Duties include:

  • Schedule and/or call subjects for appointments; contact participants with reminders or other requirements.
  • Perform clerical duties in the preparation of regulatory documents. Maintain all forms and documents, including consent forms and master subject logs. File all appropriate correspondence.
  • Assist with the screening, recruiting, and obtaining consent of study participants. Review medical records and/or perform telephone or in-person interviews to gather data, as needed.
  • Extract data from source documents for research studies as directed. Collect data and complete case report forms.
  • Perform basic measurements and tests on patients according to protocol, such as obtaining vital signs and performing phlebotomy and EKG, after appropriate training/certification. Collect study specimens according to protocol.
  • Prepare, process, and ship specimens/samples accurately under well-defined requirements.
  • Order and maintain equipment and supplies.
  • Process study compensation payments and thank you letters to subjects upon completion of trial activities. Assist with post-study activities, as needed.

DESIRED QUALIFICATIONS:

  • Although not required, one year of experience in clinical or translational research is desired.
  • Candidates who are motivated to pursue long-term careers in clinical research coordination, health disparities, and/or seeking future training in professional schools related to healthcare and/or biomedical research are strongly desired.

EDUCATION & EXPERIENCE (REQUIRED):

  • Two-year college degree and one year of relevant experience or an equivalent combination of experience, education, and training.

KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):

  • General knowledge of medical terminology.

CERTIFICATIONS & LICENSES:

  • Working toward certification(s) to perform basic patient measurements and tests, such as phlebotomy and EKG.

Clinical Research Assistant

This is the entry level position on the Michigan Medicine CRC Career Ladder . This position provides administrative and coordination support for multiple projects in the conduct of clinical research projects. This position may assist with study coordination but will not be assigned clinical trials independently.   This position may provide coordination for clinical research projects such as registries, retrospective data reviews, studies in long-term follow-up, and other non-interventional studies.

Position Summary

The Director of Campus Services is an integral member of the senior management team for the division of Student and Campus Services and reports to the Vice President. The Director manages the day-to-day operations of various campus services, including but not limited to:

  • Campus Mail for both academic and residential properties
  • Parking Services (Russ Berrie/SON, ICRC, 100 Haven and Lasker parking lots),
  • Intercampus shuttle, in close coordination with Morningside campus,
  • Events coordination for Haven Plaza, in close coordination with Community Affairs 
  • 50 Haven Athletic Center and customer outreach and marketing.
  • Business services liaison with Morningside campus for banking services, café installations, and other business services as identified for the medical center.

The Director will lead all efforts related to ensure services are readily provided and without any issues or disruptions. The Director will develop, distribute, and maintain regularly scheduled reports on benchmarked performance metrics, cashflow and breakeven analysis of each service unit, and emerging trends in service requests, or problems.

This position is responsible for ensuring customer care and customer service excellence, outreach, and timely services delivery. The Director is also responsible for helping direct/manage special projects that support special events throughout the academic calendar. The Director also assesses and surveys customers for feedback on services provided, new services requested, and services no longer in demand. Data benchmark will be analyzed to understand volume, timely delivery of service, changes to delivery model, and other strategies to improve the customer experience.

Responsibilities

Campus Mail (Academic Buildings) at VP&S 1st floor – The academic buildings at the CUIMC campus have direct desktop delivery for all couriers, including but not limited to United States Postal Services (USPS), Federal Express, UPS, DHL, Staples, and some Amazon deliveries (when addressee is specified.)  The campus mail room manages the daily operation of the central Campus Mailroom which serves all four schools and research centers for CUIMC. The Director will:

  • Oversee the mailroom staff to properly receive incoming USPS mail delivered to various campus locations; ensuring all mail is sorted, logged, and delivered daily.
  • Oversee the handling of packages (UPS, FedEx, DHL, Amazon, Fresh Direct, etc.) delivered to the central mailroom, ensuring proper tracking and delivery of packages in a timely manner.
  • Create a communication plan including templates for campus communication using email and text alert software to notify clients of mail and parcels received and ready for pick up, including reminders, standard emails templates, etc.
  • Utilize institutional data and postal software analytics to assess and respond to campus mail service needs.
  • Develop training for mail room staff and supervisor to ensure proper documentation of all mail parcels and packages received notifications sent out to clients and proper signature of packages delivered.
  • Monitor software upgrades and systems modules and processes in post office software; make recommendation for adding new features or system upgrades as warranted  
  • Completes and maintains all required internal and external mailroom data reports.

Residential Mail/Package Center at 60 Haven Avenue – Six residential buildings have centralized mail/package services that allows for a central drop of all United States Postal Service (USPS) mail, and centrally receives packages from Amazon, Fresh Direct, Staples, Federal Express, UPS and other private vendors (Macys, Target, etc.) to one mailing address of 60 Haven Avenue.  This central mail/package center utilizes a mail/package tracking software system that allows for the receipt of parcels and packages, which tracks, and notifies residents and office occupants of mail or packages received. The Center also has after-hour lockers available for scheduled evening pick up of mail/packages if chosen by a resident. Management duties overseeing the Residential Mail/Package Center include all the duties as outlined for Campus Mail and

  • Manage a team of five mailroom staff to properly receive incoming USPS mail delivered to the Center; ensuring all mail is sorted, logged, and tracked daily.
  • Reconcile package errors in the notification system and clear out errors and duplications.
  • Schedule and send alerts to residents who elect after hour locker assignment for their package or parcel.
  • Clear backlog of packages or mail nightly as time permits.

Campus Parking – The Director will oversee the contract vendor, SP Plus, who manages the onsite parking attendant personnel for the four parking lots at CUIMC – Russ Berrie/SON, ICRC, 100 Haven Avenue and Lasker parking lots. The Director will:

  • Oversee the daily operation of Campus Parking at 100 Haven, ICRC/ Russ Berrie/SON and Lasker parking lots.
  • Perform daily inspection of parking lots for usage, capacity, and any staffing issues.
  • Document site inspections with any repair tickets to campus engineering or service tickets to SP PLus
  • Review quarterly site safety and PPE use by SP PLus
  • Perform monthly review of all receivables, financial analysis of monthly performance.
  • Perform monthly analysis of daily, nightly, monthly use patterns by parking lot and as an aggregate.
  • Review monthly report of infractions or violations by authorized parkers and unauthorized parkers; develop communication to parkers who are non-compliant with parking rules.
  • Develop new parking initiatives based on demand or gaps in services commensurate with the capacity of each lot and within the permissible building code.
  • Collaborate with the Columbia University Information Technology technicians to upgrade and create systems and processes in parking software (currently Amano) card swipe reports.

Intercampus Shuttle – The Director will coordinate with Morningside Campus, the intercampus shuttle services to CUIMC. This service provides travel options and information so the Columbia community can make safe, efficient, and timely trips to, rom and between Columbia’s campuses. The Director will

  • Ensure intercampus shuttle services are up to date and reports on any service disruptions.
  • Maintain timely communication updates to CUIMC campus community regarding any changes or disruptions in services.
  • Review usage patterns to track service needs being met and any that may be emerging.
  • Conduct annual surveys of shuttle users to ensure customer satisfaction and services meet riders wishes.

Business Services Liaison – The Director will work closely with Morningside Campus Business Services team to augment campus services with contracted services from local banks, cafes/restaurants, and other business services as identified.

Special Events/Coordination of Events Logistics

  • Develop overall coordination plan for special events planned in Haven Plaza, Alumni Auditorium, VEC, Armory, etc. Ensure Campus Operations/Custodial/Public Safety/Fire Safety services are integrated as needed for each event.
  • Coordinate outreach to campus partners who support special events including Public Safety, Faculty Club, Engineering, Fire Safety, Communications, etc.
  • Coordinate staffing requests to custodial to ensure proper coverage is planned for each event.

It is also expected that the incumbent will oversee and managing the following:

Customer Services Outreach

  • Providing introductory information to new customers
  • Ensuring that customers are satisfied with products or services.
  • Following up with clients or customers to check that they are satisfied with our services.
  • Let customers or clients know about additional products or services.
  • Determining the quickest, most effective ways to answer a client’s or customer’s questions.
  • Escalating queries and concerns when necessary
  • Troubleshooting common issues with a product or service
  • Conduct daily review of Call Center intake tickets; conduct daily phone calls to clients to confirm services and or discuss issues
  • Conduct daily site visits of all main client contacts per building/location.

Marketing/Communication:

  • Develop overall marketing plan for departmental processes including What are Campus Services; How to apply for parking; When does the Shuttle stop at CUIMC; What services does the mailroom provide?
  • Collaborate with divisional marketing office on all printed, digital, promotional, marketing, and communication campaigns.
  • Develop and maintain social media campaigns on all departmental platforms.

Administrative:

  • Supervise the mailroom operation which includes one full-time supervisor and Local 2110 union staff.
  • Develop and manage customer service initiatives within the central office including internal and external concerns via phone, email, or walk-in process.
  • Provide information to campus clients relating to Campus Services procedures and policies.
  • Attend various department, division and university meetings on a regular basis and complete all necessary compliance training.
  • Collaborate with other departmental and university offices to assist with special events.

Department/Campus Partnership: 

  • Serves as a liaison with Capital Projects and Planning, Engineering, Custodial Operations, Public Safety, Fire Safety, Information Technologies (IT), Faculty Club, Student Health Services, and other campus partners.
  • To provide updated information relating to Campus Services statistics to the Vice President as needed

Other Duties As Assigned:

  • Serve as key member of the leadership team who advocates for new/emerging campus services.
  • Coordinate and work in conjunction with other Deans of Students and University stakeholders in the development of long-term plans for Campus Services.
  • Collaborate with the Executive Director of Strategic Communication in the development and implementation of the department's marketing and branding efforts and (web page, social media, and print information) to promote the on-campus services.

Professional Development: 

  • Provide innovative ideas and strategic thinking to improve current Campus Services processes at volume, as well as stay up today on best business practices adopted by similar institutions or published in industry reports.
  • Take an active interest in identifying and participating in their professional development.
  • Serve on University, Divisional and Departmental Committees as requested.

Minimum Qualifications

  • Bachelor’s degree. Five or more years of work experience  (including supervisory experience) in a related field.
  • Candidates should also have demonstrated experience of supervising professional and paraprofessional staff.
  • Candidates who have other relevant experiences, including degrees in majors and minors that align with operations management, direct services delivery, and high output customer service experience will be strongly considered.
  • Ability to deal effectively with a diverse population.
  • Strategic thinking surrounding competing demands of campus partners.

Preferred Qualifications

  • Master’s degree in higher education, or related field.
  • Preferred knowledge of service delivery and operations of service units and experience working with diverse populations.

Clinical Research Nurse C (Abramson Cancer Center)

  • Participate in PSSVs; assist the Unit Managers to initiate start-up for industry-sponsored and investigator-initiated trials; collaborate with Pharmacy and Clinical Analysts to build chemo orders; proactively review the protocol and associated manuals, ask questions and pursue corrections/clarifications, if needed.
  • Coordinate complex clinical trials; pre-screen potential patients who are referred by other physicians, who contact the study team directly, or have upcoming clinic visits; lead or contribute to informed consent discussion in accordance with PA state law; review eligibility criteria with PI and facilitate exception requests, if needed.
  • Establish nursing care plan; develop, schedule, oversee and ensure timely/appropriate documentation of study-related visits, testing and interventions; maintain open communication with clinical teams and act as a liaison between caregivers; provide training and support to study staff and clinical teams, as applicable.
  • Care for subjects from young adult through geriatrics; provide clinical services and patient education; provide psychosocial support and make suggestion/referrals to other professional staff as appropriate; ensure subjects are sent home with complete/accurate instructions for treatment and follow-up; handle any questions within level of expertise and referring other questions to PI or medical team.
  • Oversee administration of medications, chemotherapeutic drugs, and other treatment agents or study interventions; monitor effects/issues, review test results for abnormalities and trends, and prioritize urgent and routing problems; document and report AEs, SAEs, EOIs and non-medical events; communicate protocol-specific management of toxicities and adverse events with medical staff.
  • Demonstrate knowledge of patient care related to hematologic malignancies (and other related diseases), treatment, medication side effects and short and long-term complications as evidenced by documentation and observations.
  • Contribute to study-related meetings such as SIVs, IMVs, COVs, internal audits and ongoing training sessions; participate in Sponsor/CRO teleconferences; share updates/issues with study team members; participate in study team meetings, disease-level meetings, and working groups; act as a mentor and provide coverage and support to other nurses to meet staffing needs.
  • Maintain complete, accurate, and well-organized study files from patient screening through final follow-up; disseminate valid/accurate study data to CRCs and DMs; report study data within timelines specified by the Agreement.
  • Maintain list of incidental deviations; contribute information to reportable deviations, other unexpected events and exception requests; assist with various regulatory submissions, respond to IRB issues or concerns, and remain aware of the regulatory statuses for assigned protocols; may be asked to contribute to study protocols and associated documents.
  • Perform other duties as reasonably assigned.

Phase III Study of Atamestane Plus Toremifene Versus Letrozole in Advanced Breast Cancer

Inclusion Criteria:

  • Women age 18 years or older
  • Pathological or histological confirmation of breast cancer at initial diagnosis or at the time of metastases
  • ECOG performance status of 0, 1 or 2 or Karnofsky performance status of 60 or higher
  • Predicted life expectancy of 12 weeks or more
  • Postmenopausal endocrine status. LH/FSH levels in the postmenopausal range in women whose menopause occurred less than 5 years ago
  • Locally recurrent, locally advanced, locally metastatic disease not amenable to radiation therapy or surgery and/or distant metastatic disease
  • At least one tumor localization measurable in 2 dimensions (one diameter at least 2 cm for soft tissue/visceral disease assessed by CT/MRI scan or conventional X-ray technique, one diameter at least 1 cm for bone lesions assessed by conventional X-ray techniques)
  • Estrogen receptor and/or progesterone receptor positive (by laboratory/institutional standard) at the time of initial diagnosis or determined during subsequent biopsy/surgery of metastases
  • Written informed consent obtained

Exclusion Criteria:

  • Prior hormonal therapy to treat locally recurrent, locally advanced or metastatic disease
  • Prior adjuvant therapy with aromatase inhibitors or antiestrogens/SERMs within 12 months prior to enrollment
  • Progression of disease during therapy with antiestrogens (including SERMs administered for prevention of osteoporosis)
  • Life-threatening locally recurrent, locally advanced or metastatic disease or disease requiring chemotherapeutic intervention (such as inflammatory breast cancer)
  • History of known CNS metastases, significant neurological dysfunction including active seizures, or clinical signs of other significant neurological diseases
  • Other active malignancy (except basal cell carcinoma of the skin or in situ cervical cancer). Patients with previous malignancies must be without evidence of disease for at least five years
  • Renal insufficiency (serum creatinine > 2.0 mg/dL)
  • Aspartate aminotransferase, alanine aminotransferase or serum bilirubin levels more than 2.5 times upper limit of normal
  • Hemoglobin <9 g/dL
  • Platelet count of less than 100,000 platelets per mm3
  • Total white blood cell count of less than 2,000 cells per mm3
  • Premenopausal endocrine status; pregnant or lactating females
  • Usage of an investigational drug within the thirty (30) days prior to enrollment; or the planned usage of an investigational drug other than the study medication during the course of the current study
  • Contraindication to use of toremifene, atamestane, letrozole or any of the inactive components of their formulations
  • Prior enrollment in this study
