myThesis (Thesis Examination Management )

Service overview.

myThesis, McGill University’s Thesis Examination Management platform, allows masters and doctoral thesis students to register their intention to submit, upload their initial thesis and follow it's progress all the way to the final thesis submission. (See question 2 in the FAQ below for an overview of the complete thesis submission process.)

Who can use it

Registered masters and doctoral thesis students; McGill staff who are Supervisors, Co-Supervisors, Thesis Committee members, Graduate Program Directors (GPD), Graduate Program Coordinators (GPC), Graduate Associate Dean (GAD), Graduate Department Chair (GDC) and Graduate Postdoctoral Studies (GPS); Examiners both internal and external to McGill.

How to request & access the service

Request access (if needed).

Thesis students are automatically granted access when they have an active registration/academic record and are assigned a Supervisor.

Internal staff members must complete the SIS Security request form. Access is based on roles granted for myProgress .

Access myThesis

  • Go to https://www.mcgill.ca/gps/thesis
  • Log in with your McGill username (firstname.lastname@mail.mcgill.ca) and password.
  • You should see your McGill ID and information about your program of study. Click on your McGill ID to open the Intent to Submit Thesis page.
  • Follow the instructions on screen.

Access myThesis through links in the notification emails you will receive, or by going to: https://www.mcgill.ca/gps/thesis .

Examiners (internal and external)

A link to the myThesis system will be sent via the Examiners Invitation email; log in with the same email address that invitation was sent to. See step-by-step instructions on logging into myThesis for examiners .

There is no cost associated with this service.

Availability

The service is available 24 X 7, except during planned maintenance or outages. Check the home page of the IT Support site for announcements.

Frequently asked questions

Is there a difference between eThesis and myThesis?

eThesis is no longer being used. It was used for final thesis submission for students graduating, in the summer of 2023 at the latest .

For students graduating in the fall of 2023 and onwards , the final thesis submission is done in the myThesis system. Students who submit their initial thesis to GPS via email will not have access to myThesis.

What are the steps in final thesis submission?

Can I log into myThesis without a McGill account?

Yes, external examiners can log in via the link you receive by email. See step-by-step instructions on logging into myThesis for examiners .

How will users be notified of changes?

An email notification is sent to all parties involved, at each stage of the process, with the details specified or requested.

  • If a user is not receiving notification emails from myThesis: The spam filter on the users email account may be blocking the email. Check the Spam email folder to verify if emails are being directed there. If yes, the user should change their spam filter settings to include these email notifications or to a less restrictive setting.
  • If a user receives an email with no visible links: This is caused by the user’s personal email settings. If it is set to convert all emails to plain text format, all the links will be removed from the email. The user will have to change their email settings to HTML format.

Why am I receiving "An unexpected error occurred" or "Invitation redemption failed" message when trying to login?

  • An incognito or private window should be opened in your browser. This is to ensure that other previously logged in accounts are not auto-populated when trying access myThesis. The user should copy and paste myThesis link (https://mythesis.mcgill.ca/) in the incognito/private window and manually enter the McGill email address and password.
  • Non-McGill users should always log in using the email address that originally received the invitation.
  • McGill users should always log in with their @mcgill.ca or @mail.mcgill.ca email address.
  • To ensure that you are logging in with the right account, open an incognito or private window in your browser. This is to ensure that the user’s auto-populated browser fields or saved cookies do not default when clicking the email link. Copy and paste into the new incognito window the "approve/decline the invitation" URL from the email invitation. Manually enter your credentials (email address that invitation/email notification was sent to) and password.

Never leave your computer unattended while you are logged into Minerva.

All McGill students keep the copyright of their thesis, but with the Final Thesis Submission , they are required to agree to two non-exclusive licences via the myThesis submission platform, one with McGill Library and one with Library and Archives Canada. McGill Library and Library and Archives Canada (LAC) consider graduate theses important sources of original research and make them available in electronic form in open access. The McGill license permits McGill University to make the thesis available in electronic form through McGill repository eScholarship@McGill . The license with Library and Archives Canada (LAC) permits the thesis to be visible and accessible by creating bibliographic records available through the Theses Canada Portal .

By signing these licences, students: 

  • Grant to McGill "a non-exclusive, worldwide, irrevocable, royalty free license, to reproduce, convert, publish, archive, preserve, conserve, communicate and distribute, and loan, in paper form, in microform, electronically by telecommunication or on the internet, and/or any other formats as may be adopted for such use from time to time."
  • "Grant permission and authorize McGill University to permit access to my thesis and make it available to interested persons in paper or electronic form, through the library, interlibrary and public loan."
  • Grant to LAC a licence "to reproduce, publish, archive, preserve, conserve, communicate to the public by telecommunication or on the Internet, loan, distribute and sell my thesis (the title of which is set forth above) worldwide, for commercial or non-commercial purposes, in microform, paper, electronic and/or any other formats."

Anyone seeking permissions to use material from McGill theses, must seek them directly from the author, as McGill Library does not hold any copyright in students' work.

Submissions

Submission preparation checklist.

  • Manuscript prepared in accordance with the Author Instructions available on msurjonline.mcgill.ca; if applicable, the Supplementary Material is also included.
  • All figures and images included as separate files of sufficient quality; if applicable, a separate document with all figures and tables properly labelled and captioned is included.
  • Signed Publication Rights Agreement.
  • Completed and signed Submission Checklist.
  • If desired, a document clearly naming suggested peer-reviewers or those who should be excluded. Suggested peer-reviewers should not have published with any co-author or any party involved with the submitted work within the last 4 years. Suggested peer-reviewers should not have any personal connection to any party involved with the present work. Note that MSURJ does not guarantee that a peer named in this document will or will not be included.

Final deadline for the 2024 issue: January 21, 2024

This deadline is subject to change without notice.

Submissions are accepted at any point during the year . MSURJ publishes a yearly volume in late March or early April. There is an annual submission deadline in January specifically for this volume. Although authors may submit at any point, papers submitted after this deadline – if accepted for publication – will belong to the volume of the following year. If desired by the author, MSURJ publishes articles ahead of the full volume. For example, if an author submits in September and their paper is accepted for publication in November, MSURJ can publish the paper online ahead of the volume launch that occurs in March/April of the following year. Finally, please note that the editorial board is inactive from May-August. For example, for a submission made in July, the editorial process will begin in September.   

We welcome original submissions from undergraduate students studying at any university. We publish research articles and review papers – interest pieces should be directed towards our blog, The Abstract . For inclusion in the upcoming volume, we always encourage authors to submit articles earlier than the deadline; although it does not directly improve your chances of acceptance, it allows for more time to complete all edits.

All articles are peer-reviewed by two or more professors or graduate students from the relevant field; all pieces also undergo rigorous style and copy-editing by our editorial board. Above all, we seek to publish well-written articles demonstrating scientific acumen as well as accessibility to the general scientific readership. We encourage authors to write engaging manuscripts and limit technical jargon.

To start, read through the Author Instructions, which explain in detail what and how to prepare for your submission. Also read and sign the Publication Rights Agreement, and complete the Submission Checklist once you are ready to submit. The OJS Guide for Authors offers assistance on submitting and using the OJS system on msurjonline.mcgill.ca.

The Editorial Policies detail MSURJ's policies on various matters related to the editorial process. Furthermore, a template for LaTeX submissions is available for download for those who wish to use it. The project should compile without issue as an Overleaf project using the XeLaTeX or LuaLaTeX compiler. All questions may be directed to [email protected] .

To submit , please create an account at msurjonline.mcgill.ca and upload all files according to the Author Instructions. Clearly label your files, making sure to include your name in each filename, e.g. "LAST NAME_FIRST NAME_Manuscript." 

MSURJ does not charge authors any fees associated with publishing or submitting their articles.

MQUP welcomes proposals for manuscripts in all areas of the social sciences and humanities, for both scholarly and general interest readerships. (Browse our catalogues and our book series for a sense of our publishing program.) Unrevised theses, unrevised conference proceedings, and bibliographies are not considered for publication. Anthologies, memoirs, and reference works are genres in which we publish only occasionally. MQUP publishes in English, with a small French-language program comprised of works published in French and English editions and original scholarship in our series Studies on the History of Quebec/Études d’histoire du Québec. For submissions to the Hugh MacLennan Poetry Series, please visit the series page .

Your proposal gives you the opportunity to tell us what your manuscript is about, why it is important, who it is for, and why you are the best person to write it. Your proposal can be for a projected work, a work in progress, or a finished manuscript. A complete proposal will include the following:

1. Description of the work . Describe the objectives, arguments, themes, and scope of your manuscript. Be sure to mention what you consider to be its outstanding and distinctive features.

2. Outline/Table of contents. Provide a chapter outline of the manuscript along with a paragraph-length description of each chapter.

3. Description of readership . If you are writing a scholarly work, identify the field(s) in which you expect to find readers and at what level of specialization. Is your book mainly for scholars or is it one that students might also use, and if so, in what types of courses? If you are writing for a wider audience, tell us about the prospective readers you have in mind and why.

4. List of comparable titles . Tell us about the comparable titles that have been published on your subject in recent years, explaining how your proposed book is different and how it engages and adds to this existing body of work.

5. Technical details

  • Provide the estimated word count of the finished manuscript, the nature and number of illustrations and other non-textual material, and the projected completion date.
  • Indicate if any part of the manuscript has been previously published or may be under consideration elsewhere. MQUP’s mandate is to publish original work and we are generally unable to consider manuscripts that include a substantial amount of previously published material.
  • For a manuscript based on a dissertation, provide a list of your thesis committee members, the date of your defence, the external examiner’s report if available, and an outline of your thesis revisions.

6. Sample chapters . Enclose one or two draft chapters of the manuscript, if available. The Introduction is especially helpful for us to review.

7. Your curriculum vitae

Unsolicited proposals should be submitted via e-mail to our editorial department or via post to one of our two main office addresses in Montreal and Kingston. We acknowledge proposals when received and will let you know as soon as possible, usually within two weeks, whether we intend to invite your submission of the full manuscript for review.
