Build Status

This is a skeletal thesis template with a class and .sty file that you can use separately if you'd prefer.

To change the thesis type from PhD to MRes or MPhil, look for the setting in Main.tex .

The class needs some updating and could use a lot of commenting, and these are being worked on, but the files are perfectly usable right now with pdfLaTeX or lualatex. The repo is tested after each push with lualatex on Travis.

What should I use for editing .tex files?

If you're already comfortable with programming on the command-line, you can use whatever plain text editor you'd like.

If you're new to LaTeX, though, or want something to help you keep your files together, you may want TeXMaker or LyX (both available for Windows, Linux, or OS X), or TeXShop (for OS X).

TeXShop and TeXMaker are both oriented around helping you write plaintext .tex files, while LyX is more aimed at presenting a structured document with some of the formatting rendered, to make it a little less abstract to work with.

If you want something quick that runs entirely through a browser, so you don't even have to set up your own LaTeX installation, UCL also has a subscription for Overleaf , a service that does that. You'll have to register using your UCL email address to use the subscription. It's also good for working with someone else on a document, with live shared editing.

What is the Makefile for?

If you're using this from the Linux command-line, the Makefile defines a few things to make it easier to build the LaTeX document. If not, you can happily ignore it.

What graphics formats are good to include with this?

PNG and JPEG images work perfectly well, as do PDF files (including vector graphics). Vector graphics in PDFs will remain as vectors. Remember to produce higher-resolution images than you'd use online -- 300 or 600 dpi are typical print qualities, rather than the 72 dpi standard for websites. If you don't have control over this setting directly from whatever you're using to produce your images, a good rule of thumb is that you should aim to generate them 3 and a bit times larger on screen than you want them to be on paper.

Can I just make it produce one section in the PDF?

In the Main.tex file there are a list of \include statements. If you add an \includeonly statement to match those with one or more of the same labels, it'll just produce the content for those sections. (Labels, references, figures, and table numbers will be consistent as if you'd generated the whole document.)

Didn't there used to be different files for PhD, MRes, and MPhil dissertations?

Yes, but they only differed by 4 characters each, so it seemed silly to maintain them each separately. Change the setting in the Main.tex file to get the one you need.

Open Access theses

Among the many things that can be made Open Access; publications, data, software, and so many more, it is now increasingly more common for PhD theses to be made Open Access. This can be a great resource when you are undertaking your own PhD to get an idea of scope, structure and can be a great source of ideas.

Finding Open Access theses

UCL Library Services manages the DART-Europe service, the premier European portal for the discovery of open access research theses.  At the time of writing, this service provides access to over one million research theses from 564 Universities in 29 European countries.  It was founded in 2005 as a partnership of national and university libraries and consortia to improve global access to European research theses.  It does this by harvesting data from thesis repositories at contributing institutions, including from UCL Discovery (see below), and providing a link to at least one open access electronic copy of each thesis.  The theses themselves are located on the websites of the contributing institutions.

Users of the DART-Europe portal can search this vast database by keyword, or browse by country or institution, and view the research theses in full, without charge.  New theses are added every day, from doctoral and research masters programmes in every academic discipline.  For more information about the service, please contact the DART-Europe team .  Institutions not currently represented in the portal can view information on how to contribute to DART-Europe .

In normal times, the digitisation of doctoral theses can also be requested on an individual basis through the British Library’s e-theses online service (EThOS) .  This is a database of all UK doctoral theses held in university library collections, with links to open access copies in institutional repositories, and hosted directly in EThOS, where available.  If an electronic copy is not available, you can create an account with the service to request digitisation of the print copy: this prompts the institution where the thesis is held to find and check the print thesis, and then send it to the British Library’s facility at Boston Spa for digitisation.  Please note that this process incurs a charge (which is indicated during the requesting process) and is currently suspended due to COVID-19 restrictions.

Your thesis – UCL Discovery

Since the 2008-09 academic year, UCL students studying for doctoral and research master’s degrees have been required to submit an electronic copy of their thesis to the Library as a mandatory condition of the award of their degree.  Students are encouraged to make their theses openly available in UCL Discovery , our open access institutional repository, although in practice access can be restricted for a number of reasons if necessary.  A citation of the thesis appears in UCL Discovery even if access to the full text is restricted.

Older theses have also been digitised and added to UCL Discovery retrospectively.  The bulk of this work has been carried out as part of a specific project covering over 10,000 theses from 1990 to 2008.  This project is ongoing but mostly complete: over 7,000 digitised theses have been added to UCL Discovery during the last twelve months alone by Library Services staff who have not been able to carry out their normal work due to COVID-19 restrictions.

UCL dissertations and theses

The Library holds a copy of most research degree theses completed by students registered at UCL. Print copies of research theses are catalogued by author in  Explore ; electronic versions are in many cases available on open access in  UCL Discovery .

The Library does not normally have copies of UCL:

  • MA, MSc, MRes, LLM theses
  • Diploma theses
  • Undergraduate dissertations

However the following libraries have small local theses collections covering their own subject areas, please contact the relevant library directly for more information:

  • Bartlett Library : select exemplars of Masters dissertations are available through UCL's Open Educational Repository .
  • Ophthalmology Library  has a very small collection of PhD, MD and MSc dissertations.
  • Institute of Orthopaedics Library  has BSc and MSc theses.
  • School of Pharmacy Library  has a small collection of MRes theses which date from 2011 – 2014  for reference use in the library. 
  • UCL Institute of Education Library  has selected masters dissertations, which are findable in  Explore . Those published after 2000 are openly accessible in the library. All others must be requested in advance. 
  • Great Ormond Street Institute of Child Health Library has examples of past MSc and MRes dissertations.
  • The UCL Institute of Archaeology make some available on the dissertation module page in their Moodle.

Some departments may also maintain their own collections. For further details, please contact your departmental administrators.

The dissertation template is provided as a Google Doc. You can download it in MS Word format or make a copy to your Google Drive. You’re also welcome to convert it to whatever format works best for you, such as LaTeX or PDF.

What types of dissertations/theses can this template be used for?

The template follows the standard best-practice structure for formal academic research projects such as dissertations or theses, so it is suitable for the vast majority of degrees, particularly those within the sciences.

Some universities may have some additional requirements, but these are typically minor, with the core structure remaining the same. Therefore, it’s always a good idea to double-check your university’s requirements before you finalise your structure.

Will this work for a research paper?

Is this template for an undergrad, Masters or PhD-level thesis?

This template can be used for a dissertation, thesis or research project at any level of study. It may be slight overkill for an undergraduate-level study, but it certainly won’t be missing anything.

How long should my dissertation/thesis be?

This depends entirely on your university’s specific requirements, so it’s best to check with them. As a general ballpark, Masters-level projects are usually 15,000 – 20,000 words in length, while Doctoral-level projects are often in excess of 60,000 words.

UCL PhD theses in digital format can be found in  UCL Discover y, but please note that some theses have restrictions on access, at least for a certain period of time, and UCL's Open Access Team can be contacted with any queries.

Records can also be found in  Explore , and if we have a print copy,  it may be possible to consult it in one of our libraries by filling in a  Store Request Form  in advance of a visit.

Older PhD theses which haven’t been scanned yet can be ordered via the British Library's EThOS service  as they are digitizing them on demand, and for more information on theses generally see our  web page .

Format of thesis and Binding

  • Title page – including the thesis title, the student's full name and the degree for which it is submitted
  • Abstract - of up to 5,000 words
  • Table of contents – including any material not bound in the book, and a list of tables, photographs and any other materials

Word limits

  • PhD - not to exceed 100,000 words
  • MPhil - not to exceed 60,000 words
  • MD(Res) - not to exceed 50,000 words
  • MPhilStud - not to exceed 30,000 words
  • Professional Doctorates - at least 25,000 words and not to exceed 55,000 words

Thesis word limit inclusions and exclusions The thesis word count includes everything from the start of chapter 1 up to the end of the last chapter. This means: Including all words included within:

  • Footnotes/Endnotes
  • Table/figure legends
  • Tables of contents/of figures/of tables/ of acronyms
  • Acknowledgements/dedications
  • References/Bibliography
  • 'Editions of texts (except where the edition or editions themselves constitute the thesis under examination)'
  • Students are only required to submit an electronic thesis for their examiners, in PDF format, this should be emailed to [email protected] no later than your deadline
  • If examiners have requested a printed copy  a member of the Research Degrees Examinations team will get in touch with you
  • Margins - as we no longer require printed copies of the thesis, the margin edge is at the student's discretion, however bear in mind if  examiners prefer a printed copy then it may need to be spiral bound
  • Spacing - Double or 1.5 spacing (except for indented quotations or footnotes which can be single spaced)
  • Font size - It is recommended to use font size 12 to ensure examiners are able to read it
  • Page numbering - All pages must be numbered in one continuous sequence, i.e. from the title page of the first volume to the last page of type, from 1 onwards. This sequence must include everything in the volume, including maps, diagrams, blank pages, etc.

Illustrative materials -  May include: audio recordings and photographic slides, these can be emailed to  [email protected]

  • Additional material - Any material which cannot be included in the PDF thesis maybe emailed separately to the [email protected]  

Some examiners may prefer to work from a printed version of the student's thesis rather than the PDF, if this is the case:

  • The Research Degrees Examinations team will in the first instance check with the examiner if they would be happy to print the thesis themselves. If the examiner is happy to do this and is able to, they can claim back the expenses following the examination
  • If the examiner is unable to print the thesis, the Research Degrees Examinations team will contact the student to make arrangements for a print version to be posted directly to the examiner(s) or via a binders
  • It is the students' responsibility to get their thesis printed and bound if examiners require a copy. Students may only claim back postage costs.

How to format a PhD thesis in MS Word

The format of a PhD thesis is as important as the content of the thesis. Different institutions have different formatting guidelines so PhD students should always refer to their handbook.

However, there are some standard requirements of PhD theses which do not change with institutions thus making the theses look similar in many aspects. This article highlights the common formatting standards expected of PhD theses and provides step-by-step instructions on how to format some sections in Microsoft Word.

A PhD thesis or dissertation is divided into three distinct components – front matter, main text and back matter – each of which has its own sub-components, as discussed below:

Front matter

Declaration by the candidate and approval of thesis, table of contents, list of figures, list of tables, list of abbreviations, acknowledgements, inserting figures into main text, inserting tables into main text, back matter, numbering the thesis, related article.

The front matter refers to the preliminary pages that come before the main chapters of the theses. These include:

The title page is the first page of the thesis. It includes: the title of the PhD thesis, the name of the PhD student, the school or department and university in which the study took place, the city and country in which the university is located, and lastly the month and year in which the degree was conferred.

Originality is very crucial for PhD-level theses and dissertations. In this section, the PhD candidate declares that his work has not been published elsewhere to the best of his knowledge. The declaration is followed by approval of thesis and includes the names of all those people who reviewed and approved the thesis. These could be the supervisors, the Head of Department/School and/or the Dean of the School of Graduate Studies. The wordings on this page may vary from one institution to another, it is therefore important for the candidates to refer to their handbooks.

The abstract is a short summary of the thesis, normally a paragraph in length. Abstracts can be structured or unstructured. A structured abstract is one that has headings and text below each heading, while an unstructured abstract does not have headings, it is written in paragraph form.

The table of contents provides the outline of the thesis and shows all the headings and sub-headings of the thesis and their page numbers.

To insert a table of contents in Microsoft Word:

  • Make sure all the headings and sub-headings of the front matter pages, the main text and the back matter pages have been properly specified in the Word document.
  • Click the references tab, then select table of contents option.
  • The table of contents has a drop-down arrow which when clicked shows the different style of TOC.
  • Select the preferred style of TOC and click OK.
  • The TOC will be inserted automatically.

How to insert table of contents

The list of figures shows the titles of all the figures in the thesis and their page numbers.

To insert the list of figures in Microsoft Word:

  • Click on the references tab, then click on “insert table of figures” option.

  • The following dialogue box will open. In the caption label window, select “figure”. It will show different formats for the list of figures. Choose the style you prefer and click OK.

Like the list of figures, the list of tables shows the titles of all the tables in the thesis and their page numbers.

The list of figures and the list of tables should be on different pages.

All acronyms and their abbreviations used throughout the thesis should be highlighted in their own separate page titled ‘list of abbreviations.”

In a PhD thesis, it is mandatory to acknowledge all those who helped you in your PhD journey. These include: your supervisors, other faculty who either reviewed your work or gave advice, people who proofread your work, institutions that helped you gain access to your data, your research respondents, fellow colleagues etc.

Some PhD candidates dedicate their thesis to people who are dear to them, for instance, parents, siblings, spouse/partner, children etc. This section is however not mandatory.

Page numbering for front matter

For front matter, Roman numerals should be used excluding the title page which should not be numbered. The page numbers should be placed at the bottom and centre-aligned.

The main text of thesis is the meat of the thesis and starts from chapter all the way to the last chapter of the thesis. The chapters of theses vary from one institution to another but generally have the following structure:

Chapter 1: Introduction

Chapter 2: Literature review

Chapter 3: Research methodology

Chapter 4: Research findings/results

Chapter 5: Discussions

Chapter 6: Conclusions and recommendations

Each chapter should be organised into headings. There are different levels of headings: level 1, level 2, level 3 etc. The use of these different levels depends on a student’s work.

Other formatting requirements for the main text include:

Font: the most recommended font styles are Times New Roman, Arial, Book Antiqua etc. Students should refer to their handbook for guidance on the font required by their institution.

Spacing: the most recommended spacing for theses is 1.5 for the main text except for things like tables.

Referencing style: the recommended referencing style (such as APA, MLA, Havard etc) should be used throughout the text.

Page numbering: for main text, Arabic numerals are used. The page numbers should be placed at the bottom and centre-aligned.

It is advisable to include figures into theses. Figures help to present some information in a more appealing way than plain text. For each figure inserted, make sure to number it and include a caption explaining what the figure is about.

To insert figures’ captions and numbers into Microsoft Word:

Click on the references tab, then click on insert caption.

A dialogue box will open. Under options, choose “figure” as the label.

Type the caption for the figure, choose the numbering format preferred and click OK. The caption and number of the figure will be inserted.

How to insert captions and numbers for figures.

The procedure for tables is the same as for figures.

To insert tables’ captions and numbers into Microsoft Word:

A dialogue box will open. Under options, choose “table” as the label.

Type the caption for the table, choose the numbering format preferred and click OK. The caption and number of the table will be inserted.

How to insert captions and numbers for tables.

The same procedure is used when you have equations, maps and other illustrations.

Important points to remembers:

When inserting captions and numbers for figures and tables, the cursor should be placed at the right position, that is, above the figures and tables.

If the table or figure has been lifted from somewhere else, the source should be acknowledged at the bottom of the table or figure.

The numbering of the figures and tables should be done by chapter. For instance, all figures in chapter 1 should be numbered: figure 1.1, figure 1.2, figure 1.3 etc. while all figures in chapter 2 should be numbered: figure 2.1, figure 2.2, figure 2.3 etc. Same for the tables, equations and all other illustrations.

The back matter has two main content: the references and the appendices.

The references should be done in accordance with the referencing style recommended by the institution.

The appendices section lists all other materials pertaining to the study that were not included in the front matter. Depending on the study, these may include: the research protocol, a letter of introduction for the research, the questionnaire used for the study, the list of respondents etc.

The page numbers for the references and appendices should be Arabic numerals and a continuation of the pages from main text.

The title of the appendices should be done using either Roman numerals (Appendix I, Appendix II, Appendix III etc) or the alphabet letters in caps, that is, Appendix A, Appendix B, Appendix C… etc.

Each appendix should start on its own page.

As discussed earlier, different numbering styles are used for the different sections of the thesis:

The title page should not be numbered.

The other front matter pages should be numbered using Roman numerals.

The main text and back matter pages should be numbered using Arabic numerals.

Many students struggle with doing the numbering correctly.

The best way to do this in Microsoft Word is to use the “section break” function which divides the thesis into different sections. Each section is then numbered separately from the other sections. To do this:

Go to the end of the page where you want to insert the section break. This should be: at the end of the title page, and after the last front matter page (dedication). Because the main text and back matter pages are numbered using the same style, there is no need to create a section break after the main text.

From insert menu, go to break then section break and select the one written (next page).

Word will create different sections for the title page, the other front matter pages and the main text and back matter pages.

Use the insert tab and page number function to insert different formats for the different sections: not to be numbered (title page), numbered using Roman numerals (for front matter pages) and numbered using Arabic numerals (main text and back matter pages).

In conclusion, formatting a PhD thesis requires careful consideration of the requirements given by an institution for the different parts of a thesis. PhD students should always consult their handbooks to ensure that their theses meet the high academic standards required of them. This article discussed some key formatting issues and provided step-by-step instructions on some formatting options.

The University provides templates in Word and LateX which meet the requirements set out in the Regulations.

Word or LaTeX?

LaTeX is extensively used by engineers and scientists because it handles maths and equations brilliantly, and by linguists because it can cope with multiple (and obscure) languages.  The University now offers Professional Accounts via Overleaf. Sign up for an account via the University of Southampton portal .

Word is the most widely used word processing software in the university. Unless you will be including lots of special character sets or equations, we would recommend using Word.

Use this to produce the whole thesis in one long Word document. It contains all of the required sections from title page to bibliography, with refreshable Tables of Contents, Table of Figures and Table of Tables.

Copyright Statement coversheet

All e-theses require the University thesis copyright statement  is included in front of the main title page in the final e-version submitted.  The wording of the statement should not be altered in any way. 

The Word template (PC or Mac) above has the statement included but earlier versions did not. Should the statement be missing from your file it should be:

  • added before creating the final pdf version 
  • located in front of the main title page using the document below 
  • should not be included in the numbering of the thesis.

LaTeX templates currently do not include instruction on how to add the statement so it will need it to be added individually as a single double-sided page. Alternatively, add the pdf version into your final pdf file using Adobe Acrobat Pro.

The statement is not required in the print copies submitted for examination or as a final copy.

Print & e-thesis equivalence

University Regulations do not state that e-theses must be directly equivalent to paper versions so your e-thesis could, if desired and your Faculty agrees, include 3-d models, audio or video files, or you could move commercially sensitive or third-party copyright material to a separate appendix which could be restricted.

The e-thesis should normally be submitted as a single PDF file or other format as agreed by the main supervisor. Where there are appendices containing restricted material these should be submitted a separate file.

The electronic copy must include all front material (title page, abstract, acknowledgements, table of contents etc) but should not include a scan of the signature under the declaration of authorship.

Please note: During the Covid-19 pandemic if you want to submit an enhanced ethesis PDF,  you must also provide must provide a PDF copy of your thesis which is exactly the same as the printed, examined version and is an accessible and archival PDF, PDF/A-3.. How to make sure your thesis is an archival PDF/A

Your final University e-thesis must submitted in an accessible and archival format so that it will be readible in years to come, currently this format is PDF/A-3 .

  • Mac users If you are using Word for Mac then start by using the Save As PDF facility. This produces a really good baseline file to continue working on in Adobe Acrobat Pro DC. If for any reason you are not happy with the output as this process, then try converting the file by using Adobe Acrobat Pro's own 'Create a PDF from'. If you are still not happy with the result then contact serviceline to discuss other options.
  • PC users For PC users the Adobe Acrobat Pro DC facility will produce the best output. You'll find the steps below under the heading  Create the PDF for PC  below.
  • LaTeX to PDF/A-3 If you are using Overleaf, the automatic pdf conversion will be create a PDF/A file. Overleaf have created instructions on how to make sure your LaTeX PDF conforms to the archival standards . Please note we would prefer that you chose a-3b (propritising display) or a-3u (prioritising searchability) rather than a-1b. You may find the following paper helpful: Moore, R. (2014). As a resource for graduate students, sample Word templates are available to assist with the initial formatting of doctoral dissertations and master's theses. Students are expected to fully format their dissertation/thesis according to the   " Preparation and Submission Manual for Doctoral Dissertations and Master's Theses ".

  • This template is a starting point and students may have to add or remove sections/text to accurately reflect their document and adhere to all requirements in the manual.
  • Graduate Education and Postdoctoral Affairs (GEPA) does not provide technical support for any of the templates below.
  • If using these templates, students must still refer to the formatting manual for full instructions.

  • Open Access for Thesis: how to deposit

University of London theses

The Library holds a copy of most research degree theses completed by students registered at UCL and awarded by the UoL, including many from students at Schools and Institutes prior to merger with UCL. Theses are listed by author on the Library catalogue, Explore : they are shelved in our off-campus Store and may be retrieved for consultation (24-hour notice required) by completing the store request form or via the request link on Explore. Theses are not available for loan, either to individuals or via interlibrary loan.

Some UoL research degree theses submitted by UCL students in the areas of classical, Germanic, Latin American studies; history and law are not held: check the UoL School of Advanced Study catalogue for availability.

UCL started to award its own degrees to students registering from 2007/2008. Print copies of research theses are catalogued by author in Explore and shelved in Store; electronic versions are in many cases available on open access in UCL Discovery .

If you wish to access a thesis recorded in UCL Discovery for which the full text is subject to an access restriction or not present, it is best to contact the author directly to request a copy privately.  If this is not possible, please contact the UCL Open Access Team .

If a thesis is not available via UCL Discovery or EThOS (see below) then it might be possible to obtain a copy from our interlibrary loan service via your home university interlibrary loan department. Please contact your university library and ask them to enquire about this service with UCL's Interlibrary Loan service; e-mail [email protected] for more information.

The Library does not normally hold print copies of any theses in the following categories:

  • MA, MSc, MRes, LLM theses.
  • Diploma theses.
  • Undergraduate dissertations.
  • Theses submitted at other universities or colleges.

A growing number of open access thesis repositories is becoming available including:

  • ProQuest , holds many full text theses. You can search for dissertations and theses there.
  • UCL Discovery , UCL's open access research repository, includes theses alongside other UCL publications. You can search for theses, or browse a list.
  • EThOS , a database run by the British Library that aims to record all UK doctoral theses, with links to access an electronic version of the full text where available. The digitisation of theses that only exist in print form can often be requested, depending on the awarding institution and for a fee: UCL supports this process for UCL-held theses.
  • The DART-Europe E-theses Portal , holds details of open access electronic theses stored in repositories across Europe.
  • Networked Digital Library of Theses and Dissertations , includes links to a number of international search tools and portals.

Indexes of completed theses (access available to members of UCL only)

Proquest dissertations & theses global (pqdt global).

PQDT Global contains over a million full-text dissertations and theses from 1861 onwards that are available for download in PDF format. The collection includes PQDT UK and Ireland content.

Many UK universities now decline to lend research theses. You may visit the awarding university or, increasingly, obtain an electronic version either from the university itself or from EThOS (see above).

Theses awarded by universities worldwide may be requested via UCL Library Services Interlending and Document Supply service . The normal charge for this service applies. Please note that theses are never available for loan: they must be consulted on Library premises only.

Open access for theses: how to deposit

Candidates for UCL research degrees are required to deposit an electronic copy of their final thesis in UCL's Research Publications Service (RPS), to be made open access in UCL's institutional repository, UCL Discovery . Theses are amongst the most highly-downloaded items in UCL Discovery . Making your thesis open access will mean that it is accessible worldwide, to anyone who wants to read it.

It is also possible, but not mandatory, to submit a print copy of your thesis to the Library for storage and preservation if you wish. We recommend submitting the print copy in cases where the electronic copy cannot be made openly available online in UCL Discovery, but you wish the print copy to be accessible to members of the Library.
