A Doctoral Studentship is usually for three years, although we consider requests to undertake PhDs on a part-time basis (for example, if someone has family commitments or intends to keep up another career for sufficient hours to maintain a professional accreditation).

We usually provide funds at the level charged to UK and Republic of Ireland students.

We only pay the international student rate for applicants who are from  low- and middle-income countries .

We will add inflation to your fees – you do not need to add it to your application.

We will provide a contribution of up to £5,000 towards the costs of attending academic meetings and conferences. This includes registration fees and childcare or any other caring responsibility cost . You will need to justify the costs and include a breakdown for each part of your trip, for example air fares and number of journeys.

We will pay for the materials and consumables you need to carry out your proposed research, including:

  • archival photocopying
  • printing associated with fieldwork and empirical research
  • materials directly related to hosting workshops and interviews.

Travel costs

You can ask for travel and subsistence costs to cover:

We may cover the costs of other essential visits, for example to facilities and fieldwork. You can include subsistence costs.

Carbon offset costs

This is a new policy. It applies to all types of travel costs Wellcome provides.

You can ask for:

We won't pay for the core infrastructure that your host organisation should provide, unless you're eligible to ask for these costs under our overheads policy . Examples of these costs include:

Subsistence costs

If you’re away for up to one month you can ask for subsistence costs. These include accommodation, meals and incidentals such as refreshments or newspapers.

If your administering organisation has a subsistence policy, use their rates.

If your administering organisation doesn’t have a subsistence policy, please use the HMRC rates .

If you’re away for more than one month and up to 12 months , we will pay reasonable rental costs only, including aparthotels. You should discuss appropriate rates with your administering and host organisations, or Wellcome, as appropriate. We expect you to choose the most economical options, booked in advance where possible.

If you’re from a low- or middle- income country and will be working in a high-income country for more than one month and up to 12 months , you can also ask for up to £10 a day to cover extra costs, such as transport and incidentals.

If you’re away for more than 12 months , we will pay the costs of your housing. You should discuss your needs with your administering and host organisations.

The allowance we provide will be based on family and business need. We will set the maximum allowance we pay for each location. This will be based on current market data or, where data is unavailable, in consultation with your administering organisation, using equivalent market rates. Please contact us if you need help calculating the costs.

We will cover the direct expenses you have to pay to find and rent a home. We will not cover the cost of utilities or any refurbishment.

Overseas research

If you or any research staff employed on your grant will be doing research away from your host organisation, we'll help with the additional costs of working on the project overseas. Please see the 'Overseas allowances' section for details.

  • any fieldwork you carry out during the grant
  • essential visits to archives and libraries
  • any collaborative visits you need to make.
  • the cost of low carbon travel where practical, even if it's more expensive (for example travelling by train instead of flying)
  • project-related resources or activities that provide an alternative to travel, such as video conferencing, communication and file-sharing software
  • costs to offset the carbon emissions of the journeys you make.
  • organisation-wide video conferencing packages
  • high-speed broadband
  • HD screens.

If you or any staff employed on your grant will be spending time in another country, we’ll help you with the additional costs of working on the project overseas.

Our overseas allowances are:

We expect the people we fund to choose travel that has a lower carbon impact, where practical, even if it’s more expensive (for example travelling by train instead of flying).

You can ask for costs to offset the carbon generated by the travel, as part of your overseas allowances.

See a list of low- and middle-income countries , as defined by the Organisation for Economic Co-operation and Development (OECD).

You can ask for the following allowances. You need to provide estimated costs as accurately as possible.

  • a contribution towards the personal cost of carrying out research overseas, to ensure that you are not disadvantaged
  • provided on the assumption that you’ll be paying income tax, either in your home country, or the country you will be working in (your personal tax is your responsibility).
  • provided on the understanding that you or your partner will not receive equivalent allowances from elsewhere
  • determined by the amount of time you will spend away from your home country.

If you will be away more than 12 months , we will provide overseas allowances for your partner and any dependants if they are travelling with you.

If you will be away for 12 months or less and can justify why your partner and dependants must travel with you, we may provide overseas allowances for them.

We define your partner as the person:

  • you’re married to
  • you’re not married to but with whom you’ve been in a relationship for at least a year
  • you live with at the same permanent address and share some form of joint financial commitment with (eg a mortgage).

We will pay your travel costs at the beginning and end of your overseas work. Costs can be for air, ferry, train or coach fares.

All fares should be:

  • in line with our carbon offset policy
  • booked in advance where possible.

If you are away for up to 12 months , you can ask for up to 80kg of additional baggage or unaccompanied airline freight for your outward and return journeys.

If you are away for more than 12 months , you can ask for the costs of shipping your personal items at the beginning and end of your overseas work.

We will pay the full cost of transporting:

  • half a standard shipping container if you’re travelling alone
  • a whole standard shipping container (20ft) if you’re travelling with a partner and/or dependants.

We will pay the cost of your medical insurance and travel insurance.

If you will be working in a low- or middle-income country we will also cover the cost of emergency evacuation cover.

We won’t pay for medical insurance if you will be based in the UK or Republic of Ireland.

We will pay the costs of visas, vaccinations and anti-malaria treatment.

You can ask for this if you’ll be based in a low- or middle-income country and it is necessary.

Costs can include guards, panic buttons and alarms. You should ask your employing organisation for advice on the level of security you need.

If you’re away for up to one month you can ask for subsistence costs. These include accommodation, meals and incidentals (eg refreshments or newspapers).

If you’re away for more than one month and up to 12 months, we will pay reasonable rental costs only, including aparthotels. You should discuss appropriate rates with your administering and host organisations, or Wellcome, as appropriate. We expect you to choose the most economical options, booked in advance where possible.

If you’re from a low- or middle- income country  and will be working in a high-income country for more than one month and up to 12 months , you can also ask for up to £10 a day to cover extra costs, such as transport and incidentals.

If you’re away for more than 12 months we will pay:

Local nursery or school fees

You can ask for these costs if you are in a location where there isn’t free local education of the same standard as in your home country.

Costs include:

  • local nursery school fees up to a maximum of 30 hours a week for 3 to 4 year olds
  • local junior or secondary school fees, up to the end of secondary school education.

Local international school fees

You can ask for these costs if local schools do not provide the same standard of education as in your home country. We will only pay the published termly school fees.

We will not cover the costs of:

  • extracurricular activities, including field trips
  • other extras including, but not limited to, uniforms, sports kit and equipment, transport, meals, books and electronic equipment.

Boarding school fees

We will consider paying the cost of boarding school fees in your home country if:

  • a local international school is not available
  • both parents, guardians or the sole care giver live outside the home country.

The allowance covers:

  • up to a maximum of £30,000 a year for each child for the published termly fees only
  • the cost of return airfares at the start and end of each school term, in line with our carbon offset policy for travel .
  • additional annual leave airfares

We will cover the cost of providing special needs education as far as possible. Please contact us to discuss your needs.

We would not usually expect to provide an education allowance if you will be working in a high-income country.

If you will be away for more than 12 months , we’ll pay for you to travel back to your home country for annual leave. This is in addition to your outward and return travel costs and depends on how long you will be away:

  • 12-24 months – 1 annual leave trip
  • 25-36 months – 2 annual leave trips
  • 37-48 months – 3 annual leave trips
  • 49-60 months – 4 annual leave trips
  • 61-72 months – 5 annual leave trips.

If you will be away for more than 12 months , you can ask for up to 100 hours of lessons in the local language for you and/or your partner during the first 12 months of your visit.

We will cover 100% of the costs for local language school classes or up to 50% of the costs of individual tuition.

We will not cover the cost of examinations or personal learning materials such as DVDs and books.

If you have to move to take up the post at your host organisation, you can ask for £1,000. You'll need to justify this.

You can ask for overheads if your grant will be based at a:

  • university outside the UK or Republic of Ireland
  • research organisation that does not receive core funding for overheads
  • charitable or not-for-profit organisation
  • small or medium-sized commercial organisation.

You can also ask for overheads on any part of your grant that is sub-contracted to any of the organisations listed above.

If you’re based at a UK university you can’t ask for overheads for sub-contracted activity if your university will include the sub-contracted funding in its annual report to the UK Charity Research Support Fund.

Overheads can include:

  • estates, for example building and premises
  • non-project dedicated administrative and support staff
  • administration, for example finance, library, and room hire.

The total cost for overheads should not be more than:

  • 20% of the direct research costs if you’re based in a low- or middle-income country
  • 15% of the direct research costs if you’re based anywhere else.

These costs must directly support the activity funded by the grant.

How to apply for these costs

In your grant application you must:

  • give a full breakdown of costs (you can't ask for a percentage of the research costs)
  • explain why these costs are necessary for your research
  • include a letter from the finance director of your host organisation, or the sub-contracted organisation, confirming that the breakdown is a true representation of the costs incurred.

We will add an inflation allowance to your award.

How we calculate your inflation allowance

Your inflation allowance is based on your total eligible costs and the duration of the award. You'll receive the allowance if the costs in your application are in pounds sterling, euros or US dollars.

These rates are calculated using compound inflation at 2.0% a year from Year 2 onwards.

If your costs are in any other currency, we will use an inflation allowance that reflects the inflation rate of the country where the host organisation is based.

What to include in your application

The costs in your application must be based on current known costs, excluding inflation.

You should allow for salary pay awards during Year 1. These should be based on pay awards already agreed; if you don’t know what the pay award is yet then use our inflation rate.

Wellcome's studentship stipend scales include an annual increase for inflation.

Costs you may ask for (you will have to justify these costs in your application):

  • fieldwork costs, including survey and data collection and statistical analysis
  • specialist publications that are relevant to the research and not available in institutional libraries
  • more expensive items, unless you can justify them
  • installation or training costs.
  • consultancy fees
  • expenses for subjects and volunteers – includes recruitment of participants, their participatory fees and travel, as well as interviewee expenses
  • reasonable research-associated costs related to the feedback of health-related findings but not any healthcare-associated costs
  • costs associated with developing an outputs management plan
  • questionnaires, recruitment material, newsletters etc for clinical, epidemiological and qualitative research studies
  • public engagement materials where dissemination (including printing and publishing) is a key activity of the project
  • recruitment, advertising and interviewee travel costs for staff to be employed on the grant
  • formal transferable skills and personal development training, including the International Funders Award
  • purchase, hire and running costs of project-dedicated vehicles.

Costs we won’t pay:

  • estates costs – such as building and premises costs, basic services and utilities. This also includes phone, postage, photocopying and stationery, unless you can justify these within a clinical or epidemiological study.*
  • page charges and the cost of colour prints
  • research, technical and administrative staff whose time is shared across several projects and isn’t supported by an audit record*
  • charge-out costs for major facilities* – departmental technical and administrative services, and use of existing equipment
  • cleaning, waste and other disposal costs*

*We will fund these costs in the case of animal-related research.

  • indirect costs – this includes general administration costs such as personnel, finance, library, room hire and some departmental services
  • office furniture, such as chairs, desks, filin cabinets, etc.
  • clothing such as lab coats, shoes, protective clothing
  • non-research related activities, eg catering, room and venue hire for staff parties, team-building events and social activities
  • indemnity insurance (insurance cover against claims made by subjects or patients associated with a research programme)
  • ethics reviews, unless you are in a low- or middle-income country
  • radiation protection costs.

What we don’t offer

If you're a national of a high-income country outside the UK or Republic of Ireland, please be aware that we don't pay international fees. See the 'Eligibility and suitability' section on this page for more information.

The authorised organisational approver must approve your application before the deadline.

The Medical Humanities Early Career Expert Review Group or the Social Science and Bioethics Early Career Awards Expert Review Group will review your application, depending on the area of your proposed research.

We give most candidates our decision by the end of May. All candidates will have been informed of our decision by the end of July.

Write your cover letter in the body of an email/message

When writing your PHD Application cover letter, it’s best to type the content into the body of your email (or the job site messaging system) and not to attach the cover letter as a separate document.

This ensures that your cover letter gets seen as soon as a recruiter or employer opens your message.

If you attach the cover letter as a document, you’re making the reader go through an unnecessary step of opening the document before reading it.

If it’s in the body of the message itself, it will be seen instantly, which hugely increases the chances of it being read.

Avoid overly formal greetings like “Dear sir/madam ” unless applying to very traditional companies.

How to find the contact’s name?

Addressing the recruitment contact by name is an excellent way to start building a strong relationship. If it is not listed in the job advert, try these methods to find it.

  • Check out the company website and look at their  About page. If you see a hiring manager, HR person or internal recruiter, use their name. You could also try to figure out who would be your manager in the role and use their name.
  • Head to LinkedIn , search for the company and scan through the list of employees. Most professionals are on LinkedIn these days, so this is a good bet.

Identify the role you are applying for

Once you’ve opened up the cover letter with a warm greeting to start building a relationship, it is time to identify which role you want to apply for.

Recruiters are often managing multiple vacancies, so you need to ensure you apply to the correct one.

Be very specific and use a reference number if you can find one.

  • I am interested in applying for the position of *specialist field PHD Applicant* with your company.
  • I would like to apply for the role of Sales assistant (Ref: 406f57393)
  • I would like to express my interest in the customer service vacancy within your retail department
  • I saw your advert for a junior project manager on Reed and would like to apply for the role.

Highlight your suitability

The main purpose of your cover letter is to excite recruiters and make them eager to open your CV. And you achieve this by quickly demonstrating your suitability to the job you are applying for.

Take a look at the job adverts you are applying for, and make note of the most important skills being asked for.

Then, when you write your cover letter, make your suitability the focal point.

Explain how you meet the candidate requirements fully, and why you are so well suited to carry out the job.

This will give recruiters all the encouragement they need to open your CV and consider your application.

Cover letter tips

Keep it short and sharp

A good cover letter is short and sharp, getting to the point quickly with just enough information to grab the attention of recruiters.

Ideally your cover letter should be around 4-8 sentences long – anything longer will risk losing the attention of time-strapped recruiters and hiring managers .

Essentially you need to include just enough information to persuade the reader to open up your CV, where the in-depth details will sit.

Sign off professionally

To round of your CV, you should sign off with a professional signature.

This will give your cover letter a slick appearance and also give the recruiter all of the necessary contact information they need to get in touch with you.

The information to add should include:

  • A friendly sign off – e.g. “Kindest regards”
  • Your full name
  • Phone number (one you can answer quickly)
  • Email address
  • Profession title
  • Professional social network –  e.g. LinkedIn

  • Your relevant experience – Where have you worked and what type of jobs have you held?
  • Your qualifications – Let recruiters know about your highest level of qualification to show them you have the credentials for the job.
  • The impact you have made – Show how your actions have made a positive impact on previous employers; perhaps you’ve saved them money or helped them to acquire new customers?
  • Your reasons for moving – Hiring managers will want to know why you are leaving your current or previous role, so give them a brief explanation.
  • Your availability – When can you start a new job ? Recruiters will want to know how soon they can get you on board.
