PhD Qualifying Exam

All PhD students need to complete and pass the qualifying exam, prior to the end of winter quarter of their second year of study (last day of class).   You must be registered in the quarter you take the qualifying exam.

The qualifying exam is an oral examination intended to provide the examination committee with evidence of your research preparedness and capabilities and allow the committee to give you useful feedback on your research direction.

Examination Committee

Your committee consists of 3 members, your advisor and two others. All committee members must be on the Academic Council, and at least two members must be EE faculty (not courtesy). 

You will be responsible for forming your exam committee and scheduling the exam date and room. Once the details of your event are finalized, bring the  Application for Qualifying Examination  form to the Degree Progress Officer. 

Room Scheduling

You are responsible for reserving a room for your exam. After you have located a room, check with your faculty administrator to book the room in Packard building or AllenX building as the Registrar rooms are not open. If your faculty administrator is not in EE (e.g., CS, Ginzton Lab, etc.), please have the administrator connect with Anna Lue ( [email protected](link opens email) ) for assistance on scheduling a room.

Examination Format

  • 15 minutes for the student to present background and proposed research.
  • 15 minutes for the committee to ask questions. Question topics can include the presented research or related general topics.
  • (Optional) 15 minutes for committee members to make suggestions.
  • The Faculty committee will then deliberate. 

Final Reporting Procedures

After the qualifying exam, students must remind their committee to submit their vote at  gradapps.stanford.edu/QualsVote . 

If there is a split vote (2-1 for or against), the Degree Progress Officer will give the results to the Associate Chair for Graduate Education, who will make the final decision.

Ordinarily, student coursework is evaluated by letter grades, which are assigned a value based on a 4-point scale:

A = 4.00  A- = 3.67  B+ = 3.33  B = 3.00  B- = 2.67  C+ = 2.33  C = 2.00  C- = 1.67  D+ = 1.33  D = 1.00  D- = 0.67  E (failing grade) = 0

Harvard Griffin GSAS students must maintain a grade-point average of at least a B (3.00) each academic year; the grade-point average is weighted for each course based on the number of course credits. For example, a grade received in a two-credit course proportionally impacts the grade-point average compared to a four-credit course. Many programs require their students to maintain a higher average (see Degree Requirements to review program requirements). Please note : Harvard Griffin GSAS students may not take classes pass/fail.

In certain circumstances, non-letter grades are used (as described below):

Students who miss a regularly scheduled examination arranged by the Registrar’s Office are given a failing grade of absent (ABS), which will be changed only if the student is granted and takes a make-up examination. A grade of ABS = 0.

Students may receive a grade of excused (EXC) for a final examination or other course assignment if they have passed departmental examinations or other requirements and their program approves. If a student elects to take the final examination and complete the course, they receive a letter grade.

Incomplete grades (INC) are granted to graduate students only at the discretion of the instructor. If a student receives an INC, the student must complete the work of the course before the end of the next regular term. For example, if a student receives an INC during the fall term, the student must complete the coursework during the subsequent spring term by submitting work before the final day of the spring term. Even if the student’s registration status during the term is " leave of absence ," the student must complete the coursework during this time frame. However, the only exception is if the student is given an earlier deadline by the instructor.

If the work is not submitted within the required time frame, the INC becomes a permanent grade unless the student has petitioned successfully for an extension:

  • INC grades incurred in cross-registered courses in another school are subject to Harvard Griffin GSAS rules and deadlines unless the other school’s deadlines are earlier.
  • Extensions must be approved both by Harvard Griffin GSAS and by the other school.
  • Incomplete grades cannot be changed once a final degree has been awarded.
  • Students who receive an E or a permanent incomplete (INC) or absent (ABS) may retake the class for credit; however, both grades will appear on the transcript.

Satisfactory/Unsatisfactory

Students taking Reading and Research (300-level courses) are graded on a satisfactory/unsatisfactory (SAT/UNS) basis, but at the academic department's discretion, Reading and Research courses ("TIME-equivalent" courses) may be marked as ungraded (NOG). With permission of the instructor, students may petition the Registrar’s Office to take certain foreign language courses on a SAT/UNS basis (language courses that are graded SAT/UNSAT may not be counted toward the minimum course requirements for a higher degree). Students who pass with the equivalent of a B- or better receive a SAT grade; otherwise, they receive an UNS (UNS = 0). A grade of SAT is not calculated into the grade-point average.

In order to receive credit for a course with a regularly scheduled final examination, or both a mid-year and a final examination arranged by the Registrar’s Office, a student must take the examination or they will receive a grade of ABS unless previously excused by the department.

Absence due to illness

A student absent from a final examination because of illness must fill out a petition for a make-up examination at Harvard University Health Services (HUHS) within 24 hours of the beginning of the examination. In an emergency, if the student is unable to go to HUHS or is being treated elsewhere, a petition for a make-up examination must be submitted to the Registrar’s Office. In this case, the student must also file a letter from a physician certifying the date and nature of the illness. Students who are unable to take an examination at the scheduled time due to a documented condition should contact the Disability Access Office as soon as the need is apparent to discuss make-up examination accommodations and procedures.

Absence for other reasons

Students who must be absent for reasons other than illness, such as a death in the family or a reason of similar gravity, may petition the Registrar’s Office for a make-up examination within one week of the end of the examination period. Students who do not take the regularly scheduled final examination in a course receive a grade of ABS (Absent) unless excused by their department. A grade of ABS is permanent on a student’s record if a make-up petition is not filed or not granted, or if the make-up examination is not attended. Make-up examinations are given in February for fall term final examinations and in September for spring term final examinations.

In absentia petition

Students who, for sufficient reason, cannot be in Cambridge at the time of a final or make-up examination may petition to take the examination in another place. In absentia petitions and information are available from the Registrar’s Office. Completed petitions must be filed 30 days before the regularly scheduled examination date.

Absence for religious reasons

Students may request an out-of-sequence exam due to religious observance by submitting a Religious Out of Sequence Exam Form 30 days prior to the start of the examination period. If granted, the rescheduled exam will typically be held within 24 hours of the scheduled exam.

This is a title that is also desired by many individuals who aspire to be educators to future generations. 

Here are some reasons why a PhD is necessary today:

  • A PhD offers the holder a guaranteed job in a university or college. Depending upon the subject, candidates can secure jobs in law firms, consultancies, or even publishing houses. 
  • The mastery and expertise over the subject matter give the candidate an edge over the competition. 
  • And the most valuable asset of all - better reputation in terms of qualification.

However, for a Ph.D. in Engineering courses, the candidates are required to qualify for the GATE entrance exam . The various entrance exams for Ph.D. courses are as follows:

The Junior Research Fellowship (JRF) is offered to candidates who qualify for UGC –NET or CSIR-NET. NTA conducts this exam twice a year, in June and December. The tenure for completion of JRF is 2 years, and the candidates are offered a stipend of up to INR 28,000.

After the successful completion of JRF, the candidates are promoted to Senior Research Fellows. SRF is for three years and is granted on the premise of the performance in JRF.

The candidates who are applying for the exam must check the eligibility criteria before filling the application form. The eligibility criteria for a few of the examinations that were mentioned above are as follows:

UGC NET 2024 Eligibility Criteria

The National Testing Agency which conducts the University Grants Commission National Eligibility Test (UGC NET) also lays down certain requirements that students need to meet in order to be eligible for UGC NET . If a candidate fails to meet these requirements their application for UGC NET is bound to be considered invalid. The UGC NET eligibility criteria are as follows:

Qualification:

  • The candidates who are applying for UGC NET must have a Master’s Degree or its equivalent from a board/university recognized by UGC.
  • Candidates must have an aggregate of 55% marks (50% marks for SC/ST/OBC/PwD) category in the Master’s Degree.
  • Applicants who are in the final year of their qualifying exam can also apply for UGC NET.
  • There is no age limit for the post of Assistant Professor as per the provisions. In the case of JRF, the age of the applicant must not be over 30 years as on 01-01-2024. 
  • The NTA has given the reserved candidates an age relaxation of 5 years.
  • They have given the candidates who are pursuing an LLM degree an age relaxation of 3 years.
  • The NTA has given the candidates who served armed forces an age relaxation of 5 years.

Exemption (Eligibility for Assistant Professor):

  • Candidates must have completed their NET/SLET/SET exam who are willing to be eligible for the post of Assistant Professor in various Universities or institutions.
  • The NTA will exempt the applicants to appear in the exam who cleared their SET before 01-06-2003, recognized by UGC.
  • They will exempt the aspirants to appear in the exam who cleared the UGC/CSIR JRF examination earlier than the year 1989.
  • The NTA will exempt candidates who hold Ph.D. Degree by UGC from the minimum eligibility criteria of NET/SET/SELT.
  • Candidates who hold only a Bachelor's Degree are not eligible for a Lectureship.
  • As per the CSIR UGC NET eligibility criteria 2024, the candidate must ensure that the date of passing the examination must be 01-01-2024.

CSIR NET 2024 Eligibility Criteria

Candidates must be careful while checking through the eligibility criteria for CSIR NET . If the eligibility is not met, candidates will not be allowed to appear for the Ph.D. entrance exam. 

  • The candidate who belongs to general (UR) / general-EWS and OBC must hold an M.Sc .  or equivalent degree/ BE / B. Tech / B. Pharma / MBBS / Integrated BS-MS / BS-4 years with at least 55% marks to be eligible for CSIR UGC NET .
  • Candidates who belong to SC/ST and persons with disability (PwD) need to score at least 50% marks in M.Sc. or equivalent degree/BE / B. Tech / B. Pharma / MBBS/ Integrated BS-MS / BS-4 years.
  • Applicants who registered for M.Sc or have completed their graduation can also apply for CSIR UGC NET 2024 under Result Awaited (RA) category in case they will complete the qualifying degree with the required percentage of marks within two years to avail of the fellowship from the effective date.
  • Aspirants or B.Sc (Hons) or equivalent degree holders enrolled in Integrated MS-Ph.D. program must have at least 55% marks for General candidates and 50% marks for SC/ST/PWD.
  • Candidates who have a Bachelor’s degree are eligible for the fellowship only after getting registered/enrolled for Ph.D./Integrated Ph.D. program within the validity period of two years.

ICMR JRF 2024 Eligibility Criteria

Meeting the eligibility criteria for ICMR JRF is a must for a lot of reasons concerning the candidates. The eligibility criteria are the first and most basic requirements for students to meet when applying for ICMR JFR and the inability to do the same will lead to the discontinuation of their fellowships. The eligibility criteria are mentioned below.

Qualification : Applicant must have an MSc or MA degree from a recognized institute.

Minimum marks required for qualifying for the exam 

  • Candidates who belong to the unreserved category should not be older than 28 years as of 30-09-2024.
  • They have given the OBC Category an age relaxation of 3 years, and the upper age limit for those candidates is 31 years.
  • The candidates belonging to SC/ST/PwD Category have an age relaxation of 5 years. The upper age limit for those candidates is 33 years.
  • Female candidates can also apply for ICMR JRF until the age of 33 years.

  • There is no negative marking for incorrect answers.

ICMR JRF 2024 Exam Pattern

Preparations for examinations like ICMR JRF are not limited to learning from study materials and guidebooks but also include being comfortable with the type of questions asked, topics covered in the syllabus and the examination pattern itself, an impressive score is achieved only when candidates are well-versed with all aspects of ICMR JFR. The conducting authority has divided the ICMR JRF into three subjects. Each candidate must prepare and attempt only two of these subjects. The General Aptitude section of the exam is mandatory. This section comprises 50 questions. Candidates must choose between Life Sciences and Social Sciences. Each of these sections will have 100 questions. It allows candidates to attempt only 75 questions from either of these sections. The system will not allow the candidates to mark over 75 questions in the examination.

UGC NET 2024 Syllabus

Graduate Unsatisfactory Academic Progress Recommendation

Doctoral Students

The progress of all students working toward the Ph.D., D.M.A., and Ed.D. will be reviewed regularly and at least once each year in June by the home graduate program and the Dean of the Faculty of Graduate and Postdoctoral Studies. A student may be required to withdraw if progress has not been satisfactory as shown by coursework, the comprehensive examination, advancement to candidacy, progress on the thesis/doctoral dissertation, or other requirements of the graduate program or the Faculty.

Definition of Satisfactory Progress

A minimum of 68% (B-) must be achieved in all coursework taken for credit. Where a grade of less than 68% (B-) is obtained in a course, and on the recommendation of the graduate program and the approval of the Dean of the Faculty of Graduate and Postdoctoral Studies, the student may repeat the course for higher standing or take an alternate course. If the graduate program advisor does not make such a recommendation, or if the recommendation is not approved by the Dean of the Faculty of Graduate and Postdoctoral Studies, the student will be required to withdraw. A student who obtains a grade of less than 68% in more than one course will normally be required to withdraw. If progress in research is unsatisfactory, a student will be required to withdraw. The student will be informed of unsatisfactory academic progress in writing before any action regarding withdrawal is taken.

Please use the Graduate Unsatisfactory Academic Progress Recommendation form to make a recommendation to the Dean of the Faculty of Graduate and Postdoctoral Studies.

A minimum mark of 68% must be obtained in all courses taken by a student enrolled in a doctoral program. When repeating a failed required course, a minimum mark of 74% must be obtained. Higher minimum marks may be required by individual graduate programs.

For doctoral students registered in the Faculty of Graduate and Postdoctoral Studies, Fail (F) for individual courses is defined as below 68%. Some graduate programs may require a higher passing grade for specific courses.

If a course is repeated, both marks will appear on the transcript. The higher mark will be used to determine promotion in a program and in any decision to admit or withdraw a student from a program. For all other purposes, averages will be calculated using both marks.

"Class 1" or "first-class standing" is defined as 80% (A-) or better.

It is required that all doctoral students be admitted to candidacy within 36 months from the date of initial registration. A student who is not admitted to candidacy within this time period will be required to withdraw from the program. Extensions may be granted under exceptional circumstances and with the permission of the Dean of the Faculty of Graduate and Postdoctoral Studies.

Master's Students

The progress of all students working toward the master's degree will be reviewed regularly and at least once each year in June by the home graduate program and the Dean of the Faculty of Graduate and Postdoctoral Studies. A studentmay be required to withdraw if progress has not been satisfactory as shown by coursework, the comprehensive examination, progress on the thesis, or other requirements of the graduate program or the faculty.

The minimum passing grade in any course taken by a student enrolled in a master's program is 60%. However, only 6 credits of courses with grades in the C to C+ range (60-67%) may be counted towards a master's program. For all other courses, a minimum of 68% must be obtained. Some graduate programs may require a higher passing grade for specific courses.

Where a failing grade is obtained in a course, and on the recommendation of the graduate program and the approval of the Dean of the Faculty of Graduate and Postdoctoral Studies, the student may repeat a course for higher standing or take an alternate course. If the graduate program does not make such a recommendation, or if the recommendation is not approved by the Dean of the Faculty of Graduate and Postdoctoral Studies, the student will be required to withdraw. A student who obtains a grade of less than 68% in more than 6 credits will normally be required to withdraw for inadequate academic progress. The student will be informed of unsatisfactory academic progress in writing before any action regarding withdrawal is taken.

For master's students registered in the Faculty of Graduate and Postdoctoral Studies, Fail (F) for individual courses is defined as below 60%:

All work submitted by students (including, without limitation, essays, dissertations, theses, examinations, tests, reports, presentations, problem sets, and tutorial assignments) may be reviewed by the University for authenticity and originality. Without limiting the generality of the foregoing, such review may include the use of software tools and third party services including Internet-based services such as TurnItIn.com. By submitting work, students consent to their work undergoing such review and being retained in a database for comparison with other work submitted by students. The results of such review may be used in any University investigation or disciplinary proceedings (see Student Discipline ).

Any examination, essay, problem set, laboratory report, or other assignment, should be marked in a reasonable time and although the work may be retained by the University, the student will receive feedback on expected and achieved outcomes. If there is a provision for marked work to be returned to the student and then resubmitted for the correction of marking errors or omissions, the instructor must provide clear guidelines in advance to ensure that the academic integrity of the work is maintained.

A final examination becomes the property of the University and must remain in the possession of the University for one year from the date of the examination, after which it should be destroyed or otherwise disposed of in accordance with UBC Policy GA4 .

Where there is no scheduled review of an examination, a student may make written application (by January 31 for Winter Session Term 1 courses, by May 20 for Winter Session Term 2 and two-term courses, and by September 15 for Summer Sessions courses) to the course instructor who will make every reasonable effort to arrange for the student to view the marked final examination within 30 days of the request. If the instructor does not comply, at the student's request, the head of the department, director of the school, or dean of the faculty offering the course will make every reasonable effort to facilitate the viewing, which normally will be completed within 15 days of receipt of the request. The purpose of this exercise is purely pedagogic and distinct from the Review of Assigned Standing .

Deferred standing may be appropriate if a student has a valid reason for not completing course requirements as scheduled (e.g. medical or personal problems of a very unusual nature), but there is reason to believe that the requirements can be completed with an extension of time.

Procedure for requesting Deferred Standing

To request Deferred standing, the student's graduate program advisor or designate completes a "Request for Deferred Standing in Coursework" form immediately after the end of the course. The following information is required on the form:

  • Course information: start date, term(s), name, number, section, dates, credit value, etc.
  • The date the student last attended the course.
  • The reasons for recommending Deferred standing, and any documentation (e.g. note from doctor or medical professional).
  • An interim grade provided by the course instructor, based on work completed in the course so far.

IMPORTANT: The interim grade must be a grade based on the work completed to date, assuming that no further work will be submitted. It must not be an estimate of the grade the student may receive if he/she completes the outstanding work.

Grad Studies will enter the interim grade and Deferred standing in the student’s record. Once the deadline for completing the work has passed, programs must submit a Change of Grade form to Grad Studies with the new grade for all the work completed. The Deferred standing will be removed and the new grade entered. If the work is not completed, the Deferred standing will be removed, and the interim grade will remain as the final grade for the course.

Students granted Deferred standing in Winter Session courses must complete all outstanding course requirements by August 23 following . Students granted Deferred standing in Summer Session courses must complete all outstanding work by December 25 following . (See Campus-wide Policies and Regulations in the Calendar.)

REVIEW OF ASSIGNED STANDING

Reviews of assigned standing are governed by the following regulations:

  • Any request for the review of an assigned grade must reach Enrolment Services no later than July 15 for the Winter Session, and not later than October 15 for the Summer Session, and must be accompanied by the necessary fee for each course concerned which will be refunded only if the mark is raised.
  • Each applicant for a review must state clearly why he or she believes the course deserves a grade higher than it received; pleas on compassionate grounds should not form part of this statement. Prospective applicants should remember that under Senate regulations instructors must re-examine all failing grades and indicate in their records that this has been done.
  • Reviews will not be permitted in more than two courses in the work of one academic year, and in one course in a partial program of 18 credits or fewer or in the work of Term 1 or 2 of a Summer Session.

Supplemental examinations are not granted to students registered in a graduate program or to undergraduate students enrolled in a graduate course.

Senate Appeals on Academic Standing

Appeal procedure.

Students who wish to protest decisions relating to their academic studies may do so. The protest should be made initially as near the source of difficulty as possible, presumably an instructor, and progress to the head of the department concerned and then to the dean of the Faculty of Graduate Studies. There is a standing committee of the University Senate, the Committee on Appeals on Academic Standing, that reviews all appeals made to the Senate, the senior academic authority in the University. Please follow the policies and procedures as outlined by this Committee.

Use of the Grade T

A graduate student is expected to register for the thesis over the period required to complete the thesis. A grade of "T" is recorded on the transcript for each session until the thesis is completed. The "T" grade may also be used for graduating essays (in non-thesis master's programs), directed individual study or project courses in which the course requirements extend beyond the normal deadline for the submission of a final grade.

5 tips for passing your PhD viva

Every Doctoral researcher is expected to defend their thesis through an oral test - so discover how to prepare for your PhD viva and ensure you make a good impression on the examiners

What is a PhD viva?

A viva voce is an oral test, which literally translated means 'with the living voice'. It's a focused discussion giving you the opportunity to present your PhD thesis and then defend it in front of a panel of academic experts.

1. Understand what's expected of you

Traditionally, your thesis would always be discussed in person, with the interview style viva exam overseen by at least two (internal and external) examiners. Afterwards, they would provide you with a joint written report detailing any corrections that need to be made.

However, following the coronavirus (COVID-19) pandemic, the online PhD viva has become more commonplace with this examination more likely to take place via Microsoft Teams, Skype or Zoom.

The virtual experience will still typically follow the same format, but you'll be briefed in advance about the arrangements and any technical aspects to bear in mind. You can prepare for an online PhD viva by reading our video interview tips .

The chair of the viva is usually the internal examiner, although it can be an independent person. If you and the examiners agree, your PhD supervisor can also be present.

The examiners' main objective is to ascertain that you've written your own thesis, so if you have and are ready to talk through how you completed it, there's no need to panic. You may even enjoy the viva voce test.

In addition to assessing your thesis, the examiners are also there to assist you in deciding how and where this research might be published.

There are various results between a 'pass' and 'fail' but it's very rare to slip up at this point of a PhD. Most Doctorate awards will be made upon the condition that a number of minor corrections are made, with re-submission requests far less common.

However, while the pass rate is high, the viva exam itself can still be intellectually demanding. This is because you'll be debating issues that are conceptually complex, so preparation is crucial to your success.

At the end of it, whatever the outcome, be prepared to take on board any advice, as the examiners are there to help you improve your argument or the presentation of your thesis.

2. Know your thesis inside out

While you can be sure this isn't a memory test - as you're fine bringing notes and a copy of your thesis with you to the PhD viva - it's still important to gain a good understanding of what you've written and be knowledge about your field of study.

You'll need to think carefully about where this original piece of work would be placed in the context of the wider body of research carried out in this field. Questions will surely be asked about this, as well as whether the project could possibly be developed further through any future research.

As you'll be explaining parts of the document to the examiners (who'll also have a digital or physical copy), make sure the pagination is the same in your version as the one they're looking at to avoid any issues regarding everybody being on the same page.

If you get stuck at any point during the viva exam, you can use looking at the thesis as an excuse to re-focus and gather your thoughts.

3. Anticipate the viva questions

The examiners will have prepared a series of questions for you to answer at the viva voce, but this is nothing to get too concerned about. The questions will all be based on your thesis - what it's about, what you did and what you found out - and why this matters, in relation to your field of study.

So when getting ready for the viva, consider the types of questions you're likely to be asked, including:

  • What original contribution has your thesis made to this field of study?
  • Explain the main research questions you were hoping to address.
  • What are the strengths and weaknesses of your thesis?
  • If you had to start the thesis again, what would you do differently?
  • If funding was no object, describe how you'd follow on from this project.
  • What are your plans for the future?

It can be helpful to practise your answers beforehand, ideally vocalising them by arranging a mock mini viva - although, as you aren't restricted in terms of referring to notes in the exam, you can leave room for spontaneity, and you don't need to learn it all off by heart. If your viva is being held online, you can ensure any technical issues are identified before the day by having a run through with your supervisor or a friend.

While it may sound simple, stick to answering the questions posed. It's really easy to go off on a tangent and this can open up other lines of enquiry from the examiners - possibly in areas you hadn't expected to be quizzed about.

On the other hand, it's completely fine to bring personality to your reasoning and use stories as a means of describing the learning process you've gone through and the techniques mastered over the last three or four years that have brought you to this point.

4. Learn about your examiners' own work

The senior and well-respected academics who'll be reading your thesis will have their own ideas on conducting PhD standard research. Therefore, it's worth taking a look online at their academic profiles to discover if there's any correlation with the research they've had published and your own work.

From this, you should be able to gain a better idea of their motivations, their possible views on your thesis and the kinds of questions they might wish to discuss after having read through it.

You should research up-to-date theories, read any recent papers on the subject and speak to others who've recently had their own viva exam. Think about how your work differentiates from the research carried out by others in your chosen field.

Prepare to provide any supporting evidence asked of you by the examiners - for example, they may request to see experimental data you mention once the exam is over.

It's also necessary to check the policies and practices in place at your university and be sure of what the roles of the examiners are and how the viva panel will be structured. In many cases, Doctoral students can choose the examiners conducting the PhD viva.

5. Plan towards the viva exam

From the moment you know the date of your viva voce, work backwards and plan the steps you'll need to take before the day itself. Allow enough time to assess and review your work so that as the day approaches, you can focus on the practicalities.

This encompasses everything from making sure you relax, eat and sleep well the day before to arranging transport so you get to the viva on time - if you're attending in person.

An online PhD viva will present its own challenges, so ensure your working space is presentable and you still make an effort in terms of what you'll be wearing.

It's always advisable to adhere to interview etiquette and go with something that's both smart and comfortable. By looking the part, this should get you in the right frame of mind to communicate in a professional manner.

In the build-up, avoid any situations that might make you feel stressed and instead try to adopt a positive attitude, one that results in a genuine eagerness to engage in a debate about the work you've been toiling over for a substantial period of time.

If you're travelling to the examination, be sure to check that you have everything you wish to take with you, including the thesis, plus any notes or other materials that will help support your claims.

The PhD viva can last between one and four hours - usually two - so it's necessary to pace yourself to get off to the best possible start.

Remember, the examiners aren't trying to trip you up - they want you to pass and are primarily there to hear you talk about your project. So, after the polite introductions they'll typically start with an icebreaker to put you at ease and help calm the nerves.

It's meant to be an open and honest conversation about your work, so feel free to politely disagree with the examiners, especially on areas you feel strongly about. Don't forget to use examples from your thesis to back up what you're saying, remembering to be clear and concise.

If you know your way around your thesis and can explain your thinking and way of working, this test shouldn't be a problem. And if you don't know the answer to a specific question - admit it, as it's better to concede your limitations in an area than ramble on and hope they don't notice you're struggling to come up with an explanation. No research is perfect, so it's important to appreciate this during the discussion - but don't be too overcritical about your work either, as that's not your job.

Finally, as the PhD viva can quickly move from a series of friendly questions to those that are more in-depth, take some time to think before answering. Don't worry about any periods of silence from the examiners, as this certainly isn't an indication that you're doing badly.

  • A PhD viva involves defending your thesis in an oral examination with at least two examiners.
  • The aim of a PhD viva is to confirm that the work is your own , that you have a deep understanding of your project and, overall, that you are a competent researcher .
  • There are no standard durations, but they usually range from one to three hours, with most lasting approximately two hours .
  • There are six outcomes of a PhD viva: (1) pass without corrections (2) pass subject to minor corrections, (3) pass subject to major corrections, (4) downgrade to MPhil with no amendments, (5) downgrade to MPhil subject to amendments, (6) immediate fail.
  • Almost all students who sit their viva pass it, with the most common outcome being ‘(2) – pass subject to minor corrections’.

What Is a PhD Viva?

A viva voce , more commonly referred to as ‘viva’, is an oral examination conducted at the end of your PhD and is essentially the final hurdle on the path to a doctorate. It is the period in which a student’s knowledge and work are evaluated by independent examiners.

In order to assess the student and their work around their research question, a viva sets out to determine:

  • you understand the ideas and theories that you have put forward,
  • you can answer questions about elements of your work that the examiners have questions about,
  • you understand the broader research in your field and how your work contributes to this,
  • you are aware of the limitations of your work and understand how it can be developed further,
  • your work makes an original contribution, is your own and has not been plagiarised.

Note: A viva is a compulsory procedure for all PhD students, with the only exception being when a PhD is obtained through publication as opposed to the conventional route of study.

Who Will Attend a Viva?

In the UK, at least two examiners must take part in all vivas. Although you could have more than two examiners, most will not in an attempt to facilitate a smoother questioning process.

One of the two examiners will be internal, i.e. from your university, and the other will be external, i.e. from another university. Regardless, both will be knowledgeable in your research field and have read your thesis beforehand.

In addition to your two examiners, two other people may be present. The first is a chairperson. This is an individual who will be responsible for monitoring the interview and for ensuring proper conduct is followed at all times. The need for an external chairperson will vary between universities, as one of the examiners can also take on this role. The second is your supervisor, whose attendance is decided upon by you in agreement with your examiners. If your supervisor attends, they are prohibited from asking questions or from influencing the outcome of the viva.

To avoid any misunderstandings, we have summarised the above in a table:

Note: In some countries, such as in the United States, a viva is known as a ‘PhD defense’ and is performed publicly in front of a panel or board of examiners and an open audience. In these situations, the student presents their work in the form of a lecture and then faces questions from the examiners and audience which almost acts as a critical appraisal.

How Long Does a Viva Last?

Since all universities have different guidelines , and since all PhDs are unique, there are no standard durations. Typically, however, the duration ranges from one to three hours, with most lasting approximately two hours.

Your examiners will also influence the duration of your viva as some will favour a lengthy discussion, while others may not. Usually, your university will consult your examiners in advance and notify you of the likely duration closer to the day of your viva.

What Happens During a Viva?

Regardless of the subject area, all PhD vivas follow the same examination process format as below.

Introductions

You will introduce yourselves to each other, with the internal examiner normally introducing the external examiner. If an external chairperson is present, they too are introduced; otherwise, this role will be assumed by one of the examiners.

Procedure Explained

After the introductions, the appointed chair will explain the viva process. Although it should already be known to everyone, it will be repeated to ensure the viva remains on track during the forthcoming discussion.

Warm-Up Questions

The examiners will then begin the questioning process. This usually starts with a few simple opening questions, such as asking you to summarise your PhD thesis and what motivated you to carry out the research project.

In-Depth Questions

The viva questions will then naturally increase in difficulty as the examiners go further into the details of your thesis. These may include questions such as “What was the most critical decision you made when determining your research methodology ?”, “Do your findings agree with the current published work?” and “How do your findings impact existing theories or literature? ”. In addition to asking open-ended questions, they will also ask specific questions about the methodology, results and analysis on which your thesis is based.

Closing the Viva

Once the examiners are satisfied that they have thoroughly evaluated your knowledge and thesis, they will invite you to ask any questions you may have, and then bring the oral examination to a close.

What Happens After the Viva?

Once your viva has officially ended, your examiners will ask you to leave the room so that they can discuss your performance. Once a mutual agreement has been reached, which can take anywhere from 10 minutes to an hour, you will be invited back inside and informed of your outcome.

PhD Viva Outcomes

There are six possible outcomes to a viva:

  • Immediate award of degree: A rare recommendation – congratulations, you are one of the few people who completely satisfied your examiners the first time around. You do not have to do anything further at this point.
  • Minor amendments required: The most common recommendation – you obtain a pass on the condition that you make a number of minor amendments to your thesis, such as clarifying certain points and correcting grammatical errors. The time you have to make these changes depends on the number of them, but is usually one to six months.
  • Major amendments required: A somewhat uncommon recommendation – you are requested to make major amendments to your thesis, ranging from further research to collecting more data or rewriting entire sections. Again, the time you have to complete this will depend on the number of changes required, but will usually be six months to one year. You will be awarded your degree once your amended thesis has been reviewed and accepted.
  • Immediate award of MPhil: An uncommon recommendation – your examiners believe your thesis does not meet the standard for a doctoral degree but meets the standard for an MPhil (Master of Philosophy), a lower Master’s degree.
  • Amendments required for MPhil: A rare recommendation – your examiners believe your thesis does not meet the standard for a doctoral degree, but with several amendments will meet the standard for an MPhil.
  • Immediate fail: A very rare recommendation – you are given an immediate fail without the ability to resubmit and without entitlement to an MPhil.

What Is the Pass Rate for Vivas?

Based on an  analysis of 26,076 PhD students  who took their viva exam between 2006 and 2017, the PhD viva pass rate in the UK is 96%; of those who passed, about 80% were required to make minor amendments to their thesis. The reason for this high pass rate is that supervisors will only put their students forward for a viva once they confidently believe they are ready for it. As a result, most candidates who sit a viva are already well-versed in their PhD topic before they even start preparing for the exam.

How Do I Arrange a Viva?

Your viva will be arranged either by the examiners or by the chairperson. The viva will be arranged at least one to two months after you have submitted your thesis and will arrange a viva date and venue that is suitable for all participants.

Can I Choose My Examiners?

At most universities, you and your supervisor will choose the internal and external examiners yourselves. This is because the examiners must have extensive knowledge of the thesis topic in order to be able to examine you and, as the author of the thesis in question, who else could better determine who they might be than you and your supervisor. The internal examiner is usually quite easy to find given they will be from your institution, but the external examiner may end up being your second or third preference depending on availability.

Can I Take Notes Into a Viva?

A viva is about testing your competence, not your memory. As such, you are allowed to take notes and other supporting material in with you. However, keep in mind that your examiners will not be overly impressed if you constantly have to refer to your notes to answer each question. Because of this, many students prefer to take an annotated copy of their thesis, with important points already highlighted and key chapters marked with post-it notes.

In addition to an annotated copy of a thesis, some students also take:

  • a list of questions they would like to ask the examiners,
  • notes that were created during their preparation,
  • a list of minor corrections they have already identified from their viva prep work.

How Do I Prepare for a PhD Viva?

There are several ways to prepare for a PhD viva, one of the most effective being a mock viva voce examination . This allows you to familiarise yourself with the type of viva questions you will be asked and identify any weak areas you need to improve. They also give you the opportunity to practise without the pressure, giving you more time to think about your answers which will help to make sure that you know your thesis inside out. Course Work options for Ph.D. Scholars

  • 1. The coursework options listed under preference exercised by the scholar will only be offered subject to fulfilment of minimum number of scholars opting for that given option. If an option lacks sufficient interest, it may not be offered, and scholars must choose from the available alternatives.
  • 2. For option II classes are to be conducted Thursday to Sunday of every third week of all 4 months.
  • 3. Induction programme will be conducted before the start of every coursework option.

Exemption in course work will be applicable only if scholar has done M.Phil. (regular mode) with 55% or equivalent grade ‘B’ in the UGC 7-point scale through regular mode from LPU or any other recognized university.

  • a) Course work is mandatory for all the scholars admitted in Ph.D. Programme.
  • b) The course work will be of 3 semesters containing 30 credits.
  • c) All the scholars need to clear non-credited compulsory courses as prescribed by ICAR norms in case they have not studied these courses in their Bachelor and Master degree. For which School of Agriculture and CRDP needs to coordinate after admissions.

Procedure for admission & Seats

  • Ph.D. in Law : Total Seats: 25+2 (UGC-JRF: 5 seats, AILET Merit -16 seats, Fellowship through AILET Merit -4 seats and Foreign Nationals-2 Seats).
  • Ph.D. in Social Sciences : Total Seats: 4 (UGC JRF, AILET, Foreign Nationals, Fellowships).
  • However, the number of seats may be increased up to 25% for considering the applications of regular faculty members of the NLU Delhi for Ph.D. admission, who are otherwise fulfilling the required eligibility criteria.
  • The University will follow the reservation policy as per UGC Regulations for admission to Ph.D. Programme.

  • The Research Advisory Committee will assist the Doctoral Committee in evaluating the research proposals as per the guidelines prescribed by NLU Delhi. Candidates equal to three times the number of available seats will be shortlisted for defense of Research Proposal before the Doctoral Committee based on the evaluation of Research Proposals by the Research Advisory Committee.
  • The admission shall be through a two-stage selection process, which includes (1) written entrance test and (2) the evaluation of research proposals followed by interview/ viva-voce. In the final selection of candidates, a weightage of 70% shall be given to the entrance test and 30% shall be given to the results of evaluation of research proposals and interview/viva-voce.
  • 50% of the questions for the entrance test shall be relating to Research Methodology and the remaining 50% shall be from subject specific i.e., one paper in Law and one paper in Social Sciences. The candidate shall secure a minimum of 50% marks (45% in case of SC/ST/PWD candidates) in the entrance test to qualify for the second stage. Candidates equal to three times the number of available seats will be shortlisted for the second stage, based on the results of the entrance test.
  • The candidate should also secure a minimum of 50% marks (45% in case of SC/ST/differently abled candidates, EWS) in the evaluation of research proposals and interview/viva-voce to qualify for the final selection.
  • The Research Advisory Committee will assist the Doctoral Committee in evaluating the research proposals as per the guidelines prescribed by NLU Delhi.

NLU Delhi reserves the right to keep the seats vacant if sufficient number of suitable candidates with minimum cut-off marks are not available.

GAT test score

The GAT test is scored on a scale of 0-100. This is called the raw score. Every question on the NTS GAT test carried one point and there is no negative marking i.e. you don’t lose any points for an incorrect answer. Approximately 2 weeks after the test date you get your GAT score report at the mailing address you mentioned while registering for the GAT test in Pakistan.  

What is a good GAT Score?

50 is the passing score on the GAT exam. However this does not imply that if you get 50 then you will get admission or need-based and especially Commonwealth General Scholarship based on these scores. Admissions and scholarship decisions depend on a lot of other factors except your GAT score. These include your GPA, letters of references, publications and area of research etc. A passing score does not guarantee success, however a score of less than 50 is definitely harmful to your application. It is extremely rare to get any admissions or scholarships if you score below 50.

A lot of GAT test takers in Pakistan claim that they scored beyond the passing marks without any preparation. While it is true that many would do the same, however due to the level of competition nowadays for these scholarships and positions it is very rare to get any successful or worthy results based on passing scores on the GAT.

Percentile:

Your GAT scorecard will not only include your GAT raw score out of 100 but it will also include your GAT percentiles. The GAT percentiles are calculated in a very straightforward way. Your individual raw score out of 100 is compared with the scores of other students who took the GAT that day. The percentage of people who scored less than you did is your GAT percentile. Say if your GAT percentile for the analytical section is 65%. It implies that 65% of all the GAT test takers scored lesser than you did. Likewise 35% students scored more than you did.

A percentile of 100 is not possible. Your percentile score for the GAT varies with every test date since the comparison group varies. So for instance you took the GAT on 18th August. Your raw score on the analytical section is 35 out of 40 and your percentile is 93. However it may be the case that another student got the same raw score on another test date but got a percentile of 97.

Regardless, percentiles provide a relative means of comparing your GAT scores with other GAT test takers in Pakistan.

By the way, I’ve made 20-Days Study Plan for GAT to help students schedule their daily time to prepare for GAT exam. Because many of my students improved their scores by 20 points, so I decided to make things available online so everybody throughout Pakistan can clear the exam and get admission to their desired University and field of study.

The National Testing Service (NTS) sets specific passing marks for both NAT (National Aptitude Test) and GAT (Graduate Assessment Test) to ensure a minimum level of proficiency. Passing marks for NAT are based on the test’s difficulty and are determined by NTS. The test evaluates candidates’ aptitude in areas such as analytical reasoning, quantitative reasoning, and verbal reasoning. Candidates must score at or above the set passing marks to pass.

NTS NAT Passing Marks 2024

NTS conducts NAT National Aptitude Test and GAT Graduate Admission Test from the candidates. GAT exams are conducted three time in a year and NAT is conducted four time in a year by the NTS National Testing Service. NTS conducts NAT test to give admission in university/DIA’s. GAT test is conducted by the NTS for the admission in MS, M.Phil. or PhD in any Pakistan universities. Here we provide details about NTS Passing Marks for NAT and GAT Test.

The NAT (National Aptitude Test) is conducted by the NTS (National Testing Service) for admission to Bachelor’s degree programs in associated universities/DAIs. The test is held four times a year, and candidates must have cleared their 12th class or have an equivalent qualification with at least 50% marks to be eligible to apply. To secure admission, candidates must score a minimum of 50% marks on the NAT. Those who do not meet the passing marks will not be eligible for admission.

GAT Test Pass Marks Details

GAT Graduate Admission Test is held for admission in MS, M.Phil programs or PhD in any university of Pakistan. NTS conducts NAT test three time a year. This test is also held for the HEC scholarship. All the candidates who want to get admission in MS, M.Phil, PhD or want to apply for the HEC scholarship should clear the GAT. Those candidates who clear the 16 years of education with minimum 2.50 CGPA can apply for the GAT. It is mandatory to get 50% marks in GAT test to get admission in MS, M.Phil or PhD.

According to the UP board guidelines, students who want to clear the UP board exams are required to score a minimum of 33% marks in each subject. If any student fails to meet this criteria and fails in one or two subjects, will have to appear in the UP board compartmental exams 2024, while students failing in more than two subjects will have to repeat the year.

Students who are unsatisfied with their UP board results 2024 have the option to request a re-evaluation of their answer sheets. If there are any changes in their final marks after the re-evaluation process, those updates will be reflected in their UP board original mark sheets. UP Board Class 12 Result 2024: To pass the UP board exams students must have a score of at least 33 per cent in each subject and in aggregate

The Uttar Pradesh Madhyamik Shiksha Parishad (UPMSP) will release the results for class 12 board examinations 2024 today, April 20. Dibyakant Shukla, Secretary of UP Board, is expected to announce the 2024 UP Board results at 2:00 PM. Once results have been released, UP Board students who sat the test in 2024 can see them on the board’s official websites, upmsp.edu.in and upresults.nic.in. The class 12 exams for 2024 took place over 12 days, from February 22 to March 9.

UP Board Class 12 Result 2024: PASSING MARKS, COMPARTMENT EXAMS

To pass the UP board examinations in 2024, students must have a score of at least 33 per cent in each subject and in aggregate. When reviewing the marksheet, it would be marked as ‘P’, which suggests a “pass” status. Students who performed poorly in the UP Board exam in one or more subjects may take the compartment exams. A reassessment of the answer papers can be requested by students via the UP Board re-evaluation website if they object to their class 12 assessments.

The board will notify students to check their answer sheets once more in addition to releasing the results of the UP board test. To be eligible for scrutiny, students who wish to submit a request for scrutiny must pay the application cost within the time frame specified in the notification.

A Reflection On Claire Fagin

As Penn Nursing marks the passing of Emerita Dean Claire M. Fagin, nursing leadership takes center stage. Honoring the life and work of this visionary leader.

The nursing profession lost an accomplished and visionary leader with the passing of Claire M. Fagin in January at the age of 97. Fagin’s leadership abilities were widely recognized in nursing scholarship and beyond, with many awards, honorary degrees, and even a stint as a university president. Her remarkable career was memorialized with obituaries in the New York Times and the Washington Post , as well as with a shout-out on CBS Sunday Morning.

Fagin’s early work was in pediatrics, particularly in the care of children with mental health issues. She initially worked with pediatric patients at Sea View Hospital, a dedicated tuberculosis hospital on Staten Island in New York City before moving to the adolescent psychiatry unit at the city’s Bellevue Hospital. After earning a master’s degree in psychiatric nursing, she joined the pediatric psychiatry unit at the Clinical Center of the National Institutes of Health in Bethesda, Maryland, where she became the first director of children’s programs.

In July 1993, Penn’s trustees selected Fagin as the university’s interim president, the first woman to lead the university. Fagin went on to head the John A. Hartford Foundation program Building Academic Geriatric Nursing Capacity, which transformed the specialty of geriatric nursing. Today, more than 300 nurse scientist graduates of the program are making their mark on gerontology research, practice, and education.

Fagin’s contributions have been honored with numerous tributes, including eight honorary doctorates. In 1988, the American Academy of Nursing (AAN) bestowed on Fagin its highest honor, naming her an AAN Living Legend. And, in 2006, Penn’s School of Nursing building was renamed Claire M. Fagin Hall to acknowledge her exemplary leadership.

Several principles guided Fagin’s work in every role she undertook: democratic participation, empathy, nurturing/ development of peer relationships, and activism. Here are some examples of how they played out in her work:

Democratic participation..

As Penn interim president, Fagin inherited a campus fractured by accusations of racism, assaults on academic freedom, and other conflicts. To address these issues, she established a Commission on Strengthening the Community to promote an academic environment where all members could learn from and be enriched by their similarities and differences. This required soliciting a wide range of opinions and much deliberation about how to foster a culture of respect, inclusion, and freedom of expression. The resulting reforms laid a foundation for better understanding among interest groups in keeping with Penn’s core values.

The ability to recognize and understand different viewpoints was critical to developing the interpersonal competence that Fagin deployed in her various leadership roles. She was dubbed “The Healer” during her term as Penn’s interim president. And while these expert interpersonal skills aided Fagin in leadership roles, it was her personal impact on nurses and others she worked with that made her beloved. Many who knew Fagin have a “Claire” story—an interaction with her they remember as profound.

Nurturing/development of peer relationships.

Fagin consciously learned from others and sought to foster that spirit of collegiality, so as to help all realize their potential. Marvin Lazerson, interim provost at Penn while Fagin was interim president, said she was always pushing those around her to achieve more. “She helped me live up to incredibly high standards as the interim provost, often kicking and pushing me,” Lazerson said in an interview with Penn Today.

One of us—Jane Barnsteiner— recalls a conversation with Fagin when Barnsteiner was considering applying for membership in the AAN. Fagin quickly disabused her of the idea that she should wait for someone to invite her to join. “You need to get out there, talk with someone to sponsor you—and take the lead,” she urged. “Nobody’s going to tap you on the shoulder.”

Barnsteiner took the advice to heart and convinced several Penn colleagues to do likewise. Barnsteiner and four of her fellow Penn Nursing faculty members were subsequently inducted into the AAN in 1991, the largest cohort from a single nursing school at that time. Fagin viewed such successes in others as a measure of her leadership, remarking in her 2000 book, Essays on Nursing Leadership: “The extent to which I have built leaders around me dictates my success.”

Fagin’s recognition of the importance of activism and the use of evidence to support policy recommendations was rooted in her 1964 doctoral dissertation, “The Effects of Maternal Attendance During Hospitalization on the Behavior of Young Children.” Her findings of the negative effects on hospitalized children of rules that barred parents from visiting received national attention and led to changes in attitudes and policies about parental presence in pediatric facilities, including in the ICU and during resuscitation events.

“I feel I have given a lot to the profession, but I am not even near to repaying what it has given me. I shall always be grateful for the stroke of fortune that brought me to choose this wonderful field.”

Fagin’s advocacy ranged widely, including issues such as nursing home reform and health care payment reform. She wrote a landmark report in 2001 for the Milbank Memorial Fund, When Care Becomes a Burden: Diminishing Access to Adequate Nursing, which highlighted the decline in the availability of nursing services in hospitals and provided recommendations for corrective changes to regulation, licensing, and financing of services.

The report also offered suggestions for improved nursing organization, governance, and education.

Fagin’s advocacy persisted well into her 90s. In the COVID-19 and post- COVID era, she continued via editorials to advocate for improvements in health care, weighing in on such topics as nursing education and public health financing. Her life and career hold lessons for us all, especially about how fortunate we are to be part of nursing.

“Whatever I have achieved, the awards I have gotten, the personal rewards I have felt, would not have come my way were I not a nurse,” Fagin wrote in Essays on Nursing Leadership . “I feel I have given a lot to the profession, but I am not even near to repaying what it has given me. I shall always be grateful for the stroke of fortune that brought me to choose this wonderful field.”

As Fagin’s colleague, Neville Strumpf, professor emerita at Penn Nursing, noted at Fagin’s Celebration of Life service on January 21, “No one needed to say her last name—she was Claire—accomplished, stylish, heroic, generous, hilarious, honest, fearless, larger-than-life, and forever proud to be a Real Nurse.”

Duke’s Mark Mitchell, a former 5-star from Bishop Miege, will transfer to Missouri

Mark Mitchell knows something about playing big-time basketball.

A KC-area native, Mitchell played in showcase games in front of blue-blood coaches like Kansas’ Bill Self. He left Bishop Miege for the Wichita area’s famed Sunrise Christian Academy as he prepared to make the jump to another blue blood: Duke basketball, which he originally chose over Missouri .

Now, two years later, the former 5-star forward and 247Sports’ No. 9-ranked transfer is bringing his talents back to the Midwest. He announced via Instagram on Friday morning that he’s transferring to play for Dennis Gates and the Missouri Tigers.

Mitchell’s addition is a big one for several reasons. He was a five-star prospect out of high school, ranked No. 13 by 247Sports and No. 21 by Rivals. He has good size at 6-8 and has been a full-time starter since arriving at Duke.

Last season, Mitchell averaged 11.6 points, 6.0 rebounds and 1.1 assists per game. He is a career 31.9% 3-point shooter on low volume (1.4 career attempts per game) but is more known for his length, build and athleticism.

Of his decision to transfer to Missouri, Mitchell told 247Sports : “Coach Gates and Mizzou have a great staff, have a great relationship with their players, and I really believe that we can do something special.”

247Sports’ Eric Bossi wrote of Mitchell: “Athletic, physical and versatile, he’s proven to be one of the best defenders in the country and still has plenty of untapped potential on the offensive end of the floor.”

As for Missouri, the Tigers need all the help they can get following a winless SEC campaign .

A year removed from winning an NCAA Tournament game in an overwhelmingly successful first year under Gates, the Tigers went 8-24 (0-18 SEC) in 2023-24 and have not yet won a game in calendar 2024.

This certainly counts as a win, however, on the recruiting trail.
