It’s the week before your presentation, and you’re already feeling nervous . Maybe there’ll be an important mentor in the room you need to impress, or you’re looking for an opportunity to show your boss your value. Regardless of your countless past presentations, you still feel nervous. 

Sharing your vision and ideas with any sized group is intimidating. You’re likely worrying about how you’ll perform as a presenter and whether the audience will be interested in what you offer. But nerves aren’t inherently negative — you can actually use this feeling to fuel your preparation.

It’s helpful to identify where your worries are coming from and address your fears. Here are some common concerns when preparing for an upcoming presentation:

Fear of public speaking: When you share your ideas in front of a group, you’re placing yourself in a vulnerable position to be critiqued on your knowledge and communication skills . Maybe you feel confident in your content, but when you think about standing in front of an audience, you feel anxious and your mind goes blank.

Losing the audience’s attention: As a presenter, your main focus is to keep your audience engaged. They should feel like they’re learning valuable information or following a story that will improve them in life or business.

Highlight the most exciting pieces of knowledge and ensure you emphasize those points in your presentation. If you feel passionate about your content, it’s more likely that your audience will experience this excitement for themselves and become invested in what you have to say.

Not knowing what content to place on presentation slides: Overloading presentation slides is a fast way to lose your audience’s attention. Your slides should contain only the main talking points and limited text to ensure your audience focuses on what you have to say rather than becoming distracted by the content on your slides.

Discomfort incorporating nonverbal communication: It’s natural to feel stiff and frozen when you’re nervous. But maintaining effective body language helps your audience stay focused on you as you speak and encourages you to relax.

If you struggle to incorporate body language into your presentations, try starting small by making hand gestures toward your slides. If you’re working with a large audience, use different parts of the stage to ensure everyone feels included. 

Each presenter has their own personal brand and style. Some may use humor to break the ice, while others might appeal to the audience’s emotional side through inspiring storytelling. 

Watching online presentations, such as TED talks, is an excellent way to expose yourself to various presentation styles and develop your own. While observing others, you can note how they carry themselves on stage and learn new ways to keep your audience engaged.

Once you’ve addressed what’s causing your fears, it’s time to prepare for a great presentation. Use your past experience as inspiration and aim to outshine your former self by learning from your mistakes and employing new techniques. Here are five presentation tips to help you create a strong presentation and wow your audience:

1. Keep it simple

Simple means something different to everyone.

Before creating your presentation, take note of your intended audience and their knowledge level of your subject. You’ll want your content to be easy for your intended audience to follow.

Say you’re giving a presentation on improving your company’s operational structure. Entry-level workers will likely need a more straightforward overview of the content than C-suite leaders, who have significantly more experience. 

Ask yourself what you want your audience to take away from your presentation and emphasize those important points. Doing this ensures they remember the most vital information rather than less important supporting ideas. Try organizing these concepts into bullet points so viewers can quickly identify critical takeaways.

2. Create a compelling structure

Put yourself in your audience member’s shoes and determine the most compelling way to organize your information. Your presentation should be articulate , cohesive, and logical, and you must be sure to include all necessary supporting evidence to strengthen your main points.

If you give away all of your answers too quickly, your audience could lose interest. And if there isn’t enough supporting information, they could hit a roadblock of confusion. Try developing a compelling story that leads your audience through your thought processes so they can experience the ups and downs alongside you. 

By structuring your presentation to lead up to a final conclusion, you’re more likely to keep listeners’ attention. Once you’ve reached that conclusion, you can offer a Q&A period to put any of their questions or concerns to rest. 

3. Use visual aids

Appealing to various learning styles is a great way to keep everyone on the same page and ensure they absorb your content. Visual aids are necessary for visual learners and make it easier for people to picture your ideas.

Aim to incorporate a mixture of photos, videos, and props to engage your audience and convey your key points. For instance, if you’re giving a presentation on anthropology subject matter, you could show your audience an artifact to help them understand how exciting a discovery must have been. 

If your presentation is long, including a video for your audience to watch is an excellent way to give yourself a break and create new jumping-off points for your speech.

4. Be aware of design techniques and trends

Thanks to cutting-edge technology and tools, you have numerous platforms at your disposal to create a good presentation. But keep in mind that although color, images, and graphics liven things up, they can cause distraction when misused.

  Here are a few standard pointers for incorporating visuals on your slides: 

  • Don’t place blocks of small text on a single slide
  • Use a minimalistic background instead of a busy one
  • Ensure text stands out against the background color
  • Only use high-resolution photos
  • Maintain a consistent font style and size throughout the presentation
  • Don’t overuse transitions and effects

5. Try the 10-20-30 rule

Guy Kawasaki, a prominent venture capitalist and one of the original marketing specialists for Apple, said that the best slideshow presentations are less than 10 slides , last at most 20 minutes, and use a font size of 30. Following this strategy can help you condense your information, eliminate unnecessary ideas, and maintain your audience’s focus more efficiently.

Once you’re confident in creating a memorable presentation, it’s time to learn how to give one. Here are some valuable tips for keeping your audience invested during your talk: 

Tip #1: Tell stories

Sharing an anecdote from your life can improve your credibility and increase your relatability. And when an audience relates to you, they’re more likely to feel connected to who you are as a person and encouraged to give you their full attention, as they would want others to do the same.

Gill Hicks utilized this strategy well when she shared her powerful story, “ I survived a terrorist attack. Here’s what I learned .” In her harrowing tale, Hicks highlights the importance of compassion, unconditional love, and helping those in need.

If you feel uncomfortable sharing personal stories, that’s okay. You can use examples from famous individuals or create a fictional account to demonstrate your ideas.

Tip #2: Make eye contact with the audience

Maintaining eye contact is less intimidating than it sounds. In fact, you don’t have to look your audience members directly in their eyes — you can focus on their foreheads or noses if that’s easier.

Try making eye contact with as many people as possible for 3–5 seconds each. This timing ensures you don’t look away too quickly, making the audience member feel unimportant, or linger too long, making them feel uncomfortable.

If you’re presenting to a large group, direct your focus to each part of the room to ensure no section of the audience feels ignored.

Tip #3: Work on your stage presence

Although your tone and words are the most impactful part of your presentation, recall that body language keeps your audience engaged. Use these tips to master a professional stage presence:

  • Speak with open arms and avoid crossing them
  • Keep a reasonable pace and try not to stand still
  • Use hand gestures to highlight important information

Tip #4: Start strong

Like watching a movie trailer, the first seconds of your talk are critical for capturing your audience’s attention.   • Ask a rhetorical question to create intrigue
  • Start with an anecdote to add context to your talk 
  • Spark your audience’s curiosity by involving them in an interactive problem-solving puzzle or riddle

Tip #5: Show your passion

Don’t be afraid of being too enthusiastic. Everyone appreciates a speaker who’s genuinely excited about their field of expertise.

Tip #6: Plan your delivery

How you decide to deliver your speech will shape your presentation. Will you be preparing a PowerPoint presentation and using a teleprompter? Or are you working within the constraints of the digital world and presenting over Zoom?

The best presentations are conducted by speakers who know their stuff and memorize their content. However, if you find this challenging, try creating notes to use as a safety net in case you lose track.

If you’re presenting online, you can keep notes beside your computer for each slide, highlighting your key points. This ensures you include all the necessary information and follow a logical order.

Tip #7: Practice

Practice doesn’t make perfect — it makes progress. There’s no way of preparing for unforeseen circumstances, but thorough practice means you’ve done everything you can to succeed.

Rehearse your speech in front of a mirror or to a trusted friend or family member. Take any feedback and use it as an opportunity to fine-tune your speech. But remember: who you practice your presentation in front of may differ from your intended audience. Consider their opinions through the lens of them occupying this different position.

Tip #8: Read the room

Whether you’re a keynote speaker at an event or presenting to a small group of clients, knowing how to read the room is vital for keeping your audience happy. Stay flexible and be willing to move on from topics quickly if your listeners are uninterested or displeased with a particular part of your speech.

Tip #9: Breathe

Try taking deep breaths before your presentation to calm your nerves. If you feel rushed, you’re more likely to feel nervous and stumble on your words.

The most important thing to consider when presenting is your audience’s feelings. When you approach your next presentation calmly, you’ll put your audience at ease and encourage them to feel comfortable in your presence.

Tip #10: Provide a call-to-action

When you end your presentation, your audience should feel compelled to take a specific action, whether that’s changing their habits or contacting you for your services.

If you’re presenting to clients, create a handout with key points and contact information so they can get in touch. You should provide your LinkedIn information, email address, and phone number so they have a variety of ways to reach you. 

There’s no one-size-fits-all template for an effective presentation, as your unique audience and subject matter play a role in shaping your speech. As a general rule, though, you should aim to connect with your audience through passion and excitement. Use strong eye contact and body language. Capture their interest through storytelling and their trust through relatability.

Presenting at a meeting, even for the most experienced speakers, can be a scary experience. Some people react with panic when they hear the word ‘presentation’. Keeping track of the time and  managing visual aids  while speaking is hard enough for most professionals.

It is crucial to impress the audience with credibility and confidence in the information being shared, whether addressing colleagues, clients, a board of directors, or business partners. Rather than just getting by, a few practical tips can you successfully present in a meeting.

Develop an audience-focused perspective

It is vital to shape a meeting for the  specific audience it is addressing . This requires a thorough understanding of them. For instance, a presentation for technical developers would differ greatly from a presentation targeted at CEOs, even if it is the same project.

The presenter should take into account what the audience already knows and what they are looking for from the presentation. When planning a business meeting, the speaker must reckon with:

  • Audience size
  • The level of complexity at which to address the topic
  • Part of the audience that might be disinterested
  • How to help even the least informed to understand the subject

The audience is always right. If a new product fails in the market, prospective customers did not make a mistake in refusing to buy it. It is better to place faith in the wisdom of the target audience when preparing a presentation. Then they can judge what will resonate well with them. After all, it’s theirs to gain.

When addressing a new audience, it pays to research the demographic and perhaps consult with other leaders before the meeting to explore the agenda. Investigating an audience helps to know better their needs and interests. The ultimate goal is to make a bid, motion, or proposal that’s focused on the listeners’ perspective.

Manage your nerves

The fear of public speaking, also called glossophobia, is a common phenomenon. According to  Psychology Today , an estimated 25% of the world population has this problem.

Even mild glossophobia can have severe implications in some individuals. Even some experienced public speakers get anxious when presenting a business idea. In short, the most challenging part of making a business presentation is managing the nerves. A few tips would help overcome anxiety.

1. Silence voices in the head

Some voices in the head can damage one’s confidence, suggesting that the presentation is boring, embarrassing, and not good enough. Such voices of insecurity only make the presenter self-conscious.

The important thing is to identify and dismiss them as lies. Practising this attitude will eventually lead to more confident presentations.

2. Focus on the point, rather than oneself

Some people are so afraid of public humiliation that they end up messing up and embarrassing themselves. They forget the meeting is not about them but the matter in question.

The best approach is to stop perceiving the presentation as a contest or a source of judgement. Shifting the attention from oneself to the main objective eliminates the anxiety.

3. Turn anxiety into excitement

Nervousness and excitement are closely related. Proficient business presenters see themselves as excited rather than nervous moments before getting on stage.

4. Use notes as shorthand reminders

Notes should guide the presenter on what to cover and in what sequence. The points should be used as support, not scripts. It is about delivering the ideas, not reading them.

5. Authenticity

Many business presenters mess things up by trying to fake things. An audience will respond best to authentic behaviour, even if it’s not perfect. By contrast, a presenter who sounds artificial damages their reputation, breaks the connection, and reduces audience engagement.

Being audible enough is critical to passing a powerful message during a meeting. Loud voice projects confidence, authority, and leadership.

Body language

Business leaders use  body language  to their advantage. This is a preeminent visual that the audience needs to see. It is how the body communicates non-verbal, i.e., through posture, gestures, stance, and facial expressions.

Depending on the body language, which can be conscious or unconscious, a presentation can evoke confidence, frustration, boredom, anger, or excitement. Some of the most powerful board meetings have been delivered by applying body language tips highlighted below.

  • Holding eye contact with delegates to enhance credibility

  • Telling a joke or story
  • Getting people to read information out loud

The first five minutes of a business presentation is the perfect time to ask people in the room to raise their hands and answer simple questions. This is probably the best moment to capture their attention and spark interactions.

A  killer opener  is the fastest way to convince a crowd. If the audience can respond to a poll or agree with the underlying premise, they are more likely to accept the call to action.

Streamline the PowerPoint

While having text on PowerPoint (or similar software such as Keynote) is the easiest way to recall points, it is easier to lose the audience when reading directly from the slides. Many executives make this mistake in their first year of running a company.

Instead, they should  create simple, clean visuals  with consistent colours to explain concepts. Images must be relatable to the audience’s perspective. Text must be less than 10 words per slide and in bold font, if necessary.

Visuals should illuminate rather than misrepresent an explanation. Pictures and graphs showing percentages can be more effective than text. However, complex imagery gives the viewers a hard time trying to fathom the agenda. Some attendees may be short-sighted, so there’s a need for larger and clearer fonts. All in all, simplicity and consistency are fundamental to helping the audience follow along.

No matter how complex a business presentation seems, it is of utmost importance to capture the attention of the audience and keep them hooked till the end. When we speak, we have about 60 seconds to capture our audience’s attention, establish credibility, orient them to our topic, and motivate them to listen, says Darlene Price, president of Well Said, Inc., and author of “Well Said! Presentations and Conversations That Get Results.”

If you waste those precious opening seconds with a joke, an agenda, an apology, housekeeping details, a string of thank-yous, or a rambling, pointless paragraph littered with “ums” and “uhs,” your audience’s minds are likely to drift, and you may not get them back. “You need to put the art in the start, the most important part of the work,” says Price.

That’s a tall order for any speaker — and it requires us to develop and rehearse a well-crafted, attention-getting opener.

Price offers seven options:

1. Tell a captivating story.

“Of all the starters in your toolkit, storytelling is among the most powerful and consistently successful,” Price says. “As humans, we’re hard-wired to enjoy and learn from stories. From bedtime stories and campfires, to Broadway theaters and boardrooms — heroes, villains, conflict, plots, dialogue, and lessons learned draw us in, remind us of our own lives, and hold our attention.”

The story can be about you personally, which tells the audience first-hand why you’re invested in and passionate about the topic. Or you can tell a story about another person who the audience can learn from. “Another option: Tell a fable, wisdom tale, historic event, or anecdote,” Price says. “The idea is, start with a brief 60- to 90-second narrative that launches your speech and captivates your listeners, and make sure the story encapsulates the key point of your message.”

She suggests you consider these questions as you craft your version of “Once upon a time”: What challenges have you (or another) faced in relation to your topic? How did you (or another) overcome them? Who or what helped you or harmed you? What lessons were learned? What do you want your audience to gain, feel, or do as a result of the story?

2. Ask a rhetorical, thought-provoking question.

“As Shakespeare wrote in ‘The Merchant of Venice,’ ‘If you prick us, do we not bleed? If you tickle us, do we not laugh? If you poison us, do we not die? And if you wrong us, shall we not revenge?'” says Price. “As a speaker, you ask rhetorical questions for persuasive effect; you don’t expect the audience to answer aloud, rather silently to themselves.

When crafted and delivered well, rhetorical questions influence an audience to believe in the position of the speaker. “Clearly, Shakespeare’s character Shylock is leading his listeners to think ‘yes’ four times in order to justify revenge against Antonio. What do you want your audience to say ‘yes’ or ‘no’ to?”

In addition to yes or no questions, you can also arouse curiosity and motivate your audience to think about the answer, she says.

3. State a shocking statistic or headline.

Price says the vice president of sales for America’s leading healthcare IT company successfully sells software solutions to hospitals by starting her presentations with the following:

“According to a new study in the Journal of Patient Safety, medical errors leading to patient death are much higher than previously thought. Preventable adverse events, known as PAEs, cause up to 400,000 deaths per year for patients who seek care at a hospital. “The statistic, bold claim, or headline needs to be directly related to the main purpose of your presentation,” Price explains. “Its impact ideally persuades the audience to listen and respond positively to your recommendation and next steps.”

4. Use a powerful quote.

“Employ the wise words of a well-known person, because the name allows you to tap into his or her credibility, likeability, and notoriety,” she says. The quote must have meaning and relevance to the audience.

Imagine you’re urging a group to reach consensus, or giving a talk on conflict management. You could open with: “Mark Twain once said, ‘If two people agree on everything, one of them is unnecessary.’ Even though some of us disagree on the xyz issue, each of us is necessary in reaching a resolution.”

5. Show a gripping photo.

A picture is worth a thousand words — “maybe even more,” Price says.

“Use photos instead of text, when possible,” she suggests. A quality photo adds aesthetic appeal, increases comprehension, engages the audience’s imagination, and makes the message more memorable.

Price offers the following example of an effective use of an image:

The president of an electronics equipment company needed his managers to cut costs. Rather than showing mundane charts, graphs, and spreadsheets, he opened the meeting by asking, “What sank the Titanic?” When everyone in unison replied, “an iceberg,” he displayed a beautiful high-definition image of an iceberg on the screen: the tip of the iceberg was clearly visible above the water; the much larger portion was dimly visible below the surface of the water.

“The same thing is about to happen to our company,” he continued. “Hidden costs — the dangers beneath the surface — are about to sink this company. I need your help.” This visual metaphor spawned a creative, productive brainstorming session that inspired every business unit manager to diligently hunt for what they labeled the “icebergs,” says Price. The result was saving millions and ultimately the company.

6. Use a prop or creative visual aid.

“A prop is a magnetic tool that hooks your audience and keeps them watching — or listening,” Price says. A visual aid can also help emphasize a point.

Price uses the example of a sales VP at a large insurance company, who happens to be an avid tennis player. She says he wanted to kick off his annual meeting with a bang — so he “brilliantly used his tennis racquet to emphasize ‘acing the competition,’ ‘rallying together as a team,’ and winning a ‘grand slam’ through great customer service.” Year after year, other speakers were compared to this leader’s creative ability to present a motivational message, she says.

“Think about how you could use items like a big wall clock, a colorful gift bag, juggling balls, a deck of cards, a bunch of carrots, or another prop, to introduce your topic, captivate the audience, inject humor, and drive home your message.”

7. Play a short video.

Imagine kicking off a product management meeting with a video of compelling customer testimonials, or opening a fundraising event for endangered species by showing an Amur Leopard playing with her cubs in the wild.

“Videos evoke emotional responses,” Price explains. “Unlike text and bullet points on a slide, you can employ people, pictures, and sound to reel in the audience, add drama, and communicate the gist of your message quickly.”

As Walt Disney said, “I would rather entertain and hope that people learned something than educate people and hope they were entertained.”

Don't start your work presentations by simply saying 'hello.' Here's how to be more engaging in the conference room.

I'm sure you've sat through plenty of presentations where the presenter starts with a polite salutation like, "Hello, thank you for having me here today," or, "I am so glad to be here" — often followed by their name and professional résumé . Sometimes, if it's an internal meeting, you get the same salutations followed by an agenda slide with bullet points and the presenter narrating it.

As a public-speaking coach who has worked with many executives and senior teams, I know how to make work presentations more engaging. Here's how you should change your approach.

If you stick to your old ways, you aren't leaving a memorable first impression

Your audience is thinking three things when you walk into that conference room or onto that stage: Who is this person, why should I care, and how are they going to solve my problem?

Let's face it: Most people are more interested in how you will solve their problem than in you and your professional résumé. So let's flip the script a bit. Start with the solution to their problem, briefly talk about yourself for credibility, and then give them a reason to care.

Instead, try to capture their attention

Begin your presentation with a hook or a story — something that grabs their attention right from the start. For instance, your hook might be, "Did you know this?" or "What if that?" It could also be a short story that humanizes your services or products.

Most presentations are predictable; wouldn't it be better for both your time and your audience if you could introduce an element of surprise?

Related stories

Some might feel it rude not to thank the organizer or greet the audience, so I suggest finding another place in your presentation for this. Here's a good structure:

Intro: "What if you could be a more confident and credible presenter? What if you could engage with your audience so they remember your products or services?"

Credibility: "My name is Meridith, and I've been coaching entrepreneurs and executives on how to speak with spark for over a decade, and I am really excited to be here. I want to thank [insert name] for inviting me to share the afternoon with you."

Solution: "Today, I will give you three ways to make your audience remember your products and services, helping you stand out in a competitive market. Let's get this party started!"

You could also try to form a personal connection

Often, presentations lack a personal touch. Try sharing a relevant personal anecdote or experience that relates to your topic. This not only makes your work presentation more relatable but also helps to establish a deeper connection with your audience.

For example, you could say: "When I was younger, I often hid in the back of the classroom, hoping the teacher wouldn't call on me because I didn't want to sound stupid or have the wrong answer. Later in life, I discovered acting and improv comedy . It was through the practice of these two art forms that I developed my confidence and learned how to engage more courageously with others. Today, I will give you solutions for how you can also better engage your audience with spark."

Try to encourage interaction

At the very least, you should try to engage your audience from the beginning — whether in person or on virtual calls. You can ask a thought-provoking question or propose a challenge that involves them directly. This approach shifts the dynamic to more interactive and engaging sessions.

If you implement any of these suggestions, you can make your presentation memorable and impactful immediately. And you'll most likely get a larger return on your investment of time and energy.

In today's fast-paced world, where attention spans are increasingly shorter than ever, it's crucial to grab and hold your audience's attention from the very beginning. By doing so, you set the stage for a more engaging and productive interaction. So challenge yourself to break free from presentation norms and embrace a style that resonates deeply with your audience and leaves a lasting impression.

If you’re going to make it in the professional world, most likely you’ll have to give a presentation in English at some point. No reason to get nervous!

Most of the work involved lies in the introduction. You may or may not need an English presentation PPT file, your topic, audience, or time limit may vary, but a strong opening is a must no matter what! Everything that follows can build from the opening outline you present to your audience.

Let’s look at some guidelines for starting a presentation in English. If you can master this part, you’ll never have to worry about the rest!

Opening in a Presentation in English

While it’s important to have your entire presentation organized and outlined, planning and organization are especially important in the introduction. This is what will guide you through a clear and concise beginning. Let’s look at how to start a presentation with well-organized thoughts .

Introduction Outline

  • Introduce yourself and welcome everyone.
  • State the purpose of your presentation
  • Give a short overview of the presentation

As we say, it’s as easy as 1-2-3. (No need for a more detailed English presentation script!) Let’s examine the first step.

1. Introduce Yourself & Welcome Everyone

The self-introduction is your opportunity to make a good first impression. Be sure to open with a warm welcome and use language that is familiar and natural. Based on your audience, there are a few different expressions you can use to start your presentation.

If you’re presenting to coworkers who may already know you:

  • Hello, [name] here. I would like to thank you all for your time. As you may know, I [describe what you do/your job title] I look forward to discussing [topic] today.
  • Good morning/afternoon/evening everyone. Thank you for being here. For those who don’t know me, my name is [name], and for those who know me, hello again.

If you’re presenting to people you’ve never met:

  • Hello everyone, it’s nice to meet you all. My name is [name] and I am the [job/title].
  • Hello. Welcome to [event]. My name is [name] and I am the [job/title]. I’m glad you’re all here.

There are certainly more ways to make an introduction. However, it’s generally best to follow this format:

  • Start with a polite welcome and state your name.
  • Follow with your job title and/or the reason you’re qualified to speak on the topic being discussed.

2. State the Purpose of Your Presentation

Now that your audience knows who you are and your qualifications, you can state the purpose of your presentation. This is where you clarify to your audience what you’ll be talking about.

So, ask yourself, “ What do I want my audience to get from this presentation? ”

  • Do you want your audience to be informed?
  • Do you need something from your audience?
  • Do you want them to purchase a product?
  • Do you want them to do something for the community or your company?

With your goal in mind, you can create the next couple of lines of your presentation. Below are some examples of how to start.

  • Let me share with you…
  • I’d like to introduce you to [product or service]
  • Today I want to discuss…
  • I want to breakdown for you [topic]
  • Let’s discuss…
  • Today I will present the results of my research on [topic]
  • By the end of this presentation, you’ll understand [topic]
  • My goal is to explain…
  • As you know, we’ll be talking about…

When talking about the purpose of your presentation, stick to your goals. You purpose statement should be only one to three sentences. That way, you can give your audience a clear sense of purpose that sets them up for the rest of the presentation.

3. A Short Overview of the Presentation

The final step in starting your presentation is to give a short outline of what you’ll be presenting. People like a map of what to expect from a presentation.

It helps them organize their thoughts and gives a sense of order. Also, it lets the audience know why they’re listening to you. This is what you’ll use to grab their attention, and help them stay focused throughout the presentation.

Here are some examples of how you can outline your presentation:

  • Today, I’m going to cover… Then we’ll talk about… Lastly, I’ll close on…
  • We’re going to be covering some key information you need to know, including…
  • My aim with this presentation is to get you to… To do that we’ll be talking about…
  • I’ve divided my presentation into [number] sections… [List the sections]
  • Over the next [length of your presentation] I’m going to discuss…

That’s it! It’s as simple as 1-2-3. If you have a fear of public speaking or are not confident about presenting to a group of people, follow these three steps. It’s a simple structure that can get you off to a good start. With that in mind, there are other ways to bring your introduction to the next level too! Read on for bonus tips on how to really engage your audience, beyond the basics.

For a Strong Presentation in English, Engage your Audience

Presentations aren’t everyone’s strongest ability, and that’s OK. If you’re newer to presenting in English, the steps above are the basics to getting started. Once you’re more comfortable with presenting, though, you can go a step further with some extra tricks that can really wow your audience.

Mastering the skill of engaging an audience will take experience. Fortunately, there are many famous speakers out there you can model for capturing attention. Also, there are some common techniques that English-speakers use to gain an audience’s attention.

*How and when you use these techniques in your introduction is at your discretion, as long as you cover the 3 steps of the introduction outline that we discussed earlier.*

Do or say something shocking.

The purpose of shocking your audience is to immediately engage them. You can make a loud noise and somehow relate the noise to your presentation. Or, you can say, “ Did you know that… ” and follow with a shocking story or statistic. Either way, the objective is to create surprise to draw their attention.

Tell a story

Telling a story related to your presentation is a great way to get the audience listening to you.

You can start by saying, “ On my way to [location] the other day… ” or “ On my way here, I was reminded of… ” and then follow with a story. A good story can make your presentation memorable.

Ask your audience to take part

Sometimes a good introduction that captures attention will involve asking for help from the audience. You can ask the audience to play a quick game or solve a puzzle that’s related to your presentation. Also, you could engage the audience with a group exercise. This is a great way to get people involved in your presentation.

There are many more ways to engage the audience, so get creative and see what you can think up! Here are some resources that will help you get started.

The organization is dedicated to helping you be a better speaker, and there are many local groups in America. They offer free lessons and events to help you master your English speaking, and also offer additional help to paying members.

A strong presentation is so much more than information pasted onto a series of slides with fancy backgrounds. Whether you’re pitching an idea, reporting market research, or sharing something else, a great presentation can give you a competitive advantage, and be a powerful tool when aiming to persuade, educate, or inspire others. Here are some unique elements that make a presentation stand out.

  • Fonts: Sans Serif fonts such as Helvetica or Arial are preferred for their clean lines, which make them easy to digest at various sizes and distances. Limit the number of font styles to two: one for headings and another for body text, to avoid visual confusion or distractions.
  • Colors: Colors can evoke emotions and highlight critical points, but their overuse can lead to a cluttered and confusing presentation. A limited palette of two to three main colors, complemented by a simple background, can help you draw attention to key elements without overwhelming the audience.
  • Pictures: Pictures can communicate complex ideas quickly and memorably but choosing the right images is key. Images or pictures should be big (perhaps 20-25% of the page), bold, and have a clear purpose that complements the slide’s text.
  • Layout: Don’t overcrowd your slides with too much information. When in doubt, adhere to the principle of simplicity, and aim for a clean and uncluttered layout with plenty of white space around text and images. Think phrases and bullets, not sentences.

As an intern or early career professional, chances are that you’ll be tasked with making or giving a presentation in the near future. Nailing the First Impression: How to Start a Presentation No Matter the Topic

Everyone knows that first impressions are important— regardless of whether you’re an entrepreneur or a teacher. You have approximately 27 seconds to make a lasting first impression. Only 27 seconds. That’s how long it takes someone to form an opinion about you upon meeting you for the first time. In fact, a 2018 study conducted by the Dollar Shave Club revealed that 69% of Americans form a first impression of somebody before they even open their mouth to speak. A lot of those initial snap judgements come from body language, facial expressions, and eye contact.

What does that mean for your presentations? A 2017 University of Toronto study found that an audience can decide in as little as five seconds if a presenter is charismatic or not simply by watching a silent recording of them delivering their speech. While a lot of first impressions come from things we can’t control, you can change the narrative. What is the absolute first thing you want your audience to experience? How do you want them to feel? How can you get them to trust you and what you’re about to tell them? Let’s start there.

Below are examples of how to start a presentation — and win over your audience in the first few seconds— regardless of the topic.

Nailing the first impression

The first few seconds of your presentation are crucial to the success of your call-to-action at the end. You want to make sure you’re professional, personable, and presentable. Here’s how:

Dress the part

Have you ever heard the saying dress for the job you want? It applies here, too. You want to wear something that makes you feel comfortable and confident, while looking professional. It’s one of the first things that your audience will notice.

Check your body language

Check your posture when you’re on stage. Choose a power stance that both calms your nerves and exudes confidence. Do you talk with your hands? Make sure your body language isn’t distracting the audience from your overarching message. 

Make eye contact

Eye contact can make or break your first impression. By making eye contact you’re letting the audience know that you see them, you hear them, and that they can trust you. 

A smile goes a long way. Not only does it tell the audience that you’re genuine, but it humanizes you while up on stage. Suddenly you’re more relatable (and likeable). A simple smile will show your audience that you care about them, and that you’re passionate about the topic you’re presenting. 

Knock their socks off with your introduction

The first words you speak set the tone for the rest of your presentation, so choose wisely. Try opening with a joke, a startling statistic, or a personal (but relatable) story to grab their attention early on.

Now that we’ve covered the basics, let’s narrow it down to how to start off specific types of presentations. 

How to start an internal presentation

When you’re presenting internally, your audience likely already knows you and the company— so here’s how to start a marketing plan presentation , an all-hands meeting , or a team standup . Since these are your colleagues and peers, grab their attention with a joke before going into your key message. This will lighten the mood, and allow them to shift their focus to the meeting they may (or may not) have been dreading.  

How to start a client-facing presentation

When you’re preparing a client-facing deck, you probably have a specific call-to-action that will measure the success of your presentation. Regardless of whether you want their business, their feedback, or their investment, you need their attention. We recommend kicking off a client-facing, or sales , presentation with a startling statistic that will pique their curiosity and leave them wanting more information throughout the rest of your deck.  

How to start a technical presentation

A technical presentation— like software integration — sounds boring, right? Make it relatable (and less technical) by starting the presentation with a personal story about you. That could be a lesson you learned, a life-altering experience, or a funny memory. Once you have the audience hooked, tie that story back to your presentation topic. This humanizes an otherwise boring presentation, and allows the audience to connect with you and what you’re saying. 

How to start a presentation about yourself 

The age-old question: how to start a presentation about yourself without coming across as egotistic? This might be a presentation to introduce yourself to colleagues your first week at a new job, a class project, or a personal portfolio or resume. Try starting a presentation about yourself with a candid video, or a photo. By sharing a personal visual asset, you’re tapping into the audience’s emotions and forcing their attention to the screen.

If you're presenting to your students, you already know that grabbing their attention will be a challenge in and of itself. Here’s how to start a presentation in class: inspire them. Students are typically more impressionable than other audiences may be, so hit them with an inspiring quote at the beginning of the presentation that will motivate them to pay attention.

I recently interviewed 20 of my customers, all in senior roles at Fortune 100 companies, and asked them their biggest pain point in presenting to higher-ups and even colleagues. What I heard consistently was that it can feel like Goldilocks bouncing from one option to the next, testing to figure out what’s “just right.” Does the audience want deep reports? Sparse slides? Something in between? Like … what?

Teams often come to presentation meetings with vast amounts of backup content just in case an exec wants to take a deep dive on any given point. There’s often a struggle to anticipate every direction attendees might want to go. It’s frustrating, and it’s not efficient.

There are many ways to build slides. I’m not just talking about crafting them well versus poorly. I’m talking about all of the important decisions regarding how to organize them, how much text to use, when to lean into a chart, the best ways to use bullets and color, and whether to include an appendix with additional information. Before you make your next proposal or request of the executive team, use this list of 11 tips for your next set of slides as a guide.

Four Things You Must Have in Every Exec’s Slides

Before we drill down into the harder aspects, the ones where your executives’ tastes may vary widely, let’s quickly cover four aspects that you can consider the building blocks — the basics you should never proceed without.

Start with an executive summary. Begin the slide deck with a tight executive summary that follows a three-act structure. First, start with stating the current realities. Second, clearly state the problem or opportunity your idea addresses and its potential impact. Third, explain how your recommendation solves the problem or exploits the opportunity and the next steps you’re proposing.

Have a logical organization. The arc of the deck — the package from beginning to end — should make sense. If your audience reads only the headline of every slide, the order should be coherent and make most of the case for you. The content below each slide’s headline must support the statement made in the title. Remove everything that doesn’t support your point; as writers will tell you, you sometimes need to “kill your darlings” when you’re editing.

Make it skimmable. Help your audience to quickly grasp the point without getting bogged down in details. Create a clear visual hierarchy. Guide the reader’s eye through the content: Use bold headings, bullet points, and numbered lists to break down information into digestible pieces. Highlight key takeaways or conclusions in a different color or font size to draw attention to these critical points.

Focus on concise insights. Succinct statements with clear insights are everyone’s jam. Every slide should serve a purpose and contribute directly to the decision-making process. Distill complex information. Don’t use 100 words when 20 words will nail it. If you’re having difficulty trimming, consider using company-approved AI tools to help you take out the fluff.

Five Preferences to Confirm With the Person You Want to Reach

Now we’ll delve into what your particular audience does and does not want. If you haven’t yet, start by asking the person you’re presenting to what they generally prefer. They probably know themselves well but have not been asked to articulate how they like to receive information.

Ask how dense is too dense. Some executives prefer detailed slides with comprehensive data. Others favor a more high-level approach. You’re weighing how to balance informative content with readability, ensuring that slides are not overloaded yet are sufficiently detailed to support decision-making.

Confirm the delivery format and timing. Some execs like information presented to them. Others prefer a pre-read of the material followed by a discussion. I always recommend our tool Slidedocs (I’ve written a free e-book on them), which are visual documents using both words and images. The templates help presenters organize their thoughts into a document for a pre-read or a read-along. They are designed to be skimmable and able to travel through your organization without the help of a presenter.

I’m a huge fan of pre-reads and prefer to use my time in meetings to ask questions and build alignment. If your audience didn’t review your material in advance, ask at the top of the meeting whether they would like you to present it or would prefer to read through it and then discuss it.

Find out how much data visualization they prefer. Charts, graphs, photos, and illustrations often communicate complex data more clearly than words alone. When execs can see what you’re saying, they often can better understand the impact of your idea. Does the exec want to understand exact numbers? Bar charts allow them to move their eyes across a series of specifics. Does the exec want to know the shape of a trend over time? Line charts can show the pattern. (See “Classic Charts Communicate Data Quickly.”) Some prefer charts with annotations that draw attention to what you think is the most important point. Others want to make their own conclusions from the data.

One of my clients, the CEO of a massive commercial real estate company, doesn’t want anything visualized. He prefers numbers, only in a table, and only in two colors — black and red. You might think this is archaic. But the fact that he’s clear to his teams about what he wants takes all the mystery out of how to communicate with him.

When the stakes are high, have a conceptual thinker help with diagrams and concepts. If you don’t have one on your team, and when it’s high stakes, find an internal designer to help you or hire one. You can’t afford to have the baby (your idea) thrown out with the bathwater (terrible slides).

Identify which details need spelling out. How well do the people you’re presenting to know the landscape and function of the company and products you’re talking about? For example, if your engineering team threw a slide into a deck about an issue that requires executive approval, do the execs all speak geek? Or do you need to explain the technology so that they will really understand the ask? Either eliminate internal jargon and acronyms or unpack those bits, especially if your proposal deeply involves expertise outside of the executives’ domain.

Ask whether appendices will be useful. When you’re organizing a presentation, you often troll data, read through complicated reports, and even hire external experts to figure out what’s best for the company. Do your execs want access to that supporting data? You can add a document to the end of the presentation as an appendix to show all of the data and source material. This allows the main content of the slides to remain focused and accessible while still providing comprehensive background information for those who want more.

Two Tips to Improve Your Presentation Skills

Getting materials in place is the biggest step. They will be your best tools for selling your ideas. But there are two extra areas to pay attention to as a presenter: how you handle questions and how you use every experience to improve.

Anticipate questions, and practice your answers. Before you have your meeting, gather a small team to challenge every point you make. Invite colleagues you trust to role-play as “a rapidly inquisitive exec” or “the doubting naysayer exec” so you are prepared to present your idea well. They’re gonna grill you, and practicing will help you remain unruffled when it happens.

13 Tips on How To Nail a Presentation To the Board of Directors

In college, I always made it a point to listen intently to presentations. I knew how stressful and nerve-racking it was to present in a room of peers and authority figures.

I would nod feverishly to let presenters know I was invested in their presentation. And they knew it too. They often zeroed in on me as I became their focus point and silent motivator. The fixation felt awkward at times, but that felt like one of my small contributions to society. That, and an endless supply of cat videos.

Back then, the stakes were relatively low. But when you’re tasked with putting together a presentation to a board of directors, the pressure’s on.

But with a few tricks in your arsenal, you won’t need a sympathetic audience member to gauge how well you’re doing.

Let’s walk through some tips to prepare for your presentation and review some things to avoid.

1. Know your audience.

Knowing your listeners is as important as the content of your presentation. When you understand their priorities, you can put together a presentation that speaks directly to them.

If you don't know the board well, do some research and get answers to these questions:

What does the board care about?

This will help you see from what lens they look at things. For instance, a board keen on community impact may not be drawn to a presentation focused on return on investment (ROI).

There are a few ways to find this out. You can start by looking into each board member’s professional background. If most members have a finance background, for instance, you’ll want to make sure you cover any financials as it relates to your presentation. This could be cost, expected ROI, or operating margins.

You can also get some insight into what the board cares about by looking back at your interactions with its members. Think about the conversations you’ve had: What comes up most often? Is it company culture, profit, philanthropy, innovation, or something else?

What are their main concerns?

A board of directors is responsible for making decisions that will ensure the growth and sustainability of a company. So naturally, they will be looking out for anything that may impede that process.

Common concerns a board may have are:

  • Costs: How much time and money will it require?
  • Timeline: How long will this project take and is that timeline feasible?
  • Risks: How risky is your proposal and what is the risk-to-return ratio?

You may find that each board member has a different focus, which means your presentation should be well-rounded to tackle these issues.

Once you know this answer, you can subtly handle each concern throughout your presentation. Getting those answers will help you create a presentation that not only interests your audience but also aligns with their goals. This, in turn, will bring you much closer to accomplishing the plans laid out in your presentation.

2. Plan ahead.

The next step in delivering a great presentation is making a plan. This means figuring out the focus of your presentation, what you’ll cover, and what you’ll leave out.

A presentation should follow the structure of any good movie, with a beginning, middle, and an end. Here’s an example outline for a presentation where the head of the marketing team is proposing course offerings as a new lead generation channel.

The middle is the meat and potatoes of your presentation. You'll likely spend time providing data, contextualizing it, and explaining your approach.

Your ending should bring together your key points and leave your audience with actionable steps. Because what good is providing the information if you have no plan for what to do moving forward?

3. Structure your presentation based on the board’s process.

Not every board of directors operates in the same way. Sure, there are standard guidelines for every meeting. However, the approach may vary for presentations.

Some may operate more like a town hall, pausing periodically to discuss the points as they come up. In this case, leave room after each section of your presentation to discuss what was covered.

Others may follow the more standard approach: presentation followed by a discussion. Studies show that humans remember best the beginning and end of what they read, hear, and see. What’s in the middle tends to get lost. With that in mind, consider sharing your most pertinent information toward the beginning and end of your presentation.

4. Keep it concise.

One thing board members aren’t known for is open availability. That said, you want to make the most of your time with them. How do you do that? Stick to the scope of the presentation.

While it’s great to incorporate storytelling, avoid getting sidetracked and wasting time. Be clear and keep it simple.

If you’re showing data, only share one highlight per data graph. There are several reasons for this:

  • Data itself doesn’t tell a story. You, as the presenter, do. As such, you have to explain what it means and why it matters. Let’s say lead generation at your company has plateaued in the past year across all channels. That’s all the data says. But during your research, you realize it’s due to a shift in how your audience is consuming information. Your role is to present the data and explain the "why" behind the plateau along with a solution.
  • You want to prevent information overload. Share the piece of data that best supports your points and has the most impact. For instance, if a new lead generation channel is the focus of your presentation, diving into the specifics of another channel may not be worth your time.

If you leave it to your audience to make sense of the data, they might reach a conclusion that doesn’t align with your message.

5. Set up early.

There’s nothing more awkward than silence during a technical difficulty.

Everyone’s looking at you while you’re figuring out why technology has forsaken you. The more time the issue takes to resolve, the more panicked you get. We’ve all been there.

To avoid this, set up early and do a run-through before your scheduled presentation time. It’ll give you time to get familiar with the space and any technology you’ll need to run during your presentation.

6. Incorporate visuals into your presentation.

When choosing between words and media, pick the latter.

Visuals help us make sense of information at a much quicker pace than words do. We’re also better at remembering what we see versus what we hear by 55% – it’s called pictorial superiority .

It’s also beneficial to keep your visuals simple. If you have too much going on, your audience will be confused. But if it’s too bare, it will take too many visuals to paint the picture. So, pull your most significant data and use data visualization tools to design intuitive graphics.

7. Focus on results.

A board of directors typically focuses on big-picture decisions that will have a long-term impact on the company.

In this vein, every piece of your presentation should get you closer to answering these questions:

  • " Why does this matter? "
  • " What is the long-term impact? "
  • " How does this bring the company closer to its goals? "
  • " Any potential roadblocks? How will you address them? "

Incorporating these answers into your presentation will set you up for a smoother Q&A session.

8. Send materials beforehand.

Depending on what you’ll be covering in your presentation, it may be helpful to send the board materials to review in advance. This should only be supplemental information that would be too time-consuming or distracting to cover in a presentation, like reports and demos. This way, the focus during the presentation will be on the "why" and not the "how."

The one material you don’t want to send is your presentation, as you want to be the one to contextualize it. Otherwise, the board might form an opinion based on limited information.

A week before the meeting is a good rule of thumb, leaving room for you to respond to initial comments or feedback.

Think of this process as an advantage. You get insight into what the board members may bring up during the meeting and more context to prep. Secondly, it ensures everyone is on the same page ahead of the meeting. That way, you can dive straight into key points during your presentation without covering minute details.

9. Build confidence with your power outfit.

Building confidence is one of the less concrete tips on the list to implement. But the good news is, there are research-backed techniques you can use to achieve it. One of them is right within your reach: clothing.

Many of us can relate to the feeling of trying on clothes in a fitting room and feeling like a million bucks. It tends to put us in a better mood and shift our perspective.

Well, turns out there’s a reason for this. In 2012, two researchers coined the term " enclothed cognition " to refer to the impact clothes can have on the psyche. They found that the clothes we wear can shift our perspective.

In that spirit, put on your best blazer or suit the day of your presentation. That outfit may be just the boost you need.

10. Rehearse your script.

During a presentation with a board of directors, you want to avoid the Michael Scott approach at all costs.

Instead, go the exact opposite route: practice. Practice is the cure to presentation jitters and the formula for seamless delivery. The more familiar you become with your content, the better the presentation will be.

If it’s been a while since your last presentation, start by practicing in the mirror. You’ll immediately notice any mannerisms that may be distracting to your audience. Recording yourself also works great.

Then, practice in front of an audience. And, unfortunately, your dog won’t cut it for this one. Practice with family or friends who can give you feedback on how to improve.

And remember: You’re the only one who knows your speech and presentation. So, if you mess up or forget to mention something, you’re likely the only one who noticed.

11. Don’t fall into the PowerPoint trap.

You’ll likely use a tool like PowerPoint to guide you during your presentation. Yet, it’s important that you don’t overly depend on it.

For instance, packing your slides with heavy text or bullet points is a surefire way to lose your audience. In fact, 40% of respondents in a 2018 study by Prezi said it caused disengagement and made it harder to retain information.

So, stick to one key point on each slide. It’s easier for your audience to remember and prevents information overload.

12. Read the room.

Even if you follow every tip listed above, you might hit a point in your presentation where there’s a disconnect between you and your audience. You might notice confused looks or a shift in body language. If that happens, that’s your cue to pivot.

If your audience seems confused, dive in a little bit deeper on your point. If you sense disagreement, tackle those concerns head-on.

Let’s say you’re proposing a new initiative for the company, and you sense some pushback on the timeline.

You can address it by saying something along the lines of, " You may have some concern regarding the timeline and whether it’s feasible given our current projects. While the timeline may seem tight, we have factored in X, Y, and Z, and, given our past initiatives, we believe this timeline will account for A, B, and C ."

A response like this can mitigate the situation while still keeping you on track.

13. Include time for questions.

As a foodie, dinner for me isn’t complete without a good piece of chocolate. Whether it’s a KitKat or a chocolate cake, having chocolate after dinner feels like the perfect ending. Q&A sessions are kind of like that. It’s the audience’s chance to ask questions and discuss the presentation.

Be ready for questions regarding the data and solutions you presented. The length of the Q&A session will vary depending on the length of your presentation, the size of the board, and other factors.

Additionally, it’s your opportunity to address any looming concerns and re-emphasize your key points. Not sure what to do if you don’t have an answer to something? Here are a few responses:

  • "That’s a great question. I don’t have an answer for you at the moment, but I will follow up over email by end of day."
  • "I don’t have much experience in that X [topic/department/]. However, I will reach out to X and get back to you within a week."
  • "We haven’t explored that yet, but what I can tell you is …"
  • "That’s a great point we hadn’t considered before. My team and I will reconvene and strategize on the best way to approach this."

When the stakes are so high, a presentation to the board can seem daunting. By incorporating these tips into your strategy, you can remove the stress and focus instead on your delivery.

BREC to hold community meeting on park improvements

BATON ROUGE, La. (WAFB) - BREC wants to hear from you!

The organization will host a public meeting on Tuesday, April 9, from 5 p.m. to 7 p.m. at the Anna T. Jordan Community Park gym. The address is 1750 Stilt Street.

A presentation will start at 5:30 p.m. where designers will share conceptual plans for improvements to BREC’s Anna T. Jordan Community Park. The public is invited to contribute their ideas, rank priorities for park amenities, and provide feedback about the park.

In 2017 BREC completed extensive expansions and renovations to the community center building, which followed the pool replacement in 2014. The current design and construction efforts will be focused on renovating the playground, and outdoor gathering space, and improving pedestrian circulation throughout the park. Parking and entry drive improvements will be addressed in a separate project later this year.

BREC staff and project designers will be on hand to engage in conversations, collect comments and answer questions.
