A presentation is more than just an opportunity to explain a position or idea; it’s a means to demonstrate the hard work and research you’ve invested into it. And when it comes to preparing for a presentation—any presentation—you need to remember that the way you deliver your presentation is just as important (perhaps even more so) than the actual content.

Yes, that’s right. What you say isn’t necessarily as important as how you say it .

Think back to the last really good presentation you heard. I mean, the one that had you thinking about it for days afterwards. What made it so compelling? Why did it motivate or inspire you?

I’ll tell you why: Because the speaker engaged you .  That was no accident! He or she didn’t walk up to the podium and wing it.

How to Prepare for a Presentation?

There’s a ton of preparation that goes on behind the scenes of an amazing presentation. We know because it’s our business to teach you the fundamentals of public speaking. What you may not realize is the preparation stage goes further than just jotting down some notes and practising in front of a mirror. A stellar presentation takes a lot of time, a lot of energy, and… oh yes… a lot of practice. Here are seven key things you need to do before any presentation:

  • Do Your Research —Regardless of whether or not you are an expert in your field, there is always something new to learn. Do a thorough investigation before plotting your presentation to see if there are any new developments that could be relevant to your subject or to your audience. And make sure you really know your material. It will eliminate the dreaded “umms” and “uhs” that we’ve all come to hate. It’s a sure sign you’re not as knowledgeable or prepared as you should be.
  • Know Your Audience —No two presentations should ever be the same. I don’t care if it’s the 12th time this month that you’ve talked about the same subject. You may not have to start from scratch every time, but at least put the effort into finding out who’s going to be in your audience and tailor your presentation in a way that will appeal to them. The same jokes you told a business crowd at a breakfast meeting are probably going to fall flat with your daughter and her fellow third-graders on Career Day.
  • Craft Your Notes —Here’s a good rule of thumb: If you can’t do your presentation without it being written down, you probably can’t do it at all. Don’t write a speech. Ever. Instead, craft notes to jog your memory on your speaking points. Glance at them periodically to keep you on track. Take those notes and practice with them every day until you don’t need them anymore. (But take them with you anyway… people tend to get forgetful in front of a crowd.)
  • Practice Your Delivery —Your notes will help you prepare what you are going to say, but I’ve already told you what you say doesn’t keep a crowd engaged. So grab a video camera, your cell phone… anything with a video recording option and get in front of it. Record yourself delivering your presentation and give yourself an honest critique: Do you use effective body language? Do you walk around and interact with the crowd? How is your posture? If you can’t give yourself an honest critique, enlist a friend or family member to take a look and point out areas for improvement. Then practice, practice, practice.
  • Dress For Success —As I mentioned before, every bit of a great presentation is intentional, including the speaker’s choice of clothing. Take special attention the next time you see someone speaking (usually a politician) who’s trying to appeal to blue-collar workers. Do you know what they’ll be wearing? A blue-collared shirt with their sleeves rolled up. Your attire should match the audience. Wearing a tuxedo to deliver a speech at a ground-breaking ceremony for a new chemical plant just doesn’t make sense.
  • Get a Good Night’s Sleep —Make sure you look alert and refreshed by getting plenty of rest the night before a presentation. A drowsy mind is a forgetful mind. And the bags under your eyes won’t do you any good, either.
  • Prepare Your Space —Arrive with enough time ahead of your presentation to properly prepare the space you’ll be using. Make sure your slides are in order and that any equipment you’ll be using is functioning properly to avoid embarrassing hiccups and delays during your presentation. Place your speaking notes in a logical spot and get yourself a glass of water. Spend a few quiet minutes mentally preparing.

Be the speaker that has inspired you. Think back to the speeches you’ve heard or the people who’ve appealed to you and strive to make that same connection with your audience. Preparation is key. There’s no such thing as an off-the-cuff winning presentation, so invest some time into yourself and your audience. I need to spend more time preparing for presentations than I do.  I used to prepare more but i think I;m getting lazy the older I get.

I love how you touched on knowing your audience. A lot of people tend to forget this and in turn, end up being forgettable. You want to really connect with who you are speaking to in order to be remembered and thought about after the presentation is over. I have talked to many people who will touch on all the point mentioned but tuning yourself to your audience.

I’ve tried ‘winging it’ only to discover I looked pretty foolish. Preparation is the key.

Off-the-cuff is definitely not good. I think we’ve all tried that strategy (and failed).

I disagree, some people need a script just to take a dump. That’s not me. I don’t work well with scripts, they’re too confining, and my best presentations have been off the top of my head. I am an improver and always will be.

I liked the point about dressing for success. People put so much thought into what they’re going to say. They don’t think about what their outfit says.

People don’t realize just how much of a benefit a good night’s sleep can be. It’s not something you’d expect to help your public speaking, but it makes a lot of sense.

15 things you should do in the 15 minutes before a big presentation

You have to give a big, important presentation in just 15 minutes. Your heart is racing, your palms are damp — you're starting to panic.

It's completely normal. In fact, most speakers, beginners and veterans alike, readily admit to feeling nervous in the moments leading up to a big speech or presentation.

Darlene Price, president, of Well Said, Inc. and author of " Well Said! Presentations and Conversations That Get Results ," tells Business Insider that instead of trying to lose the butterflies, you should aim to leverage them. "The adrenaline surge can fuel your body with the energy and enthusiasm necessary for a great performance," she explains.

Whether you're stepping to the front of the room to speak to just a few people, or making a grand entrance in a ballroom to address thousands, here are 15 ways to effectively use the 15 minutes before you go up to prepare your body and mind for peak performance:

1. Talk positively to yourself

Claim your success before you begin, Price says.

"Let's learn from the experts in sports psychology. They've proven that an athlete's positive self-talk prior to and during a performance consistently creates a higher win rate," she explains.

In the minutes leading up to your presentation, say over and over within yourself, "I am a dynamic speaker!" "I am enthusiastic and engaging!" "I am prepared and confident!"

"Write your own set of self-affirmations and confidently declare them," she advises. "Your words will create a self-fulling prophecy."

2. Use the restroom

"First thing's first," Price says. "Needing the toilet when you wouldn't normally 'have to go' is a common reaction to anxiety and pre-speech jitters. Why take chances? Plan ahead and use the restroom in the moments prior to going on stage."

3. Check yourself out in the mirror

There's nothing worse than wondering, "Do I have something in my teeth?" as you take the stage.

To ease any potential concerns about your physical appearance you might have as you begin your presentation, you should take a quick look in the mirror before you start. This way, you'll have one less thing to worry about (and be distracted by!). 

4. Meet and greet the audience before you speak

Shake hands and talk with as many people as possible ahead of time. "This shows the audience you're approachable and personable," Price explains.

"You may even learn a few names, issues, and stories to weave into your presentation. Plus, having conversations with your listeners ahead of time transforms scary 'public' speaking into natural, relaxed 'personal' speaking."

5. Check out the meeting room and audiovisual set-up

As the speaker, be sure you know the environment, including the seating arrangement, presentation electronics, microphone, and lighting.

Get to the room early and ensure you're comfortable with the set-up. "This step shows the audience you're prepared and helps ensure your presentation runs smoothly," she says.  

6. Take several deep belly breaths

Since anxiety tightens the muscles in the chest and throat, it's important to diminish that restricting effect with deep inhalations, Price explains.

Don't underestimate the power of a long, slow, deep breath. "It maximizes the amount of oxygen that flows to the lungs and brain; interrupts the adrenalin-pumping 'fight or flight' response; and triggers the body's normal relaxation response," she says. In the moments leading up to your presentation, breathe deeply and deliberately.

7. Practice the first minute in your mind

Whatever you're planning to say as the captivating opener — a witty quotation, personal story, or startling statistic — rehearse the first few sentences several times, Price suggests. Knowing exactly how you're going to start gives you confidence, enables you to look directly into the eyes of audience members as you begin (not at notes or a slide), and creates a powerful first impression.

8. Focus on positive thoughts and images

"Harnessing the power of the mind-body connection means that you can learn to use your thoughts to positively influence your body's physical responses," Price says.

As a result, you can decrease stress and increase a sense of well being and control, just by holding positive thoughts and images in your mind.

For example, replace the thought, "I'm so nervous and unprepared I'm going to bomb," with a positive statement such as, "I'm an expert on my topic," "I'm enthusiastic and engaging," or, "I'm credible and confident."

9. Sip water that is either warm or room temperature, with lemon if possible

"This helps with dry-mouth, cuts through mucus buildup in the mouth, and clears the throat," Price says. Avoid cold food and drinks, dairy products, and carbonated beverages — and ensure a glass or bottle of water is within arm's reach during your speech.

10. Acknowledge the three audience truths

Prior to speaking, tell yourself:

"This audience believes I am the expert."   The audience perceives you as a recognized authority simply because you're the one speaking, she explains. "Plus, you know more than they do about the topic."

"They want me to succeed." Audiences are rooting for you. They want and expect you to add value; to be interesting, engaging, and informative otherwise the presentation is a waste of their time, says Price.

"They don't know what I'm going to say." If you make an error, don't announce it or apologize, just keep going. "The audience will never know."

11. Exercise lightly

In a private setting beforehand, do some light stretching, a few knee-bends, or take a brisk walk down the hall and back. "This rids the body of excess energy and sends oxygen to the brain," she says.

12. Assume a standing position in the five minutes prior to speaking

If you're the host or only speaker, you'll be standing anyway. However, if you're one of several speakers on the agenda, and your turn is coming up in five minutes, simply step to the back of the room and stand, or stand up if you're backstage.

"The sitting position is motionless, passive, and inactive. By standing, you summon energy ahead of time, give your body a chance to warm up, and place yourself in a posture ready for action."

While you're at it, strike a "power pose."

Harvard psychologist Amy Cuddy describes power poses as expansive and open stances where you take up a lot of space and hold your arms and legs away from your body, reports Business Insider's Rachel Gillett. 

When you expand your body, Cuddy tells Business Insider , "your mind starts to feel more confident and powerful — it starts to see those challenging situations not as threats but as opportunities."

13. Avoid your phone

Don't scroll through social media, read the news, or listen to voice messages minutes before your big presentation. It may  seem like a good distraction, but if you see, hear, or read something upsetting, for example, it might throw you off. 

14. Focus on giving

Did you get overwhelmingly nervous the last time you gave a birthday gift to a friend? Probably not. You may have felt anticipation, excitement, even joy, but not anxiety, Price says.

"As a speaker, think about your presentation as a gift to the audience; a nicely wrapped package full of valuable information, helpful ideas and meaningful content. The mental attitude of giving empowers you and frees you. It takes your mind off of yourself and puts the focus on helping others."

The next time you’re preparing to speak to a group, remember to keep your audience at the center of your communication, says Briar Goldberg, the director of speaker coaching at TED. One way to do this is to ask yourself: “What gift are you giving to your audience?”

TED recently partnered with Marriott Hotels to offer a special day-long seminar on public speaking for Marriott Bonvoy members. Briar Goldberg — TED’s director of speaker coaching who has helped prepare hundreds of people for the TED stage — gave them tips and tools to be better communicators in their own lives.

Below, she takes a deeper dive into one aspect of public speaking that many of us overlook when drafting our speeches and presentations: our audience.

Let’s be honest, there’s no shortage of public speaking advice out there. There are countless books, blog posts and YouTube videos offering you instructions on how to tell engaging stories, make eye contact, use hand gestures, and more. I think that’s great, although I’ll admit I’m biased. I’ve spent my career teaching public speaking and coaching executives, and since 2015, I’ve been working with TED speakers. I truly believe that everyone benefits when we communicate more effectively.

But even with so much advice available, I still see one big communication mistake made all of the time. It’s this: Most people communicate in the wrong direction .

What is the wrong direction? Too many of us write our scripts, build our decks, or compile our talking points before we think about our audience and what they need or expect to get out of our communication. This has serious consequences. When your audience doesn’t feel like your words apply to them, when they don’t understand what you’re trying to say, or, worse yet, they don’t care about your ideas, then your carefully-crafted slides, agenda or jokes simply don’t matter.

My earliest mentor in this work, Jim Wagstaffe always tells speakers to practice their ABCs: Audience Before Content. I love that acronym so much because it captures the essence of what communication is really all about — it’s not about you, the speaker; it’s always about your audience. Your audience’s needs should always be your central focus.

At TED, when we’re helping speakers prepare their talks, we ask them to identify the “gift” they’re giving the audience. In my opinion, this is what every communicator should be asking themselves before any kind of communication — whether it’s a keynote or a TED Talk or something smaller like a pitch to your boss or a statement at a community meeting. What gift are you giving the audience?

The good news is, understanding how to put your audience at the center of your communication isn’t rocket science. And when you do it correctly, I can almost guarantee that your next speech, presentation or meeting will be a success.

What does it really mean to know your audience?

You’ve probably heard the phrase “know your audience.” I’ve even seen lists floating around that offer a series of questions designed to help you do this, with queries such as: “What’s the gender breakdown of your audience?” “Are they executives or middle-managers?” “Where are they from?”

While demographic information like this is important — for example, you should probably rethink a joke about swiping right if the average age of your audience is 76 — the kind of knowledge I’m talking about goes much deeper. It goes beyond the superficial to zoom in on these two key things: “What are my audience’s goals?” and “How do they make decisions?”

How to really understand your audience’s goals

This means you’ll need to ask a different set of questions — ones that get at your audience’s needs and expectations. These include:

“Why are these people taking time out of their busy schedules to listen to me speak?”

“What do they hope (or need) to gain from this presentation/speech/address/meeting?”

“What are their expectations coming in?”

“What can I say in order to meet or exceed those expectations?”

Once you know the answers to these questions, you can craft a communication that is tailored to your audience; when you do, your audience is more likely to stay focused, remember what you said, pass on the information you shared, and remember you as a good speaker.

But what happens if your goals as a speaker don’t align with the audience’s goals?

As a communicator, you will have your own goals. Perhaps you’re an executive and you have an important message that you need the rest of the company to hear. Maybe you’ve designed a new product that you want your customers to get excited about. Getting clear on your own communication goals is important because then you can evaluate if your goals line up with your audience’s goals. If they do, that’s great — and you can start crafting your communication.

But sometimes they won’t. When this happens, it’s your job to figure out how to close the gap and persuade the audience that your goals can — and should — be their goals, too. I’m not talking about manipulation or asking you to trick people into thinking something different. What I am advocating is that you work to understand your audience well enough to know how they make decisions and what kind of information they need to have to be persuaded of their own accord.

One of the most persuasive TED Talks this year was delivered by sleep expert Matt Walker . Everyone has different goals when they decide to watch a talk about sleep. But Matt was clear on his goal: to convince people to prioritize sleep above all else. To get the audience on his side, he had to persuade them that getting enough sleep is the single most important thing they could do with our time.

Understand how your audience makes decisions

You can’t effectively persuade anyone unless you know what kind of information they need to make a decision. Think about it this way: If a salesperson was trying to sell you a new computer, you wouldn’t decide to buy it until they told you the price. With your audience, you can’t expect to influence them until you provide them with the information they need to decide if they want to change their minds.

But every audience is different. How do you know what kind of information you need to offer in order to sway them? There are entire bodies of research that cover audience persuasion strategies. But let me offer a simple framework to get you started.

In general, audiences can be broken down into three types: expert, novice and mixed. An expert audience understands your topic and they might already know you, the speaker. If you’re a real-estate broker addressing an annual meeting of the nation’s realtors, you’re speaking to an expert audience. A novice audience doesn’t know much about the topic and doesn’t know anything about you. An example of this would be a real-estate broker speaking at an open-house for community residents interested in buying a first home. But more often than not, your audience will be a mix of experts, novices and everyone in-between. The large, international TED audience is a perfect example of a mixed audience.

When you’re speaking to an expert audience: Use logical/quantitative arguments to persuade them.

In general, expert audiences are more likely to be persuaded by logical arguments and quantitative information. If you’re a real-estate broker trying to convince your expert audience to invest in a new kind of property, you’re more likely to be successful if your presentation is built around data and statistics that support this plan.

When you’re speaking to a novice audience: Lean into your own credibility.

Because a novice audience doesn’t know much about you or your topic, they tend to make decisions based on your credibility and the credibility of your sources. Therefore, it can be important to build up your reputation and credentials so they’ll trust what you’re saying and follow your recommendations.

When I’m giving a lecture on public speaking to a group who doesn’t know me, I always mention the universities I’ve taught at and some of the names of executives I’ve coached. This isn’t to brag — and let me be clear, you’ll need to use your judgement to figure out how much information to give so it doesn’t sound like you’re bragging — but it’s a quick way for me to get my audience to accept that I’m a solid source of communication advice and that they should listen to me. In some cases, I’ll tell my audience where a particular piece of information in my lecture came from. By saying “Harvard published this study last year…” I’m referencing a respected source, which reinforces my credibility as a speaker.

When you’re speaking to a mixed audience: Appeal to their emotions.

Emotional appeals can be very persuasive, especially when you’re speaking to a mixed audience. After all, everyone has made a decision based on their emotions at one point or another in their lives. Last year, TED speaker Nora McInerny shared her own experience with death to teach us about moving forward with grief. It was an A+ example of an emotional appeal.

OK great, but how do I find out all this information about my audience?

Well, that’s part of the fun. OK, maybe it’s not always fun but it is your responsibility to take a deep dive into your audience, their needs, and their motivations and — trust me — this work will pay off ten-fold. If you’re speaking at an official conference or meeting, I recommend starting with the person or organization who asked you to speak. What can they tell you about the audience? Are they willing to share any of registration information? How did they market the event? If you’re speaking on an earnings call, what about the analysts who follow your company — have you ever asked them what they need or want? If you’re speaking at your company’s town hall, can you talk to your team and find out what they expect to hear from you? If you’re speaking at an event in another country, can you find a translator or local who can help you better understand the expectations of that audience?

The information is out there — you just need to find and use it. You’ll know when you’ve done it right, because your audience will stay engaged and, when you’re done speaking, they’ll help pass your message along.

There’s one fundamental rule to virtual presentations. If it can go wrong, it will go wrong. Learn the most common technical issues and show up prepared to deliver a flawless talk.

PART 1 – AUDIO Background Noise Is the Not-so-Silent Killer of Audience Experience and Presentation Recordings

Unplug the fridge.

Fridges like to randomly emit a steady stream of unwelcome white noise that can ruin a virtual presentation recording. If you have one in your vicinity, consider unplugging it while you present, but set an alarm to remind you to plug it back in.

Beware the laptop fan

Certain laptops—I’m talking about you, MacBook Pro—get angry when they feel overworked, destroying recordings. Close all unnecessary apps and if possible move it 6ft or more in front of you and use a wireless or mounted microphone that won’t pick up the noise.

Close the windows

You can almost guarantee there will be an ambulance or fire truck blasting past your home, right in the middle of your talk. And then there’s Dave next door with his leaf blower and lawnmower.

Change noisy clothes

Surprisingly, your clothes can also ruin your audio. Loose clothing and certain fabrics can create scratchy sound that are unremovable from your recordings, and irritate the audience.

Don’t wash your clothes

I’m not saying you should never wash your clothes, but the time to do it isn’t when you have to present. The rumbling sounds awful, not to mention that irritating 5 beeps when it signals it’s done.

Shhh your roommates

Hang a sign on your door to prevent roommates and family members from bursting in on you unexpectedly.

Don’t wear heels

Heels of any kind (high heels, and men’s dress shoes ) can make a distracting tapping sound if you’re presenting standing up and shuffling nervously. This is especially important on a real stage.

PART 2 – VIDEO The Right Camera for Live Broadcast vs. Virtual Presentation Recording, Eye Contact, & Looking Great on Camera.

4k vs 1080p webcam.

If you’re doing a live webinar/event, 1080p is the best setting to prevent audio lag. When recording, switch to 4K mode, and re-sync the audio in post production if needed.

Have a tidy background

Creating an attractive—and uncluttered—background, helps improve the professionalism while removing distractions. And no, you shouldn’t use a Zoom background (except in a regular meeting). They’re the opposite of professional.

Make eye contact

Making eye contact with an invisible audience is hard. Add a sticky note beside the webcam encouraging you to keep your eyes on the lens and not on your slides.

Raise your camera to eye level

Presenting sitting down from your laptop makes you look down on your audience. Use a riser or a standing desk to bring your screen and camera to a friendly direct eye-to-eye-level.

Use video lighting

Create a two-light setup with a key (main) light and a fill light. Set them at 45 degree angles to you, one on either side, and dim the fill light to 50% power to create a slight shadow on your face.

Add an accent light

You can make your background look better by adding a small accent lamp on a shelf or cupboard. A soft warm light is often best, or get creative with a coloured light that matches your wall colour.

PART 3 – MAKEUP This Goes for You Too, Gents. Just a Little, Can Make a Big Difference.

Blot away sweat.

Blotting sheets are fantastic at removing oil and sweat from your skin which helps to reduce shiny skin that’s very reflective to light and can cause overexposure.

Use setting powder

Setting powder helps create a matt finish that further removes shine. This is your secret weapon for being on camera.

PART 4 – CLOTHES Dress for Success Like You Would if You Were Speaking on a Real Stage.

Have a stage outfit.

One of the best ways to get in the zone is to have an outfit you wear when presenting. When you put on those clothes you switch into performance mode. Use it for practicing too!

Lay out your clothes

Your stage outfit represents part of your mojo. Lay them out the night before your talk (on a sofa, extra bed, side table or even the floor. This ritual removes the stress of figuring out what to wear at go time.

PART 5 – YOUR LAPTOP Prepare Your PC – It Can Fail & Crash if You Don’t Treat It Right

Reboot the night before.

Over time our computers get bogged down with stuck processes and filled up memory. Restarting is a good way to make a clean slate. HOWEVER, don’t do it right before your talk as it may start installing a big system update that take hours.

Close those apps!

If your browser has 42 tabs open, and you’re running Photoshop, PowerPoint, and Spotify, you run the risk of crashes, audio and video lag, and overheating. Close down anything that’s not essential to your presentation.

Turn off notifications

If your computer has a “Do not disturb”mode, make sure you turn it on so you don’t get a sexy text message popping upon your shared screen, in front of 500 people.presentation.

PART 6 – Software Here Are Some Choice Options for Audio, Video, Recording, Editing, and Virtual Presentions

Screen recording.

If you’re on a Mac, QuickTime is a great way to record your screen (and audio at the same time). On a PC PowerPoint has a screen record feature what’s pretty awesome. You don’t even have to be using it for your slides.

System audio

Most of the time, your microphone will be the only audio input that virtual presentation software can handle, cancelling out any audio in your slides. To solve this you can use virtual audio software like Loopback (Mac $99) or VB Audio Cable (Mac/PC free or by donation) to combine the system audio with your mic.

Video editing

Your goal should be to create a pro-grade recording of your presentation, which will require that you edit your audio, screen, and webcam together in post production. You can use tools like Final Cut Pro X (Mac), Camtasia (Mac/PC) or DaVinci Resolve (Mac/PC). Final Cut and DaVinci both have an auto sync feature to make sure your audio and video are in perfect sync. Webcam recording

If you’re using a DSLR or mirrorless to record you, that’s what you’ll edit together with your screen and audio. But if you’re using a webcam, you might need to record it using the software that came with it. If you have a Logitech Brio you can use the Logi Capture software. Alternatively, you can use software like ScreenFlow (Mac) which can record many inputs (webcam, screen, audio) making editing easier.

Audio recording

I’ve found that the best way to record audio is to use the software you’re using to capture your screen. This lets you sync with your webcam footage more easily, as that will also have an audio track (from the built-in mic of the webcam). Note, you won’t use the audio from the webcam, that’s just to help you sync with the screen recording video.

Virtual event platforms

All virtual event software is different. Grab a free trial of the software and explore the features.

Test event software

Similarly, you should do a dry run of your talk using the virtual event software that you’ll be using for the event. This will help you understand how to start your slides, how the interface will look (there might be panels you need to close so you can see your slides), and most importantly, you can check if your audio and video are playing properly and how any animations look.

PART 7 – MONITOR The Right Size, Type, Position, and Angle of a Virtual Presentation Stage Monitor Can Make a Big Difference

Set up a second monitor.

If you don’t have a wireless microphone to create space between you and the camera, set up a second external monitor, place it out in front of you and mount the webcam to that. This decreases the angle of view from cam to slides, making it appear as if you’re making eye contact.

Watch from the attendee’s perspective

Sign into the virtual event software with a second account to see how the broadcast looks and sounds to attendees. Put it up on your monitor so you can modify your position, movement, and background until it looks as good as possible.

PART 8 – EQUIPMENT Find the Right Combination of Audio, Video, and Wireless Clicker to up Your Virtual Presentation Skills

Get a wireless clicker.

Presenting standing up is the best way to add energy to your presentations, and a wireless clicker is an essential part of doing that. I recommend the Logitech R800. It has a timer on it and buzzes when there are 5 and 2 minutes remaining. Even if your microphone forces you to stay at your desk, the clicker is quieter than a mouse or keyboard.

Upgrade your microphone

Bad audio is the #1 reason someone will leave your presentation or stop watching the recording. Ditch the laptop mic and buy a Blue Yeti, or a Rode Wireless GO with the bonus lavalier option.

Upgrade your webcam

The webcam in your laptop isn’t great quality and creates weird angles when you move the screen. The Logitech Brio 4K is a great cam choice.

PART 9 – PRACTICE The Absolute Best Thing You Can Do To Become a Better Virtual Presenter Is to Practice.

Do a dress rehearsal.

Always practice like a real dress rehearsal, with the exact same setup you’ll use when you’re live. It’ll give you a new level of confidence when the day comes because you understand all of the tech setup, and your environment will be ready to rock.

22 Ways to Calm Your Nerves Before a Speech or Presentation

So, you have a big presentation coming up. Maybe you’ve been invited to pitch an idea to your boss or deliver a presentation to an industry association. Maybe you’re even giving the keynote .

Your first reaction is to jump at the opportunity. Then, as the day gets closer your pre-presentation nerves start getting the better of you.

As your public speaking anxiety ramps up, you can hear the sound of your heart thumping in your ears. Your clothes are sticking to your skin. Nights before the big day you toss and turn in bed.

Thankfully there are lots of ways to manage your presentation jitters.

Notice the emphasis on the word “manage.”

Nervousness isn’t something you can entirely get rid of. But when you increase your skills—by learning these anxiety management techniques—you can begin to quiet the feelings that fuel the unhelpful stories that take up far too much time in your head.

These are some of the tried-and-true tips I give to my public speaking coaching clients, many of whom struggle with nervousness when they have a presentation looming.

How to Calm Down Before a Speech or Presentation: 22 Techniques

1. understand fight or flight.

Almost everyone feels some degree of nervousness when they need to present. Thanks to our Neanderthal ancestors, the body’s response to your amygdala getting hijacked and going into fight or flight is a deeply embedded, primal reaction.

Public speaking, however, is not the same as being attacked by a sabre toothed tiger.

The best way to manage this innate response is simply to realize that it’s part of your DNA, hardwired into what it means to be human. This awareness will help tamp down your public speaking nerves and put them in context.

2. Nerves and Anxiety Are a Habit

Behaviours follows triggers. For many people, the fear of public speaking fuels overthinking and worrying, which then results in them feeling more anxious. According to Dr. Judd Brewer , this creates an anxiety loop in which we convince ourselves that we are being constructive and solving a problem.

When you feel your heart racing or your monkey brain telling you doomsday stories, notice where it feels tight or uncomfortable in your body. One way to begin managing your anxiety is to notice where in your body you’re feeling it from. As with the fight-or-flight response, simply knowing about the anxiety loop gives you insight can helps it to stop progressing.

3. Take a Deep Breath

Breathing sounds easy!

Actually it’s not.

When you get anxious you’ll find yourself taking rapid breaths, restricted to the upper half of your chest. Physiologically, shallow breathing fuels nervous reactions. Instead, consciously take a few deep breaths. This will naturally regulate your heightened emotions. Your heart rate and you will instantly feel more relaxed.

If you have a Fitbit, Apple Watch or other device that monitors your heart rate you’ll be amazed to see how quickly your heart rate will drop by simply taking in a series of deep breaths. Try it!

4. Transform Your Nervous Energy Into Excitement

Anxiety and excitement are similar emotions. Both are high states of arousal accompanied by things such as a rapid heart rate, dry mouth, sweaty palms and sometimes a feeling or sensation of being “outside” of your body.

Typically, we view anxiety as negative and excitement as positive. Anxiety is uncomfortable. We’d much rather feel excitement than anxiety.

Because both are heightened states of arousal, however, you can actually trick your brain into feeling excited instead of anxious by using awareness and reframing techniques. Positive thinking and using affirming self-talk can flip the switch from anxiety to excitement.

Try it. The next time you feel anxiety bubbling up, simply say “I feel excited.” Yes, say it out loud!

Using this simple tip, it’s possible to change a negative mindset to a positive one. You’ve set yourself up nicely for your next presentation.

5. Smile, Even if You’re Feeling Anxious

Smiling helps lower your stress level by releasing endorphins, which lowers your heart rate and blood pressure.

Yes, as easy as smiling!

6. Use Relaxation Exercises

Listening to music is a form of relaxation, which can calm pre-presentation anxiety and help you stay grounded.

Meditation is the simple act of being aware of what’s in front of us … no yoga mat or meditation cushion required. Meditation can subdue the nervous tension that comes with delivering presentations.

Recently, a client shared with me his rather surprising meditative process. It’s slightly unusual (and had me laughing).

Before every presentation, he goes to a fast food restaurant and orders a cheeseburger. Then, he consciously watches as he orders his food, receives his order, and then eats it. Apparently this meditative ritual works for him every time.

A more common approach (than the cheeseburger routine) is to simply be observant of your environment while you’re walking, or consciously feel the sensation of water falling on your body when you take your morning shower.

Meditation techniques lower your anxiety because you won’t cycle through all worrying “what if’s”. Instead, simply be present.

7. Burn Off Energy by Doing Some Cardio

Moving your body and getting your heart pumping also releases endorphins which can help quell any pre-presentation anxiety .

I’ve been known to do a few fast-walking laps around a conference centre to reduce the stress I feel before I deliver a speech or presentation.

Going for a quick run or cycle before your event are terrific anxiety-busters too!

8. Use Visualization Techniques

Did you know you can strengthen muscles without even moving them ?

Elite athletes, such as golfers, practice watching (in their mind’s eye) their ball land on the green or in the cup. The visualization exercise builds muscle memory to help hit the ball successfully, so it lands where the golfer intended.

Public speakers can use visualization techniques to manage anxiety, too.

As your presentation day nears, take your mind on a walking tour. Imagine every detail – in your mind’s eye walk onto the stage, deliver your speech, listen to the applause, and then leave the stage. Do the visualization with a positive outlook to set yourself for an anxiety-free delivery.

9. Be Prepared

Preparing in the content of your presentation in the ‘theatre of your mind’ is a trap. Practicing this way lulls you into thinking that all is well as you run through your presentation self correcting.

Only practicing your actual words will prepare you for the live event. You’ll establish exactly what you want to say, and how to say it, which will boost your confidence and soothe any nervousness.

10. Practice, Practice, and Then Practice Some More

I have never had a client tell me they wished they’d practiced less.

My advice for how to practice delivering a speech or presentation is to practice until you are tired of hearing yourself, which typically clocks in at 30 hours of practice for a one-hour presentation .

Pro Tip: Once you have practiced your entire presentation a few times, you only practice the parts which are tripping you up. There’s no value in practicing from start to finish when you’re only challenged by specific sections.

11. Drink Water to Stay Hydrated During Your Presentation

Drinking water and staying hydrated in the days leading up to your presentation can help with anxiety, too, since you'll be able to speak more clearly.

Having a dry mouth can cause you to trip over your words, which will rev up even more nervous tension. Beginning a few days before you’re scheduled to deliver your speech, increase your water intake so your words will flow easily.

Pro Tip: Pop one of these lozenges in your mouth a few minutes before you go on stage. They work wonders to coat your mouth and throat.

12. Prepare an Excellent Opening to Your Presentation

I don’t recommend memorizing your entire presentation or speech. But I do recommend memorizing the open and close.

Anxiety often ramps up in the first 30 seconds of your presentation. By committing to memory the beginning (and the close) you’ll prevent yourself from having a rocky start or lacklustre finish.

13. Employ the Power of the Pause

You likely talk too fast when you’re nervous. With the rapid fire of your words comes an increase in your stress level.

Pauses are a brilliant technique slow down your speech, and avoid talking too quickly.

Look through your presentation and find the most important points you want your audience to take back to the office. Place a pause in the front and back end of these sections.

Not only do pauses help your audience understand the important points, it gives you some breathing room and slows down your rate of speaking.

14. Before You Present, Test the Technology

There’s nothing like technology not working to rattle your nerves — even for seasoned presenters.

Whether you’re online or in person, make sure you’re comfortable with the technology you’ll be using.

If you’re delivering online ask a friend or colleague to do a technology run-through.

If you’re delivering live on stage most event planners invite their presenters for a pre-presentation tech check.

Take advantage of the time to test the technology so you can deliver without having to worry about which button to click or where to stand.

15. Arrive Early, Before You’re Scheduled to Present

Whether online or in person, arrive 20 to 30 minutes before you’re scheduled to present.

Give yourself lots of time to settle in and feel comfortable in your surroundings. Arriving early will give you the opportunity to check out where everything is situated, which will stop any last minute scrambling that could leave you unsettled.

16. Walk Around. Own Your Space.

When you walk into a space cold — not having been on-site before — it’s challenging to know how much space you can take advantage of.

Take the time to walk around the presentation space (This applies to both live events and online ones.)

There is comfort in knowing how much “real estate” you have to move through. Feel your feet on the floor.

17. Attend Your Colleagues’ Presentations

Likewise, take the time to get comfortable in the event itself. Stop in and listen to your colleagues’ presentations, and encourage them to attend yours.

Building a sense of camaraderie helps you feel supported by your peers, which helps release the nervous energy soothe your pre-presentation jitters.

18. Meet Your Audience Before Your Presentation

When I deliver a presentation I arrive well in advance of when I’m scheduled to deliver so I can meet the people who will be attending my talk.

It’s a good investment. Meeting your audience beforehand “warms” the room (makes you and them feel more comfortable). This allows you to better connect with your audience.

19. Connect Through Good Eye Contact

During your presentation, connect with the audience using effective eye contact. Make this an easy win by following tip #19 and reading my article with five tips for making eye contact .

20. Use Powerful Body Language

Try slumping over. How do you feel? Low on energy?

Now stand tall with your shoulders back and your head held high. How do you feel now? I suspect you feel high energy/confident.

Your posture affects how you feel. The small shift from slumped to taking up lots of space makes a big difference to your level of confidence .

21. Avoid Alcohol & Caffeine in the Lead-Up to the Event

We all know the effects of excessive alcohol and caffeine. One will leave you too relaxed, and the other too jittery.

Save the drinks until after your presentation, and limit yourself to one cup of coffee or tea before you present to deliver your speech as the best version of yourself.

22. Sleep Well the Night Before

A day or two before you are scheduled to deliver your speech plan to have your slides completed and confident you know your content inside out.

Don’t spend the night before adjusting slides and practicing. Trying to create a perfect presentation at the last minute will only ramp up your anxiety.

Schedule lots of time to prepare in the weeks leading up to the event, so can feel refreshed to meet your audience.

All that time spent polishing, honing, and rehearsing your presentation… Gone in a split second. You’re on stage, paralysed by fear. You can’t open your mouth. Your heart is beating like a drum, and the fight-or-flight reaction is in full swing.

What’s the best way to beat this terrifying paralysis? The more we can make presenting feel habitual, the less nerve-wracking it will be. This routine made up of 15 simple habits will help you count down to every presentation with less anxiety and better preparedness.

1 5 minutes before your presentation: Walk to the venue.

Many studies have demonstrated that light exercise activates the brain. For instance, scientists at the Salk Institute have shown that walking can improve verbal and spatial memory.

A study at Princeton University , published in the Journal of Neuroscience, demonstrates that light exercise reduces anxiety. But how do you fit this useful activity into your busy schedule? The simplest exercise that you can always do without any equipment is walking. So the next time you have a presentation, why don’t you park a bit further away and make sure that you have a short walk before you reach the venue?

14 minutes before your presentation: Have a mint and drink some water.

No matter how beautiful your presentation looks or how polished your speech is, perpetually clearing your throat—or even worse, not being able to make any sounds at all—will distract your audience.

Add some mints to your packing list and make sure to have them in a bag close to you. Ask for a bottle of water at the venue or carry your own. These steps will ensure that your voice doesn’t suddenly fail you when showtime rolls around.

13 minutes before your presentation: Hit the restroom and check a mirror.

Get into the habit of going to the restroom before a big presentation. There’s another reason to do so besides the obvious. A visit to the restroom gives you a chance to check your appearance in the mirror. Fear can make us vulnerable to serious, even irrational doubt. Checking our general appearance in a mirror can help reassure us that we look just fine.

12 minutes before your presentation: Set up the technology early.

There is nothing worse than having a rush of public speaking anxiety while you are in a full computer meltdown.

Don’t rely solely on the technical team at the venue. Make sure that you know how to connect your laptop to a projector , how to switch between the different video and input modes, and how to put your presentation in fullscreen mode.

Consider bringing a few extra gadgets. A remote allows you to stand further away from the podium. A USB stick with a backup of your presentation can be useful in case your tech does not work.

11 minutes before the presentation: Check your desktop background.

If you already know that you are going to present using your laptop, you have no excuse for embarrassing yourself with your desktop background.

Does it tell a story you want to share with your audience? If it does, way to go—you’ve found a nice way to break the ice. If—as more often happens—your desktop image does not add much to your presentation, or even distracts your audience, go with something from the presets of your computer and save yourself any embarrassment.

10 minutes before your presentation: Practice the first minute of your presentation.

The beginning is the hardest part when it comes to giving presentations. Having the full first minute of your presentation committed to memory will help you at the most critical moment.

As Stephen Lucas writes in The Art of Public Speakin g , “Research has shown that a speaker’s anxiety level begins to drop significantly after the first 30 to 60 seconds of a presentation.”

Having memorized your first 60 seconds can give you a head start in overcoming the hardest part of your presentation. When those first moments have passed and you are still alive, standing and speaking, your fear starts to fade and your confidence starts to grow.

9 minutes before your presentation: Just breathe.

Calming exercises and meditation can certainly help in controlling pre-presentation anxiety, but if you need to deliver a high-energy talk on stage, it doesn’t make a lot of sense to slow yourself down just before stepping on stage.

My suggestion is instead to focus on your breathing. Anxiety stops us from breathing normally. Focus on breathing deeply, and you will find that your heart rate will slow down and you’ll feel less anxious.

8 minutes before your presentation: Stand up.

A study by the Harvard Business School shows that our pose influences how we perceive ourselves. If we make our bodies small, we will feel smaller—that means less powerful, and thus, less convincing on stage. And since you need to be persuasive, it’s much better if you feel big in front of your audience.

Standing will also make your heart rate go up, bringing more blood to the brain and activating more muscles in the body. This will prepare you for a high-energy delivery.

7 minutes before your presentation: Smile.

Your audience will mirror your mood. You don’t need to signal to them how tense you are. In fact, you should show a different side of yourself. The best way to ease your listeners into your presentation is to smile. Smiling is a universal symbol of openness and acceptance—it signals that you welcome your audience.

Moods are contagious. Your smile will make your audience feel more at ease.

6 minutes before your presentation: Meet the audience.

If nobody is talking before you, and you are all set before the time of your presentation, you have a terrific opportunity—time to talk to your audience members individually.

The abstract notion of “audience” will be radically transformed by just talking to one or two of them. They will no longer seem like a menacing group but rather an aggregate of individuals with names, personal stories, needs and aspirations.

This cue comes from Scott Berkun, author of Confessions of a Public Speaker, which highlights how beneficial it can be to have some friendly faces in the audience.

5 minutes before your presentation: Remember, you don’t look as nervous as you think.

Your presentation is about to start and you have a rush of thoughts in your head. Most of them are not calming at all. The good news is that your audience can’t see those thoughts.

Remember, you are the only person that is inside your head. Your audience has no idea how nervous you really are. You are standing in front of them greeting them, talking with them, your technology is already in order, you’re smiling. They will have no clue how you are feeling inside.

Your anxiety is going to be our little secret, right?

4 minutes before your presentation: Control your audience.

Before fear starts controlling you, start controlling your audience. Solicit their opinions. You can ask for a show of hands or ask something very simple and ask them to simply shout their answer. If they comply with some simple “orders” like tweeting with the correct hashtag or raising their hands if they are newcomers, then there is no point in fearing them, right?

3 minutes before your presentation: Never complain.

I’ll be honest—it’s really hard to stick to this one. When glitches happen during a presentation, it’s tempting to give in and complain. But complaining makes your audience focus on a fault, an error, something missing, something broken. You may know that your presentation looked better on a different projector, but your audience doesn’t need to know that. They need to focus on the benefit of your presentation, not on some technical glitch or shortcoming.

2 minutes before your presentation: Transform your fear into energy .

Let go. Don’t block your fear or anxiety. Let it circulate freely in your body and your mind. There is really no way that you can completely control it. You can do one thing, though—use your fear to give you energy and strength. You can limit the negative effects of anxiety as demonstrated in a study conducted by Alison Wood Brooks at Harvard Business School.

Yes, this is a presentation and it requires your alertness and attention. So use your fear to energize yourself, give you more focus, alertness and attention.

1 minute before your presentation: Don’t obsess over small details.

There is a difference between written and oral language. Even native speakers make small mistakes while speaking. It’s normal, and you shouldn’t obsess about it.

Instead of worrying about small details, focus on the big picture. Make sure you cover all the basics and never mind the smaller glitches that may happen during your talk. Nobody but you will recall these details, if they remain in the background of a great event.

Showtime: Just begin!

Your host has introduced you, your first slide is on the screen, and all eyes are on you. Fear strikes. Feel it. React to it by saying one word—the word that begins your presentation. You have rehearsed it and know it by heart. Count mentally to three and begin with your well-rehearsed first minute.

Presentation Checklist: What to do Before and After Delivery

Before you give a presentation, you might want to work through this checklist to make sure you haven’t missed anything.

Purpose of the presentation

  • What is the purpose of your presentation?
  • What is the end goal?
  • What would you consider a successful outcome?

Presentation preparation

  • Check how long your presentation slot is
  • Check that your presentation doesn’t overrun on time
  • Rehearse your presentation to friends or colleagues
  • Rehearse your presentation using  virtual reality  to reduce nerves
  • Prepare speaker notes or cue cards
  • Take a  presentations training course  to improve your skills
  • Think about where to breathe and pause
  • Number your notes in case you drop them
  • Ensure  your introduction  explains your objectives and grabs the audiences’ attention
  • Clearly define the points of the presentation
  • Check the main points are in  logical order  and flow well
  • The conclusion should be clear, concise and tie with the introduction
  • Make sure you are knowledgeable about the topic you are presenting

Presentation slides

  • Keep slide designs  simple and concise  – use minimal text and high quality pictures
  • Make sure there are no grammar or spelling errors on the presentation slides
  • Check and facts you display and make sure you can back them up
  • If appropriate, post slides to the web, include URL at end of talk
  • Saved your presentation onto two different formats (USB, cloud storage, etc.)
  • Confirmed that the audio-visual equipment you require will be in the room
  • Ensure you  practice with your presentation slides  to get the correct timings

Visual aids and handouts

  • Check the  visual aids  are easy to read and understand
  • Make sure they tie into the points you are trying to communicate
  • Ensure they can be easily seen from all areas of the room
  • Prepare any handouts  you want to give out and proof read them
  • Make sure you have sufficient handouts
  • Double check the visual aids are working (especially if it’s a demo)

Audience analysis

  • Think about  who will be in the audience
  • Determine if there will be decision makers
  • Think about their knowledge of the topic
  • Think about if their native language is the same language as the presentation
  • Check if the organiser can provide a rough demographic

Audience questions

  • Think about possible  questions you will be asked  and have spare slides to address them
  • Decide how long you will leave for questions at the end
  • Decide if you want to specify areas you are willing to answer questions on

Other speakers at the event

  • Found out who else will be speaking and what they will be speaking about
  • Check if other speaker topics are related to yours
  • Check if someone else will introduce you or if you need to do it yourself
  • Determine whether you will be presenting alone or as part of a group

Location and type of event

  • Check the floor, room and location of the event
  • Find a contact persons email or number in case you are running late
  • Get directions to the venue, including parking vouchers if required
  • Try to find last year’s programs to determine the style of the event
  • Check if there are reviews of the event on blogs or social media
  • Check the type of event – is it an industry event where you’re expected to address professionals? Is it a seminar for aspiring leaders looking for inspiration and motivation?
  • Check the style of presenting you’ll be doing (indoors, outdoors, standing, sitting, etc.)
  • Understand the size and layout of the room you will be presenting in

Your appearance

  • Make sure you are dressed and groomed appropriately and aligned with the audience’s expectations
  • First impressions  are very important for credibility, maintain a polished and professional look
  • Practice your speech paying close attention to your body language and posture, both of which will be assessed by the audience
  • Decided what to wear the day before
  • As a rule of thumb, dress slightly better than your audience members

On the morning of the event

  • Eat a good breakfast to give you energy on stage
  • Get some light exercise in
  • Check your laptop is charged
  • Check you have your slides ready on your laptop
  • Avoid unnecessary stress by getting to the venue early

Bring with you to the event

  • Bottle of water in case your throat goes dry
  • Your laptop and any necessary cables
  • Backup slides on a USB or hard drive
  • A remote to  control your slides  if required
  • Extension cord if required
  • Any physical demo, handouts, or other visual aids if required
  • Your presentation notes or cue cards

At the event

  • Register and let the organiser know you’ve arrived
  • Find your room and watch another speaker present
  • If time allows, mingle and  meet people  who might be in your audience
  • Return to the room before the speaker before you finishes, maximising your time to set up
  • Get your laptop hooked up to projector immediately – most problems occur here
  • Test your slides and any videos
  • Walk around on stage and get comfortable with the room
  • Run through the first couple of minutes of your presentation
  • Make sure you have a glass or bottle of water with you
  • Sit in the back row and make sure your text is readable
  • If you’re nervous, distract yourself by going for a walk
  • Turn your mobile on silent

After the event

  • Make yourself visible so people can find you to ask questions about your talk
  • Write questions from attendees on their business cards so you can answer in email later
  • Post slides online or to  SlideShare  if appropriate
  • Email people who gave you their cards, answering their questions
  • Thank the organiser and ask for any feedback
  • If your talk was filmed, ask for a copy so you can learn from it

Are your palms sweating as little droplets sneak their way down the side of your face? Is your heart pounding so hard that’s all you can hear? Did your tongue just turn to sandpaper? It sounds like you’ve got a speech to give.

Public speaking might not be your “thing,” but anyone can give a killer presentation if they’ve prepared a good speech the right way—whether it’s to do a TED Talk or present a project to your boss or give a toast to the newlyweds.

We asked the Young Entrepreneur Council, “What is one thing you should do to prepare for a big presentation?” These are their best tips:

1. Highlight your “why.”

Simon Sinek said it best: “Start with why.” This is quite true. You want to engage people. People don’t want to be told “how” and “what” to do. They want to be provoked to answer “why” so they can figure out how to drive their own actions.

2. Create a hook.

Offering valued information isn’t enough to compete today. You need to develop an irresistible hook that will compel your audience to close down any distractions, move to the edge of their seat and eagerly anticipate what they will discover from your presentation.

3. Pick one to three key points.

Unless listeners see its main points, a presentation is pointless. So, your main mission is to ensure that your key points are clear, salient and even memorable. The only way to confirm for sure is to listen to feedback from listeners. Practice on at least two different listeners. Ask them to summarize your points, then ask again a week later. If the summaries miss your intent, then there’s room for improvement.

4. Know your audience.

Get a deep understanding of who will be in the room and why they are attending. This will enable you to personalize your presentation to your audience and ensure they walk away with something valuable that will be remembered.

5. Research pop culture.

Tying a presentation to something relevant can further engage an audience, if even for only a brief moment. Piquing the audience’s interest and finding real-time relevance can help tune them into the overall premise of the presentation. A good speaker is one who enlightens the audience and makes sense while also informing; having factoids and a little pop-culture humor can be uplifting.

6. Use primary research and third-party data.

Numbers tell a compelling story. Within presentations, prepare to support your claims with statistically significant data from research you’ve conducted and findings from research developed by other domain or industry experts. Scientific studies tend to do particularly well within business presentations. Surveys and reports similarly add credibility to any argument you may make.

7. Take an acting, voice or speech class.

You can have the best presentation in the world and great subject matter knowledge, but it won’t be convincing unless you nail your delivery. Invest in improving your stage presence via acting, your vocal projection and enunciation via voice training, or your overall public speaking abilities with a coach. The skills you build will enrich your entire career, not just your presentation.

8. Practice.

A famous golfer once said, “It’s a funny thing, the more I practice, the luckier I get.” That’s true for most things, but especially for presentations. After three continuous years of pitching my company hundreds of times, I still practice a ton before any presentation. It’s really the key to being prepared.

9. Watch yourself—and have someone watch you.

It can be a bit weird watching yourself on video, but it is extremely helpful for identifying any odd recurring behaviors or nervous tics you might be unaware of. It can also be beneficial to bring in an objective third party to watch you present and provide real-time feedback regarding information that isn’t clear, opportunities you’re not seeing or even pacing suggestions.

10. And watch other presentations.

I’ve found it to be very helpful to watch other presentations to get a feel for how others present. It’s helpful to observe how people conduct themselves, present their ideas, communicate and interact with the audience, and gain an overall feeling of their presentation. Seeing another person give a great presentation and enjoy great feedback makes me visualize my own success.

11. Ask for feedback.

Gather friends, family and team members, run through your presentation in front of them, and ask them to provide you with feedback. Tell them to be brutally honest. You don’t want a cheering section—you want them to point out areas that didn’t flow well or parts that weren’t clear. Ask them to tear it apart and use that feedback to perfect your presentation.

12. But try to relax and trust yourself.

Something to realize when you’ve been asked to speak on a topic: You are the expert or storyteller. Spending countless hours in preparation or last-minute adjustments to what you will say only serves to create anxiety and uncertainty around a subject that people already find you knowledgeable about. Overworking your speech only serves to erode confidence already earned.

I recently interviewed 20 of my customers, all in senior roles at Fortune 100 companies, and asked them their biggest pain point in presenting to higher-ups and even colleagues. What I heard consistently was that it can feel like Goldilocks bouncing from one option to the next, testing to figure out what’s “just right.” Does the audience want deep reports? Sparse slides? Something in between? Like … what?

Teams often come to presentation meetings with vast amounts of backup content just in case an exec wants to take a deep dive on any given point. There’s often a struggle to anticipate every direction attendees might want to go. It’s frustrating, and it’s not efficient.

There are many ways to build slides. I’m not just talking about crafting them well versus poorly. I’m talking about all of the important decisions regarding how to organize them, how much text to use, when to lean into a chart, the best ways to use bullets and color, and whether to include an appendix with additional information. Before you make your next proposal or request of the executive team, use this list of 11 tips for your next set of slides as a guide.

Four Things You Must Have in Every Exec’s Slides

Before we drill down into the harder aspects, the ones where your executives’ tastes may vary widely, let’s quickly cover four aspects that you can consider the building blocks — the basics you should never proceed without.

Start with an executive summary. Begin the slide deck with a tight executive summary that follows a three-act structure. First, start with stating the current realities. Second, clearly state the problem or opportunity your idea addresses and its potential impact. Third, explain how your recommendation solves the problem or exploits the opportunity and the next steps you’re proposing.

Have a logical organization. The arc of the deck — the package from beginning to end — should make sense. If your audience reads only the headline of every slide, the order should be coherent and make most of the case for you. The content below each slide’s headline must support the statement made in the title. Remove everything that doesn’t support your point; as writers will tell you, you sometimes need to “kill your darlings” when you’re editing.

Begin the slide deck with a tight executive summary that follows a three-act structure.

Make it skimmable. Help your audience to quickly grasp the point without getting bogged down in details. Create a clear visual hierarchy. Guide the reader’s eye through the content: Use bold headings, bullet points, and numbered lists to break down information into digestible pieces. Highlight key takeaways or conclusions in a different color or font size to draw attention to these critical points.

Focus on concise insights. Succinct statements with clear insights are everyone’s jam. Every slide should serve a purpose and contribute directly to the decision-making process. Distill complex information. Don’t use 100 words when 20 words will nail it. If you’re having difficulty trimming, consider using company-approved AI tools to help you take out the fluff.

Five Preferences to Confirm With the Person You Want to Reach

Now we’ll delve into what your particular audience does and does not want. If you haven’t yet, start by asking the person you’re presenting to what they generally prefer. They probably know themselves well but have not been asked to articulate how they like to receive information.

Ask how dense is too dense. Some executives prefer detailed slides with comprehensive data. Others favor a more high-level approach. You’re weighing how to balance informative content with readability, ensuring that slides are not overloaded yet are sufficiently detailed to support decision-making.

Confirm the delivery format and timing. Some execs like information presented to them. Others prefer a pre-read of the material followed by a discussion. I always recommend our tool Slidedocs (I’ve written a free e-book on them), which are visual documents using both words and images. The templates help presenters organize their thoughts into a document for a pre-read or a read-along. They are designed to be skimmable and able to travel through your organization without the help of a presenter.

I’m a huge fan of pre-reads and prefer to use my time in meetings to ask questions and build alignment. If your audience didn’t review your material in advance, ask at the top of the meeting whether they would like you to present it or would prefer to read through it and then discuss it.

Find out how much data visualization they prefer. Charts, graphs, photos, and illustrations often communicate complex data more clearly than words alone. When execs can see what you’re saying, they often can better understand the impact of your idea. Does the exec want to understand exact numbers? Bar charts allow them to move their eyes across a series of specifics. Does the exec want to know the shape of a trend over time? Line charts can show the pattern. (See “Classic Charts Communicate Data Quickly.”) Some prefer charts with annotations that draw attention to what you think is the most important point. Others want to make their own conclusions from the data.

One of my clients, the CEO of a massive commercial real estate company, doesn’t want anything visualized. He prefers numbers, only in a table, and only in two colors — black and red. You might think this is archaic. But the fact that he’s clear to his teams about what he wants takes all the mystery out of how to communicate with him.

When the stakes are high, have a conceptual thinker help with diagrams and concepts. If you don’t have one on your team, and when it’s high stakes, find an internal designer to help you or hire one. You can’t afford to have the baby (your idea) thrown out with the bathwater (terrible slides).

Identify which details need spelling out. How well do the people you’re presenting to know the landscape and function of the company and products you’re talking about? For example, if your engineering team threw a slide into a deck about an issue that requires executive approval, do the execs all speak geek? Or do you need to explain the technology so that they will really understand the ask? Either eliminate internal jargon and acronyms or unpack those bits, especially if your proposal deeply involves expertise outside of the executives’ domain.

Ask whether appendices will be useful. When you’re organizing a presentation, you often troll data, read through complicated reports, and even hire external experts to figure out what’s best for the company. Do your execs want access to that supporting data? You can add a document to the end of the presentation as an appendix to show all of the data and source material. This allows the main content of the slides to remain focused and accessible while still providing comprehensive background information for those who want more.

Two Tips to Improve Your Presentation Skills

Getting materials in place is the biggest step. They will be your best tools for selling your ideas. But there are two extra areas to pay attention to as a presenter: how you handle questions and how you use every experience to improve.

Anticipate questions, and practice your answers. Before you have your meeting, gather a small team to challenge every point you make. Invite colleagues you trust to role-play as “a rapidly inquisitive exec” or “the doubting naysayer exec” so you are prepared to present your idea well. They’re gonna grill you, and practicing will help you remain unruffled when it happens.

Advice and some perspective will help you nail your performance even better next time.
