This guide pertains to the 7th edition of the APA Manual.

This guide is designed to support the citation and reference needs of USC students, staff, and faculty.  The 7th edition of the manual does make distinctions between formatting certain components for academic use over publication.  This guide will distinguish student/academic formatting where applicable. 

This guide is designed as a "quick" reference to common APA citation, reference and formatting criteria.  When in doubt, we encourage users to consult with the APA publication manual or APA website for further clarification as the authority on formatting.

What is the purpose of citations?

Citations help readers locate your sources. They help to continue the scholarly conversation. To learn more about how citations can help you avoid plagiarism, view this interactive tutorial:

When considering citations and references for your papers, you can ask yourself, "could someone find this information in the future?"

A client's personal file would not need a citation because your reader cannot go find that information again.  Census statistics would require a citation because your reader could go locate that information again.

APA requires FOUR ELEMENTS of every citation:

• Who- Author of content
• When- Date content was published
• What- Title of content
• Where- Publication information. This can be the website you got it from or the journal or book's publication information.

Abstracts are short (about one paragraph) summaries of the entire paper. This can include an initial problem or issue, findings, results, recommendations, and conclusion. The abstract should be concise and written clearly. Readers should be able to get a basic summary of the entire paper by reading the abstract.

Writing an Executive Summary

Executive summaries are typically used for papers that are published or business papers. The executive summary is a short summary that outlines the most important points of your paper. This can include a summary of the problem or purpose, the results or recommendation, and a conclusion. The executive summary should be about 5-10% of the entire paper length, therefore, a few paragraphs at most. Usually, they do not exceed one page.

APA Style: the Basics

The American Psychological Association (APA) Style is a set of rules for citing sources and formatting papers. The purpose of this guide is to serve as a ready reference tool for formatting your papers and citations in APA Style.

In general, APA Style is used in the Social Sciences.

Check with your professor to be sure you are using the correct Style.

APA Style: Format Your Student Paper

General Format of Student Papers

• Title of paper in bold that describes the main thesis of your paper
• Author name(s) 
• Name of school (SUNY Ulster)
• Course number: Course Name
• Instructor name
• Assignment due date (ex. January 25, 2021)
• page number in upper right

Body of Paper

Follow these guidelines unless your instructor provides specific formatting:

• Continue pagination from title page
• Restate the title at the top of the page, bold and centered
• Margin: One inch on all sides
• Font size: 12 point
• Typeface: Times New Roman
• Spacing: Double-space throughout the entire paper
• Alignment: Flush left, uneven on right
• Paragraph Indentation: Half-inch
• Section headings may be used as needed
• Charts, tables and appendices as appropriate
• Start on a new page
• Use the title References at the top, in bold and centered
• Double-space all entries 
• Use a hanging indent where first line of each entry is flush left and subsequent lines are indented .5 in.

      A vast amount of research has been conducted regarding the importance of visual design, and its role as a mediator of user’s experience when browsing a site or interacting with an interface. In the literature, visual design is one aspect of website quality. Jones and Kim (2010) define website quality as “the perceived quality of a retail website that involves a [user’s] perceptions of the retailer’s website and comprises consumer reactions towards such attributes as information, entertainment/enjoyment, usability, transaction capabilities, and design aesthetics” (p. 632).  They further examined the impact web quality and retail brand trust has on purchase intentions. Additional research examining e-commerce sites has shown web quality has an impact on both initial and continued purchase intention (Kuan, Bock, & Vathanophas, 2008), as well as consumer satisfaction (Lin, 2007). Moreso, research on the relationship between visual design and perceived usability (Stojmenovic, Pilgrim, & Lindgaard, 2014) has revealed a positive correlation between the two. As users’ ratings of visual quality increase, their ratings of perceived usability follows a similar trend. Although this research spans various domains, the reliance on self-report measures to gauge concepts like visual design and web quality is prevalent throughout much of the literature.

Although some self-report scales are validated within the literature, there are still issues with the use of self-report questionnaires. One is the reliance on the honesty of the participant. This tends to be more of an issue in studies related to questionnaires that measure characteristics of the participant, rather than objective stimuli. More relevant to this study is the issue of introspection and memory. Surveys are often distributed after a task is completed, and its accuracy is dependent on the ability of the participant to remember their experience during the study. Multiple research studies have shown that human memory is far from static. This can

be dangerous if a researcher chooses to solely rely on self-report methods to test a hypothesis. We believe these self-report methods in tandem with biometric methods can help ensure the validity of the questionnaires, and provide information beyond the scope of self-report scales.

Research Questions

      We know from previous research that the quality of websites mediates many aspects of e-commerce, and provides insight as to how consumers view the webpages in general.  However, simply knowing a webpage is perceived as lower quality doesn’t give insight as to what aspects of a page are disliked by a user. Additionally, it’s possible that the user is misremembering aspects of the webpage or being dishonest in their assessment. Using eye tracking metrics, galvanic skin response, and facial expression measures in tandem with a scale aimed at measuring visual design quality has a couple of identifiable benefits. Using both can potentially identify patterns amongst the biometric measures and the questionnaire, which would strengthen the validity of the results. More so, the eye tracking data has the potential to identify patterns amongst websites of lower or higher quality.

If found, these patterns can be used to evaluate particular aspects of a page that are impacting the quality of a webpage. Overall, we are interested in answering two questions:

Research Question 1 : Can attitudinal changes regarding substantial website redesigns be captured using biometric measures?

Research Question 2 : How do biometric measures correlate with self-reported measures of visual appeal?

      Answering these questions has the potential to provide a method of justification for design changes, ranging from minor tweak to complete rebrands. There is not an easy way for companies to quantitatively analyze visual design decisions. A method for doing so would help companies evaluate visual designs before implementation in order to cost-justify them. To this end, we hope to demonstrate that biometric measurements can be used with questionnaires to verify and validate potential design changes a company or organization might want to implement.

      By examining data from test subjects during a brief exposure to several websites, we hoped to explore the relationship between the self-reported evaluation of visual design quality and key biometric measurements of a subject’s emotional valence and arousal. Subjects were exposed to ten pairs of websites before and after a substantial visual design change and asked to evaluate the website based on their initial impressions of the site’s visual design quality using the VisAWI-S scale, as shown in Table 1.  

During this assessment we collected GSR, facial expressions (limited by errors in initial study configuration), pupillary response, and fixation data using iMotions software coupled with a Tobii eye tracker, Shimmer GSR device, and Affdex facial expression analysis toolkit. This data was analyzed, in Table 2, to discover relationships between the independent and dependent variables, as well as relationships between certain dependent variables.

In-text citations are brief references in the running text that direct readers to the reference entry at the end of the paper. You include them every time you quote or paraphrase someone else’s ideas or words to avoid plagiarism .

An APA in-text citation consists of the author’s last name and the year of publication (also known as the author-date system). If you’re citing a specific part of a source, you should also include a locator such as a page number or timestamp. For example: (Smith, 2020, p. 170) .

Parenthetical vs. narrative citation

The in-text citation can take two forms: parenthetical and narrative. Both types are generated automatically when citing a source with Scribbr’s APA Citation Generator.

• Parenthetical citation: According to new research … (Smith, 2020) .
• Narrative citation: Smith (2020) notes that …

Multiple authors and corporate authors

The in-text citation changes slightly when a source has multiple authors or an organization as an author. Pay attention to punctuation and the use of the ampersand (&) symbol.

Missing information

When the author, publication date or locator is unknown, take the steps outlined below.

APA references generally include information about the author , publication date , title , and source . Depending on the type of source, you may have to include extra information that helps your reader locate the source.

It is not uncommon for certain information to be unknown or missing, especially with sources found online. In these cases, the reference is slightly adjusted.

On the first line of the page, write the section label “References” (in bold and centered). On the second line, start listing your references in alphabetical order .

Apply these formatting guidelines to the APA reference page:

• Double spacing (within and between references)
• Hanging indent of ½ inch
• Legible font (e.g. Times New Roman 12 or Arial 11)
• Page number in the top right header

Which sources to include

On the reference page, you only include sources that you have cited in the text (with an in-text citation ). You should not include references to personal communications that your reader can’t access (e.g. emails, phone conversations or private online material).

When no individual author name is listed, but the source can clearly be attributed to a specific organization—e.g., a press release by a charity, a report by an agency, or a page from a company’s website—use the organization’s name as the author in the reference entry and APA in-text citations .

When no author at all can be determined—e.g. a collaboratively edited wiki or an online article published anonymously—use the title in place of the author. In the in-text citation, put the title in quotation marks if it appears in plain text in the reference list, and in italics if it appears in italics in the reference list. Shorten it if necessary.

When you quote or paraphrase a specific passage from a source, you need to indicate the location of the passage in your APA in-text citation . If there are no page numbers (e.g. when citing a website ) but the text is long, you can instead use section headings, paragraph numbers, or a combination of the two:

(Caulfield, 2019, Linking section, para. 1).

Section headings can be shortened if necessary. Kindle location numbers should not be used in ebook citations , as they are unreliable.

If you are referring to the source as a whole, it’s not necessary to include a page number or other marker.

The abbreviation “ et al. ” (meaning “and others”) is used to shorten APA in-text citations with three or more authors . Here’s how it works:

Only include the first author’s last name, followed by “et al.”, a comma and the year of publication, for example (Taylor et al., 2018).

APA Style usually does not require an access date. You never need to include one when citing journal articles , e-books , or other stable online sources.

However, if you are citing a website or online article that’s designed to change over time, it’s a good idea to include an access date. In this case, write it in the following format at the end of the reference: Retrieved October 19, 2020, from https://www.uva.nl/en/about-the-uva/about-the-university/about-the-university.html

Are you writing a paper for a psychology class? If so, you will likely need to use APA format to organize your paper and list the sources you used.

APA format is quite different from some of the other typical academic writing styles and guidelines you may used in the past. And, while it may take some getting used to, learning how to write an APA paper is a useful skill for anyone, whether you are a psychology major or just taking some social science classes for fun.

What Is APA Format?

APA format is the official style of the American Psychological Association (APA) and is commonly used to cite sources in psychology , education, and the social sciences. APA style originated in a 1929 article published in Psychological Bulletin that laid out the basic guidelines for academic writing in this genre. These guidelines were eventually expanded into the APA Publication Manual .

Why is APA format so important in psychology and other social sciences? Because, by using APA style, researchers and students writing about psychology can communicate information about their ideas and experiments in a consistent format. Consistency ensures readers know what to look for as they read journal articles and other forms of psychological writing.

If you have never taken a psychology or social science class before, then you are probably accustomed to using a different style guide, such as MLA or Chicago style.

New college students are often surprised to find that, after spending years having another formatting style drilled into their heads, many university-level classes instead require APA style.

It can be a difficult transition, especially if you have to bounce back and forth between different styles for different classes. However, getting a solid grasp of the basics and bookmarking a few key resources can make this new format a bit easier.

How to Section Your Paper

In most cases, your paper should include four main sections: a title page, abstract, main section, and reference list.

Your title page should contain your title, name, and school affiliation. The page should also display the course number and name, the instructor's name, and the due date of your paper. The purpose of your title page is to let the reader know what your paper is about and who it was written by.

An abstract is a brief summary of your paper that immediately follows your title page. According to APA format, your abstract should be about 100 to 200 words although this can vary depending upon the specific publication or instructor requirements.

For an essay type paper, the main body of your paper will include the essay itself. If you are writing a lab report , then your main body will be broken down into further sections. The four main components of a lab report include the introduction , method , results , and discussion sections.

The reference section of your paper will include a list of all of the sources that you used in your paper. If you cited information anywhere in your paper, it needs to be properly referenced in this section.

One rule of thumb to remember is any source cited in your paper needs to be included in your reference section. And any source listed in your reference section must also be mentioned somewhere in your paper.

How to Handle In-Text Citations

As you are writing your paper, it is important to include citations in your text to identify where you found the information you are using. Such notations are called in-text citations. APA format dictates that in-text citations in APA format should include the author's name followed by the date of publication.

For example, if you were to cite Sigmund Freud's book The Interpretation of Dreams , you would use the following format: (Freud, 1900). The extended information on the source should then appear in your reference section.

Important Tips for Reference Pages

The exact format of each reference will vary depending on whether you are referencing an author or authors , a book or journal article , or an electronic source .

It pays to spend some time looking at the specific requirements for each type of reference before formatting your source list. Here are some useful tips for incorporating reference pages into your document.

• Start a new page for your references titled "References."
• Center title text at the top of the page.
• Put references should be in alphabetical order.
• Align the first line of a reference flush with the left margin and indent each additional line beneath it (usually accomplished by using the TAB key).
• Double-spaced the text
• Use italics for titles of books, journals, magazines, and newspapers.

Any reference that appears in the text of your report or article must be cited on the reference page, and any item appearing on your reference page must be also included somewhere in the body of your text.

This resourse, revised according to the 7 th  edition APA Publication Manual, offers basic guidelines for formatting the reference list at the end of a standard APA research paper. Most sources follow fairly straightforward rules. However, because sources obtained from academic journals  carry special weight in research writing, these sources are subject to special rules . Thus, this page presents basic guidelines for citing academic journals separate from its "ordinary" basic guidelines. This distinction is made clear below.

Note:  Because the information on this page pertains to virtually all citations, we've highlighted one important difference between APA 6 and APA 7 with an underlined note written in red.  For more information, please consult the   Publication Manual of the American Psychological Association , (7 th  ed.).

Formatting a Reference List

Your reference list should appear at the end of your paper. It provides the information necessary for a reader to locate and retrieve any source you cite in the body of the paper. Each source you cite in the paper must appear in your reference list; likewise, each entry in the reference list must be cited in your text.

Your references should begin on a new page separate from the text of the essay; label this page "References" in bold, centered at the top of the page (do NOT underline or use quotation marks for the title). All text should be double-spaced just like the rest of your essay.

Basic Rules for Most Sources

• All lines after the first line of each entry in your reference list should be indented one-half inch from the left margin. This is called hanging indentation.
• All authors' names should be inverted (i.e., last names should be provided first).
• For example, the reference entry for a source written by Jane Marie Smith would begin with "Smith, J. M."
• If a middle name isn't available, just initialize the author's first name: "Smith, J."
• Give the last name and first/middle initials for all authors of a particular work up to and including 20 authors ( this is a new rule, as APA 6 only required the first six authors ). Separate each author’s initials from the next author in the list with a comma. Use an ampersand (&) before the last author’s name. If there are 21 or more authors, use an ellipsis (but no ampersand) after the 19th author, and then add the final author’s name.
• Reference list entries should be alphabetized by the last name of the first author of each work.
• For multiple articles by the same author, or authors listed in the same order, list the entries in chronological order, from earliest to most recent.
• Note again that the titles of academic journals are subject to special rules. See section below.
• Italicize titles of longer works (e.g., books, edited collections, names of newspapers, and so on).
• Do not italicize, underline, or put quotes around the titles of shorter works such as chapters in books or essays in edited collections.

Basic Rules for Articles in Academic Journals

• Present journal titles in full.
• Italicize journal titles.
• For example, you should use  PhiloSOPHIA  instead of  Philosophia,  or  Past & Present   instead of  Past and Present.
• This distinction is based on the type of source being cited. Academic journal titles have all major words capitalized, while other sources' titles do not.
• Capitalize   the first word of the titles and subtitles of   journal articles , as well as the   first word after a colon or a dash in the title, and   any proper nouns .
• Do not italicize or underline the article title.

Please note:  While the APA manual provides examples of how to cite common types of sources, it does not cover all conceivable sources. If you must cite a source that APA does not address, the APA suggests finding an example that is similar to your source and using that format.
