I thought about quitting graduate school in the beginning of my 6th year.

I was almost certain that there was no way that I could graduate that year, or ever for that matter.

I started several dead-end projects, and most of my data was inconsistent and did not support any of my hypotheses.

I felt stuck and trapped in my own life.

The irony was that I actually created this life for myself because I thought that getting a PhD degree was the road to a better life and a career that I would be passionate about.

I finally summoned the courage to have “the talk” with my supervisor and clarify once and for all what I needed to do to graduate.

As I had expected, I could only use a very small portion of the data I had collected up to that point in my thesis.

My supervisor assigned me a new project, and I had to learn how to use three new instruments that I had no prior experience with.

If I wanted to graduate in a year, I had to make that project work.

In order to meet this ambitious deadline I decided to extend my 10-12 hour days to 15-hour days and learn the methods I needed for the new project.

After 5 months, I was finally able to generate some reproducible data with my new experimental setup.

I still had to run hundreds of samples through my system, but I finally had hope that I might be able to graduate that semester.

The problem was the thesis deadline was only 3 months away and I had no idea where to start.

7 Helpful Guidelines To Writing A Proper Thesis

My 15-hour days turned into 18-hour days fueled by junk food and soda.

Still, I wasn’t getting anywhere.

No one had taught me how to write a thesis.

To make matters worse, I was a perfectionist.

I spent countless hours writing and rewriting paragraphs and jumping back and forth between different chapters because none of the sections ever felt “good enough.”

Eventually, just as I was burning out and spinning into a dark cycle of depression, anxiety, and hopelessness, I finished my thesis.

As I turned the document into my thesis committee, I remember thinking…

There has to be a better way.

Over the next few years after finishing my thesis, I started studying the process and creating a more effective system for writing a thesis .

Since then, I’ve trained hundreds of PhD students on how to write their theses.

Here are 7 tips on how to write a strong thesis I’ve learned and continue to teach to other PhDs students…

1. Know What Questions You’re Asking

You always need to know what your hypothesis is or what questions your thesis is asking.

This may seem obvious, but so many graduate students fail to define their overall hypothesis before beginning their thesis.

You must be able to summarize your thesis in one sentence such as: “The purpose of this thesis is to….”

If you don’t know what your thesis question or hypothesis is, meet with your supervisor (See #3 below).

Over the years, I’ve encountered a few exceptions to this rule.

For example…

Some PhD students spent 8 or 9 years (full-time) in graduate school working on many small projects because no one project was viable enough for an entire thesis.

These students had what I call a “hodge-podge” thesis.

The only reason their thesis committees let these students graduate is because the students had been in school for so long.

While it is possible to pull a group of small projects together into one thesis, you don’t want to be at the mercy of your thesis committee.

It’s best to always know what question you are asking.

Your question will probably evolve over time, but the more clarity you have about the purpose of your thesis, the more efficient your research will be.

2. Break Your Thesis Into Defined Stages

Thesis writing is a process with well-defined stages

The details of each stage will vary slightly depending on your field, but for most thesis writers the stages are, first, idea collection, second, editing and data analysis, and third, polishing.

Perfectionists (like me) will particularly benefit from dividing their writing into discrete stages.

The purpose of the first stage of writing is to get as many ideas as possible on paper, without judging, editing or formatting your document.

By allowing yourself to collect your ideas without criticism, you can spark your creativity and overcome the fear of imperfection that may be holding you back from starting to write your thesis.

It is during the second stage, editing and data analysis phase, that you need to be rigorous with your writing and editing.

At the end of the second phase your goal is to produce a manuscript that has a clear structure and a logical flow of arguments so that you can submit it to your supervisor for review.

In the final polishing phase, you need address the feedback from your committee and fill in any gaps in the logic.

Polish, polish, polish, and polish some more until your document is ready to be handed in to your university’s library.

3. Don’t Rely On Your Academic Advisor

Your academic advisor will not give you all the answers.

Some advisors are either too busy to mentor you properly or are micro-managers who want daily updates on your progress.

Other academic advisors are simply bad mentors who don’t want you to graduate in the first place.

Either way, you shouldn’t rely on your mentor to give you all the answers.

You also shouldn’t rely on your advisor for a second reason…

Writing your thesis is your job and your job only.

The role of your advisor is to mentor you so you learn how to be an independent researcher, not to hold your hand for the rest of your life.

Your advisor may or may not be a good mentor, but you need to be in agreement regarding the direction of your research because you need their approval to graduate.

If you have disagreements with your advisor, or you have a dead-end project, it may take several meetings to determine the overall direction of your thesis.

The most effective way to meet with your advisor is to schedule meetings far in advance and come to every meeting with a clear agenda.

Students who plan proactively before talking with their supervisors have much more efficient meetings than those who don’t plan.

If your advisor is a difficult person, continue to be proactive about planning meetings and developing solutions to your problems.

Keep a record of every meeting you have or every meeting he or she refuses to have with you.

Finally, reframe your situation into a learning experience for your career.

4. Realize You Will Never Feel Like Writing

You will never feel like writing your thesis.

Even the most famous and prolific authors in history had daily battles with writer’s block.

You won’t be any different. There will be times when you sit down to write when you feel like you’re dying.

That’s okay—just start typing gibberish. Type sentence fragments. Type anything. Just get something down on paper.

Don’t wait to be inspired to write. Instead, go out and look for inspiration.

Listen to music that puts you in the mood to write. Watch a short video that motivates you to take action. Visualize all the things you will do once your thesis is done.

Warming up your “writing muscles” and seeking out inspiration are the only cures for writer’s block.

Once you’re warmed up and inspired, words will start to flow more naturally. They may even start to form cohesive sentences and paragraphs.

Overtime, your warm-up period will get shorter and shorter until clicking into writing gear becomes an automatic habit.

5. Don’t Write Your Thesis Chapters In Order

When I started writing my thesis, I thought I had to begin with the abstract, then the introduction, then an in-depth literature search, then chapter one, chapter two, on and on all the way to the conclusion.

This is the worst way to write your thesis.

Writing your thesis in order can lead to several months of agonizing writer’s block.

Don’t start writing your thesis by writing the abstract first.

Instead, the abstract of your thesis should be the last section you write

By definition, the abstract is a summary of the highlights of your thesis, and therefore you should only be able to write a quality abstract once you finish all of your chapters.

Don’t start writing your thesis by diving into the most difficult chapter either.

If you do, you will inevitably face writer’s block.

Starting your thesis by writing the most difficult chapter first is like trying to deadlift a 500-pound weight without any prior training.

You’ll keep trying to lift the heavy weight unsuccessfully until you’re completely exhausted. Eventually, you’ll give up entirely and label yourself as simply not good enough to do the exercise.

Instead, start writing your thesis by writing the easiest section first—the methods section.

The methods section is the easiest section to get started and the quickest to finish. Start here to get a few pages under your belt and boost your confidence before you try any heavy lifting.

6. Never Write “work on thesis” In Your Calendar

“Work on thesis” is too vague.

If you put this phrase in your calendar it will either lead to you taking a nap, surfing the web, or staring at a blank computer screen.

Even if you do manage to put some words on paper or analyze some data, you’ll do so randomly.

Instead, you need to turn your work hours into measurable progress.

You need to be very deliberate with how you allocate your time.

Once you decide on the order in which you will write your chapters, continue breaking them down into smaller chunks.

This will allow you to set up specific goals for every block of time you have.

Instead of inserting “work on thesis” into your calendar, insert measurable goals like “finish Figure 1” or “write two pages of Chapter 2.”

7. Write In Very Short Bursts

Writing in several short bursts is more efficient than writing in a few, long extended periods of time.

If you ever tried to write for several hours in a row, you may have noticed that your concentration becomes weaker after about 45-60 minutes.

Writing requires creativity, and it is difficult to sustain your focus for several hours in a row over the course of months (or even years) until you finish your thesis.

If you have a 3-4-hour block of time in your calendar, resist the temptation to glue yourself to the chair for the entire period.

You’re only fooling yourself if you think that more hours of writing leads to more progress.

Instead, break up your writing time into short blocks with rest periods in between.

I suggest alternating 45 minutes of writing with 15 minutes of rest.

These rest periods are crucial. Many students get sudden insights when they are away from their desks and they become more efficient when they return to work.

Turn off your email and phone alerts when you’re writing.

Don’t be tempted to check these updates during the rest periods. It’s far too easy for an update to distract you from your work and derail your next writing period.

Bad writing habits are tough to break. If you try to eliminate your bad habits overnight, your brain and body might rebel against you. A better strategy is to change your habits slowly and one at a time. Don’t take on all 7 of the above thesis writing guidelines at once . Instead, take on one, complete it or master it, and then move on to the next tip. The toughest part of writing is the beginning. The sooner you start writing your thesis, the easier writing it becomes . A good writer is not someone who never struggles, but someone who keeps writing even when they’re struggling.

3 tips to write your thesis in 3 months or less!

When you type in "thesis" into Thesaurus.com, you see that: (1) argument, (2) essay and (3) memoir pop up as it top 3 synonyms.

I'd like to add one more. When I wrote my thesis, I thought of it more as a manifesto, or a public declaration of my scientific hypotheses, paired with pages of evidence that support my ideas for how the world fundamentally works.

The act of writing my scientific manifesto was was daunting to say the least! But I am excited to share 3 tips that helped me crank out a draft in less than 3 months .

  • Stand on the shoulder of giants. There will some great examples of theses written by students in your program and/or lab that you can reference! Check out award-winning theses and/or theses that your PhD advisors rave about. Which theses were the most memorable to your advisors and why? Were they engaging to read? Well-written? Did they mirror an excitment and enthusiam the student had for their work? Did they highlight the seeds of impactful, exciting research ideas? Two of my favorites are by Nicole Haloupek and Greg Alushin , two highly successful alumni of my PhD lab. Nicole published a beautiful Science paper on the first structure of the inflammasome and worked as a professional freelance writer for the Society of Neuroscience and the American Cancer Association. Needless to say, her thesis was the perfect inspiration to help me write an engaging, succinct and well-cultivated first draft. Meanwhile, Greg's theses was an artistic masterpiece, indeed. He published multiple impactful works, with his Cell paper, on novel high-resolution states of tubulin, being a major highlight. Excitingly, he thesis read like an homage to beauty of the cytoskeleton, specifially microtubules and the mechanical forces that drive their diverse roles of the cell. Since I was also a microtubule fan, his thesis served as an excellent foundation for my work, especially since his early studies of the microtubules were a huge reason why I could pursue my doctoral questions as well! Here are the links to Nicole's concise, well-written thesis and Greg's engaging, microtubule-filled thesis . Excellent sources of inspiration!
  • Work fast and iterate . Okay, so UC Berkeley is a little unique because in order to graduate you only have to submit a written thesis and you DO NOT have to do a defense , or in other words, publicly defend your work in front of a panel of judges. A major PRO of this includes NOT having to coordinate your graduate date around the schedules of other – very busy – PIs. I absolutely loved this about Berkeley - you only have to prove yourself once when you take your Qualifying Exam in your 2nd year and after that graduating is between you and your thesis committee. I got approved to graduate at the end of my third year so for my final year I could focus on publishing, writing my thesis and securing a postdoc - which was amazing! So what does working fast and iterate look like? Well, when your a cryoEM-er like me you learn that when you refine and visualize your data, it needs to undergo multiple iterations: multiple rounds of "guess-timat-ing" the right solution based on a number of variables. So write your first draft, share with advisors you trust and admire, and edit. Lather, rinse, repeat . Don't look back. People always remember and reference the final draft and almost never remember the first draft.
  • A picture (figure) is worth 1000 words. Finally, throughout graduate school, I became infatuated with Adobe Illustrator. I loved how much automony is gave me over telling my story, and as a visual learner, a picture can tell me everything I need to know. Soooo, I incorporated descriptive figures as often as I could throughout my thesis. Below is one of my favorite examples: Fig. 4 illustrates the central thesis of my first paper: acetylation has a causative effect on the stability of microtubules . Don't be afraid to let your inner artist shine as you write your manifesto.

Last but not least, I want to add that YOU GOT THIS! Block out at least two weeks to write every day to get your first draft and then write, submit for review, edit and repeat !

How I wrote my PhD thesis in three months

But writing my PhD thesis had to be different, I told myself when I could finally see the finish line. I couldn’t afford to procrastinate . My PhD scholarship was about to expire, I didn’t have the money for a prolonged stay in the UK, and I didn’t want to be on the island anymore. So, I decided I would leave Cardiff in three months, bought a one-way ticket back home, and then opened the folder “PhD stuff” on my laptop. It was thesis o’clock.

Was I mad? Writing a PhD thesis in three months? Others have done it, so it wasn’t impossible. But sure, X is a great writer, Y had a job waiting for him, and was there anything Z couldn’t do? I wasn’t X, Y, or Z, but I couldn’t waste a second on doubting myself. I had all the materials for my dissertation, so it was only a matter of putting everything together.

Here’s how I wrote my PhD thesis in three months (the distilled version, without the doubts, tears, desperation, frustration, panic, revision fatigue, proofreading mania, and so on). I hope you can use some of these tips to speed up your thesis writing process.

Gathered and organized all the materials

I had the literature review, two papers accepted for publication, some reports, and most of the figures , tables, and appendices that would go into my thesis. I started by organizing all the materials I had and completing the missing bits.

Created an outline

Creating an outline for my doctoral dissertation was easy, as I had had three years to think about what it would include. Once I got the outline approved by my thesis advisor, I was ready to start writing.

I could not emphasize more how important it is to create a detailed outline of a PhD thesis. Once you have it, you cannot feel lost on your thesis writing journey. So, all the time you use for creating an outline, revising it, and getting it approved by your thesis advisor will be well worth it.

Wrote the core chapters

My two peer-reviewed papers became the core of my thesis. Writing these two chapters based on my publications was relatively easy, and it gave me momentum.

The third core chapter was harder to write than the previous two. I needed to turn my research into a coherent whole, instead of simply turning a paper into a chapter.

I started by creating a detailed chapter outline. Then, I copied and pasted under each bullet point all the material I wanted to use—figures, tables, maps. Next, I summarized my ideas and then turned each one into a paragraph. Finally, I tied all the paragraphs together using transition sentences. I didn’t stop to worry about repetitions, awkward language, and typos at this point.

Wrote the two easy chapters

Completing the “Geological Setting” and “Data and Methodology” chapters was easy, as I had used this information for presentations and posters throughout my doctoral program. Writing these chapters gave me a confidence boost—the bulk of my thesis was done, or so I thought at the time.

Wrote the introduction

Based on the literature review I already had, I started drafting my introduction, perhaps the most difficult chapter of my thesis. I had too much information and it was poorly structured. But after a lot of rewriting and revising, I managed to create a chapter draft.

Wrote the discussion

No doubt, this was the hardest part of writing my PhD thesis . The discussion had to be the common thread of my three core chapters, which were pretty disconnected to begin with.

I started doing a lot of brainstorming and struggling to draw connections between otherwise disparate ideas. I had to read many papers and books again and look up new information.

At this point my stress levels soared and no place seemed quiet enough to allow me to concentrate. Working from home was out of question, as there were too many distractions (read “snacks and comfortable places to sleep on”). So, instead, I decided to arrive at the office very early and write as much as I could during the quiet hours of the morning. By noon I had usually made good progress, so I would go for a brisk walk to clear my mind. In the afternoon I focused on tasks that demanded little brain power, such as reference formatting.

One more thing I did while I wrote my discussion chapter was not checking my email till after lunch. It’s incredible how much progress I made when I didn’t allow myself to be distracted by new-email notifications.

Wrote the conclusion and abstract

Completing these two parts of my thesis was easy once I had everything else ready.

Revised and edited my PhD thesis

Revising was far more painstaking than I had imagined. I don’t remember how many revision rounds I did, but they were quite a few.

At this point I started having doubts; I could almost picture myself failing my PhD examination. But after the editing stage, my confidence was back. It was a decent thesis, I thought, though it was far from perfect. But it had to be good enough—I was running out of time.

Proofread my PhD thesis

This stage was quite enjoyable, though not as enjoyable as writing thesis acknowledgments . I had fixed the most blatant errors during the editing stage, so proofreading was relatively easy. But as self-proofreading is not foolproof, some errors will remain in my thesis forever.

Formatted the document

I had used MS Word and had many figures and tables, so putting the document together was a hassle. My laptop kept crashing because of the size of the file, and working with styles in Word was a nightmare. Completing this stage was more time-consuming than I had expected, but when it was done it was time to celebrate.

That’s how I wrote my PhD thesis in three months, but it would have been easier if…

I used a reference manager, chose a word processor other than Word, had my thesis professionally proofread, and socialized during these three months instead of living in automaton mode. And it would have been good to know writing always takes longer than you think. Trivial tasks in particular (such as formatting tables) can become time sinks if you don’t put a cap on the number of hours you are willing to dedicate to a task. Also, knowing the law of diminishing returns helps you limit the number of revision rounds you do.

If you find none of the tips above useful, maybe you can use this one: To avoid procrastination when writing your PhD thesis, focus only on the task at hand. Worrying about how people will judge your PhD thesis slows down your progress and adds unnecessary stress to your life.

PhD thesis writing tips: How to overcome the challenge of writing your PhD thesis

First, remember that although writing a PhD thesis is difficult, this can be accomplished. Here are some things to consider that will increase your confidence and make the task of PhD thesis writing a bit less scary. 

  • Create an outline before you start writing – The most effective way to keep your work organized is to first create an outline based on the PhD thesis structure required by your university. Using an outline for your PhD paper writing has tremendous benefits. It creates a handy space to keep and organize all the little snippets of information and questions you will have during your preparation. It allows you to effectively plan your work and manage your time and makes the actual writing much easier. A thesis is shaped more than written, and an outline provides it the required PhD thesis structure. 
  • Follow all university guides – Be careful to ensure that you are meeting all the requirements of your university. This includes everything from topic selection to structure to writing style. It is extremely frustrating to spend a lot of time and effort on a section only to have to do it over because you didn’t follow the proper guidelines. Read all relevant material from your university over and over until you have it memorized. Then, check it again. 
  • Section order – It is usually best not to do your PhD thesis writing in chronological order. For researchers, the easiest parts to write are usually the Method and Results. So, gain some confidence first and write the Introduction and Conclusion last to tie it all together. 
  • Work extensively with your supervisor – Don’t forget that in the process of PhD thesis writing, help is right there when you ask for it. Do not hesitate to ask for guidance from your supervisor, advisors, or other committee members when you get stuck. Clear and regular communication with these important resources can save you untold heartache during the PhD research and thesis writing processes. This should not be a solo exercise; they have all been where you are now. 
  • Plan carefully, create rough drafts, and refine 2 – This is so important and basic to all academic research that it bears repeating. You will not write the final PhD thesis on your first try. Do not become frustrated, trust the process. 
  • Produce quality writing – Make sure your ideas flow easily and are clear and easy to read. This is not a strong skill for most beginning researchers, but it’s a skill that can be learned with a lot of practice. Therefore, edit, edit, and edit some more. Rule of Three: advice on writing a PhD thesis

PhD students sometimes get the same bad advice on writing their thesis. I call this advice the Rule of Three . Typically, they get told that their thesis:

  • Will take 3 months to write
  • Should have 3 results chapters
  • Should be 300 pages

These bits of advice have one thing in common: they are all wrong.

  • If you have been organised (see below), it should not take 3 months to write a PhD thesis. It certainly shouldn’t involve leaving the lab 3 months before your hand-in date to write up.
  • Theses can have one results chapter or they can have more. How many chapters depends on your project, and your results. Trying to make three results chapters out of one chapter ends up in a weak or overlong thesis.
  • A thesis is like a piece of string and it will be as long as it needs to be. Aim for brevity and not producing a magnus opus (see below).
Disclaimer: what follows is some different advice. As with all “advice”, your mileage will vary. It is written for the people in my lab but likely applies to UK PhD students doing biomedical research.

Rule 1: aim for a thesis that is good enough

Who will read your thesis? Two people. Your examiners. OK, some parts – such as the Methods section – will be useful to future lab members (although with electronic lab notebooks this function is becoming redundant). Maybe your thesis will be downloaded by someone from the repository, but essentially, it will only be read by your examiners.

How long does an examiner spend reading your thesis? A few hours. One day maximum. They simply have no more time. Do you really want to spend three months of your life writing something that will be read for just a few hours by two people?

It’s for these reasons that spending too much effort writing a perfect thesis is a waste of time. It just needs to be good enough.

As well as being just good enough, it only needs to be long enough . A big mistake students make is to produce a really long thesis because they think that that is what theses should be (rule of 3). What happens is the examiner will receive the thesis, look at how many pages there are, subtract the bibliography, and their heart will sink if it is too long.

You might now be wondering: is writing a thesis a waste of time?

No, because you have to do it to get your PhD.

No, because you learn important writing skills. You also learn how to assemble a large document (it’s often how students learn to use Word properly or up their LaTeX game). It’s good training for writing papers and other technical documents down the line. Employers know this when they hire you.

But that is about it. So you just need to write something that is good enough to pass.

Rule 2: prioritise papers and the thesis will follow

Papers are the priority. They are more useful to you and to your PI. But this advice isn’t motivated by self-interest. If you go into the viva and the work in your thesis is already peer reviewed and published, it’s harder for the examiners to criticise it. At least, they will not approach your thesis with the question: is this work publishable? This is one criteria for passing your PhD, so demonstrating that it is publishable means you are (almost) there.

This was the one bit of advice I received when doing my PhD and it is still true today. OK, it is harder these days to get a first author paper published before you submit your thesis. However a preprint on bioRxiv before you begin writing will help you to prepare your thesis and will still tick the publishable box.

How long should it take to write your thesis?

There is tension here because you are at your most useful in the lab as you near the end of your PhD. One week of labwork now is worth one month (or more) earlier in your PhD. You are most valuable to your lab/PI/science/career at this point and keeping working in the lab will yield more rewards. But it won’t get your thesis written.

The first bit of writing is busywork and can be done around lab work. “Deep writing” and reading does need time away for most students.

If you have only collected data in the lab and not analysed it, if you’ve not presented your work very often, if you are disorganised… yes, it will take you a full three months to write your thesis.

All the folks in my lab are encouraged to get figures ready, analyse as they go and they also give regular talks. It should not take anyone in this position three months away from the lab to write their thesis.

Agreeing a timeline with your PI for when you begin writing is really important. Regular deadlines and a commitment to timely feedback from your supervisor make thesis writing easier. The discussion needs to be based on facts though. Often students want to budget a lot of time to writing, because of the rule of 3 or because they believe they are “bad at writing”. It helps to see some evidence. Writing draft chapters earlier in the PhD – which is a requirement at some universities – can reveal difficulties and weaknesses.

Reality check

If you hear the rule of 3 from everyone and your supervisor is giving you different advice. It might be time for a reality check. Have a look at past theses from the lab. How long were they? How many chapters? Information is good.

You can see that all theses are fewer than 300 pages in length, many substantially so. Four have three chapters and two have two. Although looking closer, two of the theses with three chapters use a results chapter as an expanded methods chapter.

Ultimately, the thesis is your work but you will get input from your supervisor. Regardless of what is written here or how many people tell you about the rule of 3, your supervisor will have their own ideas about how your thesis should be. Agreeing a sensible plan with them is the way to get started productively.

Getting started

This is not a comprehensive guide but in order to write a good enough thesis, you first need a plan.

  • Make a figure list. This should be every single figure you can think of. You can cross off ones you don’t need later if they don’t fit or are insignificant.
  • Plan the narrative. There is usually more than one way to put together the figures to make a thesis. Be prepared for this to change after you start writing! Sometimes the writing process reveals ways in which the narrative should be rearranged.
  • How many results chapters? Start with the idea that you will have one. Does it need dividing? If yes, then what are the titles of the two chapters? If you have difficulty titling them you may need to split to a 3rd.

Now you have a plan. It’s time to get going.

Set some goals – but make them small. Having a goal of “I am going to complete my thesis” is too demoralising. You need to feel like you are making progress constantly to stay motivated. Break it down into smaller chunks. “I will finish this chapter by next Friday”. “I will write the cloning section this morning and then go for a walk”.

Write the materials and methods first . It’s the easiest bit to write because it is all technical writing with little wordcraft required. You can fit it around labwork. In fact, it is easier to write whilst in the lab because you can look up all the stuff you need. Importantly, it gets over the “blank page syndrome”.

Next get your figures together . This should already be done if you have been organised.

Then write the figure legends . You already have the title for each figure from your plan. All you need to do is describe each panel. Again, quite low energy writing required for this task.

Now write the results sections ! This is the same way that we put papers together. The results parts of the thesis are more extended but in principle you will guide the reader though the figures that you’ve made. Remember, you already have the legends written. So you are already partly on your way.

Time to regroup . At this point you can refine your plan for the introduction and check the rest of your plan still makes sense. Now is the time for some deep writing and reading.

Many PhD students are now in the final throes of writing their thesis. Turning years of research into a single, coherent piece of work can be tough, so we asked for tips from supervisors and recent PhD graduates. We were inundated with tweets and emails – and @AcademiaObscura helpfully created a Storify of the tweets. Below is a selection of the best tips.

1) Make sure you meet the PhD requirements for your institution “PhD students and their supervisors often presume things without checking. One supervisor told his student that a PhD was about 300 pages long so he wrote 300 pages. Unfortunately the supervisor had meant double-spaced, and the student had written single-spaced. Getting rid of 40,000 extra words with two weeks to go is not recommended.” ( Hannah Farrimond, lecturer in medical sociology, Exeter University)

2) Keep perspective “Everyone wants their thesis to be amazing, their magnum opus. But your most important work will come later. Think of your PhD as an apprenticeship. Your peers are unlikely to read your thesis and judge you on it. They are more likely to read any papers (articles, chapters, books) that result from it.” ( Dean D’Souza, PhD in cognitive neuroscience, Birkbeck, University of London)

3) Write the introduction last “Writing the introduction and conclusion together will help to tie up the thesis together, so save it for the end.” ( Ashish Jaiswal, PhD in business education, University of Oxford)

4) Use apps “ Trello is a project management tool (available as a smartphone app) which allows you to create ‘boards’ on which to pin all of your outstanding tasks, deadlines, and ideas. It allows you to make checklists too so you know that all of your important stuff is listed and to-hand, meaning you can focus on one thing at a time. It’s satisfying to move notes into the ‘done’ column too.” ( Lucy Irving, PhD in psychology, Middlesex University)

5) Address the unanswered questions “There will always be unanswered questions – don’t try to ignore or, even worse, obfuscate them. On the contrary, actively draw attention to them; identify them in your conclusion as areas for further investigation. Your PhD viva will go badly if you’ve attempted to disregard or evade the unresolved issues that your thesis has inevitably opened up.” ( Michael Perfect, PhD in English literature, University of Cambridge)

6) Buy your own laser printer “A basic monochrome laser printer that can print duplex (two-sided) can be bought online for less than £100, with off-brand replacement toners available for about £30 a pop. Repeatedly reprinting and editing draft thesis chapters has two very helpful functions. Firstly, it takes your work off the screen and onto paper, which is usually easier to proof. Secondly, it gives you a legitimate excuse to get away from your desk.” ( James Brown, PhD in architectural education, Queen’s University Belfast)

7) Checking is important “On days when your brain is too tired to write, check quotations, bibliography etc so you’re still making progress.” ( Julia Wright, professor of English at Dalhousie University, Canada)

8) Get feedback on the whole thesis “We often get feedback on individual chapters but plan to get feedback from your supervisor on the PhD as a whole to make sure it all hangs together nicely.” ( Mel Rohse, PhD in peace studies, University of Bradford)

9) Make sure you know when it will end “Sometimes supervisors use optimistic words such as ‘You are nearly there!’ Ask them to be specific. Are you three months away, or do you have six months’ worth of work? Or is it just a month’s load?” ( Rifat Mahbub, PhD in women’s studies, University of York)

10) Prepare for the viva “Don’t just focus on the thesis – the viva is very important too and examiners’ opinions can change following a successful viva. Remember that you are the expert in your specific field, not the examiners, and ask your supervisor to arrange a mock viva if practically possible.” ( Christine Jones , head of school of Welsh and bilingual studies, University of Wales Trinity St David)

11) Develop your own style “Take into account everything your supervisor has said, attend to their suggestions about revisions to your work but also be true to your own style of writing. What I found constructive was paying attention to the work of novelists I enjoy reading. It may seem that their style has nothing to do with your own field of research, but this does not matter. You can still absorb something of how they write and what makes it effective, compelling and believable.” ( Sarah Skyrme, PhD in sociology, Newcastle University)

12) Remember that more is not always better “A PhD thesis is not a race to the highest page count; don’t waste time padding.” ( Francis Woodhouse, PhD in mathematical biology, University of Cambridge)

13) Get a buddy “Find a colleague, your partner, a friend who is willing to support you. Share with them your milestones and goals, and agree to be accountable to them. This doesn’t mean they get to hassle or nag you, it just means someone else knows what you’re up to, and can help to check if your planning is realistic and achievable.” ( Cassandra Steer, PhD in criminology, University of Amsterdam)

14) Don’t pursue perfectionism “Remember that a PhD doesn’t have to be a masterpiece. Nothing more self-crippling than perfectionism.” ( Nathan Waddell, lecturer in modernist literature, Nottingham University )

15) Look after yourself “Go outside. Work outside if you can. Fresh air, trees and sunshine do wonders for what’s left of your sanity.” ( Helen Coverdale, PhD in law, LSE)

In your academic career, few projects are more important than your PhD thesis. Unfortunately, many university professors and advisors assume that their students know how to structure a PhD. Books have literally been written on the subject, but there’s no need to read a book in order to know about PhD thesis paper format and structure. With that said, however, it’s important to understand that your PhD thesis format requirement may not be the same as another student’s. The bottom line is that how to structure a PhD thesis often depends on your university and department guidelines.

But, let’s take a look at a general PhD thesis format. We’ll look at the main sections, and how to connect them to each other. We’ll also examine different hints and tips for each of the sections. As you read through this toolkit, compare it to published PhD theses in your area of study to see how a real-life example looks.

Main Sections of a PhD Thesis

In almost every PhD thesis or dissertation, there are standard sections. Of course, some of these may differ, depending on your university or department requirements, as well as your topic of study, but this will give you a good idea of the basic components of a PhD thesis format.

  • Abstract : The abstract is a brief summary that quickly outlines your research, touches on each of the main sections of your thesis, and clearly outlines your contribution to the field by way of your PhD thesis. Even though the abstract is very short, similar to what you’ve seen in published research articles, its impact shouldn’t be underestimated. The abstract is there to answer the most important question to the reviewer. “Why is this important?”
  • Introduction : In this section, you help the reviewer understand your entire dissertation, including what your paper is about, why it’s important to the field, a brief description of your methodology, and how your research and the thesis are laid out. Think of your introduction as an expansion of your abstract.
  • Literature Review : Within the literature review, you are making a case for your new research by telling the story of the work that’s already been done. You’ll cover a bit about the history of the topic at hand, and how your study fits into the present and future.
  • Theory Framework : Here, you explain assumptions related to your study. Here you’re explaining to the review what theoretical concepts you might have used in your research, how it relates to existing knowledge and ideas.
  • Methods : This section of a PhD thesis is typically the most detailed and descriptive, depending of course on your research design. Here you’ll discuss the specific techniques you used to get the information you were looking for, in addition to how those methods are relevant and appropriate, as well as how you specifically used each method described.
  • Results : Here you present your empirical findings. This section is sometimes also called the “empiracles” chapter. This section is usually pretty straightforward and technical, and full of details. Don’t shortcut this chapter.
  • Discussion : This can be a tricky chapter, because it’s where you want to show the reviewer that you know what you’re talking about. You need to speak as a PhD versus a student. The discussion chapter is similar to the empirical/results chapter, but you’re building on those results to push the new information that you learned, prior to making your conclusion.
  • Conclusion : Here, you take a step back and reflect on what your original goals and intentions for the research were. You’ll outline them in context of your new findings and expertise.

Tips for your PhD Thesis Format

As you put together your PhD thesis, it’s easy to get a little overwhelmed. Here are some tips that might keep you on track.

  • Don’t try to write your PhD as a first-draft. Every great masterwork has typically been edited, and edited, and…edited.
  • Work with your thesis supervisor to plan the structure and format of your PhD thesis. Be prepared to rewrite each section, as you work out rough drafts. Don’t get discouraged by this process. It’s typical.
  • Make your writing interesting. Academic writing has a reputation of being very dry.
  • You don’t have to necessarily work on the chapters and sections outlined above in chronological order. Work on each section as things come up, and while your work on that section is relevant to what you’re doing.
  • Don’t rush things. Write a first draft, and leave it for a few days, so you can come back to it with a more critical take. Look at it objectively and carefully grammatical errors, clarity, logic and flow.
  • Know what style your references need to be in, and utilize tools out there to organize them in the required format.
  • It’s easier to accidentally plagiarize than you think. Make sure you’re referencing appropriately, and check your document for inadvertent plagiarism throughout your writing process.

What about different phd programme structures, what about differentiating the research and writing phases of a phd, what about the smart use of ai technology and other tools to speed up the process, 1. good academic research takes time, 2. writing a phd thesis is not a numbers game, 3. writing a phd thesis is not a linear process, 4. writing a phd thesis requires skills that are learnt along the way, concluding thoughts: claiming a phd can be written in 3-6 months is harmful.

There are many people on the internet and #AcademicTwitter who claim that they wrote their PhD thesis in just 3-6 months. I am sorry to break it to you: these claims are unrealistic and misleading.

I am writing from a social sciences and humanities background. Yet, the data clearly shows that the average length of a PhD across various disciplines is 3.5-4.5 years. Thus, I would question if it is possible to complete a PhD thesis in 3-6 months in other disciplines.

One thing I can say with confidence is the following: People who claim they completed their PhD thesis in 3-6 months are likely to attract attention and promote clickbait content.

While there is nothing wrong with providing tips and tricks on how to write more efficiently during a PhD, it’s essential to recognize that completing a thesis is a long-term project. I provide my own ‘thesis tips’ on my blog, but I am increasingly frustrated by the growing promotion of unrealistic expectations regarding thesis completion times.

If you come across someone who claims to have completed a PhD thesis in less than 6 months, dig a little deeper. Many individuals who make such claims are often out to sell you something, such as a course, e-book or webinar.

While there is nothing inherently wrong with selling products or services, promoting unhealthy expectations of how fast a PhD thesis can be written to increase sales is not ethical. Therefore, it’s important to be aware of such claims and approach them with a critical eye.

Debunking counterarguments on writing a PhD thesis in 3-6 months

PhD programmes differ in terms of structures and requirements, which can have an effect on the length it takes to write a PhD thesis. Some programmes place a lot of emphasis on coursework while others prioritise the thesis from the beginning.

However, even when a lot of coursework is required, it often serves as preparation for the PhD thesis. It cannot be completely separated from the thesis writing process.

Furthermore, some PhD programmes require a monograph, while others allow for a cumulative dissertation based on individual journal articles. Both thesis types, however, take considerable time. In addition, there are often regulations that one or more articles of a cumulative dissertation have to be published before the PhD thesis can be completed.

Thus, while PhD programme structures do affect the time it may take to write a PhD thesis, 3-6 months remains unrealistic.

When people are challenged on their claim of completing their PhD thesis in a short amount of time, they often respond by saying that they spent more time on research and were referring only to the actual writing phase. While this may be true in some cases, there are two issues with this response.

  • Firstly, this clarification is often not made when the initial claim is made. Thus, we come back to the problem of people spreading unrealistic expectations, often in order to sell their services or products.
  • Secondly, at least in the social sciences and humanities, writing a PhD thesis is not just about writing up ‘results’ or describing experiments. Academic writing involves analysis and argumentation, which takes much longer than simply presenting results. Therefore, in the majority of cases, completing a PhD thesis in under six months remains unrealistic.

In a previous post, I discussed the ethical use of AI technology in academic research , which can lead to improved efficiency and productivity. However, it’s important to note that AI and other tools should not replace human creativity and originality.

Online tools can be useful for tasks like summarising articles to decide whether they are worth reading, or notetaking. Yet, relying on them to condense several years’ worth of work into a 3-6 month period goes beyond using them as support and can be considered unethical. It’s important to use these tools responsibly and not rely on them too heavily.

Reasons why you cannot write a PhD thesis in 3-6 month

Writing a PhD thesis requires hard work, dedication and perseverance over the course of several years. Why?

The objective of a PhD thesis is to contribute to scientific knowledge. This is not an easy task and requires time.

A 2019 survey by the European University Association concluded that the average time to complete doctoral studies is 3.5-4.5 years. However, 28% of surveyed higher education institutes across Europe indicated that their PhD students take on average more than 5 years to complete their doctorate!

Unfortunately, academia is increasingly prioritizing speed over groundbreaking scientific insights. A 2023 article published in Nature showcased that ‘disruptive’ science has declined with fewer publications changing the course of directions of scientific fields. The pressure to publish is high.

PhD students, who often find themselves in precarious situations, are often not able to fully commit to what some people call ‘ slow science ‘. However, the slow science movement which emphasises that good academic work needs ‘time to think, carries a valuable lesson: It makes sense that writing a PhD thesis takes much more time than 6 months!

Many PhD thesis range from 70.000 to 100.000 words. Six months is approximately 182 days. The calculation often goes like this:

100.000 words / 182 days = 549 words per day

Sounds doable, doesn’t it? Unfortunately, there is a flaw in this type of thinking.

PhD students are no machines, and cannot produce a predictable amount of words every day.

Don’t get me wrong. These types of calculations can be helpful for PhD students who feel overwhelmed by the task of writing 100.000 words. It is important to stay realistic though.

Writing is not just putting words on paper. Producing low-quality 549 words per day will not result in a PhD thesis after six months.

While it is important to follow the length requirements of your university for your PhD thesis, remember that quantity does not equal quality. A PhD thesis relies on the quality of academic insights, key arguments put forward, depth of theoretical discussions, etcetera.

Not only is writing a PhD thesis not a numbers game, but it is also far from being a linear process. Therefore, writing a good PhD thesis over the course of 3-6 months is quite unlikely. Instead, academic writing looks like this:

In my opinion, being stuck for several weeks and not knowing how to proceed is a necessary part of doing a PhD. It is not enjoyable, but it happens to almost all PhD students. It is part of the process of figuring things out.

Moreover, continuous editing, feedback and discussions with supervisors and colleagues, are all required parts of writing a PhD thesis. All of this takes time.

Most PhD students, who begin the thesis writing process, have not written such an extensive piece of work before. In fact, unless they write a single-authored book in the future, this may be one of the few times they focus extensively on writing such a long piece of work in their career.

Like all skills, it takes time to acquire them. Learning by doing is a classic approach, and it is important not to expect oneself to be an expert before even starting. It is difficult to become an expert in just 3-6 months starting from a beginner level.

Many PhD students experience mental health issues, and are struggling due to unrealistic expectations. While there are obviously other factors at play that lead to this mental health crisis among PhD students, let’s stop pretending that a PhD can be written in 3-6 months!

Many PhD students may feel stressed, anxious, or inadequate because they cannot live up to these unrealistic expectations. In some cases, they may not even realize that these expectations are unrealistic.

Thus, instead of spreading unrealistic expectations ( especially to sell products or services to struggling PhD students! ), let’s share what a realistic PhD thesis writing process looks like.

For example, when I was a PhD student myself, an established professor told me that her daily limit for writing valuable content was 250 words. I remember the relief I felt when she told me. We need more stories like this, and better role models.

Five things to know about… the three-minute thesis competition.

Every year, Yale’s Three-Minute Thesis Competition provides Ph.D. students with an opportunity to step away from the fog of their dissertation research and tell the world exactly what it is they are trying to achieve.

In three minutes.

The competition, known as 3MT, requires students to present their theses in a succinct, clear, and compelling way before a panel of judges. Winners receive a cash prize and bragging rights. But everyone who competes likely comes away understanding their research better and feeling more confident about public speaking, said Suzanne Young, the assistant dean for graduate student professional development in the Yale Graduate School of Arts and Sciences (GSAS), which sponsors the competition.

“ This is really going back to the roots of public speaking, where it’s about you, your voice, your intelligence, and your quickness on your feet while presenting to people who might be reacting to you in the moment,” she said.

Yale News caught up with Young just before this year’s event on April 12. (See this year’s winners in accompanying box.) Here are five takeaways.

Yale’s 3MT competition is modeled after one founded by the University of Queensland (UQ) in Australia.

The original 3MT was held at UQ in 2008. The concept gradually spread throughout Australia and then abroad. Competitions are now held at more than 900 universities in more than 85 countries, according to UQ’s 3MT website.

For Yale’s competition, which debuted in 2017, registration opens in January. Most years, about 35 to 40 students sign up. A first-round competition is held in late February. The 10 winners chosen during that round go on to the April finals.

The competition is not just for students in the STEM fields.

Students compete in one of five categories: biology, engineering, humanities, physical science, and social science. Not surprisingly, perhaps, the entrants tend to be weighted toward the sciences.

“ In biology, contestants are talking about different ways to attack cancer, and in astronomy, different ways to understand dark matter,” Young said. “The stakes of those questions are pretty straightforward and obvious. I think that helps STEM candidates come to this competition more eagerly.”

But humanities students stand to gain a lot from the preparation required for the competition, and Young encourages them to give it a try. She knows from her own experience writing an English dissertation that the long process involved in shaping a thesis — including questioning, researching, and reading — can at times make the project feel “a bit amorphous.”

“ Having to say, ‘here’s why this matters, here are the key central ideas, here’s what I hope to change about the field, here are the stakes of what I’m doing’ — that clarity can be really welcome and helpful,” she said.

Presentations must include a single PowerPoint slide, but the use of any other technology or prop is prohibited.

In such a technology-dependent culture, this rule might seem outdated. But prohibiting technological enhancements and other distractions keeps the focus on the speaker, Young said. The single slide is intended to be an adjunct to what the speaker is saying and not a focus itself.

“ We’ve all been to talks where you have to decide whether you’re going to listen to the speaker or read the slides,” she said. “We want this to be a live moment of public speaking and all the challenges that come with that.”

Coaching is available to all competitors.

All participants are encouraged to prepare for their presentations by pursuing the Certificate for Public Communication , through the Poorvu Center for Teaching and Learning. As soon as they sign up for the 3MT, they receive an email link to the certificate page. They also have access to coaching and advice from Young, as well as staff in the Office of Career Strategy and the Graduate Writing Lab.

“ We really emphasize the power of preparation and feedback,” Young said.

The judges in the competition are Yale alumni.

The final round takes place before a panel of judges comprised of accomplished Yale GSAS alumni representing a mix of disciplines and Lynn Cooley, dean of the graduate school. After the presentations, the judges leave the auditorium to confer. The audience — both those in the auditorium and those watching via the live stream — is then invited to vote for two entrants to receive the “People’s Choice” award. And there is entertainment — this year, the graduate and professional school a cappella group, the Citations, performed.

Eventually, the judges troop back in and announce the first-, second- and third-place winners. Each poses with an oversized cardboard check (prizes range from $300 to $1,000 for first place).

“ We try to make it fun, and a bit of a spectacle,” Young said.
